Overview

What the Lawmatics Zapier integration actually does

It lets Zapier watch Lawmatics for new matters, contacts, appointments, notes and form entries, and write back into it: create or update a contact, a company or a matter, book an appointment, submit a custom form. You set it up once as a Zap, and it runs every time the event happens.

Three results come back again and again. First, a form that turns into a matter: Filled Out a Form feeds Create Matter, so nobody retypes an intake. Second, a CRM that stays current: Find Contact checks whether a person is already there before Create Contact adds a twin, and Update Contact or Update Company rewrite a record when a detail moved in another tool. Third, other tools told about the firm's activity: Matter Converted, Appointment Created or New Note Created start a Zap that passes the news on.

Now the limits. None of the 8 triggers is instant: Zapier checks Lawmatics on a timer, so on the free plan a new matter can wait up to 15 minutes before anything moves. There is no delete action, and no find-or-create shortcut on the 5 searches: creating a missing record takes its own step. Nothing that existed before the Zap was switched on gets picked up either.

The trigger never costs a task, however often Zapier checks Lawmatics. Each action that succeeds counts once, so a Zap that creates a contact and then a matter eats two tasks per run; an action that fails is not billed. The catch: the free plan only builds two-step Zaps, one trigger and one action. Add a filter, a second action or a search such as Find Matter, and the Zap becomes multi-step and needs a paid plan.

    Open your connections

    In Zapier, go to the Apps page of your account and click + Add connection. A connection is your Lawmatics account linked once, then reused by every step that touches it.

    Pick Lawmatics

    Type Lawmatics in the search box of the dialog that appears, select it in the results, then click Add connection. A new tab opens on the Lawmatics side.

    Sign in and allow access

    Sign in to Lawmatics in that tab and grant Zapier access. You need an account on the app, plus read or write rights on any record you do not own and want the Zap to touch.

First Zap

Your first Lawmatics Zap

GoalWhen someone fills out a custom form, find the matching matter and update it.

    Build the trigger

    Create a Zap, choose Lawmatics as the app and Filled Out a Form as the event, then select your connection and the Custom Form to watch.

  2. 02

    Test it on a real entry

    Run the test: Zapier brings back the three most recent entries of that form. Pick one that looks like the entries you expect, so the mapping is done on real data.

    Add the search

    Add Find Matter, set the Search Type to email, name or phone, and map the matching answer of the form into the Value field.

    Add the update

    Add Update Matter, fill First Name (it is required) and map the form answers that should change. In the test, open the matter in Lawmatics and check it is the one Find Matter returned.

    Test, then publish

    Test each step and read what came back. When all three look right, publish the Zap to switch it on. Three steps means a paid plan.

Create Appointment

Action

In Zapier“Create a new Appointment.”

Books an appointment in Lawmatics. It is the most demanding action of the app: Event Name, All Day, Start Date, End Date, Attendee Type, Attendee ID and Description are all required.

When to use it
when a meeting agreed elsewhere has to appear on the firm's side.
Watch out
the Attendee ID has to come from an earlier step, often a search.

Creates a company record in Lawmatics. Company Name is the one field it insists on.

When to use it
when the organization behind a contact needs its own record, created as soon as it appears elsewhere.
Watch out
pair it with Find Company if the same name can come back twice.

Adds a new contact to Lawmatics from the values the earlier steps carried. Only First Name is required, the rest you map as needed.

When to use it
when people show up in another tool first and should exist in the CRM too.
Watch out
run Find Contact first if the person may already be there, so you do not end up with two records.

Submit Custom Form Entry

Fills out one of the firm's custom forms with values from earlier steps, exactly as if someone had answered it. You choose the Custom Form first, then map its answers.

When to use it
when answers collected outside Lawmatics should go through the same form as everyone else.
Watch out
a Filled Out a Form Zap on that form will fire again.

Opens a new matter in Lawmatics from mapped values, with First Name as the only required field. Zapier lists it among the featured actions of the app.

When to use it
when an inquiry captured in another app should land in the CRM as a matter, straight away.
Watch out
a Zap triggered by Matter Added must not end with this action.

Rewrites the values of a company already in Lawmatics. Company Name is required here as well.

When to use it
when company details are kept up to date in another system and Lawmatics must match it.
Watch out
Company Name has to be filled even if the name itself has not changed, so map it from the earlier step.

Changes an existing contact rather than adding one. First Name stays required even on an update.

When to use it
when a detail changed in another tool and the CRM record should follow.
Watch out
First Name must be mapped on every run, even when the only thing you want to change is a phone number or an email.

Edits a matter that already exists, from the values the Zap brings. Zapier features it, and First Name is required.

When to use it
when new information about a file arrives through a form or another app and belongs on the matter.
Watch out
combined with Matter Updated as the trigger, it creates a loop.

A search step looks up something that already exists in Lawmatics and hands it to the steps that follow. In the editor, the five searches sit at the bottom of the Action event list, under SEARCH. Any search makes the Zap multi-step, so it needs a paid plan.

Looks for a company by email, name or phone. You set the Search Type, then the Value to look for, both required.

When to use it
just before Update Company or Create Company, to know whether the organization already exists.
Watch out
how strict the match is gets decided by Lawmatics, not Zapier.

Finds an existing contact from an email address, a name or a phone number, chosen in Search Type, with the value mapped in Value.

When to use it
to avoid twin records before creating a contact, or to fetch a person's details for a later step.
Watch out
several matches keep the first by default.

Brings back a matter that matches an email, a name or a phone. Search Type and Value are both required.

When to use it
when a form entry or a message has to be tied to the matter it belongs to, as in the first Zap above.
Watch out
nothing found stops the Zap unless you change the setting.

Get Matter

Search

In Zapier“Find a Matter by ID.”

Unlike Find Matter, this one needs the exact matter ID and returns that single matter. The ID field is required.

When to use it
when an earlier step already carries the ID and you only need the full matter.
Watch out
a name or an email will not work here, only the ID.

Get User

Search

In Zapier“Find User by ID.”

Fetches a Lawmatics user, meaning someone working in the account, from their ID, which is required.

When to use it
when a step holds a user ID and the next one needs that person's details.
Watch out
it looks up users of the firm's account, not contacts.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap and the steps that relied on it are skipped. Switch it on and the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into a find-or-create. None of the Lawmatics searches offers it, so creating a missing record takes a separate action.
  3. If multiple search results are found?
    Three ways out when several records match: keep the first one (the default), stop the Zap, or hand all of them on at once.
When it breaks

When the Lawmatics Zap breaks

Zapier attaches no help article and no documented limit to Lawmatics. What breaks is what breaks on any polling app.

  • The old matters never come through

    A Zap only reacts to what happens after it is switched on. Matters, contacts and notes created before stay where they are; moving that backlog is a separate job.
  • The Zap keeps restarting itself

    Matter Updated feeding Update Matter, or Contact Created feeding Create Contact: the Zap writes where its own trigger watches and loops, eating tasks fast.
  • A bulk import goes quiet

    After a mass import or a migration, a trigger can return a huge batch at once. Zapier's flood protection can then hold it back instead of running everything.
  • The same record does not fire twice

    Zapier remembers what it has already seen on a polling trigger. An item it has already counted will not start the Zap again, even if you expect it to.

Lawmatics Zapier integration: FAQ

01Is the Lawmatics Zapier integration free?
Yes, as long as the Zap stays at two steps. Lawmatics is not a premium app, so the free plan can use it with 100 tasks a month and unlimited Zaps. The limit is the shape of the Zap: one trigger and one action. As soon as you add a filter, a search such as Find Matter or a second action, the Zap becomes multi-step and needs a paid plan. Checks also run every 15 minutes on the free plan, against 2 minutes on Professional.
02How many tasks does a Lawmatics Zap use?
One per action that succeeds, per run. The trigger costs nothing, however often Zapier checks Lawmatics for new matters, contacts or notes. A Zap that creates a contact and then a company bills two tasks each time it runs. An action that fails is not counted. Keep an eye on loops: a Zap that writes where its trigger watches restarts itself and can empty a 100-task month quickly. A few apps and actions take more than one task when they complete.
03Does the Lawmatics integration run in real time?
No. All 8 Lawmatics triggers are polling triggers: Zapier asks Lawmatics for new items at a fixed interval instead of being told the moment something happens. That interval depends on the plan: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. On paid plans you can also run a check by hand from the editor. The type of trigger is set by the app itself, so it cannot be switched to instant from Zapier.
04What does it take to connect Lawmatics to Zapier?
A Lawmatics account, plus read or write access on anything you do not own and want the Zap to touch. The connection takes three moves: open the Apps page in Zapier and click + Add connection, search for Lawmatics and confirm with Add connection, then sign in to Lawmatics in the new tab and grant access. If you plan to use forms, connect with an account that can see the firm's custom forms, since both form operations ask you to pick one.
05Why does a Matter Updated Zap run over and over?
Because it probably writes back into the matter it watches. If the Zap starts on Matter Updated and ends with Update Matter on the same Lawmatics account, each update counts as a new change, which starts the Zap again. The same happens with Contact Created followed by Create Contact. The result is a loop that keeps billing tasks. Break it by sending the change to another tool instead of back into the same Lawmatics account.
06What if the Lawmatics operation you need is not listed?
Then Zapier does not offer it for Lawmatics today: the 21 operations on this page are the complete visible list, with no delete action and no find-or-create search. The usual way around is to combine what exists, for instance a search followed by a create action when nothing was found. If the step truly is missing, no setting in the editor adds it: the list of operations is decided by the app, and the page of each app on zapier.com shows the current one.
07Zapier, Make or n8n for Lawmatics?
It depends on the criterion, not on a winner. On Zapier, Lawmatics comes with 21 ready operations and a three-move connection, and the free plan covers two-step Zaps. If cost per run matters most, compare how each tool bills: Zapier counts every successful action as a task.
