Aarven Zapier integrationAutomate Aarven with Zapier.

The Aarven Zapier integration gives you 0 triggers, 1 action and 0 searches. So Aarven never starts a Zap: it is where a Zap ends, with a booking in your books. This page covers that one action, the fields it insists on, and what each run costs.

Beta app Zapier still marks this integration as beta.

Overview

What the Aarven Zapier integration actually does

The Aarven Zapier integration lets other apps post simple debit and credit bookings into your Aarven accounting. Something happens elsewhere, a payment or a sale, and Zapier writes the matching entry. It only writes: Aarven cannot start a Zap, and a Zap cannot read anything back from it.

Card payments booked without typing. A Zurich design studio takes deposits by card. Each payment becomes a booking through Create Booking, debiting the bank account and crediting revenue, ready for month-end.

Drafts for the fiduciary to check. A small firm that hands its books to a fiduciary wants entries prepared but not final. With Post Immediately switched off, each booking lands as a draft the fiduciary approves.

Event ticket income in one place. A cultural association sells tickets on a separate platform. Each sale posts a booking against the right revenue account, so nobody keys in receipts by hand.

What Zapier does not do here: there is no trigger, so a change in Aarven never starts anything, and there is no search, so a Zap cannot check whether a booking already exists. It handles one entry, one debit, one credit. The app is also marked beta on Zapier. Before you commit, read Make vs Zapier and n8n vs Zapier.

Vocabulary

Zapier vocabulary in one minute

Seven words come back all over this page. Here they are, in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap. With Aarven it always comes from another app, such as a payment tool.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you. Create Booking is one.
Task
The unit Zapier bills: one action the Zap completes successfully. Your plan's count is a count of those.
Polling vs instant
A polling trigger is checked on a timer for new items. An instant trigger is reported by the app itself, the moment the event happens.
Filter
A step that lets the Zap carry on only when what arrived meets the condition you set, and stops it otherwise.
Connection
Your Aarven account linked to Zapier once, then reused by every Zap that posts a booking there.
Cost

What a booking really costs

One booking that goes through, one task.

  • Free plan100 tasks a month, unlimited Zaps
  • Free plan Zap size2 steps: 1 trigger, 1 action
  • Paid plan required for the appNo
  • BilledEach successful booking

Each Create Booking that succeeds counts as one task; one that fails counts for nothing. The trigger in the other app never costs a task, however often Zapier checks it. Aarven is not among the apps Zapier keeps for paid plans, so a two-step Zap works on the free plan. Add a filter or a second action and the Zap turns multi-step (anything beyond one trigger and one action), which needs a paid plan.

Connect

Connect Aarven to Zapier

  1. 01

    Open your Apps page

In your Zapier account, go to Apps and click + Add connection. Type Aarven in the search box of the dialog, then pick it straight from the list of results.

  2. 02

    Sign in to Aarven

Click Add connection. A tab opens on Aarven: sign in with the account that keeps the books, or one with write access to the company you want the bookings posted in.

  3. 03

    Grant access

Allow Zapier into the account. The connection then shows in your Apps list, and every Zap that ends in Aarven reuses it from there without asking you again.

First Zap

Your first Zap: book each card payment

GoalPost a booking in Aarven for every new card payment, debiting the bank account and crediting revenue.

  1. 01

    Start from the payment tool

Create a new Zap and pick the payment app as the trigger, since Aarven has none. Test it to pull a recent payment you can map from.

  2. 02

    Add Create Booking

Add Aarven as the action, choose Create Booking and your connection. Map the payment date to Booking Date and the payment amount to Amount.

  3. 03

    Set the accounts

Fill Description, then pick the Debit Account (your bank) and the Credit Account (your revenue). Leave Post Immediately off at first, so the test lands as a draft.

  4. 04

    Add the heads-up

Add a chat step that tells the finance channel a booking was posted. Test each step once and read what came back before moving on.

  5. 05

    Publish

Click Publish to switch the Zap on. With two actions it is a multi-step Zap: it needs a paid plan, and each payment uses two tasks.

Actions

The Aarven action

Aarven gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Booking

Action

In Zapier“Creates a simple debit/credit booking in Aarven (e.g. payment received → Bank/Revenue).”

Writes a single debit and credit entry into Aarven, for instance a payment received moving from bank to revenue. Booking Date, Description, Debit Account, Credit Account and Amount are all required.

When to use it
a studio that wants each card deposit in its books without typing.
Watch out
with Post Immediately switched off, the booking is only saved as a draft and someone has to finish it in Aarven.
When it breaks

When the Aarven Zap breaks

Zapier ties no help article to Aarven, so the trouble spots below are the general ones that hit any Zap ending in this action.

  • Last month never gets booked

The Zap only reacts to payments that arrive after it is switched on. Earlier ones stay out of Aarven, and catching up is a separate job.
  • A loop between two Zaps

If another Zap watches the place where this one reports, and writes back into the trigger app, the chain restarts again and again and drains tasks.
  • A bulk import is held back

When the trigger app suddenly returns a huge batch after an import or migration, Zapier's flood protection can hold it back.
  • No double bookings from polling

On a polling trigger in the other app, Zapier remembers what it has seen, so the same payment does not create two bookings.

FAQ

Aarven Zapier integration: questions people ask

01Is the Aarven Zapier integration free?
Yes, for a two-step Zap. Aarven is not reserved for paid plans, so it runs on the free plan, which gives 100 tasks a month, unlimited Zaps and checks every 15 minutes on polling triggers. The catch is size: the free plan builds only one trigger plus one action. Add a filter, or a second action such as a chat message after the booking, and the Zap turns multi-step and needs a paid plan.
02How many tasks does an Aarven Zap use?
One per booking that goes through. Each successful Create Booking counts as one task, and a failed one counts for nothing. The trigger in the other app never costs a task, however often Zapier checks it. If your Zap also sends a message after posting, that second action counts too, so each payment uses two tasks. Count your monthly payments times your actions to size the plan. Failed runs are free.
03Can an Aarven Zap run in real time?
Aarven has no trigger of its own, so the timing depends on the app that starts the Zap. If that app's trigger is instant, the booking follows straight away whatever the plan. If it is a polling trigger, Zapier checks at a fixed interval: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. Pick the starting app with that in mind, since a trigger's type cannot be changed.
04What does it take to connect Aarven to Zapier?
An Aarven account and a Zapier account. If you post into books you do not own, as a fiduciary for a client for example, the login you use needs write access to them. The connection is made once from the Apps page with + Add connection. Before the first run, know which debit and credit accounts each booking should hit, since both fields are required. Every Zap then reuses that same connection.
05Why does Create Booking leave a draft instead of a final entry?
Because Post Immediately is switched off. When that option is disabled, Aarven saves the booking as a draft only, and someone has to finalise it inside Aarven. That is handy while you test, or when a fiduciary wants to review every entry. Once the mapping is right and you trust it, switch it on so bookings land final and stop piling up as drafts. Test with drafts, then go live.
06What if the Aarven operation you need is not listed?
Then Zapier does not offer it today. The integration has exactly one operation, Create Booking, which posts a single debit and credit entry. There is no trigger, no search and no step to update or delete a booking. If a workflow depends on something else, check whether another tool in your setup already covers it, or whether another automation platform offers it for Aarven. Plan around what exists. Nothing more, for now.
07Zapier, Make or n8n for Aarven?
It depends on the criterion, not on a winner. On Zapier, Aarven brings one action, works on the free plan for two-step Zaps and needs nothing technical beyond signing in. If you need to react to changes inside Aarven, look up existing bookings, or run long multi-step flows on a tight budget, compare what Make and n8n offer for this app and how they count runs. Choose on coverage first, then on cost.
