What you can automate

What can the geoCapture Make integration do for you?

The geoCapture Make integration lets a Make scenario (the automation you build, a chain of steps) write to geoCapture for you. Each step is a module: here, 49 actions that create, update, delete or read records such as employees, orders, tools and trackers, plus geocoding. Data typed once in another app reaches geoCapture on its own.

New hires ready on day one. When your HR tool or an onboarding form records a new colleague, Create or update employee adds the person to geoCapture, and Create or update department keeps teams aligned with the org chart.

Jobs that open themselves. A quote accepted in your CRM can become a project through Create project, followed by an order with Create or update order. Nobody copies the customer twice.

Addresses turned into positions. Geocode converts an address into coordinates and Reverse geocode goes the other way, handy before Create or update location registers a new site.

Two limits to know. geoCapture has no trigger in Make, so a scenario starts from another app or from Make's schedule. And Make's own documentation for geoCapture is short: it gives no module descriptions, so the notes below explain each module from its name and tell you what to check in a test run. For anything the list misses, Make an API Call reaches the geoCapture API with the same connection.

Many apps also have an n8n node; the n8n vs Make page lays out the differences. If the first build feels slow, the Make training walks through scenarios step by step, and the Make troubleshooting guide helps when a run fails.

Connect

How do you connect geoCapture to Make?

  1. 01

    Add a geoCapture module

In your scenario, click the + and search for geoCapture, then pick any module, for example Create or update employee. In the module panel, click Create a connection. The connection is your geoCapture account linked to Make once.

  2. 02

    Name the connection and authorize

Give the connection a name you will recognize later, such as the company or the environment. Then follow what geoCapture asks: either authorize Make on the geoCapture page that opens, or paste the key geoCapture gives you.

  3. 03

    Save and reuse

Click Save. Make now lists the geoCapture objects it can read when you fill a module. Every other geoCapture module in any scenario can pick this same connection, so you only do this once.

First scenario

Your first scenario: a won deal becomes a geoCapture project

GoalWhen a deal is won in your CRM, Make creates the project in geoCapture and adds its first order.

  1. 01

    Create the scenario

From the Scenarios page, create a new scenario and click the + to add the first module. Since geoCapture has no trigger, start with your CRM's module that watches won deals.

  2. 02

    Add Create or update project

Click the + on the right of the CRM module, search geoCapture and pick Create or update project. Select your connection, or click Create a connection if this is your first geoCapture module.

  3. 03

Map the deal to the project

Fill the project fields with data from the won deal. Make lists those fields once the connection works and shows the values each previous module returned, so you click rather than type.

  4. 04

    Add Create or update order

Add Create or update order after the project and fill it with the deal details and, where geoCapture asks for it, the project the previous module returned.

  5. 05

    Test with Run once

Win a test deal in your CRM, then click Run once. Open each module to read the bundle it received (a bundle is one item passed along) and check the project and order in geoCapture.

  6. 06

    Schedule and switch on

Set the schedule on the first module, every 15 minutes by default, and switch the scenario on. Each module run counts as an operation on your Make plan.

Modules

What each geoCapture module does

geoCapture gives you 49 modules. For each one: what it does for you, when to reach for it, and what to watch out for.

geoCapture1

Create approval center

ActionIn the docs only

Opens an approval center in geoCapture from your scenario, giving a request a place where the right person can sign it off.

When to use it
a purchase request submitted in a form app should wait for approval inside geoCapture rather than in someone's inbox.
Watch out
the doc describes none of its fields, so run it once on a test request and read what Make returns before going live.
geoCapture2

Create or update beacon

ActionIn the docs only

Keeps your beacon records in geoCapture current without typing them twice: the module adds a beacon or refreshes one already on file.

When to use it
your field team logs newly installed beacons in a spreadsheet, and geoCapture should pick them up from there.
Watch out
the doc does not say how Make tells a new beacon from an existing one, so test with a single row first.
geoCapture3

Create or update container inquiry

ActionIn the docs only

Sends a container inquiry into geoCapture, or revises one already recorded, so a customer request never gets lost between tools.

When to use it
a prospect asks for a container through your website form and the inquiry belongs in geoCapture.
Watch out
Make shows the inquiry fields only once your connection works; fill the required ones and check the result after Run once.
geoCapture4

Create or update cost booking

ActionIn the docs only

Books a cost in geoCapture from whichever system sees the expense first, and can correct that booking later through the same module.

When to use it
an approved supplier invoice in your accounting tool should appear as a cost in geoCapture.
Watch out
a correction and a brand-new booking look alike here, so run it once on a test invoice to see which one you get.
geoCapture5

Create or update department

ActionIn the docs only

Mirrors your company structure in geoCapture by adding a department or bringing an existing one in line with its latest details.

When to use it
your HR tool is the reference for teams, and geoCapture should follow whenever a department is created or renamed there.
Watch out
if employees are attached to departments, run this module before the one that creates them.
geoCapture6

Create or update employee

ActionIn the docs only

Spares you entering each new hire twice: the employee record in geoCapture is created or refreshed from the data your scenario carries.

When to use it
an onboarding form or HR app already holds the new colleague's details and geoCapture needs them as well.
Watch out
employee data is personal data, so map only the fields geoCapture actually needs.
geoCapture7

Create or update employee absence

ActionIn the docs only

Records a leave or a sick day in geoCapture once it is approved elsewhere, and adjusts the record if the absence changes.

When to use it
absences are approved in a leave calendar while site managers plan their crews in geoCapture.
Watch out
a cancelled absence calls for the Delete employee absence module, not this one.
geoCapture8

Create or update employee accounting entry

ActionIn the docs only

Posts an accounting entry against an employee in geoCapture, or corrects one already posted, straight from the tool where the figure originates.

When to use it
an expense report approved in another app should reach the employee's record in geoCapture.
Watch out
to remove an entry posted by mistake, reach for Delete employee accounting entry instead.
geoCapture9

Create or update employee stamp

ActionIn the docs only

Brings an employee stamp into geoCapture from another source, or corrects an existing one, so attendance records live in a single place.

When to use it
stamps collected by another terminal or a form app need to end up in geoCapture.
Watch out
the doc does not describe the stamp fields; read the list Make shows after connecting before mapping anything.
geoCapture10

Create or update file

ActionIn the docs only

Places a file in geoCapture, or replaces an existing one, directly from a scenario: a signed report, a site photo, a delivery note.

When to use it
documents arrive by email or in a cloud drive and belong with the matching record in geoCapture.
Watch out
on the Free plan Make handles files up to 5 MB, so large scans may need a paid plan.
geoCapture11

Create or update location

ActionIn the docs only

Keeps the geoCapture list of locations accurate, adding a new site or updating one whose details have changed.

When to use it
a new construction site is signed in your CRM and the crews need to find it in geoCapture.
Watch out
if geoCapture asks for coordinates your source does not have, place the Geocode module earlier in the scenario.
geoCapture12

Create or update maintenance

ActionIn the docs only

Creates a maintenance entry in geoCapture, or updates it, so equipment upkeep is tracked alongside the tools themselves.

When to use it
a technician reports a fault through a form app and the machine needs a maintenance entry.
Watch out
keep this module for the maintenance itself; the work carried out afterwards goes through Create or update maintenance log.
geoCapture13

Create or update maintenance log

ActionIn the docs only

Writes what was actually done during a maintenance into the geoCapture log, or completes a line written earlier.

When to use it
a technician closes a job in a mobile form and the log should reflect the repair.
Watch out
check in a Run once test that the line attaches to the maintenance you expect, not to a neighbouring one.
geoCapture14

Create or update order

ActionIn the docs only

Turns a request from another tool into a geoCapture order, or updates that order when the request changes.

When to use it
orders are confirmed in your online shop or ERP while dispatch works from geoCapture.
Watch out
an order created by mistake is removed with Delete Order, and that step cannot be undone, so test with care.
geoCapture15

Create or update project

ActionIn the docs only

Gives every new job a project in geoCapture, created or refreshed from the data your scenario brings along.

When to use it
a quote accepted in your CRM should open the matching project without anyone retyping it.
Watch out
if you only ever want new projects and never updates, the Create project module is the simpler choice.
geoCapture16

Create or update tool

ActionIn the docs only

Registers a tool or machine in geoCapture, or updates its record, from the place where you first log it.

When to use it
new equipment is bought through a purchasing app and should appear among your geoCapture tools.
Watch out
retired equipment goes through Delete Tool, which removes the record for good.
geoCapture17

Create or update tool cost setting

ActionIn the docs only

Sets how a tool is costed in geoCapture, or adjusts that setting, without opening each tool by hand.

When to use it
rental or usage costs change in your pricing sheet and geoCapture should follow.
Watch out
the doc does not say what a cost setting contains; look at the fields Make displays after connecting.
geoCapture18

Create or update tracker

ActionIn the docs only

Adds a tracker to geoCapture or refreshes an existing one, so every tracking device stays on record.

When to use it
a new batch of trackers is listed in a spreadsheet and should be registered in a single run.
Watch out
each spreadsheet row becomes a bundle, and each bundle processed by this module costs an operation on your Make plan.
geoCapture19

Create or update tracker manufacturer

ActionIn the docs only

Keeps the list of tracker manufacturers in geoCapture tidy, adding a brand or correcting its record.

When to use it
you start buying trackers from a new supplier and want the brand available before registering the devices.
Watch out
a Run once test shows whether the manufacturer already existed or was just created, which the doc does not explain.
geoCapture20

Create or update wage group

ActionIn the docs only

Creates a wage group in geoCapture or updates it, so pay structures match what payroll decided.

When to use it
payroll defines a new wage group in its own tool and field teams need it in geoCapture.
Watch out
pay data is sensitive; map only the values geoCapture needs and leave the rest in payroll.
geoCapture21

Create or update wage group cost setting

ActionIn the docs only

Adjusts how a wage group is costed in geoCapture, so project costs reflect the pay grid you actually use.

When to use it
the pay grid changes after a negotiation and cost calculations in geoCapture must follow.
Watch out
if the wage group is new, run Create or update wage group earlier in the same scenario.
geoCapture22

Create or update wage group employee setting

ActionIn the docs only

Handles the employee-level side of a wage group in geoCapture, the part that concerns one person rather than the whole group.

When to use it
an employee moves to another wage group after a promotion recorded in your HR tool.
Watch out
the doc does not say which settings this covers, so compare with the geoCapture screen before mapping.
geoCapture23

Create or update webhook

ActionIn the docs only

Sets up a webhook in geoCapture, or changes one, so geoCapture can call an address of your choice when something happens there.

When to use it
you want geoCapture to notify another tool and prefer configuring that from Make rather than by hand.
Watch out
geoCapture has no instant trigger in Make, so this module does not make your own scenario start by itself.
geoCapture24

Create or update webhook application

ActionIn the docs only

Creates or updates a webhook application in geoCapture. The doc gives no detail on what this object holds, so treat it as a setting for technical users.

When to use it
someone on your team already knows the geoCapture webhook setup and wants to script it.
Watch out
a mistake here can stop notifications other tools rely on; test with Run once before switching the scenario on.
geoCapture25

Create project

ActionIn the docs only

Opens a brand-new project in geoCapture and nothing else, which makes it the clearest option when every run should add a project.

When to use it
each signed contract means a new job, never an update of an old one.
Watch out
running it twice on the same contract gives you two projects; switch to Create or update project if duplicates are a risk.
geoCapture26

Create repeat order

ActionIn the docs only

Sets up a repeat order in geoCapture from a scenario, for deliveries that come back rather than happen once.

When to use it
a customer signs a recurring supply contract in your CRM and dispatch should see it in geoCapture.
Watch out
the doc does not say how the repetition is defined; look at the fields Make offers after connecting.
geoCapture27

Create tracker cost setting

ActionIn the docs only

Adds a cost setting to a tracker in geoCapture, so what the device costs shows up in your figures.

When to use it
a tracker enters service and its cost terms come from your purchase records.
Watch out
unlike most of its neighbours, this module only creates; no module in the list updates an existing tracker cost setting.
geoCapture28

Create transport order

ActionIn the docs only

Creates a transport order in geoCapture, ready for the team that moves goods or equipment.

When to use it
a sale in your shop requires a delivery organised from geoCapture.
Watch out
the module only creates; to follow orders afterwards, Request order delivery status is the one to add later, and a Run once shows what it returns.
geoCapture29

Delete Order

ActionIn the docs only

Removes an order from geoCapture when it is cancelled at the source, so both tools agree on what is still open.

When to use it
a customer cancels in your shop and the order must disappear from geoCapture too.
Watch out
a delete cannot be undone from Make, so try it on a dummy order with Run once first.
geoCapture30

Delete Tool

ActionIn the docs only

Takes a tool off the geoCapture records once it leaves your fleet, keeping the list limited to what you really own.

When to use it
equipment sold or scrapped is marked as such in your asset sheet.
Watch out
the record is gone after this step; keep a copy elsewhere if your accounting needs the history.
geoCapture31

Delete employee absence

ActionIn the docs only

Cancels an absence in geoCapture when the leave request is withdrawn elsewhere, so planning shows the person as available again.

When to use it
an employee withdraws a holiday request in your HR tool.
Watch out
the module needs to know which absence to remove, so the scenario must carry its reference from an earlier step.
geoCapture32

Delete employee accounting entry

ActionIn the docs only

Removes an accounting entry from an employee's record in geoCapture, for example an expense posted twice.

When to use it
your finance team rejects an entry after it was already sent to geoCapture.
Watch out
there is no undo; when a correction is enough, Create or update employee accounting entry is the safer path.
geoCapture33

Delete file

ActionIn the docs only

Clears a file out of geoCapture when it has no reason to stay there, which keeps records free of stale documents.

When to use it
an outdated document is replaced by a newer version uploaded with Create or update file.
Watch out
deletion is final, so check in a test run that the scenario targets the right file.
geoCapture34

Delete webhook

ActionIn the docs only

Switches off a webhook in geoCapture by removing it, so geoCapture stops calling that address.

When to use it
the tool that received those notifications is being retired.
Watch out
any automation listening to that webhook stops receiving anything, so warn whoever owns it before you run this module.
geoCapture35

Fetch job status

ActionIn the docs only

Tells your scenario where a geoCapture job stands, so later steps act on a known state instead of a guess.

When to use it
you started a task in geoCapture whose result is not immediate, and the scenario should check on it.
Watch out
the doc does not describe the possible statuses; read them in a Run once test before building on them.
geoCapture36

Fetch tool data

ActionIn the docs only

Pulls a tool's data out of geoCapture and into your scenario, where other apps can use it.

When to use it
a maintenance report kept in a spreadsheet needs the tool's details written next to it.
Watch out
it reads without changing anything, yet each call still counts as an operation on your Make plan.
geoCapture37

Form data detailed data

ActionIn the docs only

Going by its name, this module brings the detailed content of a geoCapture form into your scenario, answers included.

When to use it
answers captured on site should be copied into a report or a shared spreadsheet.
Watch out
the doc lists no fields, so run it once and open the bundle to see exactly what comes back.
geoCapture38

Form data log

ActionIn the docs only

Retrieves the log of a geoCapture form, useful to see what happened to it rather than what it contains.

When to use it
a manager wants a trace of form activity inside another tool.
Watch out
pick Form data detailed data instead when you need the answers themselves, since the log and the content are separate modules.
geoCapture39

Form data status

ActionIn the docs only

Checks the status of a form in geoCapture and hands it to the next module, which can then decide what to do.

When to use it
the scenario should act only once a form reaches a given status.
Watch out
statuses are not described in the doc; read them from a test run before you rely on them.
geoCapture40

Geocode

ActionIn the docs only

Turns an address into map coordinates through geoCapture, so the next module can place it precisely.

When to use it
addresses come from a CRM or a web form and geoCapture needs a position for them.
Watch out
the doc does not say what happens with an incomplete address, so test with real ones before switching on.
geoCapture41

Import bill of quantities

ActionIn the docs only

Going by its name, you get a bill of quantities into geoCapture straight from your scenario instead of loading it by hand. The doc gives no description, so check what geoCapture expects before you map anything.

When to use it
a project is set up in another tool and its quantity list should land in geoCapture too.
Watch out
click Run once and open the bundle the module returns before you switch the scenario on.
geoCapture42

Import file

ActionIn the docs only

A file coming from another app ends up inside geoCapture without anyone downloading and re-uploading it. Pick it over Create or update file when the name fits your case better, since the doc does not explain the difference between the two.

When to use it
a document arrives in another tool of your stack and belongs in geoCapture.
Watch out
on the Free plan, files are capped at 5 MB, so a heavy file can stop the run.
geoCapture43

Make an API Call

ActionIn the docs only

You keep a way out when the other 49 modules fall short: it calls any endpoint of the geoCapture API with the connection you already set up, so there is no second login to manage.

When to use it
you need a geoCapture action that no listed module offers.
Watch out
Make documents this app only partially, so the endpoint and its parameters come from geoCapture's own API reference, not from Make.
geoCapture44

Receive new employee event

ActionIn the docs only

You handle a new employee event inside your scenario. Despite its name, Make lists this module as an action, not a trigger, so it will not start a scenario on its own: something earlier in the flow has to run first, like the schedule of the first module or another app.

When to use it
your running scenario must react to a new hire.
Watch out
test with Run once and read what comes back, because the doc does not say what the module returns.
geoCapture45

Receive new project event

ActionIn the docs only

You pick up a new project event inside your scenario. Like its employee twin, it is typed as an action. Put it after a starting point, such as a trigger from another app or the scenario's schedule (every 15 minutes by default), because it cannot open the flow.

When to use it
your scenario handles project creation and needs the matching event from geoCapture.
Watch out
one operation, meaning one run of one module on one bundle, is counted each time it executes.
geoCapture46

Request order delivery status

ActionIn the docs only

Your scenario asks geoCapture where an order stands on delivery, so a customer update or a follow-up task can use that answer. Going by its name, it reads the order without changing it.

When to use it
a support ticket or a customer message mentions an order and the reply needs its delivery status.
Watch out
map the order reference from an earlier module; without it, the request has nothing to look up.
geoCapture47

Request order details

ActionIn the docs only

Where the delivery status module gives one answer, this one pulls the full order record back into the scenario so later modules can reuse its data, for a report, an invoice line or a message.

When to use it
an order was just created with Create or update order and the next step needs everything geoCapture stored about it.
Watch out
the doc lists no fields, so read the bundle after Run once to see what you can map.
geoCapture48

Reverse geocode

ActionIn the docs only

Turns coordinates into a readable address, the reverse of what Geocode does. Handy when a device or a form gives you a position and a person needs a street name to act on it.

When to use it
a location comes in as coordinates and has to appear in an email, a sheet or a location record.
Watch out
each lookup is one operation on your plan, so filter the bundles you really need before this module.
geoCapture49

Update status approval center

ActionIn the docs only

An approval request created in geoCapture moves forward without anyone opening the app: the scenario changes its status when the decision is made somewhere else.

When to use it
a manager approves in a form or a chat tool, and geoCapture should reflect it on the scenario's next run.
Watch out
the request must already exist; if not, create it first with Create approval center and map its reference into this module.

FAQ

geoCapture and Make: frequent questions

01Is the geoCapture Make integration free?
Yes, geoCapture is a standard app in Make, so it works from the Free plan. That plan comes with limits: 2 active scenarios, at least 15 minutes between two scheduled runs, 5 minutes of execution per run, files up to 5 MB and 512 MB of data transfer. Paid plans (Core, Pro, Teams and Enterprise) bring the interval down to 1 minute, remove the cap on active scenarios and count usage in operations per month. Your geoCapture subscription is a separate matter that this page does not cover.
02What do you need to connect geoCapture to Make?
A geoCapture account and a Make account. The Make documentation lists no prerequisite for geoCapture and no specific connection steps, so the generic flow applies: add a geoCapture module, click Create a connection, name it if you like, then authorize Make on the geoCapture page or paste the key geoCapture provides, and click Save. The connection is stored once and every geoCapture module can reuse it. If authorization fails, ask your geoCapture administrator which access your account has.
03Can geoCapture start a Make scenario in real time?
No, not through a trigger: geoCapture has no trigger module in Make, neither scheduled nor instant. A scenario that uses geoCapture starts in one of two ways. Either another app's trigger opens it, for example a new deal in your CRM, or Make runs it on a schedule, every 15 minutes by default, down to 1 minute on paid plans. The list does include modules named Receive new employee event and Receive new project event, typed as actions; the doc does not explain how they behave, so test them before counting on them.
04What if a geoCapture module you need is missing in Make?
Use Make an API Call. geoCapture offers that module, and it calls any endpoint of the geoCapture API with the connection you already set up, so you are not limited to the 49 listed modules. Keep in mind that Make's documentation for geoCapture is limited and gives no field details, so you will need geoCapture's own API reference to build the call. Test it with Run once and read the bundle before switching the scenario on.
05Should you use Make or n8n for geoCapture?
It depends on the tool your team already uses. On the Make side, geoCapture comes with 49 action modules and Make an API Call, and it runs from the Free plan. Many apps also have an n8n node, so check whether geoCapture has one before choosing. Neither tool is ranked here: the practical test is whether the modules you need exist and whether your scenarios stay within your plan. The n8n vs Make comparison, linked higher up this page, sets the two side by side.
