Bill.com alternatives: where to go and how to switch cleanly

Five destinations, one per reason to leave, with real monthly costs and a six-step exit plan.

The short answer: Ramp if you pay BILL for many seats and want bill pay and cards in one place for $0 per user; Melio if you're a small business paying a few dozen bills a month and want a flat plan, not a per-user bill; Zoho Books if you'd rather have accounting and bill pay in one tool; Tipalti if you pay many vendors abroad and want a supplier portal; Payhawk for a young European subsidiary that BILL can't serve. Before you pick, know this: BILL's automatic two-way sync with QuickBooks and Xero only starts on Team, so check what your accounting file already holds before you cut over. We compared all five tools in this guide and checked their pricing pages in 2026.

The real reasons

Why teams leave Bill.com, and what keeps them

BILL is a solid accounts payable and receivable tool; it scores 4.2 out of 5 in our accounts payable ranking, and plenty of accountants are happy on it. Some stay because switching would disrupt everyone who already approves bills there. People who leave usually point to the same six things.

Per-user pricing that scales with headcount

The AP and AR plans cost $49 (Essentials), $65 (Team) or $89 (Corporate) per user per month; Enterprise is custom. Ten people who enter or approve bills cost $650 a month on Team and $890 on Corporate. Corporate has an approver-only discount, so check it before you leave: if most of your seats only approve, the gap may be smaller than you think.

Fees on every payment

On top of seats: $0.59 per ACH payment, $1.99 per check, $19.99 per international wire sent in USD, 1.0% for instant payments ($9.99 minimum, $100 maximum), $11.99 for Pay Faster ACH, $14.99 to $24.99 for an expedited check, 2.9% to pay by card, $25 to void a check, $2.99 per 1099 e-file. Virtual cards and international payments in the vendor's currency are free, but an exchange rate applies. Compare the rate, not just the fee.

Automatic sync starts on Team

On Essentials, QuickBooks and Xero sync is manual, through CSV files. Two-way automatic sync and AI multi-line coding come with Team; NetSuite, Sage Intacct, Microsoft Dynamics and QuickBooks Enterprise sync wait for Enterprise. Accounting users also report small sync mistakes with QuickBooks that have to be caught and fixed.

Support that's hard to reach

BILL lists live chat and phone support on all plans, and premium phone support on Enterprise. On consumer review sites, a large share of reviews are one star, with the same complaint: it's hard to get a live person. Business software review sites rate it around 4.4, mostly from finance staff who use it daily. The gap says more about who writes reviews than about the product.

Funds held during verification

Several reviews describe incoming ACH payments held while the bank account is verified, two-factor prompts that lock users out, or an account closed without a clear reason. BILL answers that these are regulated anti-fraud checks. Fair enough, but it hurts when cash is tight.

Separate modules for bills and cards

BILL Spend & Expense (formerly Divvy) is $0 per user, with credit lines from $1,000 to $5M after approval. Users still complain about switching between the card module and the AP/AR modules, and the credit line can require a personal guarantee. Teams that want bills, cards and expenses in one screen often end up looking at Ramp.

The 5 alternatives

Bill.com alternatives, tool by tool

For each tool: why move there, who it's for, its limit, how to migrate from BILL, and what it costs. Prices are the ones listed on each vendor's pricing page in 2026, in dollars, except Payhawk, which lists its Growth program in euros.

01

Ramp: when seats are what you're paying for

Lowest cost per seat

Why move to Ramp. BILL charges for every person who touches a bill. Ramp's Free plan is $0 per user per month and still includes invoice OCR, approval workflows, and payments by ACH, card, check or wire. Customers who switched describe BILL licensing fees that kept climbing as volume grew, plus separate tools for AP, cards and expenses. Ramp puts all three in one place.

Who it's for. US companies with several approvers who want bill pay, corporate cards and expenses together.

Who it's not for. A business outside the US: Ramp's cards are issued in the US, though Enterprise adds local-currency cards in 30+ countries, on quote. Ramp says it pays global vendors in USD or local currency, and wires are free from the Free plan.

Its limit. Ramp Plus is $15 per user per month plus a platform fee based on team size, which the pricing page doesn't put a number on. Ask for the full quote before you plan around Plus.

How to migrate. Export your vendor list and payment history from BILL as CSV, turn off auto-pay, import vendors into Ramp, rebuild approval rules, and run both for one month. Our switch from Ramp guide covers the reverse trip, useful for spotting Ramp's limits before you go.

What it costs. Free at $0 per user per month; Plus at $15 per user per month plus platform fee, 20% off on annual billing, 30-day trial; Enterprise on quote.

02

Melio: flat plans for small businesses

Flat pricing

Why move to Melio. Melio prices by plan, not by seat. Three users on BILL Team cost $195 a month before payment fees. On Melio Core with two extra users, it's $25 plus $20, so $45 a month on monthly billing, with 20 ACH payments included. For a small business that pays a few dozen bills a month, that's the biggest saving on this page.

Who it's for. Small businesses and their bookkeepers who mostly pay vendors by ACH or check.

Who it's not for. A team with complex multi-level approvals, purchase orders or three-way matching: look at Zoho Books or Tipalti instead.

Its limit. Each plan includes a set number of free ACH payments (5 on Go, 20 on Core, 50 on Boost). Past that, each ACH costs $0.50. A check is $1.50 and a card payment 2.9%.

How to migrate. Start the 90-day trial, import vendors from your BILL CSV, connect your accounting, and move new bills first. Let the payments already scheduled in BILL finish before you cancel.

What it costs. Go $0 (one user, 5 free ACH); Core $25 a month ($20 billed annually, 20 ACH); Boost $55 ($44, 50 ACH); Unlimited $80 ($64). Extra user $10 a month ($8 annually).

Zoho Books: accounting and bill pay in one place

No sync to break

Why move to Zoho Books. Half the frustration with BILL comes from the link to your accounting software: manual CSV on Essentials, sync errors on higher plans. Zoho Books is the accounting software, and its BillPay add-on pays vendors from inside it. No sync to break, because there's nothing to sync.

Who it's for. Small and mid-sized businesses ready to move their books, or already on Zoho.

Who it's not for. A company that's happy with QuickBooks or Xero and only wants to replace the bill pay layer. Changing your general ledger is a bigger project than changing AP tools.

Its limit. BillPay is an add-on with 100 ACH vendor payments included. Plan prices are per organization, so a group with several entities pays for each one.

How to migrate. Move the books first with your accountant, then turn on BillPay, import vendors, and set up purchase approvals and two- or three-way matching.

What it costs. Free $0; Standard $15 a month billed annually ($20 monthly); Professional $40 ($50); Premium $60 ($70), per organization. BillPay add-on $59 a month billed annually, $69 monthly.

Tipalti: for global vendor payments

International vendors

Why move to Tipalti. BILL makes foreign-currency payments free but charges $19.99 for an international wire in USD, and its strength stays US-centric. Tipalti is built for paying vendors in many countries, with a supplier portal where vendors enter their own payment and tax details. Users are unlimited, so headcount stops driving the bill.

Who it's for. Mid-market companies with many international suppliers, contractors or marketplaces to pay.

Who it's not for. A small business paying a handful of local vendors: there's no free plan, and the per-invoice fees add up.

Its limit. The $99 a month entry price covers the platform; invoice and payment fees come on top, and the pricing page doesn't list them. Get a quote before you compare with BILL.

How to migrate. Invite vendors to the supplier portal so they re-enter their own bank details. That solves the question of whether BILL's export includes them. Then rebuild approval rules and run a month in parallel.

What it costs. AP from $99 a month, unlimited users, plus per-invoice and per-payment fees. No free plan.

Payhawk: for your European entity

Europe

Why move to Payhawk. BILL only serves US businesses. If your company has a subsidiary in France, Spain or the UK, it can't join your BILL account. Payhawk puts cards, expenses and supplier invoices in one tool for that entity, and its Growth program gives young companies registered in the EEA or the UK a fixed monthly price.

Who it's for. The European subsidiary of a US company, and young EEA or UK companies under 20 employees.

Who it's not for. Your US entity: the Growth program requires a company registered in the EEA or the UK, and other setups are on quote. For the US side, look at Ramp or Melio. And a team reviewing more than 15 invoices and reimbursements a month won't fit the Growth program.

Its limit. Growth covers one entity registered in the EEA or the UK, 8 users and 2 admins, 15 invoices and 15 reimbursements a month, and can be used for two years at most. Larger setups are on quote.

How to migrate. Use the 7-day trial to run one full cycle: bill received, approved, paid and synced. Keep your US entity on its own tool and consolidate in your books.

What it costs. Growth program €149 a month (£149 in the UK) for companies under 20 employees. You can add up to 10 more employee users for €99 a month.

Bill.com and 5 alternatives side by side

Our default pick: Ramp for a team with many approvers, Melio for a small business. To give you a sense of scale, take three people who enter and approve bills. BILL Team costs $195 a month before payment fees; Melio Core with two extra users costs $45 a month on monthly billing; Ramp Free costs $0. Ten users on BILL Corporate is $890 a month. One row per tool: on the left who it fits, on the right the entry price and its limit.

Exit plan

Switch from Bill.com in six steps

Order matters. Each step protects something: a vendor from being paid twice, a bill from being lost, your books from a gap.

01

List everything still running

Week 1

Write down scheduled payments, auto-pay rules, bills waiting for approval, and the approval policy of each team. These are what fire twice if you forget them.

Settle what you can, cancel the rest, and keep a list with each vendor's next payment date. That's your checklist for cutover day.

Time
half a day
Risk if rushed
double payment
02

Export your data from BILL

Week 1

BILL exports lists (vendors, customers, accounts, items) and transactions (bills, payments) as CSV. The Bill Payments report exports to CSV too, and past exports show up under Settings. For large volumes, there's an export API.

Download bill PDFs as well. For vendor bank details, check what your export actually contains, and plan to re-collect them if they're missing.

Format

Check

03

Keep your accounting as the source of truth

Week 2

If BILL synced with QuickBooks or Xero, your bill and payment history is already there. That's what your accountant relies on, not the BILL export. Reconcile the last payments before you cut over.

On Essentials, sync was manual: make sure the last CSV was imported, or you'll have missing entries.

04

Set up the new tool and run a month in parallel

Weeks 2 to 6

Import vendors, rebuild approval rules (who approves, above which amount), connect accounting. Route new bills through the new tool for a month while BILL finishes the payments already scheduled.

Turn off BILL auto-pay before the first payment goes out from the new tool. That's the most common duplicate.

05

Tell your vendors

Week 4

Send a short note: where to send invoices now, how they'll be paid, and from which account if that changes. A vendor who gets a payment from an unknown account may hold it or chase you for nothing.

If you move to a tool with a supplier portal, include the invite link in the same email.

Cancel, and keep the exports

After the parallel month

Cancellation is done by an account admin, and any balance due has to be settled. BILL doesn't publish a page that spells out the steps, so ask support for written confirmation that the account is closed and what happens to your data afterwards.

Store the exports and PDFs with your books. You'll need them at the next audit or tax filing.

The pitfalls

What makes a Bill.com switch go wrong

The same mistakes come up in the stories of teams that left. None of them is technical. They're oversights, and each one costs more than the hour it would have taken to avoid it.

Leaving auto-pay on

A bill paid twice, once by BILL and once by the new tool, means chasing a refund from the vendor, sometimes for weeks. Turn auto-pay off before the first payment goes out elsewhere.

Comparing subscriptions without the fees

BILL charges per user and per payment; Melio charges per plan with ACH caps; Tipalti charges a platform fee plus per-invoice fees. Run the numbers on a real month: people, bills, share of foreign payments.

Forgetting the approvers

The people who only approve bills are the ones who notice the switch last. Show them the new approval flow before the first bill lands, or bills sit unapproved and vendors get paid late.

Cancelling before the parallel month ends

Keep BILL open until the last scheduled payment clears and your books reconcile. A closed account means exports you can no longer pull.

  • Scheduled payments and auto-pay listed, then turned off
  • CSV exports of vendors, bills and payments, plus bill PDFs
  • Vendor bank details checked
  • Last payments reconciled in your books
  • Approval rules rebuilt in the new tool
  • One month in parallel, one tool paying each bill
  • Vendors told (payment method, paying account, invoice address)
  • Written confirmation that the BILL account is closed
FAQ · 9 questions

Bill.com alternatives: frequently asked questions

  • What is the best free alternative to Bill.com?

Ramp Free is $0 per user and includes OCR, approvals and ACH, card, check or wire payments. Melio Go is $0 for one user with 5 free ACH payments a month. Zoho Books has a free plan, but bill pay needs the paid BillPay add-on.

  • Ramp or Melio?

Ramp if you have several approvers and want cards and expenses in the same tool. Melio if you're a small business that mostly pays bills by ACH or check and wants a flat plan with a 90-day trial. Our accounts payable ranking scores both at 4.4 and 4.2.

  • How much does Bill.com cost?

$49, $65 or $89 per user per month (Essentials, Team, Corporate), Enterprise on quote, with no annual price listed. Payment fees come on top: $0.59 per ACH, $1.99 per check. BILL says a free trial is available in most cases, without saying how long.

  • Is BILL Spend & Expense free?

Yes, the Spend & Expense product is $0 per user per month, with credit lines from $1,000 to $5M subject to approval. Users report the credit line can require a personal guarantee, so read the terms before you count on it.

  • Why does QuickBooks sync need BILL Team?

Because Essentials only offers manual sync by CSV. Automatic two-way sync with QuickBooks Online and Xero starts on Team at $65 per user. If sync is your main reason to pay for Team, price the alternative of moving your books and bill pay into one tool, like Zoho Books.

  • Can a company outside the US use Bill.com?

No. BILL says it's only for businesses in the United States. A European subsidiary needs its own tool, such as Payhawk, whose Growth program serves companies registered in the EEA or the UK.

  • How do I export my data from Bill.com?

From lists and reports, as CSV: vendors, customers, bills, payments. Past exports are under Settings, and an export API exists for large volumes. Download bill PDFs too, and check whether vendor bank details are in the export.

  • What about Stampli, AvidXchange or Expensify?

They come up in most lists of Bill.com alternatives. We left them without a profile on this page because we didn't read a public price for them that we could put next to BILL's. If one of them is on your shortlist, ask for a quote on your real bill volume and compare it with the monthly costs above.

  • Should I switch my accounting software too?

Only if the sync is the problem. Moving to Zoho Books removes it, but changing your ledger is a project for your accountant. If you're also unhappy with your books, read our guides to switching from QuickBooks and switching from Xero first.
