Notion Review 2026
Our Notion review in one line: the best tool for a team's docs, wiki and light projects, as long as your databases stay modest and you accept that full AI only comes with the $20 Business plan.
Notion bills per member: $10 a month on Plus and $20 on Business, billed yearly. We compared all four plans, the limits most reviews skip (offline mode, export, data location), hundreds of user reviews, and how Notion stacks up against Airtable, ClickUp and Obsidian. Here is what you need to know before you pay for seats.
Notion, rated.
Our Notion review in short

Overall score: 4 out of 5. Notion puts pages, a team wiki, task lists and linked databases in one place. If you are a freelancer, a small agency or a product team tired of splitting work between Google Docs, Trello and a spreadsheet, nothing on the market is as flexible. The Free plan is enough for a solo user, with no block limit.
Three things hold the score back. Price first: since 2025, Notion AI is no longer sold as an add-on on the smaller plans. Full AI lives in Business at $20 per member, and custom agents cost extra in credits. Then the technical ceilings: large databases slow down, offline mode keeps only the first 50 rows of a database, and export flattens your relations. Finally support: email only, no live chat, and one to three days per reply in public complaints.
Our take: pick Notion if your main job is writing, documenting and tracking light projects, solo or with fewer than twenty people. Look elsewhere for databases with thousands of rows (Airtable), real project management with workload and dependencies (ClickUp), private notes that stay on your own machine (Obsidian), or strict data residency without an Enterprise contract.
How we score: Notion's rating comes from our comparison and the vendor's own documentation, not from any partnership. If a Notion link on this page ever becomes an affiliate link, the score will not move by a tenth.

Across these 15 selected B2B platform reviews, Notion averages 4.7 out of 5 and 14 of 15 reviewers recommend it. The strength everyone mentions is consolidation: notes, tasks, docs and databases in one workspace you shape to your own way of working. The complaints are just as consistent: a real learning curve, setup that eats time, and pages or databases that slow down as they grow. The offline gap several reviewers mention was partly closed in 2025, but offline mode is still limited. Keep the sample bias in mind: on consumer review platforms, where billing and support complaints dominate, Notion sits at 2.2 out of 5.

What I like best about Notion is how it lets me combine all my university work in one place instead of switching between different apps. I can write lecture notes, organize assignments, and also include coding snippets with proper formatting, which is really helpful since my courses involve both programming and written content. It also makes it easy to structure everything by course and topic, so my notes don’t feel scattered and are easier to revise later. Overall, it helps me stay organized and keeps both my technical and written work connected in a simple, customizable way. What I dislike about Notion is that it can feel a bit overwhelming and slow to set up properly at the beginning. Because it’s so customizable, you sometimes spend more time building the system than actually taking notes. It can also get messy if you don’t stay consistent with your structure, especially when you’re managing multiple courses and projects at once.

I can upload files like video courses and PDFs, then share them with my subscribers easily. The mobile app is little laggy that it have technical glitch sometimes and it lacks offline usage like Google docs.

I love Notion because it helps us organize our work documents, safety plans, tasks, marketing ideas, and website build-out. It's creative enough to support brainstorming and structured enough for real business planning. Notion has helped turn a lot of moving pieces into clear, workable systems. I love the customizable aspect with Unsplash for cover and uploadable icons, which help me customize each page. Despite the initial learning curve with its Lego block system, once understood, it turns out to be a good system. Overall, I find the initial setup easy, and my team and I love Notion. It can be complicated to learn at first, especially the Lego block system.

Iv used notion for about 3 years over any other planning apps and i like the layout and the choice of layouts that gives me the options to customise how i want. Also i use that to plan my weeks and my days, it is the platform i use the most.

I like how Notion brings my notes, tasks, documents, and planning together in one workspace. It makes it easy to organize everything and customize the setup so it fits the way I work and what I need. I don’t like that Notion has a learning curve and can take a lot of time to set up the way I want. Also, when pages or databases get large, they can sometimes feel slow and a bit cumbersome to navigate.

Overall, Notion is an incredibly versatile tool that has helped me stay more organized and productive. It works particularly well for documentation, knowledge management, and collaboration. While it takes some time to learn and could improve its offline capabilities, it's still one of the most useful productivity tools I've used and has become an important part of my daily workflow.
Notion reviewed on five criteria.
One score per criterion, what works, what breaks, and the tip that avoids the trap.
Is Notion easy to learn?
Easy to write in, hard to build with. You sign up, type "/" on a page and pick a heading, a list, a table or an image. For notes or a simple wiki, you are productive in minutes. The wall comes with databases: properties, relations, rollups and formulas. That is where Notion gets powerful, and where many people give up.
User reviews back this up. On B2B review platforms, where Notion scores very well, the learning curve is still the most cited downside, in 23% of critical mentions. The classic trap is spending your first weeks building the perfect system instead of doing the work.
Navigation is the second issue. Past a few dozen pages, the sidebar turns into a drawer nobody can search. Performance follows the same slope: databases that mix many relations, rollups and gallery views get slow, especially on mobile and in some browsers. On developer forums, people who use it at work call it slow and bloated.
How to start without getting lost:
- Begin with three pages: a wiki, a project list and a task database. Add more only when a real need shows up.
- Split a giant database into several linked ones, and show it elsewhere with a linked view instead of a copy.
- Skip cover-image gallery views on databases with thousands of rows: they are the heaviest to load.
- Start from an official template, then delete what you do not use.
Verdict: 3.6 out of 5. Very approachable for writing, demanding as soon as you model data. If nobody on your team owns the structure, plan for training or outside help.
How much does Notion really cost in 2026?
From $0 to $20 per member per month billed yearly, and Business is the plan that unlocks full AI. Notion only shows the yearly price on its pricing page and says you save up to 20% by paying yearly, so expect to pay a bit more if you go month to month.
- Free: $0. Unlimited blocks for a solo user, capped at 1,000 blocks once the workspace has two or more members. 7 days of page history, 5 MB file uploads, a limited AI trial.
- Plus: $10 per member per month, billed yearly. 30 days of history and 5 GB uploads. AI stays a limited trial.
- Business: $20 per member per month, billed yearly. AI included (Notion Agent, AI meeting notes, enterprise search across connected apps), SAML single sign-on and 90 days of history.
- Enterprise: custom pricing. Advanced admin controls, SCIM provisioning, EU data residency, and zero data retention with AI model providers.
Guests (clients, contractors) are not billed. Here is the yearly math:
- Solo: $0 on Free, or $120 a year on Plus for longer history and bigger files.
- Team of 5 on Business: $100 a month, $1,200 a year.
- Team of 10 on Business: $200 a month, $2,400 a year. The same team on Plus pays $1,200 a year, without full AI.
The 2025 change matters. Notion AI used to be a separate add-on on the smaller plans. New Free and Plus subscribers can no longer buy it, so a Plus team that wants full AI has to move to Business and double its bill. Forum threads from angry Plus subscribers show how that landed. Custom agents (assistants that run on their own over your databases) add $10 per 1,000 credits a month and pause when credits run out.
Verdict: 4 out of 5. The solo Free plan is one of the most generous out there and Plus is fair. Business at $20 pays off only if your team uses the AI every week.
What can Notion actually do, AI included?
Notion covers writing, databases and, since 2025, a solid share of team AI. The core has not changed: nested pages, databases with properties, relations, rollups and formulas, and table, board, calendar, timeline, list and gallery views. One database can feed your project tracker, your wiki and a lightweight contact list at the same time.
AI moved up the price ladder. On Business, Notion Agent drafts, summarizes and fills databases from your pages. AI meeting notes transcribe and summarize your calls. Enterprise search (in beta) also looks through connected apps. None of these three burn credits. Custom agents do: they run on a trigger or a schedule and cost $10 per 1,000 credits. Admin tip: credits are off by default. Turn them on in the Notion AI settings with a per-member cap, or one badly configured agent can drain the pool. Image generation, still in beta, is capped at 10 images per 24 hours and 30 per 30 days per person.
Around the core, Notion added side products. Notion Calendar is free on every plan. Offline mode shipped in 2025 but stays partial: desktop and mobile apps only, page by page and device by device, and a downloaded database keeps just its first 50 rows. Forms, buttons and sharing do not work offline. Before a flight, open the pages you need and tick each subpage you want on the device. Notion Mail, the Gmail inbox launched in 2025, shuts down in 2026 on every plan; Mail blocks and the agents' Gmail connector stay. The lesson: do not build a critical process on a young side product.
Still missing: real number-driven dashboards, project management with workload and fine-grained dependencies (ClickUp does better), and databases that hold tens of thousands of rows without slowing down (Airtable does better).
Verdict: 4.5 out of 5. Notion's best score. No competitor blends writing and data this well, and the Business AI is genuinely useful day to day.

Does Notion support answer when you are stuck?
Slowly, and only in writing. Notion's help center is one of the most complete in the category: every feature has a page, with screenshots and hard limits (that is where we found the 50-row offline rule and the export timings). The community is huge, and a forum or a group often answers faster than the vendor.
Human support is where the public anger sits. On consumer review platforms, Notion has 2.2 out of 5 across more than 400 reviews, with 44% one-star ratings. The complaints are specific: email replies in one to three days, no chat, billing that continues after cancellation, and AI marketed as included while credits cost extra. One reviewer sums it up: "very misleading. subscription required, and extra credits need to be paid." The gap with B2B platforms (4.6 out of 5, 79% five stars) is easy to read: B2B reviewers rate the product, consumer reviewers mostly write when billing or support fails. Fewer than 3% of B2B reviews even mention price.
To stay out of trouble:
- Search the official help center first: the answer is almost always there, with the exact limit.
- Before turning on agent credits, set a per-member cap in the Notion AI settings. It is your best protection against a surprise bill.
- Keep a written record of every plan change so you can attach it to a ticket if billing goes wrong.
Verdict: 3.5 out of 5. The documentation saves the score. If your business needs an answer within the hour, Notion is not there on any plan below Enterprise.
Does Notion plug into the rest of your tools?
Yes, thanks to its public API and automation platforms. Notion has native connectors for Slack, Google Drive, GitHub, Asana and Trello. Its public API (the interface that lets other software read and write your databases) is well documented, and that is what makes the difference: a website form, a signed quote or a new customer in your billing tool can create a Notion row automatically.
You do not need a developer for that. We have step-by-step guides to connect Notion to Make and link Notion with Zapier. A typical recipe: every form response creates a record in your lead database, then pings the team on Slack.
The limits are well known. No native connector for big sales platforms like HubSpot or Pipedrive, so you go through an automation platform and pay for another subscription. Enterprise search across Slack or Google Drive is Business only. And export, your exit door, flattens your data: you can export the whole workspace to PDF, HTML, Markdown and CSV from the general settings, but processing can take up to 30 hours, the download link lasts 7 days, and relations between databases turn into plain text. Forum users who moved to other tools report losing their links when migrating. Run a full HTML and Markdown export once a quarter: it is your best insurance.
Verdict: 4.3 out of 5. The API and automation platforms cover nearly everything. Export reminds you that leaving Notion is harder than joining it.

Notion questions we get asked
Is Notion really free?
Yes, with unlimited blocks as long as you are the only member. Add a second member and the Free workspace is capped at 1,000 blocks, and deleted blocks still count. Tip: add occasional collaborators as guests instead of members. Guests are not billed and you stay the sole owner. How much is Notion per user?
Plan on $10 per member per month for Plus and $20 for Business, billed yearly. A team of 5 on Business pays $1,200 a year, a team of 10 pays $2,400. Yearly billing saves up to 20% compared with monthly. Is Notion AI worth $20 instead of $10?
Only if your team uses AI every week. Business includes Notion Agent, AI meeting notes and enterprise search, while Plus only gets a limited trial. Since 2025 the standalone AI add-on is gone for new Free and Plus users, and custom agents cost $10 per 1,000 credits on top.Where is my Notion data stored?
In the United States by default, on AWS. EU data residency (Frankfurt or Ireland) is only available on Enterprise, at no extra cost, and it does not cover Notion Calendar or account data. Notion holds SOC 2, ISO 27001, ISO 27701 and ISO 27018, and offers a HIPAA BAA on Enterprise.Does Notion work offline?
Yes since 2025, but only in the desktop and mobile apps, page by page. A downloaded database keeps its first 50 rows, and forms, buttons and sharing are unavailable offline. Before you travel, open the pages you need and tick each subpage you want on the device. Can Notion replace a CRM?
For a freelancer or a small team tracking a few dozen deals, yes: a contacts database linked to a deals database does the job. Past that, you miss email tracking, calling and automated follow-ups. For heavier data, read our Airtable review. How do I export everything from Notion?
Go to the general settings and export the whole workspace as HTML, or as Markdown and CSV. Processing can take up to 30 hours and the link expires after 7 days. Relations between databases become plain text, so map them before you migrate.Notion or ClickUp for project management?
Notion if your projects live mostly in documents, ClickUp if you need to track workload, deadlines and dependencies. ClickUp starts at $9 per user on its Core plan, billed yearly. The full breakdown is in our ClickUp vs Notion comparison. Is Notion Mail still available?
No. The Notion Mail inbox shuts down in 2026 on web, mobile and desktop, for every plan. Mail blocks inside pages and the agents' Gmail connector keep working. If you relied on it, move back to Gmail before the shutdown.
