What the Lawcus Zapier integration does for a law practice

Lawcus is practice management software for lawyers: matters, leads, contacts, tasks, time and invoices in one place. The Lawcus Zapier integration lets those records start a Zap, the automation you build on Zapier (one trigger, then one or more actions), and lets a Zap write back into Lawcus. All 18 triggers are instant, which changes the maths on the free plan.

Three results worth building. Intake that sets up the work: Lead Converted to Matter starts a Zap and Add Task to Matter puts the first to-do on the new file. Leads that arrive from elsewhere: a form or another app feeds Create Lead (Person) or Create Lead (Company), with Find Lead in front to avoid adding someone twice, which makes it a multi-step Zap on a paid plan. Billing that leaves Lawcus: New Invoice Generated or Invoice State Changed passes each invoice, or its new status, to the tool that tracks payments.

What Zapier does not do here: there is no delete action, so nothing gets removed from Lawcus through a Zap. A Zap also never reaches records created before it was switched on. And Lawcus fields often expect an identifier (Matter Id, Lead id, Id) rather than a name, which is why the searches matter so much.

An action that fails is not counted, and a few apps and actions take more than one task. The free plan gives 100 tasks a month and two-step Zaps only. A filter, a search or a second action makes the Zap multi-step, which needs a paid plan, so a Find Matter in front of Add Note to Matter already rules out the free plan. Lawcus is not a premium app. Every Lawcus trigger is instant, so the interval grid below does not apply to any of them.

Connect your Lawcus account in three steps

    Sign in to Zapier and open the Apps page of your account. Connections live there: an account linked to Zapier once, then reused by every Zap. You need an existing Lawcus account to go further.

    Create a Zap, pick Lawcus as the app that starts it and Matter Moved to Stage as the event, then select your Lawcus connection.

    Run the test. Zapier brings back the three most recent matter moves of the account, so you map the next steps on a real matter.

    Add the filter

    Use the plus icon under the trigger and add a Filter on the stage field: a text rule, then the stage name. A number rule on a text field never passes.

Most Lawcus actions want an identifier, not a name. A search step fetches the record first and hands its identifier to the next step. In the editor, searches sit at the bottom of the Action event list under SEARCH, and some fields offer + Add search step to insert one in place.

Watch out
whether the name must match exactly or only closely is decided by Lawcus, so test it with a real pipeline name first.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and skips the steps that depended on it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    On apps that offer it, this box turns a search into find-or-create. Lawcus exposes no find-or-create variant, so its searches only ever look.
  3. If multiple search results are found?
    Three ways out: keep the first match, which is the default, stop the Zap, or hand every match on at once.

  • The Zap that feeds itself

    New Task with Add Task to Matter, New Time Entry with Create Time Entry: when an action writes where the trigger watches, the Zap restarts itself and burns tasks fast.
  • No backfill of old records

    A Zap only reacts to what happens after it is switched on. Matters, leads and invoices already in Lawcus are never picked up; moving them is a separate job.
  • Stages created by typos

    Create Matter and both lead creations take a Stage name and create the stage if it is missing. A misspelt name adds a stage instead of failing.
  • Bulk imports held back

    A sudden huge batch, after a bulk import or a migration, can be held back by Zapier's flood protection instead of running all at once.
  • Searches that find nothing

    By default, a search that comes back empty stops the Zap and skips the steps that needed it. Turn the setting on only if those steps can run without it.
  • Identifiers, not names

    Many Lawcus fields want an Id: Matter Id, Lead id, Workflow Id. Map the identifier from a trigger or a search rather than typing a name by hand.

Lawcus and Zapier: common questions

01Is the Lawcus Zapier integration free?
Yes, on the free plan, within its limits. Lawcus is not a premium app, so it is not held back for paid plans. The free plan gives 100 tasks a month and builds Zaps of one trigger and one action: Lead Converted to Matter followed by Add Task to Matter fits. As soon as a Zap needs a filter, a search such as Find Matter, or a second action, it becomes multi-step and needs a paid plan. With Lawcus, that happens quickly, because many actions expect an identifier a search has to fetch.
02How many tasks does a Lawcus Zap use?
One per successful action, nothing for the rest. None of the 18 Lawcus triggers costs a task. Each action that completes, such as Create Matter or Add Note to Lead, counts once, so a Zap with three actions uses three tasks per run. An action that fails is not billed. Adding a search or a filter makes the Zap multi-step, which needs a paid plan. A few apps and actions take more than one task, so check the steps placed after Lawcus.
03Does Lawcus send events to Zapier in real time?
Yes, for every trigger. All 18 Lawcus triggers are instant: Lawcus tells Zapier the moment something happens, a matter moving stage or an invoice changing state, and the Zap starts right away. That holds on every plan, the free one included, because the interval grid of the plans concerns polling triggers only. The type comes from the app's own service, so it is not a setting in the editor. A Zap built on an instant trigger shows a lightning bolt in the editor.
04What does it take to connect Lawcus to Zapier?
A Lawcus account and a Zapier account. In Zapier, open the Apps page, click + Add connection, search for Lawcus, click Add connection, then sign in to Lawcus in the tab that opens and grant access. If the Zap will touch matters, leads or contacts you do not own, your account needs read or write access to them. Once made, the connection is reused by every Zap and every step that uses Lawcus, triggers, actions and searches alike.
05Which Lawcus fields need an ID rather than a name?
Several of them, and they are the ones to plan for. Add Note to Lead needs a Lead id, Create Communication a Matter Id, the update actions an Id, and User Activated Workflow both a Workflow Id and a Matter Id. Map the identifier from the trigger when it carries one. Otherwise, place a search before the action: Find Lead for a lead, Find Matter or Find Newest Matter by Client for a matter, Find Contact for a person or a company. Remember that the search makes the Zap multi-step, so it needs a paid plan.
06What if the Lawcus operation you need is not on Zapier?
Then it is not in this integration today. Lawcus offers 18 triggers, 20 actions and 8 searches, but none of them deletes a record. Its searches only look things up: no find-or-create variant exists, so a missing record is not created on the fly. If the job falls outside the 46 operations listed on this page, it needs another route, outside the Zapier app for Lawcus. Before that, check whether a search followed by an update action already covers the case.
