Smartlead alternatives: where to go and how to switch cleanly
Seven destinations, one per reason for leaving, and an eight-step exit plan.
The short answer: Instantly if you want the closest match with an easier setup and unlimited inboxes and warmup; Saleshandy if you like the unlimited-inbox model but want a different vendor and more emails in the mid tier; lemlist if you want LinkedIn steps inside the same sequence; La Growth Machine if LinkedIn is your main channel; Emelia if you are tired of counting emails; Apollo if what you really lack is a contact database. One thing to know before you pick: your domains and their reputation move with you, but warmup history does not. Plan at least two weeks between opening the new account and your first real campaign. We compared all seven destinations and checked their pricing in 2026.
Some links are affiliate links. The ranking is editorial: a sponsored spot is always labeled on its card, and no affiliate link changes a score.
Why teams leave Smartlead, and why some stay
Smartlead earns its fans. Every plan comes with unlimited sending inboxes, the price per email gets low at volume, and some users rate its warmup above Instantly's. Agencies especially like it. So why are Smartlead reviews so split? On B2B software review sites it sits around 4.5 out of 5. On a large consumer review site it sits around 2.8, with half the reviews at one star. The complaints are remarkably consistent, and they come down to six things.
Support that is slow when it matters
The most common complaint: slow or canned replies, especially on lower plans. The problem is timing. A stalled campaign on a Monday morning means a week of meetings you will not book. If you send on behalf of clients, waiting three days for a human answer is not an option.
Inboxes that drop mid-campaign
In cold email communities, users describe inboxes disconnecting on their own, campaigns that never fire, and warmup that pauses without warning. Smartlead's own help center confirms the stakes: a disconnected inbox stops every send in that campaign until you reconnect it under Settings, then Email Accounts. With 40 inboxes, one drop can go unnoticed for two days.
Contact caps that push you up a tier
Inboxes are unlimited, contacts are not. Base ($39 a month) holds 2,000 contacts and 6,000 emails a month. Pro ($94) goes to 30,000 contacts and 90,000 emails. Past that you need Unlimited Smart at $174 a month (150,000 emails) or you start deleting contacts. A team loading 3,000 new prospects a month outgrows Base in month two.
A bill bigger than the pricing page
Prices are in US dollars, before tax. Several users also point to paid add-ons that inflate the total: advanced deliverability tools, client workspaces, and premium warmup depending on the plan. Before comparing alternatives, pull your last invoice instead of the pricing grid. That is the number to beat.
No LinkedIn, no built-in database
Smartlead does email and only email. For LinkedIn you bolt on another tool such as HeyReach or Waalaxy. It also does not include a prospect database in its standard plans, so you buy lists elsewhere and import them. That is two or three subscriptions for one outbound motion.
Cancellation and billing worries
The harshest reviews are about canceling and about charges after cancellation. A Custom plan can only be canceled through support, by chat or email. And one official detail changes how you exit: after cancellation, Smartlead keeps your data for two weeks, then deletes it automatically, with no extension. Export before you click cancel, not after.
You're leaving because… go with…

Smartlead alternatives, tool by tool
For each tool: why switch to it, who it fits, where it falls short, how to move from Smartlead, and what it costs. Prices come from official pricing pages in 2026, before tax, in the vendor's currency. For tools with a full Labs review, the score and prices match that review.
The tools
Instantly: the closest match, with less friction
Closest matchWhy switch to Instantly. It is the tool closest to Smartlead: unlimited inboxes and warmup, inbox rotation, a unified inbox. In cold email communities, the Smartlead vs Instantly call is described as close. Instantly wins on setup speed and on billing that covers the whole workspace rather than each user.
Who it fits. Freelancers, startups and sales teams doing email-only outbound who want something they can configure in an hour.
Who should skip it. An agency running twenty clients in separate workspaces, or anyone who wants LinkedIn in the same tool.
Where it falls short. Growth ($37.60 a month billed yearly, $47 monthly) stops at 5,000 emails a month and 1,000 uploaded contacts in total. To send more you need the next tier up, Hypergrowth. Lead data is billed separately, in credits.
How to switch. Instantly lists a Smartlead sync in its integrations marketplace. It moves contacts, not warmup history. Reconnect your inboxes, start warmup on each one, and upload your unsubscribe list as a blocklist before launching anything. Our full Instantly review breaks down every plan.

Saleshandy: same model, more emails in the mid tier
Unlimited inboxesWhy switch to Saleshandy. Saleshandy keeps what people like about Smartlead, unlimited sending inboxes with no per-inbox fee, on a grid that looks almost identical. Is it a cheaper alternative to Smartlead? Not at the entry tier. Starter is $34 a month billed yearly ($408 a year) or $41 monthly for 2,000 active prospects and 6,000 emails, the same volume as Smartlead Base at $32 yearly or $39 monthly. The gain shows up in the middle: Pro gives 100,000 emails a month for $76 billed yearly, against 90,000 for $78 on Smartlead Pro.
Who it fits. Teams sending around 100,000 emails a month who want off Smartlead without changing how they work.
Who should skip it. Anyone who needs LinkedIn, or a team that only pays monthly: Pro is $99 monthly, more than Smartlead Pro's $94.
Where it falls short. Scale costs $149 billed yearly ($189 monthly) for 200,000 emails and unlimited prospects under fair use. There is no free plan, and the trial lasts only 7 days.
How to switch. Start from each campaign's CSV export in Smartlead. Upload unsubscribes and bounces as a blocklist first, then your active prospects. Seven days is short, so prepare your files and sequences before you open the trial.
- Price
- Starter $34/mo billed yearly
- Volume
- 2,000 prospects, 6,000 emails/mo
- Trial
- 7 days, no free plan
- Catch
- email only
lemlist: email and LinkedIn in one sequence
MultichannelWhy switch to lemlist. Does Smartlead do LinkedIn? Not natively, so LinkedIn means a second tool. lemlist is the one major outbound platform that runs email and LinkedIn steps in the same sequence: a profile visit, a connection request, then an email if they do not accept. One sequence, one dashboard.
Who it fits. B2B sales teams whose prospects answer on LinkedIn more than in their inbox, and who write highly personalized messages.
Who should skip it. An agency pushing high volume across dozens of inboxes: the pricing model is not built for that.
Where it falls short. The Email plan is $55 a month for the whole team billed yearly ($69 monthly, $62 quarterly), and the 100,000-email tier is $71 billed yearly ($89 monthly). LinkedIn needs the Multichannel plan, which is priced per user, so a five-rep team pays on a different scale.
How to switch. Import prospects by CSV and rebuild each sequence by hand, adding LinkedIn steps as you go. Use the 14-day trial to run a pilot sequence on 100 prospects before moving everything. Our lemlist review covers credits and add-ons.
- Our score
- 4.1/5
- Price
- Email $55/mo per team, billed yearly
- Multichannel plan, per user
- Catch
- pricey for LinkedIn teams
La Growth Machine: LinkedIn first, email as backup
LinkedIn firstWhy switch to La Growth Machine. It runs LinkedIn and email in the same sequence and prices per identity, meaning one LinkedIn account plus its sending inboxes. The vendor is based in France and bills in euros, before tax.
Who it fits. Reps and business owners who prospect mainly on LinkedIn and use email as the follow-up channel.
Who should skip it. High-volume email senders: Basic includes one inbox per identity and three active campaigns.
Where it falls short. Basic is €60 a month, or €50 a month billed yearly, per identity. Pro is €120 (€100 yearly), Ultimate €180 (€150 yearly). Three reps on Pro run €300 a month billed yearly, well above an email-only tool.
How to switch. Connect your LinkedIn account and inbox first, then import prospects by CSV. Rebuild sequences with LinkedIn up front and email as the follow-up. The 14-day trial needs no card, which is enough to validate one full campaign.
- Price
- Basic €50/mo billed yearly, per identity
- Currency
- euros, before tax
- Trial
- 14 days, no card
- Catch
- 1 inbox, 3 campaigns on Basic
Emelia: unlimited emails and LinkedIn from the entry plan
Unlimited emailsWhy switch to Emelia. On Smartlead you count contacts and emails. Emelia does not cap emails, and its entry plan includes one LinkedIn account. For a small team that wants to try email plus LinkedIn without two subscriptions, it is the simplest starting point.
Who it fits. Freelancers and small teams that send steadily and want some LinkedIn reach.
Who should skip it. An agency that needs dozens of inboxes from day one: that means the Grow plan.
Where it falls short. Start is $37 a month ($31 billed yearly, $370 a year) for up to 3 inboxes and one LinkedIn account. Grow is $97 ($81 yearly) for 50 inboxes, Scale $297 ($248 yearly) for unlimited inboxes. Check the currency at checkout: the vendor's French content quotes the same amounts in euros.
How to switch. The free trial lasts 7 days with no card. Upload your blocklist and a pilot campaign on day one, and keep Smartlead running while the new inboxes warm up.
- Price
- Start $37/mo, $31 billed yearly
- Emails
- unlimited
- Trial
- 7 days, no card
- Catch
- 3 inboxes on Start
Apollo: when what you lack is prospects
Contact databaseWhy switch to Apollo. Smartlead sends, but it does not find people: you buy lists elsewhere. Apollo bundles a contact database, enrichment and email sequences. For a team paying for Smartlead plus a data vendor, that is one subscription fewer.
Who it fits. Sales teams that build their own lists and send moderate volumes.
Who should skip it. An agency sending tens of thousands of emails a month across many inboxes: that is not what Apollo is built for.
Where it falls short. The free plan, with no card, gives 75 credits a month, 2 sequences and one mailbox at 250 emails a day. Basic is $49 per seat per month billed yearly ($65 monthly), Professional $79 ($99 monthly). Every seat is paid, and unused credits expire at the end of the cycle.
How to switch. Import your Smartlead prospects by CSV so you do not contact them again, then build new lists in Apollo. Plenty of teams keep Apollo for data and a dedicated sender next to it, and that is a valid setup. Our Apollo.io review translates credits into real contacts.
- Our score
- 4.1/5
- Free plan
- yes, no card, 75 credits/mo

- Basic $49/seat/mo billed yearly

Waalaxy: the LinkedIn add-on if you keep an email tool
LinkedIn add-onWhy look at Waalaxy. It is not a direct Smartlead replacement. It is a LinkedIn-first tool, and it earns a spot here because the missing LinkedIn channel is a top reason people leave Smartlead. If you move to Instantly or Saleshandy, Waalaxy adds LinkedIn invitations and messages that run in the cloud with your laptop closed.
Who it fits. Reps whose first channel is LinkedIn and who want ready-made campaign templates.
Who should skip it. A team that wants one email-centric tool to replace Smartlead: cold email is on the Business plan only.
Where it falls short. The €19 a month entry price only exists billed yearly, upfront. Month to month, Business costs €139. Run the math on how long you will really use it.
How to switch. Nothing to migrate: Waalaxy sits next to your email tool. Import the list of prospects Smartlead already contacted so nobody gets chased twice. Our Waalaxy review details the quotas.

- 3.8/5
- Price
- from €19/mo billed yearly

- Catch
- email on Business only
All 7 alternatives side by side
Our default picks: Instantly to keep the same playbook with less friction, Saleshandy for more emails in the mid tier, lemlist or La Growth Machine to add LinkedIn. Here is the part most lists skip: at the entry tier, Smartlead is still one of the cheapest options. For a freelancer sending 6,000 emails a month to 2,000 prospects, Smartlead Base is $39 a month ($32 billed yearly, which saves 17%), Saleshandy Starter $41 ($34 yearly), and Instantly Growth $47 ($37.60 yearly) with a 5,000-email cap. People rarely leave Smartlead over the sticker price. They leave over support, stability, LinkedIn or data. The table gives one row per tool: channel and strength on the left, entry price and migration path on the right.
| Channel and strength | Entry price and migration | |
|---|---|---|
| SmartleadWhere you start | Email only, unlimited inboxes, 2,000 contacts on Base | Base $39/mo ($32 yearly); Pro $94 ($78 yearly) |
| InstantlyClosest match | Email, unlimited inboxes and warmup | Growth $47/mo ($37.60 yearly); Smartlead sync for contacts only |

How to leave Smartlead, step by step
Most guides on this topic cover migration in a single line. Here is the order that protects your data and your sender reputation. The rule that drives everything else: cancel Smartlead last, because your data is deleted two weeks after cancellation.
The steps
Inventory everything that is running
Day 1List your active campaigns, their sequences (every email and every delay), your sending inboxes and their domains, your integrations (CRM, HubSpot, webhooks) and, for agencies, each client workspace. One spreadsheet, one row per item, with its equivalent in the new tool.
That sheet does two jobs: nothing gets forgotten, and you decide which campaigns finish inside Smartlead.
- Time
- one hour to half a day
- Risk if rushed
- a forgotten integration
Export the leads from every campaign
Day 1In each campaign: Campaign, then Lead list, then Filter, then Download as CSV. The filter lets you pull leads by status and category. Make one file per campaign, named with the campaign and the year.
Tip: also export one file with every lead you have already contacted. That file is what stops you from emailing someone who got three messages last month.
- Path
- Campaign > Lead list > Download as CSV
- Keep
- one file per campaign
Export activity: unsubscribes, bounces, replies
Day 1The export people forget: Campaign, then Inbox, then Filter, then Download as CSV. You can filter by opened, clicked, replied, unsubscribed and bounced. The file includes the email sent, timestamps, the reply text and the unsubscribe flag.
Unsubscribes and bounces become your blocklist in the new tool. Published migration tutorials barely mention this, yet it is the step that protects your reputation and keeps you compliant.
- Path
- Campaign > Inbox > Download as CSV
- Pull out
- unsubscribes and bounces
Keep your domains and reconnect your inboxes
Day 2Sender reputation lives with your domains and inboxes, not with the tool. Do not buy anything new. Your SPF, DKIM and DMARC records (the DNS settings that prove you are allowed to send from that domain) stay in place. Reconnect each inbox in the new tool and confirm authentication passes.
Careful: in Smartlead, a disconnected inbox stops every send in its campaign. Do not remove it while a campaign still relies on it.
- Keep
- domains, inboxes, DNS
- Trap
- removed inbox = stopped campaign
Restart warmup for at least two weeks
Days 2 to 16Warmup sends and receives automated conversations so mailbox providers get used to your inboxes. Its history does not export: in the new tool it starts from zero. Run it on every inbox for at least two weeks before your first real campaign.
Meanwhile, let running campaigns finish in Smartlead. Both tools run in parallel for a while, and that is the point.
- Minimum
- 2 weeks
- History
- does not export
Rebuild sequences, and improve them
Week 2No tool imports Smartlead sequences automatically. You copy them step by step: subject, body, delay, A/B variants, personalization variables. Check that each variable matches a column name in your CSV, or emails go out with a blank field.
Use the rebuild to cut steps that never got replies. Your activity export tells you which ones.
- Auto import
- none
- Check
- variable names
Upload the blocklist, then verified leads
Week 2Upload unsubscribes and bounces as a blocklist before any lead. Then decide who to contact again: the new tool has no idea who already heard from you in Smartlead. Drop anyone who recently got the full sequence.
Verify addresses before sending. Neither Smartlead nor Instantly verifies by default, and a high bounce rate in week one damages inboxes that are still fragile.
- Order
- blocklist first
- Before sending
- verify addresses
Start small, then cancel Smartlead cleanly
Week 3Launch a pilot campaign of 100 to 200 leads, watch bounces and replies for a few days, then ramp up. When the last Smartlead campaign is done, run one final full export, then cancel.
A Custom plan is canceled through support (chat or email). Keep a written record of the request and check the next month's charge, since post-cancellation billing is a frequent complaint. Your data is deleted two weeks after cancellation.
- Pilot
- 100 to 200 leads
- After cancel
- data kept 2 weeks

What makes a Smartlead migration go wrong
The same mistakes show up from one team to the next. None of them is technical. They are oversights, and each one costs more than the time it would have taken to avoid it.
Canceling before exporting
Smartlead deletes your data two weeks after cancellation, and the window cannot be extended. Without an export, you lose the record of who was contacted, who replied and who opted out. Export, check that the files open, then cancel.
Emailing people who opted out
Skipping the blocklist means writing to people who asked you to stop. That brings spam complaints, a damaged domain and a CAN-SPAM problem. Upload the blocklist first, before any lead file.
Sending before warmup
Reconnected inboxes with no warmup, launched at 50 emails a day, land in spam. Warmup history does not travel with you. Two weeks minimum, then a gradual ramp.
Re-contacting everyone
The new tool does not know who already got your sequence. Without a cleanup, a lead who received four emails gets four more. Remove leads you already worked, or wait several months and come back with a new angle.
Pulling an inbox mid-campaign
Removing an inbox from Smartlead stops every send in its campaign. Let running campaigns finish before you disconnect anything, or pause them on purpose.
Comparing price grids, not pricing units
Smartlead counts contacts and emails, lemlist charges the Email plan per team but LinkedIn per user, La Growth Machine charges per identity, Apollo per seat. Compare on your real numbers. Our Instantly vs lemlist comparison settles the top two, and our Instantly pricing and lemlist pricing pages break down the tiers. For the whole market, see our best cold email software ranking.

- Lead CSV exported from every campaign
- Activity CSV exported, with unsubscribes and bounces
- Blocklist uploaded to the new tool before any lead
- Inboxes reconnected, SPF, DKIM and DMARC checked
- Warmup running at least two weeks before the first campaign
- Sequences rebuilt, variables checked
- Addresses verified before sending
- Pilot campaign live, bounces monitored

Smartlead alternatives: common questions
Is there a cheaper alternative to Smartlead?
Not at the entry tier: Smartlead Base is $32 a month billed yearly, Saleshandy Starter $34, Instantly Growth $37.60. In the mid tier, Saleshandy Pro gives 100,000 emails for $76 billed yearly versus 90,000 for $78 on Smartlead Pro. If what you need is leads rather than sending, Apollo's free plan with no card is the cheapest place to start.
Smartlead vs Instantly: which one should I pick?
It is close. Both offer unlimited inboxes and included warmup, and users describe the choice as tight. Agencies often lean Smartlead, small teams lean Instantly for its easier setup. The concrete difference at entry level: Instantly Growth caps at 1,000 uploaded contacts and 5,000 emails a month, Smartlead Base at 2,000 contacts and 6,000 emails.
Does Smartlead do LinkedIn outreach?
Not natively. Smartlead handles email; for LinkedIn you connect a second tool such as HeyReach or Waalaxy through an integration. If you want both channels in one sequence, look at lemlist, La Growth Machine, or Emelia, which includes one LinkedIn account on its entry plan.
Does Smartlead have a free trial?
Yes. Every plan comes with a free trial and no credit card is required, but there is no permanent free plan. Among the alternatives, Apollo keeps a free plan with no time limit, La Growth Machine offers 14 days with no card, Emelia 7 days with no card, and Saleshandy 7 days.
Why are Smartlead reviews so split?
Because the people who love it and the people who hate it judge different things. Fans rate the product at volume: unlimited inboxes, low cost per email, solid warmup. Critics rate what happens when something breaks: slow support, inboxes dropping mid-campaign, and billing or cancellation trouble. If you send at agency scale and rarely need support, the first group describes your experience.
Can I switch tools mid-campaign without losing data?
Yes, if you let running campaigns finish in Smartlead and launch new ones elsewhere. Run both tools side by side during warmup, at least two weeks. Never disconnect an inbox while a campaign uses it: Smartlead then stops every send in that campaign.
Do I really need unlimited inboxes?
Only if you send a lot. Spreading 6,000 emails a month across several inboxes keeps per-inbox volume low and protects deliverability. A team sending 1,000 emails a month is fine with three inboxes, which is exactly what Emelia Start allows. For agencies, Instantly, Saleshandy and Smartlead remain the best fit.
What happens to my data after I cancel Smartlead?
Smartlead keeps it for two weeks, then deletes it automatically, and the window cannot be extended. Export before you cancel: leads per campaign (Lead list) and activity (Inbox), which holds unsubscribes and bounces. Keep those files at least until your next campaign is live.
Will my domains lose their reputation if I switch?
No. Reputation belongs to the domain and the inbox, not to the tool, and your SPF, DKIM and DMARC records stay in place. What you lose is warmup history, so restart warmup for at least two weeks in the new tool. If warmup itself is your problem, our guide to switching from lemwarm compares dedicated warmup tools.
