What the LawnPro Zapier integration is for

LawnPro is where visits to properties get scheduled, then invoiced and paid. The Zapier integration lets other apps react when a visit closes, a payment comes in or a customer goes quiet, and lets them write back: customers, estimates, invoices, to-dos. You build it once as a Zap, and it runs on every event.

Three results justify the setup. Billing that follows the work: Close Visit starts a Zap that ends in Create Invoice, so a finished visit does not wait for someone to bill it. Follow-ups nobody forgets: Property Not Serviced or Inactive Customer (30, 60 or 90 days without activity) turn into a Create To-Do. Money news passed on: New Payment and New Invoice tell another tool as soon as they happen.

The best news for a free plan: 7 of the 9 triggers are instant. LawnPro tells Zapier the moment the event happens, so the 15-minute free-plan interval does not apply to them. Only New Expense and New Property are checked on a timer.

What Zapier does not do here: there is no delete action, no way to update an invoice once created, and no find-or-create on the 3 searches. A trigger never costs a task, instant or polling. Each action that succeeds counts once: a Zap that creates a customer and then an estimate bills two tasks per run, and a failed action is not counted. The trap of the free plan is the size of the Zap: one trigger, one action, nothing more. Add a filter, a second action or a search like Find Customer and the Zap turns multi-step, which needs a paid plan. The interval grid below only concerns New Expense and New Property.

    Open the Apps page of your Zapier account and click + Add connection. A connection is your LawnPro account linked once, then reused by every step that needs it.

when a customer's details change in another system and LawnPro should follow.

the Customer field is required, so every run must carry a value that points to one customer already in LawnPro.

When to use it
before Update Customer, or before Create Customer to avoid a duplicate.

the value must match exactly; a near spelling of the business name finds nothing.

Retrieves a payment from its transaction ID, the one shown in LawnPro. Search Field and Search Value are both required.

When to use it
when another app holds a transaction ID and the Zap needs the full payment.
Watch out
this search works on the transaction ID, not on an amount or a customer name.

Find Property

Search

In Zapier“Find an existing property by name, property ID, or customer ID.”

Finds a property by its name, its property ID or the customer ID it belongs to.

When to use it
just before Update Property, so the edit lands on the right record.
Watch out
the name or the numeric ID must match exactly what LawnPro holds.

The three settings every search exposes

  1. Successful if no search results are found?
    On its default, a search that finds nothing stops the Zap and skips the steps that relied on it. Switched on, the Zap carries on without the result.
  2. Create X if it doesn't exist yet?
    This box would turn a search into a find-or-create. No LawnPro search offers it, so creating a missing customer is a separate action.
  3. If multiple search results are found?
    Three options when several records match: keep the first one (the default), stop the Zap, or pass all of them along at once.
When it breaks

When a LawnPro Zap breaks

Zapier attaches no help article and no documented limit to LawnPro. The failures come from how Zapier works in general.

  • Past visits and payments never show up

    A Zap only reacts to what happens after it is switched on. Visits closed or payments received before stay where they are; moving that history is a separate job.
  • The Zap feeds itself

    New Invoice ending in Create Invoice, New Customer in Create Customer, New To-Do in Create To-Do: the Zap writes where its trigger watches and loops, burning tasks.
  • A bulk import gets held back

    After a mass import of properties or expenses, a polling trigger can return a huge batch at once, and Zapier's flood protection may hold it back.
  • An item never fires twice

    On New Expense and New Property, Zapier remembers what it has already seen, so an item it counted once will not start the Zap a second time.

01Is the LawnPro Zapier integration free?
Yes, for two-step Zaps. LawnPro is not reserved for paid plans, so the free plan can use it, with 100 tasks a month and unlimited Zaps. The limit is the shape of the Zap: one trigger and one action. A filter, a search such as Find Customer or a second action makes it a multi-step Zap, and that needs a paid plan. The good news is that 7 of the 9 triggers are instant, so the free plan does not slow them down.
02How many tasks does a LawnPro Zap use?
One task per successful action, per run. The trigger is free, whether it is an instant one like Close Visit or a polling one like New Expense. A Zap that creates a customer and then an estimate bills two tasks each time. Failed actions are not counted. The real risk is a loop: a Zap that starts on New Invoice and ends with Create Invoice keeps restarting itself and can use up a 100-task month quickly.
03Does the LawnPro integration work in real time?
Mostly, yes. Seven triggers are instant: Close Visit, Inactive Customer, New Customer, New Invoice, New Payment, New To-Do and Property Not Serviced. LawnPro tells Zapier the moment they happen, whatever the plan. The two exceptions are New Expense and New Property, which Zapier checks on a timer: every 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. Whether a trigger is instant is decided by the app, not by a setting in Zapier.
04What does it take to connect LawnPro to Zapier?
A LawnPro account, plus read or write access on any record you do not own and want the Zap to touch. Connecting takes three moves: open the Apps page in Zapier and click + Add connection, search for LawnPro and confirm with Add connection, then sign in to LawnPro in the new tab and grant access. For invoices and estimates, keep in mind that the Customer field takes a business name and the Item Rate is entered without tax.
05Why does Find Customer return nothing?
Usually because the value is not an exact match. Find Customer, like Find Property, needs exactly what LawnPro holds: the same business name, the same email address or the numeric customer ID. A spelling difference or an extra word is enough to come back empty. By default, an empty search then stops the Zap and skips the steps after it. You can switch on Successful if no search results are found? to let the Zap continue, but the later steps will run without the customer.
06What if the LawnPro operation you need is not there?
Then Zapier does not offer it for LawnPro today. The 18 operations on this page are the full visible list: no delete action, no invoice update, no find-or-create. The usual workaround is to combine what exists, for example a search followed by an update. If a step really is missing, no setting in the editor adds it, since each app decides its own operations; its page on zapier.com shows the current list.
