What you can automate

What can the FreeFinance Make integration automate?

The FreeFinance Make integration lets Make write into your FreeFinance bookkeeping for you: customers, suppliers, invoices, payments, bank transactions and documents. It works through a scenario, the automation you build in Make, made of modules, the bricks that each do one job for one app.

Invoices that follow the sale. An order lands in your store, Create or Replace a Customer files the buyer, then Create an Outgoing Invoice (Ausgangsrechnung) creates the bill. Nobody copies an address by hand.

Payments marked without a second look. When money arrives for a bill you already finalized, Create a Payment for a Finalized Invoice records it, and Create Transactions for a Bank Account adds the movement to the right account.

Receipts filed where your accountant expects them. A PDF arrives by email or in a shared folder, and Upload a document sends it to FreeFinance so it sits next to the booking.

Be aware of one limit. FreeFinance has no trigger in Make, so a scenario always starts in another app or on a schedule. Make also states that its FreeFinance documentation is limited, which means the fields are best read inside the module itself. If you are new to the editor, the Make training covers the basics, Make troubleshooting helps when a run fails, and n8n vs Make sets out how the two tools differ.

Connect

How do you connect FreeFinance to Make?

  1. 01

    Add a FreeFinance module

In a scenario, click the +, search for FreeFinance and pick any of its modules. Then click Create a connection. A connection is your FreeFinance account linked to Make once and reused by every FreeFinance module.

  2. 02

    Name it and authorize Make

Give the connection a name if you like, handy when you run more than one company. Then either approve Make on the FreeFinance page that opens, or paste the key FreeFinance gives you, depending on what the window asks for.

  3. 03

    Save and check the fields

Click Save. Once the connection exists, Make can read your FreeFinance data and fills the module with the lists it finds. That is the moment to see which fields the module really expects.

First scenario

Your first scenario with FreeFinance

GoalWhen a new order comes in from your store, Make files the buyer in FreeFinance and creates an outgoing invoice for it.

  1. 01

    Create the scenario

Open the Scenarios page, create a new scenario and click the +. The first module comes from the app where your orders live, since FreeFinance itself cannot start a scenario.

  2. 02

    File the customer

Click the + on the right, search FreeFinance and add Create or Replace a Customer. Link your account with Create a connection, then map the buyer's details from the order module.

  3. 03

    Create the invoice

Add Create an Outgoing Invoice (Ausgangsrechnung) after the customer module. Map the customer it returns and the order lines, using the fields Make lists once the connection is live.

  4. 04

    Test with Run once

Click Run once and place or pick a test order. Each module shows the bundles it received, a bundle being one item passed along, here one order. Check the invoice in FreeFinance.

  5. 05

    Schedule and switch it on

Set the schedule on the first module (every 15 minutes by default) and switch the scenario on. Every module run counts as an operation, the unit Make counts on your plan.

Modules

What each FreeFinance module does

FreeFinance gives you 23 modules. For each one: what it does for you, when to reach for it, and what to watch out for.

FreeFinance1

Configure Adobe Commerce (Magento 2) Mappings for Finalized Invoices

ActionIn the docs only

This one prepares FreeFinance for sales coming from an Adobe Commerce (Magento 2) store, telling it how that data should land in finalized invoices, as the module name describes. It is a setup brick rather than one that bills anything.

When to use it
your shop runs on Magento 2 and your invoices go straight to their final state.
Watch out
the documentation is thin here, so connect first and read the options Make offers.
FreeFinance2

Configure Adobe Commerce (Magento 2) Mappings for Outgoing Invoices

ActionIn the docs only

Same shop system, different invoice type: going by its title, this module sets the Magento 2 mapping used for outgoing invoices rather than finalized ones. Picking the right twin avoids a mapping that never gets used.

When to use it
your Adobe Commerce orders feed the outgoing invoice flow, the one handled by Create an Outgoing Invoice.
Watch out
run it once on a test and check the result in FreeFinance before relying on it.
FreeFinance3

Configure Amazon Mappings for Outgoing Invoices

ActionIn the docs only

For Amazon sellers, this module gives FreeFinance the mapping it needs for outgoing invoices built from Amazon sales, according to its name. Note that Amazon only has this outgoing version in the list, with no finalized counterpart.

When to use it
part of your revenue comes through Amazon and you invoice it from FreeFinance.
Watch out
Make does not describe its fields, so the module screen after connecting is your only reference.
FreeFinance4

Configure Etsy Mappings for Finalized Invoices

ActionIn the docs only

Handmade or vintage shop on Etsy? The name says this brick configures how Etsy sales map to finalized invoices in FreeFinance, so the settings sit in place before the orders flow through.

When to use it
you close Etsy invoices in their final form straight away instead of keeping them open.
Watch out
Etsy has two variants here, finalized and open; choose the one that matches how your books treat a sale.
FreeFinance5

Configure Etsy Mappings for Open Invoices

ActionIn the docs only

The second Etsy option points at open invoices, meaning bills that stay unsettled for now, if you read its title literally. It is the only open-invoice mapping in the whole FreeFinance list, which makes it easy to spot.

When to use it
Etsy orders should wait in FreeFinance as open invoices until someone reviews them.
Watch out
check with a single test run which invoices it affects, since no official description exists.
FreeFinance6

Configure Shopify Mappings for Finalized Invoices

ActionIn the docs only

Shopify merchants get their own pair, and this half, judging by the name, sets the Shopify mapping for finalized invoices in FreeFinance. It saves you from reconciling two shop formats by hand.

When to use it
your Shopify store is the main sales channel and each order ends as a final invoice.
Watch out
a configuration module still costs an operation each time the scenario runs it, so keep it out of loops.
FreeFinance7

Configure Shopify Mappings for Outgoing Invoices

ActionIn the docs only

The outgoing counterpart for Shopify: it defines, as the title reads, the mapping FreeFinance applies when Shopify sales become outgoing invoices. Pair it with the outgoing invoice module in the same flow.

When to use it
your Shopify sales should become outgoing invoices rather than finalized ones.
Watch out
mixing this with the finalized Shopify module in one scenario can leave you unsure which mapping applied; test each on its own first.
FreeFinance8

Configure Stripe Mappings for Finalized Invoices

ActionIn the docs only

Stripe is a payment processor, not a shop, and this module covers it too: the name indicates it maps Stripe payments to finalized invoices in FreeFinance. Useful when card payments are where the sale really happens.

When to use it
subscriptions or one-off charges run through Stripe and you want them booked as final invoices.
Watch out
test on a small Stripe charge first and compare the result in FreeFinance.
FreeFinance9

Configure Stripe Mappings for Outgoing Invoices

ActionIn the docs only

Here Stripe feeds the outgoing side instead: per its title, the module sets how Stripe data maps to outgoing invoices. Choose it over the finalized variant when invoices still need a check.

When to use it
your finance person reviews each Stripe-based invoice before it is locked.
Watch out
since the docs stay silent on the options, read each field label in the module before you map anything into it.
FreeFinance10

Configure Wix Mappings for Finalized Invoices

ActionIn the docs only

Wix stores have a finalized-invoice mapping as well, which, following the module name, aligns Wix orders with FreeFinance's final invoices. Handy for small sites that sell a few products next to their pages.

When to use it
you sell through Wix and book every paid order as a closed invoice.
Watch out
if the module shows no option you recognize, stop there and ask FreeFinance support rather than guessing.
FreeFinance11

Configure Wix Mappings for Outgoing Invoices

ActionIn the docs only

The Wix outgoing version sets, by its title, the mapping FreeFinance uses when Wix sales go out as outgoing invoices. It fits a flow built on outgoing rather than finalized invoices.

When to use it
Wix orders arrive before payment is confirmed, so you prefer an outgoing invoice over a finalized one.
Watch out
after Run once, open FreeFinance and confirm the invoice looks right, because Make shows only what the module returned.
FreeFinance12

Configure WooCommerce Mappings for Finalized Invoices

ActionIn the docs only

For WordPress shops running WooCommerce, this brick prepares the mapping between WooCommerce orders and finalized invoices, based on what its name says. One setup module, then your invoice modules can follow.

When to use it
WooCommerce is your checkout and completed orders should become final invoices.
Watch out
Make publishes no field list for it, so keep a test order ready to see what the module accepts.
FreeFinance13

Configure WooCommerce Mappings for Outgoing Invoices

ActionIn the docs only

Last of the shop pairs: the WooCommerce outgoing module, which reads as the mapping for outgoing invoices fed by WooCommerce. Choose it when your process runs on outgoing invoices, not finalized ones.

When to use it
WooCommerce orders go through a manual check in FreeFinance before they are finalized.
Watch out
the finalized and outgoing modules look almost identical in the search list, so read the full name before clicking.
FreeFinance14

Create Mapping for documentupload

ActionIn the docs only

Before documents start arriving, this module creates a mapping for the document upload feature, going by its name, so files know where to land. It works hand in hand with Upload a document.

When to use it
you plan to send receipts or contracts into FreeFinance and need that routing prepared.
Watch out
the name is written in lower case in Make, documentupload in one word, which helps when searching for it.
FreeFinance15

Create Transactions for a Bank Account

ActionIn the docs only

Bank movements from elsewhere can land in FreeFinance through this module, which creates transactions on a bank account, as its title states. Your books then show the money without a manual import.

When to use it
a payment tool or a spreadsheet holds transactions that FreeFinance does not see yet.
Watch out
the name says transactions in the plural, so check with Run once whether one bundle creates one line or several.
FreeFinance16

Create a Finalized Credit Memo (Rechnungslegung)

ActionIn the docs only

Refunds need paperwork too, and this module issues a finalized credit memo in FreeFinance's invoicing area (Rechnungslegung is German for invoicing). The refund then leaves a written trace in your books.

When to use it
a return is accepted in your shop and the refund must appear in the books.
Watch out
a finalized document is meant to stay as issued, so test on a dummy customer, never on a real one.
FreeFinance17

Create a Finalized Invoice (Rechnungslegung)

ActionIn the docs only

When the sale is certain, this module creates the invoice directly in its finalized state, ready to send. Going by the two names, it is the finalized alternative to the outgoing invoice module.

When to use it
the payment is already captured, for example a card order, so there is nothing left to review.
Watch out
map the customer from Create or Replace a Customer first, otherwise you may bill a person FreeFinance does not know.
FreeFinance18

Create a Payment for a Finalized Invoice

ActionIn the docs only

Closing the loop on money received, this module records a payment against an invoice that is already finalized. The invoice then reflects that it has been paid.

When to use it
your payment provider confirms a transfer and you want the matching invoice settled in FreeFinance.
Watch out
its name mentions finalized invoices only, so check with Run once whether it also accepts an invoice from the outgoing module.
FreeFinance19

Create an Outgoing Invoice (Ausgangsrechnung)

ActionIn the docs only

This is the module most first scenarios use: it creates an outgoing invoice, Ausgangsrechnung in German, the bill you address to a customer. You then find it in FreeFinance.

When to use it
a new order or a signed quote should produce an invoice without anyone typing it.
Watch out
run the customer module before it in the scenario, so the invoice points to a record that exists.
FreeFinance20

Create or Replace a Customer

ActionIn the docs only

Your customer list stays current with this module, which adds a customer or replaces the existing record with the data you send. It is usually the first FreeFinance step of a sales flow.

When to use it
a buyer checks out or signs up and you want the record ready before any invoice.
Watch out
replace means the new data takes over, so map every field you care about or older details may be lost.
FreeFinance21

Create or Replace a Supplier

ActionIn the docs only

On the purchase side, this module creates a supplier or overwrites the existing one, keeping vendors in step with the tool where you manage them. Incoming bills then have a clean record to attach to.

When to use it
a new vendor is approved in your purchasing sheet or CRM.
Watch out
"replace" suggests empty fields may overwrite what is there, so test on a spare supplier first.
FreeFinance22

Make an API Call

ActionIn the docs only

Anything the rest of the list does not cover can go through this one, which calls any endpoint of the FreeFinance API with the connection you already set up. No second login is needed.

When to use it
you need to read data back, since the list has no search module, or reach a feature with no dedicated module.
Watch out
you need FreeFinance's own API reference to know which endpoint to call; Make gives no detail for it.
FreeFinance23

Upload a document

ActionIn the docs only

Receipts, contracts and scanned bills reach FreeFinance through this module, which uploads a file from an earlier step of the scenario. The paper trail then sits in your bookkeeping instead of an inbox.

When to use it
an email attachment or a new file in cloud storage belongs in your accounts.
Watch out
on the Free plan Make handles files up to 5 MB, so large scans may stop the run.

FAQ

FreeFinance and Make: common questions

01Is the FreeFinance Make integration free?
Yes, FreeFinance is a standard app in Make, so it works from the Free plan. That plan has limits: 2 active scenarios, at least 15 minutes between two scheduled runs, 5 minutes of execution per run, files up to 5 MB and 512 MB of data transfer. Paid plans (Core, Pro, Teams and Enterprise) lift those limits, with runs as often as every minute and unlimited active scenarios. Usage is counted in operations, one per module run. Your FreeFinance subscription is a separate matter this page does not cover.
02What does it take to connect FreeFinance to Make?
A FreeFinance account and a Make account. Make's documentation lists no prerequisite for this app. Add any FreeFinance module, click Create a connection, give it a name if you want, then either approve Make on the FreeFinance page or paste the key FreeFinance provides, depending on what the window asks. Click Save. The connection is then reused by all 23 modules, so you only go through this once per FreeFinance account. If the window asks for something you do not have, FreeFinance support is the place to ask.
03Can FreeFinance trigger a Make scenario in real time?
No, FreeFinance has no trigger in Make, so it cannot start a scenario on its own. Start the scenario from another app instead: a new shop order, a form entry or an incoming email. If that app has an instant trigger, it calls Make through a webhook as soon as the event happens. Otherwise, the scenario runs on its schedule, every 15 minutes by default, with 15 minutes as the minimum on the Free plan and one minute on paid plans. FreeFinance modules then act inside that run.
04What if a needed FreeFinance module is missing in Make?
Use Make an API Call. It reaches any endpoint of the FreeFinance API with the connection you already have, which matters here because the list has no search module to read data back. Make also warns that its FreeFinance documentation is limited, as there is not enough public information about the app. So keep FreeFinance's own API reference at hand, test every call with Run once, and check the result in your books before switching the scenario on.
05Make or n8n for FreeFinance: which one fits?
It depends on your criteria rather than on a winner. In Make you get 23 FreeFinance modules, all actions, including Make an API Call, and the app is available from the Free plan. The same app often has an n8n node as well, so check what it covers before deciding. Compare the modules each tool offers for your exact flow, where your other apps are already connected, and who on your team will maintain the scenarios. Pick the one your team will actually keep running.
