What the Acadify Zapier integration actually does
The Acadify Zapier integration links your Acadify academy to the other apps you use. Zapier watches Acadify for new courses, users, plans, live events or enrollments, then writes back into it: it registers users, creates courses and resources, schedules live events and enrolls learners, all without a person copying data between screens.
Three results come up again and again. A learner who lands with a full kit. Someone enrolls in a course, Get Course Enrollments picks it up, and Resourse Enrollment gives them the workbook that goes with it. A sales pipeline that feeds the academy. A deal closes in your CRM and Register a User creates the student account, with the plan already attached. A catalog that announces itself. Get Course spots each course you publish and pushes it to your newsletter tool or team chat.
Now the honest part. Every one of the 11 Acadify triggers is a polling trigger, so none of them reacts the second something happens: Zapier checks on a timer, every 15 minutes on the free plan. There is no search step either, so a Zap cannot look up an existing Acadify user or course by itself; the ID has to come from an earlier step. And the 6 actions only create or enroll. Nothing edits, archives or deletes a course, a user or a live event.
If the timing or the missing searches matter for your case, read the n8n vs Zapier comparison before you build, and keep the Zapier review at hand.
Zapier vocabulary in one minute
Eight words carry the rest of this page. Each one gets a single plain line here, then it is used as is.
- Zap
- An automation you build on Zapier. It starts with one trigger, then runs one or more actions every time that trigger event shows up.
- Trigger
- The event in an app that starts the Zap, such as a new Acadify course. Once the Zap is switched on, Zapier waits for it.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something for you, such as enrolling a learner.
- Task
- The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts how many of those you get.
- Polling vs instant
- A polling trigger is checked on a timer by Zapier. An instant trigger is pushed by the app the moment the event happens. Acadify only has polling ones.
- Filter
- A step that lets the Zap continue only when what arrived meets the condition you set, and stops it quietly otherwise.
- Search step
- A step that looks up something that already exists in an app so later steps can use it. Acadify offers none on Zapier.
- Connection
- Your Acadify account linked to Zapier once, then reused by every step of every Zap that touches Acadify.
What an Acadify Zap really costs
Acadify is not a premium app, so it runs on the free plan. The bill depends on actions, not on how often Zapier looks.
- Free plan tasks100 per month
- Free plan Zap sizeOne trigger, one action
- Premium appNo, works on the free plan
- Trigger checksFree, never billed
The trigger never costs a task, and neither do the checks Zapier runs to find new items. Each action that goes through counts once, so a Zap that registers a user and then enrolls them uses two tasks per learner. An action that fails is not counted. The catch on the free plan: a Zap stops at two steps, one trigger and one action. Add a second action or a filter and it becomes a multi-step Zap (anything beyond one trigger and one action), which needs a paid plan.
Connect your Acadify account to Zapier
- 01
Open the Apps page
In your Zapier account, go to Apps. This is where every connection lives, and the one you add here is reused by all your Acadify Zaps. You need an existing Acadify account before you start.
- 02
Add Acadify
Click + Add connection, type Acadify in the dialog, pick it from the list, then click Add connection. A new browser tab opens on the Acadify side, ready for the sign-in.
- 03
Sign in and allow access
Log in to Acadify in that tab and grant Zapier access to the account. If the Zap has to touch courses or users you do not own yourself, your login needs read or write rights on them.
Your first Zap: welcome every new user with a course and its resource
GoalEach time a user is created in Acadify, enroll them in an onboarding course and unlock the matching resource.
- 01
Create the Zap
From your Zapier dashboard, start a new Zap. Pick Acadify as the app that starts it and
Get Registered Useras the event, then choose your Acadify connection. - 02
Test the trigger
Run the trigger test. Zapier pulls the three most recent users from your account, so you can map the next steps on a real person rather than an empty sample.
- 03
Add the course enrollment
Add Acadify as the action app with
Course Enrollment. Map the user from the trigger into Select User, then pick your onboarding course in Select Course. - 04
Add the resource enrollment
Add a second Acadify action,
Resourse Enrollment. Map the same user and choose the resource. This second action makes it a multi-step Zap, so it needs a paid plan. - 05
Test, then publish
Test each action once and check the enrollments appear in Acadify. When both look right, click Publish to switch the Zap on. Each new user now costs two tasks.
Acadify triggers on Zapier
11 events start a Zap when something happens in Acadify. Zapier checks for them at the interval your plan allows.
Child Plans
Polling triggerIn Zapier“Triggers when new child plan is created.”
Starts a Zap whenever a new child plan appears under one of your Acadify plans, so a sub-offer can be mirrored in your billing or CRM tool without copying it over.
Get Course
Polling triggerIn Zapier“Triggers when a new course is created.”
Fires on each course created in your academy. It is the natural starting point for anything that should happen once per new course: an announcement, a catalog row, a task for the marketing team.
Get Course Categories
Polling triggerIn Zapier“Trigger to export course category.”
Hands each course category to the Zap, which lets another tool keep the same list of categories as your Acadify catalog instead of a hand-maintained copy that drifts.
Get Course Enrollments
Polling triggerIn Zapier“Triggers to export course enrollments”
Each time a learner joins a course, this trigger passes the enrollment on. It marks the moment a person actually signs up.
Get Documents
Polling triggerIn Zapier“Trigger to export documents”
Exports the documents of your Acadify account into a Zap, one at a time, so a file shared in the academy can also land in your storage or knowledge base.
Get Live Event
Polling triggerIn Zapier“Triggers when a new live event is created.”
Catches every new live event scheduled in Acadify. Use it to put the session where your learners and staff already look, rather than relying on them to check the platform.
Get Registered User
Polling triggerIn Zapier“Triggers when a user is created.”
Sends each newly created user to your Zap. Whether the account came from a signup, an import or another Zap, this is the hook for onboarding work.
Get Resource
Polling triggerIn Zapier“Triggers when a new resource document is created.”
Reacts to a new resource document in Acadify, the extra material that sits beside your courses, so it can be announced or logged elsewhere.
Get Resource Categories
Polling triggerIn Zapier“Trigger to export resource category.”
Passes each resource category to the Zap. Small trigger, practical use: it keeps outside tools aligned with how your library is organised.
Get Resource Enrollments
Polling triggerIn Zapier“Triggers when a resource is enrolled”
Signals each time someone is enrolled in a resource. That tells you who actually took the extra material, which a plain course enrollment does not.
Plan
Polling triggerIn Zapier“Triggers when a new plan is added.”
Starts the Zap when a plan is added in Acadify. Plans sit upstream of almost everything, so knowing about a new one early saves manual setup later.
Acadify actions on Zapier
Acadify gives you 6 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

When an Acadify Zap breaks
Zapier attaches no help article to Acadify, so the problems below are the general ones. They still cover most failures you will meet.
Most broken Acadify Zaps fall into four cases. None of them shows up as an error the first day: they appear after a migration, a bulk upload or a second Zap. When you get stuck, the Zapier troubleshooting guide walks through the usual fixes.
Old records are never sent
A Zap only reacts to what happens after you publish it. Users or courses that already existed stay where they are; moving that backlog is a separate job.The Zap keeps setting itself off
If a Zap enrolls users into resources while watching resource enrollments, it triggers itself again and again, and the task count drains fast.A big import gets held back
When a trigger suddenly returns a huge batch, after a bulk user import for example, Zapier's flood protection can pause it instead of running everything. The same item does not run twice
Zapier remembers what a polling trigger has already returned, so editing an existing course does not start the Zap again as if it were new.
