Overview

What changes for a team that runs on Smartsheet

Status meetings often start with someone scrolling a sheet to find what slipped. With the connector, you ask Claude and it reads the live data you have access to, then answers with a summary, a list or a change. Smartsheet's own examples go from spotting overdue work to writing the stakeholder update, and assume you have let Claude both read and write.

See what is about to slip. A project lead asks which tasks due soon are still not started. Claude finds the sheet with search, then filters rows with get_sheet_summary and answers with the short list.

Fix the data, then say why. Once blockers are cleared, update_rows changes their status and add_comment leaves a note on each row's discussion explaining what moved, so the history stays on the sheet.

Get the portfolio view. For the monthly review, get_report reads a cross-sheet report and create_dashboard builds a new dashboard from up to five source sheets based on a plain-language request.

What it will not do: undo. Smartsheet flags row updates, deletions of rows, columns, comments and attachments as permanent. Nothing runs on its own either: no tool fires when a date passes or a row changes. For that kind of trigger, a scenario tool fits better, and the Smartsheet Make integration page covers it. They do different jobs.

Vocabulary

The vocabulary in one minute

Five words you will meet while plugging Smartsheet into Claude.

Connector
The link you set up once between Claude and an account you already have, so Claude can work in it while it answers you.
Tool
One named action the connector opens to Claude. Claude picks the ones it needs by itself; the directory lists them by name.
Authorization
The sign-in screen of Smartsheet itself, where you hand Claude the access it will use. Given once per person, and you can take it back.
Approval
The confirmation Claude waits for before it finishes something that changes your account, shown right in the conversation.
MCP
The shared standard connectors are built on: it is what lets an assistant like Claude talk to an outside service such as Smartsheet.
Connect

Connect Smartsheet to Claude in three steps

  1. 01

    Find Smartsheet in Claude

In Claude's settings, open Customize, then Connectors, and look for Smartsheet in the list. On a Team or Enterprise workspace, an Owner or Primary Owner has to switch the connector on before each member can sign in.

  2. 02

    Start the connection

Click Connect on its row and sign in to Smartsheet in the window the service opens itself. If the link breaks one day, use Disconnect, then plug it back in from the same row.

  3. 03

    Read the authorization screen

Read the service's screen before you accept. It belongs to Smartsheet, not Claude, and it decides what the access covers. You can also withdraw that access later from your Smartsheet account.

Tools

The 42 tools, grouped by what they do

Smartsheet gives Claude 42 tools: 21 that read your account, 20 that change something in it, and 1 no official source describes.

Three groups: what Claude reads, what it changes, and the one tool no source describes. Names stay in English, as Claude shows them.

What Claude reads (21)

21 tools

Twenty-one tools that find, open and inspect your Smartsheet content without changing it.

list_workspaces

Returns the workspaces of your Smartsheet account, page by page, without opening what is inside each one. Claude gets the top-level layout first.

When it helps
a new operations manager wants to know how the company's Smartsheet is organised.
Watch out
it lists workspaces, not what they hold; opening one is the job of browse_workspace.

Sourcedevelopers.smartsheet.com · September 30, 2026 ↗

get_sheet_summary

Pulls rows from a sheet with filters on several columns, sorting and a choice of columns, so Claude reads only what the question needs.

When it helps
you want every task marked Blocked and owned by one person, sorted by due date.

Sourcedevelopers.smartsheet.com · September 30, 2026 ↗

get_columns

Lists every column of a sheet with its type and properties. Claude learns what a Status or Owner column really holds before filtering on it.

When it helps
a teammate asks which status values this tracker actually allows.
Watch out
it describes the columns, not the values stored in the rows.

Sourcedevelopers.smartsheet.com · September 30, 2026 ↗

browse_workspace

Shows what sits at the top of a workspace: sheets, reports, dashboards and folders. You get the contents list, not the data inside.

When it helps
you join a client workspace and want to see what has been set up there.

Sourcedevelopers.smartsheet.com · September 30, 2026 ↗

browse_folder

Opens one folder and returns what it directly contains, so Claude can navigate a deep folder tree.

When it helps
the Q3 folder is deep and Claude has to walk down to the right tracker.
Watch out
it lists what a folder holds, not the data inside each sheet.

Sourcedevelopers.smartsheet.com · September 30, 2026 ↗

get_cell_history

Traces the full timeline of one cell, with dates, old and new values, and the person behind each version. A way to trace a figure back.

When it helps
a deadline moved twice and you want to know who changed it, and when.

Sourcedevelopers.smartsheet.com · September 30, 2026 ↗

get_sheet_version

Gives the current version number of a sheet without loading it. Claude can compare it with the number it saw earlier without reading the sheet again.

When it helps
before re-running an analysis, you check whether the sheet is still the one from this morning.

Sourcedevelopers.smartsheet.com · September 30, 2026 ↗

get_discussion

Opens one discussion thread in full, with its comments and attachments, when Claude already knows which thread you mean.

When it helps
the vendor thread on row 12 got long and you want its decisions in three lines.
Watch out
Claude needs the thread's ID, which list_discussions is there to find.

Sourcedevelopers.smartsheet.com · September 30, 2026 ↗

list_discussions

Returns the discussions of a whole sheet, or only those attached to one row. Claude sees where conversations are happening.

When it helps
you ask what people are saying about the launch tasks before the weekly meeting.
Watch out
it can cover a whole sheet or a single row, so say which one you mean.

Sourcedevelopers.smartsheet.com · September 30, 2026 ↗

list_dashboards

Lists every dashboard you can open, page by page, with basic details. Smartsheet also calls dashboards Sights.

When it helps
a director asks which dashboards exist before requesting a new one.
Watch out
it returns the list, not the content; get_dashboard opens one.

Sourcedevelopers.smartsheet.com · September 30, 2026 ↗

get_dashboard

Returns detailed information about one dashboard, picked by its ID. Claude can then compare what it shows with the sheets behind it.

When it helps
you suspect the ops dashboard is stale compared to the sheets it reads from.
Watch out
it reads a dashboard that exists; building a new one is the job of create_dashboard.

Sourcedevelopers.smartsheet.com · September 30, 2026 ↗

list_reports

Lists the reports you can reach, so Claude knows which cross-sheet views already exist.

When it helps
you need the resource report but nobody remembers its exact title.
Watch out
it names the reports you can reach; reading their rows takes get_report.

Sourcedevelopers.smartsheet.com · September 30, 2026 ↗

get_report

Reads a report's columns, rows and values. A report gathers data from several sheets in one view.

When it helps
you want everything overdue across all projects, not sheet by sheet.
Watch out
it reads a report that exists; building a new one is the job of create_report.

Sourcedevelopers.smartsheet.com · September 30, 2026 ↗

get_sheet_path

Returns where a sheet lives, as a full folder path plus a direct link, without loading the sheet itself.

When it helps
a colleague needs the link to the hiring tracker and cannot find it in the tree.
Watch out
it gives the location only, and the rows of the sheet are not read.

Sourcedevelopers.smartsheet.com · September 30, 2026 ↗

list_shares

Shows every user and group an asset is shared with, Useful for knowing who has access before sharing more.

When it helps
before adding salary data to a sheet, you check who else has access to it.
Watch out
it shows who has access and leaves the sharing settings as they are.

Sourcedevelopers.smartsheet.com · September 30, 2026 ↗

get_attachment

Returns an attachment's details (name, type, size, dates) by its ID, including its URL.

When it helps
you want the signed quote attached to a purchase row without digging for it.
Watch out
it returns details about the file, not a summary of what the file says.

Sourcedevelopers.smartsheet.com · September 30, 2026 ↗

list_attachments

Lists the files and links attached to a sheet, a single row or a discussion, depending on where Claude looks.

When it helps
an auditor asks which rows have supporting documents and which do not.
Watch out
say whether you mean the sheet, one row or one discussion, since the list depends on it.

Sourcedevelopers.smartsheet.com · September 30, 2026 ↗

list_favorites

Returns everything you marked as a favourite as the current user. A quick shortcut to what you use most.

When it helps
you ask Claude to start from "the usual sheets" rather than the whole account.
Watch out
favourites belong to the connected user, so a colleague's list will differ.

Sourcedevelopers.smartsheet.com · September 30, 2026 ↗

is_favorite

Tells whether one specific asset is in your favourites. A yes or no, nothing more.

When it helps
Claude checks before adding a sheet to your favourites, to avoid doubling up.
Watch out
it checks one asset at a time; the full list comes from list_favorites.

Sourcedevelopers.smartsheet.com · September 30, 2026 ↗

find_in_sheet

Searches for text inside one sheet and returns each matching cell with its row and column.

When it helps
you need every row that mentions a supplier that just went out of business.
Watch out
it searches one sheet; search is the tool that looks across everything you can reach.

Removes a column and all the data in it, across every row. Smartsheet says it cannot be undone.

What Claude asks for
nothing specific is documented; the approval section covers it.

Rewrites the text of an existing comment on a sheet, to correct or complete it without deleting and posting again.

What Claude asks for
nothing tool-specific is documented; the approval section applies.

Watch out
Smartsheet flags this edit as destructive.

Sourcedevelopers.smartsheet.com · September 30, 2026 ↗

Deletes a whole discussion thread and every comment in it, for good.

What Claude asks for
no confirmation is described for this tool; see the approval section.
When it helps
you clean up a sprint's standup threads once the retrospective is done.
Watch out
the entire thread goes, not only the first message.

Sourcedevelopers.smartsheet.com · September 30, 2026 ↗

Not documented (1)

1 tool

The directory publishes this name and nothing more. Smartsheet's tool reference skips it, and this page will not guess from a name.

get_resource_guide

This name is on the directory sheet and nowhere else. Smartsheet's tool reference does not describe it, and no Claude page does either, so this page leaves it at that.

Watch out
whatever it turns out to do, the general approval rule below covers it.
Approvals

What Claude asks before acting

By default, Claude stops and asks for your go-ahead before each action it carries out on an account for you. The request shows up in the conversation, at the moment it matters.

On Team and Enterprise, workspace owners decide whether a member can let some actions through without being asked every time. They can also cap what a connector may do for the whole organisation, keeping reading open and closing writing, for example. That setting applies to everyone and nobody gets around it from their own account. And Claude works with your rights, nothing more: what you cannot reach in Smartsheet stays out of its reach too.

Plans

Which plans it works on

None of the 819 sheets in the official directory shows availability by plan. The answer, connector by connector, is not published anywhere: it is a real gap in the catalogue.

The general rule is published: remote connectors are open to all users on Claude, Cowork, Claude Desktop and mobile, and desktop extensions install on Claude Desktop. On Team and Enterprise, an Owner or Primary Owner turns the connector on for the organisation before members can connect. For the current state, check the connector's sheet in the official directory.

Limits

Where this connector stops

A connector is not an automation. Claude calls these tools while it answers you: nothing starts when a due date passes, a row turns red or someone comments.

The tool list is an observed floor, not a promise: an administrator can open actions that no public sheet shows. The partner badge in the directory is not a security audit either, and Anthropic says so on every sheet: it does not choose the tools a publisher exposes and does not guarantee they behave as described. Everything below comes from Smartsheet's documentation, since neither Claude's help centre nor Anthropic's docs have a page on this connector. For a lighter database-style connector, compare with the Claude airtable connector.

FAQ

FAQ about the Claude Smartsheet connector

01What can Claude do with the Smartsheet connector?
Claude can read and work on your Smartsheet content from a conversation. Twenty-one documented tools search assets, read sheets, columns, reports, dashboards, discussions, attachments and cell history. Twenty more add, update or delete rows and columns, post and manage comments, create sheets, folders, workspaces, reports and dashboards, and handle favourites. One further tool has no description. Smartsheet's own examples range from spotting overdue work to drafting a stakeholder update. Claude chains these tools by itself within one conversation.
02Can Claude change or delete data in Smartsheet?
Yes, twenty documented tools change something in your account. Claude can add, update and delete rows, add, change and delete columns, create sheets, folders, workspaces, reports and dashboards, and manage comments, discussions, attachments and favourites. Smartsheet flags several of these as irreversible: row updates, and deleting rows, columns, comments, discussions and attachments. Once done, there is no undo button from the chat, so precise requests matter. Read-only analysis never touches your data.
03Does Claude ask before it edits a sheet?
By default, Claude asks for confirmation before each action it carries out on an account for you. No source describes a confirmation specific to any Smartsheet tool, so this default rule covers them all, including the irreversible ones. On a Team or Enterprise workspace, owners decide whether members may let some actions through without being asked, and they can close writing entirely while leaving analysis open. The request appears in the conversation.
04Which plans is it available on?
No official source publishes availability by plan, connector by connector, and no directory sheet shows it. The general rule says remote connectors are open to all users on Claude, Cowork, Claude Desktop and mobile, with an Owner or Primary Owner switching them on first on Team and Enterprise. The connector's sheet in the official directory, checked from your own signed-in account, is the only place that shows its current state.
05Does Claude see every sheet in our Smartsheet account?
No. Smartsheet says Claude reads the live data you have access to, and search only covers assets you can reach. A sheet, report or dashboard that has not been shared with you stays invisible to Claude as well. On a Team or Enterprise workspace, an owner can also restrict what the connector may do for the whole organisation, and list_shares lets you check who else can open a given sheet before you put sensitive data in it.
06Why does the Claude Smartsheet connector not find a sheet I just created?
Because Smartsheet's search is eventually consistent. Its tool reference says new items can take a few minutes to appear in search results, and that search returns 100 results at most with no further page. If a fresh sheet does not come up, wait a few minutes or point Claude at the folder or workspace where it lives, so it can browse there directly instead of relying on the search index.
07Claude or an automation tool for Smartsheet?
They answer different needs, so it depends on the task. Claude works inside a conversation: you ask, it analyses or updates, and nothing more happens once you stop typing. It will not notice on its own that a date passed or a row changed. For a process that reacts to each change in the background, an automation tool is the right fit. For analysis, clean-ups and updates on demand, the connector is.
