Holded alternatives: where to go and how to switch without losing an invoice

Holded alternatives for companies in Spain: six reasons people leave, six tools to move to, and a nine-step migration plan.

The short answer: if you run a business in Spain and want English, multi-currency and a free start, go with Zoho Books. If you are a Spanish autónomo (self-employed) who just needs invoices and quarterly taxes, Quipu is the easiest switch. If you used Holded's CRM, inventory or projects, Odoo keeps everything in one place. Anfix is the cheapest paid plan, TS Facturas the cheapest with TicketBAI (the Basque Country's own invoicing system) on its entry plan, Contasimple has a free-forever tier, and Sage Active suits a company whose accountant already uses Sage. One thing most lists get wrong: Xero still has no native Verifactu, Spain's invoicing compliance system (software that records each invoice and can send it to the tax agency), mandatory for companies in early 2027. Don't leave Holded for a tool that can't invoice legally in Spain. We compared these six destinations and their prices in 2026.

The real reasons

Why people leave Holded, and why it's tricky

Holded is a Spanish all-in-one business tool (invoicing, accounting, inventory, CRM), owned by Norway's Visma group since 2021. It works in English and Spanish and includes Verifactu on every plan, which is why many expats pick it in the first place. People don't leave because of the interface. They leave over pricing, support and changes since 2025. Here are the six reasons that come up most in user reviews in 2025 and 2026.

Support that goes quiet

This is the top complaint. Most recent one- and two-star reviews are about support. One user writes: "do not expect customer support to step in, radio silence". Another: "they reply after a week, if they even reply at all". Priority phone and email support is limited to the Avanzado (€99 a month) and Premium (€199 a month) plans.

The useful feature is always one tier up

As one reviewer puts it: "Any features that look like they would save you any time are always on the next paid tier up." Payment reminders and sending invoices from your own domain (SMTP) are missing on the entry plans, and Spanish users report invoices landing in spam. Full accounting with automatic journal entries and SII (Spain's real-time VAT ledger reporting) starts on Estándar, at €59 a month.

Price hikes and no more free plan

One long-time customer says Holded would "change pricing over 100% and remove basic functions". In 2024 there was still a free plan capped at 30 invoices a year. Today there's no permanent free plan, only a 14-day trial without a card, and the cheapest plan, Plus, costs €15 a month before VAT.

Yearly invoice and user caps

Each plan caps invoices per year: 250 (Plus), 1,000 (Básico), 3,000 (Estándar), 10,000 (Avanzado), counted by calendar year. Users are capped too: 2 on Básico, 4 on Estándar, 7 on Avanzado, plus your accountant. Two extra users cost €20 a month. One reviewer says going over the user limit locked most features until they upgraded.

Slower since the 2025 changes

Several Spanish reviews describe a slower app since changes made in 2025: searching a product by SKU takes 6 to 15 seconds, and users report records that fail to save. One calls it a constant headache since the changes. If you invoice at a counter, those seconds add up every day.

Cross-border gaps

For a business that sells outside Spain, users report EU VAT and Intrastat handled poorly, an unannounced Shopify connection outage, and expenses in dollars that are hard to reconcile with a euro bank account. One invoice was even rejected by Verifactu with "Error 4124". If you sell abroad, these gaps cost more than the subscription.

The 6 alternatives

Holded alternatives, tool by tool

For each tool: why switch to it, who it's for, its limit, how to migrate from Holded, and what it costs. Prices exclude VAT and are the ones each vendor publishes in 2026. We left out Xero (no native Verifactu, and the request is still open on its own ideas portal) and the generic US lists of QuickBooks and FreshBooks, which can't issue compliant invoices in Spain.

01

Zoho Books: English, multi-currency and free to start

Best for expats

Why switch to Zoho Books. Its free plan is the most generous here: up to 1,000 invoices a year, one user plus your accountant, as long as revenue stays under $50,000. It handles several currencies, which is exactly what Holded users selling abroad struggle to reconcile. It connects to the rest of Zoho, which we cover in our Zoho review.

Who it's for. Small companies in Spain with foreign clients, and teams already on Zoho CRM.

Who it's not for. Anyone who wants Spanish compliance built in with zero extra setup.

Its limit. In Spain, Verifactu runs through B2Brouter, a partner with a separate account (the first 50 transactions are free). Paid plans are billed per organization: check the euro price on the pricing page before you commit.

How to migrate. Import customers, items and invoices by CSV, or use the API for large volumes.

02

Quipu: the easiest switch for the self-employed

Easiest

Why switch to Quipu. Quipu does less than Holded, and that's the point. Invoices, expenses, quarterly tax forms: it focuses on what an autónomo or small company needs every month. It states it is adapted to Verifactu.

Who it's for. Freelancers and small companies in Spain that mostly used Holded to invoice and prepare quarterly filings.

Who it's not for. A business that ran inventory, projects or time tracking in Holded.

Its limit. We found no written confirmation that Quipu supports TicketBAI. If you invoice from the Basque Country, ask before you sign up.

How to migrate. Quipu imports contacts and past quarters from its own Excel template, free of charge. Paste your Holded columns into that template without renaming or moving any column.

03

Odoo: keep everything Holded did

Most complete

Why switch to Odoo. What you lose when leaving Holded is usually the CRM, inventory, projects and time tracking. Pure invoicing tools don't replace them. Odoo does: it's a modular suite with invoicing, accounting, inventory, CRM and projects, and one app is free with unlimited users.

Who it's for. SMBs that used several Holded modules and want one system.

Who it's not for. A freelancer sending ten invoices a month: the setup is overkill. If you mainly want a CRM that invoices, read our Sellsy review.

Its limit. Pricing is per user, $24.90 a month billed yearly on the Standard plan. Verifactu comes through the Spanish localization and often an implementation partner: get that setup cost in writing.

How to migrate. Odoo imports everything by CSV. The trick: add an "External ID" column holding each row's Holded ID. If an import fails halfway, you rerun it without creating duplicates.

TS Facturas: the cheapest with TicketBAI from day one

TicketBAI included

Why switch to TS Facturas. It's the former Billin, now owned by TeamSystem. From the Básico plan it includes unlimited Verifactu, Facturae (the public-sector e-invoice format) and TicketBAI invoices (the Basque Country's own invoicing system). No other tool here states that so clearly on its entry plan.

Who it's for. Freelancers and micro-businesses in Spain, including the Basque Country, who just need compliant invoices for little money.

Who it's not for. A company with more than 50 active clients or a need for full accounting.

Its limit. Básico is tiny: 0 to 5 clients, 1 user, 10 products. Pro goes up to 50 clients and 3 users. The API is still in beta. The interface is in Spanish.

How to migrate. With so few clients, typing them in is often faster than importing. There's a 30-day trial.

Pro

05

Contasimple: free if you barely invoice

Free tier

Why switch to Contasimple. It has a free-forever plan, which Holded no longer offers, and it says it is "Verifactu Ready" even on that plan. It also has dedicated pages for TicketBAI and NaTicket, Navarre's own invoicing system.

Who it's for. Someone who sends very few invoices a year, or who is just starting out.

Who it's not for. Any business with real volume: the free plan runs out fast.

Its limit. Free means 12 documents a year, 1 user and 5 products. The Profesional plan costs €10.95 a month billed yearly (€12.95 quarterly) for 500 documents a year. Which plan includes TicketBAI isn't clear on the pricing page: confirm first.

How to migrate. Contasimple gives you 30 days of its Ultimate plan, enough to run the import with everything switched on.

Sage Active: when your accountant already uses Sage

Established vendor

Why switch to Sage Active. Many Spanish accounting firms (gestorías) already work with Sage. Sage Active is its cloud product for small businesses, presented as adapted to Verifactu. If your accountant knows the tool, closing the books takes fewer hours.

Who it's for. Small companies in mainland Spain that want an established vendor.

Who it's not for. Businesses in the Basque Country, Navarre, the Canary Islands, Ceuta or Melilla: Sage Active isn't sold there. Almost no comparison mentions it.

Its limit. We also couldn't read its price on an official pricing page: ask for it in writing before you compare.

How to migrate. Prepare your Holded exports (contacts, products, general journal) and let your accountant handle the load if they work with Sage.

The 6 alternatives side by side

Our default pick: Zoho Books for an English-speaking company with foreign clients, Quipu for a freelancer, Odoo if you don't want to give up Holded's extra modules. For reference, Holded Estándar, the plan with full accounting, costs €59 a month, or €708 a year before VAT. One row per tool: entry price on the left, compliance and migration path on the right.

Migration plan

Migrate from Holded in nine steps

Order matters. Each step protects something: your data, your invoice numbering, your quarterly filings, your compliance. Keep Holded open until the last one.

01

Pick the switch date

First

Switch at the start of a quarter, after filing the previous quarter's VAT return (form 303, Spain's quarterly VAT return). That way no return is split across two tools.

Second tip: Holded's invoice caps reset each calendar year. Leaving at year end saves you from paying for a higher tier over a few December invoices.

Best
start of a quarter or year
02

List what you really use in Holded

Day 1

Write down every active module: sales, expenses, accounting, banks, inventory, CRM, projects, time tracking, payroll. Add every connection: online store, bank (if you're changing banks too, see our Qonto vs Shine comparison), Zapier. Next to each, note what replaces it.

Pure invoicing tools don't cover inventory, CRM or time tracking. Better to find out now.

Time
about an hour
Risk
a forgotten module
03

Export each section, one by one

Data

Holded has no "export everything" button. Export from each section (Contactos, Ventas, Gastos, Productos, Contabilidad) to Excel, CSV or Google Sheets. Send invoice PDFs to Google Drive too: that's a manual step.

For the general journal (libro diario), export with no filter at all: Holded then downloads the complete journal.

Formats
Excel, CSV, Google Sheets
Trap
a filter left on the journal
04

Big history? Use the API

Tip

Holded's API (the way another program reads your data) covers invoices, credit notes, quotes, contacts, products, stock and payments. But it has a daily cap: 70 requests on Básico, 250 on Estándar, 1,000 on Avanzado.

On Básico, pulling thousands of documents takes days. Start early, or upgrade for one month to get everything out.

Básico
70 requests/day
Avanzado
1,000 requests/day
05

Archive and check the files

Legal

Spain requires you to keep invoices for four years. Store your exports and PDFs in a dated folder, then open a few files at random to make sure they read correctly.

Retention
4 years
06

Import without touching the columns

Switch day

Use the new tool's import template and paste your data into it. Don't rename or reorder any column: that's the number one cause of failed imports, in Holded, Quipu and Odoo alike. In Odoo, add the External ID column so you can rerun without duplicates.

Order
contacts, products, then entries
07

Keep invoice numbering continuous

Legal

Spanish invoice numbers must be sequential. Two options: enter Holded's last issued number as the new tool's starting point, or open a new series dated from the switch (for example "2027-B"). Set it before the first invoice, never after.

Risk
gaps or duplicates in the series
08

Get the compliance statement in writing

Tax

Spain's tax agency publishes no list of approved Verifactu software: each vendor signs a self-declaration (declaración responsable). Ask the new tool for it. In the Basque Country or Navarre, ask for proof of TicketBAI or NaTicket instead, since the regional system applies there.

Mainland Spain
Verifactu
Basque Country, Navarre
TicketBAI, NaTicket
09

Cancel Holded last

End

Keep Holded running until your first tax filing from the new tool is in. Then cancel, and check next month's bank statement: some users found charges after a plan change.

Migration pitfalls

What makes a Holded migration fail

The same mistakes show up in reviews and in vendors' import guides. None is truly technical: they're oversights, and each costs more than the time it would have taken to avoid it.

Trusting the word "adapted"

"Verifactu adapted" on a homepage proves nothing. The vendor's signed self-declaration is what counts. Ask for it before you pay.

Moving to a tool that can't invoice in Spain

Many English lists still recommend Xero, QuickBooks or FreshBooks. None issues Verifactu invoices natively. Expats leaving Holded are the most exposed to this one.

Exporting the journal with a filter

One forgotten date filter and you leave with incomplete books. Export with no filter, then check total debits and credits in the new tool.

Importing the same entries twice

Holded itself warns about duplicates when importing the journal. Odoo's External ID column prevents them; elsewhere, import a small test batch first.

Starting the API export too late

At 70 requests a day on Básico, a large history won't come out over a weekend. Start several weeks before the switch.

Losing what Holded did on the side

Inventory, CRM, projects, time tracking: a pure invoicing tool won't bring them back. List them during the inventory step and choose Odoo or Zoho if you need them.

  • Switch date set at the start of a quarter, after form 303
  • Inventory of Holded modules and connections
  • Every section exported to Excel or CSV
  • General journal exported with no filter
  • Invoice PDFs sent to Google Drive
  • API export started early for a large history
  • Last invoice number carried over or new series opened
  • Written Verifactu self-declaration (or TicketBAI proof)
  • First tax filing done from the new tool
  • Holded canceled and bank statement checked
FAQ · 7 questions

Holded alternatives: frequently asked questions

  • What is the cheapest alternative to Holded?

Anfix, at €4.99 a month billed yearly (€5.99 monthly), capped at 60 invoices a year. With TicketBAI included, TS Facturas costs €8 a month (€6.60 yearly) but allows only 5 clients. If you invoice little, Contasimple is free up to 12 documents a year and Zoho Books up to 1,000 invoices. Holded starts at €15 a month.

  • Is Xero a good Holded alternative in Spain?

Not for invoicing in Spain. Xero has no native Verifactu, and the feature request is still open on its ideas portal. Ironically, expats on Xero are moving to Holded for exactly that reason. If you leave Holded, pick a tool that already supports Verifactu.

  • Does Holded still have a free plan?

No. There's no permanent free plan, only a 14-day trial without a card. The first three months of any paid plan are half price, so Plus starts at €7.50 a month. Note when the discount ends.

  • Can I export my data from Holded?

Yes, section by section, to Excel, CSV or Google Sheets, plus invoice PDFs to Google Drive. There's no one-click full export. For large volumes, the API covers invoices, contacts, products and stock, with a daily request cap based on your plan.

  • When does Verifactu become mandatory?

Early 2027 for companies and mid-2027 for the self-employed, after the latest delay. It doesn't apply in the Basque Country or Navarre, which use TicketBAI and NaTicket, or to companies already on the SII reporting system.

  • What happens if I go over my Holded invoice limit?

Holded notifies you and offers an upgrade; your data isn't lost. The counter resets every calendar year. If you're close to the cap late in the year, switching tools in January can save you the next tier.

  • Which tool should I pick if I use Holded's CRM and inventory?

Odoo, which combines invoicing, accounting, inventory, CRM and projects. The other option is Zoho Books with Zoho CRM. To compare CRMs that also invoice, see our CRM invoicing comparison.
