Overview

What the Néo Sphère Zapier integration is for

The Néo Sphère Zapier integration links the software real estate agencies run on to the other tools they use. A Zap, the automation you build on Zapier, either starts from something new in Néo Sphère (a contact, a property, an activity, a research) or writes into Néo Sphère from another app. All six triggers are checked on a timer by Zapier.

Three results people build it for. A property list kept elsewhere: New Property Detected passes each new listing to a spreadsheet or a reporting tool. A contact record that stays current: a search step finds the contact with Search Contact, then Update Contact changes the phone number or address coming from a form. A follow-up trail: Create Activity logs an activity against a negotiator when something happens in another tool.

Now what Zapier does not do here. None of the triggers is instant, so every one waits for the next check. Triggers only see new items: there is no trigger for a contact or a property that changes. On properties, Zapier can update but not create. Agencies and negotiators can be watched and searched, never created. And there is no delete action at all, for any kind of record. If you are still weighing Zapier against other tools, see our Zapier review and the n8n vs Zapier comparison.

Vocabulary

Zapier words, in plain English

Eight words carry this page. Each one is explained once here and then used as is.

Zap
The automation itself: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event that starts the Zap, such as a new contact or a new property appearing in Néo Sphère.
Action
What the Zap does once started: create or update an activity, a contact, a property or a research.
Task
The unit Zapier bills: one action that completes successfully. Your plan counts these, nothing else.
Polling trigger
A trigger Zapier checks on a timer, keeping only what it has not seen before. All six Néo Sphère triggers work this way.
Filter
A step that lets the Zap go on only when what arrived meets your condition, and stops it otherwise.
Search step
A step that looks up an existing record, so the next steps can use what it found, such as a contact ID.
Multi-step Zap
Any Zap beyond one trigger and one action. A filter, a search or a second action makes one, and it needs a paid plan.
Cost

What a Néo Sphère Zap costs

Néo Sphère is not a premium app, so it runs on the free plan. Zapier counts tasks, and a task is only ever a completed action.

  • Free plan100 tasks per month, two-step Zaps
  • Premium appNo
  • Instant triggers0 of 6

Watching Néo Sphère for new items is free, however often Zapier checks, and the trigger itself never costs a task. Each create or update that succeeds counts once; an action that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but only two steps each. That matters here: updating a contact or a research needs its ID, and when the earlier steps do not carry it, a search step can find it; a search makes the Zap multi-step, so paid. All six triggers are polling ones, so the grid below sets how long a new item can wait before the Zap sees it.

Connect

Connect Néo Sphère to Zapier

  1. 01

    Start from the Apps page

Open Apps in your Zapier account and click + Add connection. A connection is your Néo Sphère account linked to Zapier once, then reused by every step that touches it.

  2. 02

Find Néo Sphère and sign in

Search Néo Sphère in the dialog, pick it, then click Add connection. Sign in to Néo Sphère in the tab that opens, with the account whose agency data the Zap should read or write.

  3. 03

    Grant access

Allow Zapier into the account. You need an account on the app, plus read or write access on anything you do not own yourself and want the Zap to touch. Every Néo Sphère step then reuses this connection.

First Zap

Your first Zap: log selected new properties in a spreadsheet

GoalWhen Néo Sphère has a new property, a filter keeps only the ones you want, and a row is added to your spreadsheet.

  1. 01

    Pick the trigger

Create a Zap, choose Néo Sphère and the event New Property Detected, and select your connection. Test it: Zapier brings back the three most recent properties so you map a real one.

  2. 02

    Add a filter

Click the plus icon and add Filter. Fill the three boxes: the property field to look at, the rule, and the value to compare with. A filter makes the Zap multi-step, so this one needs a paid plan.

  3. 03

    Add the spreadsheet step

Add your spreadsheet app and its action that adds a row. Map each column to a property field from the trigger, so every row carries the details you actually read later.

  4. 04

    Test, then read the result

Run each step once and read what came back before going further. Check what the filter says about the test property, then what the spreadsheet step wrote, before you publish anything.

  5. 05

    Publish

Click Publish to switch the Zap on. Only properties added after this point go through; the ones already in Néo Sphère stay out of the spreadsheet.

Triggers

Néo Sphère triggers

6 events start a Zap when something happens in Néo Sphère. Zapier checks for them at the interval your plan allows.

1

New Activity Detected

Polling trigger

In Zapier“Triggers when a new Activity is created.”

Starts your Zap each time an activity is added in Néo Sphère, so the follow-up work logged in the agency software can travel to another tool, such as a team calendar or a shared list.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
you want each new activity copied somewhere your team already looks.
Watch out
the trigger has a Done option; test it to see which activities actually come through with your setting.
2

New Agency Detected

Polling trigger

In Zapier“Triggers when a new Agency is created.”

Fires when a new agency shows up in your Néo Sphère account. Handy when your account holds several agencies and you keep a register of them outside the software, in a spreadsheet for instance.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a new agency should appear in your internal list without anyone typing it in.
Watch out
Zapier cannot create agencies, so this flow only goes one way, out of Néo Sphère.
3

New Contact Detected

Polling trigger

In Zapier“Triggers when a new Contact is created.”

Picks up every new contact created in Néo Sphère and hands its details to the next step. This is one of the two triggers Zapier puts forward for the app, and the natural start for sending contacts to a mailing tool.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a new contact should reach your email list or your spreadsheet.
Watch out
contacts that changed, rather than new ones, do not start this Zap.
4

New Negotiator Detected

Polling trigger

In Zapier“Triggers when a new Negotiator is created.”

Reacts to a negotiator being added to the account. The Zap receives the new negotiator's record, ready to be written into a team list or another tool you keep outside Néo Sphère.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
you want each new negotiator listed in a team sheet without copying it by hand.
Watch out
negotiators cannot be created from Zapier, only detected and searched.
5

New Property Detected

Polling trigger

In Zapier“Triggers when a new Property is created.”

Watches the property list and sends each new listing into the Zap. Along with New Contact Detected, it is the trigger Zapier highlights for Néo Sphère, and a direct way to get listings out of the software.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
new listings should land in a spreadsheet, a report or a message to the team.
Watch out
a price or description change on an existing property does not start it.
6

New Research Detected

Polling trigger

In Zapier“Triggers when a new Research is created.”

Catches a new research, the search profile recorded for a contact, and passes it on. Another tool then learns what a client is looking for at the next check, without anyone opening Néo Sphère.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a new client brief should be copied into a shared list.
Watch out
the trigger offers an Active option; check at the test which researches it returns with your choice.
Actions

Néo Sphère actions

Néo Sphère gives you 7 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Activity

Action

In Zapier“Creates a new Activity.”

Adds an activity in Néo Sphère from another app, dated and typed, and attached to a negotiator.

When to use it
an appointment booked elsewhere should leave a trace in the agency software.
Watch out
company, negotiator, type and date are all mandatory, so the earlier steps must supply them.
2

Update Activity

Action

In Zapier“Updates en existing Activity.”

Changes an existing activity: its negotiator, type, contact, property, date, comment or its Done field.

When to use it
an activity logged earlier should change when something moves in another tool, its date or its comment for instance.
Watch out
the activity ID is required, and each change sits behind its own Change …? field in the step.
3

Create Contact

Action

In Zapier“Creates a new Contact.”

Writes a brand-new contact into Néo Sphère, one of the actions Zapier highlights for the app.

When to use it
a form answer or a lead from another tool should become a contact without retyping.
Watch out
it needs a company, an agency and a negotiator by ID, plus a last name. The Campaign email accepted, Automatic email accepted, Automatic property proposal accepted and SMS accepted fields are in the step too.
4

Update Contact

Action

In Zapier“Updates en existing Contact.”

Edits a contact that already exists, from name and phone to address, language and the Campaign email accepted or SMS accepted fields. Zapier highlights it for the app.

When to use it
details corrected in a form or another tool should overwrite the old ones in Néo Sphère.
Watch out
the contact ID is mandatory; place Search Contact before this step to get it.
5

Update Property

Action

In Zapier“Updates en existing Property.”

Rewrites fields of an existing property: price, surface, rooms, address, headline, description, Mandate number and more.

When to use it
a price or description decided elsewhere should reach the listing without editing it by hand.
Watch out
this is the only property action, and there is no way to create a property from Zapier. The property ID is required.
6

Create Research

Action

In Zapier“Creates a new Research.”

Opens a new research for a contact, so what the client is looking for gets recorded in Néo Sphère.

When to use it
a search request filled in on another tool should become a research on the right contact.
Watch out
the contact ID is mandatory, along with the company ID, and Search Contact can supply the first one.
7

Update Research

Action

In Zapier“Updates en existing Research.”

Adjusts an existing research: budget, minimum surface, rooms, towns, property type, or its Active field.

When to use it
a client widens or narrows a brief through another channel and the research should follow.
Watch out
the research ID is required; Search Research before this step is how you get it.
Searches

Néo Sphère searches

6 search steps look for data that already exists in Néo Sphère, so a later step can use it.

A search step finds a record that already exists and hands it to the next steps. With Néo Sphère that is how you get the ID every update needs. Searches sit at the bottom of the action-event list, under SEARCH, and any Zap with one is multi-step, so paid. Three settings decide what happens when the result is not clean.

1

Search Activity

SearchFind or create

In Zapier“Finds a Activity matching given information.”

Looks up an activity that already exists, so a later step can update it or reuse its details.

When to use it
before Update Activity, to get the ID of the right activity.
Watch out
the editor also lists Find or Create Activity. It is this same search with the create box ticked, not a separate operation.
2

Search Agency

Search

In Zapier“Finds a Agency matching given information.”

Finds one of your agencies in Néo Sphère and returns its record, including the ID other steps ask for.

When to use it
Create Contact needs an agency ID and the incoming data only names the agency.
Watch out
there is no create option here: an agency the search cannot find has to exist in Néo Sphère first.
3

Search Contact

SearchFind or create

In Zapier“Finds a Contact matching given information.”

Retrieves an existing contact and its ID, the piece Update Contact and Create Research cannot do without.

When to use it
a form answer should update the person already on file rather than create a twin.
Watch out
Find or Create Contact is this search with the create box ticked; it then asks for the fields of a new contact.
4

Search Negotiator

Search

In Zapier“Finds a Negotiator matching given information.”

Locates a negotiator so the next step can attach a contact or an activity to the right person.

When to use it
Create Activity or Create Contact needs a negotiator ID you do not have yet.
Watch out
negotiators cannot be created from Zapier, so a miss means stopping or carrying on empty.
5

Search Property

Search

In Zapier“Finds a Property matching given information.”

Brings back an existing property and its ID, which Update Property requires before it changes anything.

When to use it
a new price coming from another tool should reach the matching listing.
Watch out
no find-or-create variant exists for properties, consistent with Zapier having no property creation.
6

Search Research

SearchFind or create

In Zapier“Finds a Research matching given information.”

Finds an existing research so you can adjust it rather than open a second one for the same client.

When to use it
just before Update Research.
Watch out
Find or Create Research is the same search with the create box ticked. An Active option also appears; check its effect at the test.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there. Switched on, the Zap carries on without a result.
  2. Create X if it doesn't exist yet?
Ticking it turns the search into a find-or-create: the setting above disappears and the step asks for the fields to create the missing record.
  3. If multiple search results are found?
Three ways out when several records match: keep the first one (the default), stop the Zap, or pass all of them on.
When it breaks

When a Néo Sphère Zap breaks

Zapier attaches no help article to Néo Sphère, so these are the general limits of any Zap, read for an agency software.

Each case below has a plain cause and a plain fix. When a Zap still behaves oddly after you have checked them, our Zapier troubleshooting page is the next place to look.

  • Older records never come through

A Zap only reacts to what happens after you switch it on. Contacts or properties created before publishing are not picked up; moving them is a separate job.
  • A Zap that feeds itself

As a general precaution: a Zap that writes into the very place its own trigger watches can set itself off again and again, and each run eats tasks.
  • A bulk import gets held back

When a trigger suddenly returns a huge batch, after a bulk import or a migration into Néo Sphère, Zapier's flood protection can hold those items back.
  • Each record runs once

On a polling trigger, Zapier keeps track of what it has already seen, so the same contact or property does not start the Zap twice.

FAQ

Néo Sphère Zapier integration: frequent questions

01Is the Néo Sphère Zapier integration free?
Yes, as long as the Zap stays at two steps. Néo Sphère is not a premium app, so a trigger plus one action runs on the free plan, which gives 100 tasks a month and an unlimited number of Zaps. Anything longer is a multi-step Zap and needs a paid plan: a filter, a second action, or a search step. With this app that last case comes up often, because the update actions need an ID, and a search step is how a Zap finds it when the trigger does not carry it. A Zap that updates a contact from a form is therefore a paid one.
02How many tasks does a Néo Sphère Zap use?
One task per action that succeeds, nothing for the rest. The trigger costs nothing, and Zapier checking Néo Sphère for new contacts or properties costs nothing either, however often it looks. An action that fails is not counted. In a Zap that creates a contact and then a research for it, each successful run uses two tasks, because every action counts on its own. On the free plan's 100 tasks a month, count the records the Zap will write, not the records it watches.
03Is Néo Sphère real-time on Zapier?
No. All six Néo Sphère triggers are polling triggers: Zapier goes and checks for new items at a fixed interval set by your plan. That is every 15 minutes on Free, 2 minutes on Professional, and 1 minute on Team and Enterprise. On paid plans the interval can be changed, and a check can be run by hand from the editor. None of the triggers is instant, so no plan makes a Néo Sphère trigger fire without waiting for the next check.
04What does connecting Néo Sphère to Zapier require?
An account on Néo Sphère, plus read or write access on anything you do not own yourself and want the Zap to touch. From the Apps page of Zapier, click + Add connection, search Néo Sphère, click Add connection, sign in to Néo Sphère in the tab that opens and grant access. The connection is made once and reused by every Néo Sphère step. Create Contact then asks for agency, negotiator and company IDs, and Search Agency and Search Negotiator can look the first two up.
05Why does Update Contact ask for an ID it cannot find?
Because every Néo Sphère update action works on one precise record, and the ID field is mandatory on Update Contact, Update Property, Update Activity and Update Research. Data coming from a form or a spreadsheet does not necessarily carry that ID. The answer is a search step placed just before the update: Search Contact, Search Property, Search Activity or Search Research finds the record and hands its ID to the next step. That makes the Zap multi-step, so it needs a paid plan.
06What if the Néo Sphère operation you need is missing?
Then Zapier does not offer it, and no setting will make it appear. The app page of Néo Sphère on Zapier shows the current list of triggers, actions and searches, so start there. Some gaps are visible from this page already: no trigger for changed records, no way to create a property, an agency or a negotiator, and no delete action. Check that page before you plan a Zap around one of these steps.
07Zapier, Make or n8n for Néo Sphère?
It comes down to a few criteria rather than a winner. Availability first: on Zapier, Néo Sphère offers 19 operations; check whether Make and n8n list the app in their own catalogs. Then the shape of your flows: here, a Zap that updates a record chains a search and an update, which already means a paid Zapier plan. Then speed: every Néo Sphère trigger is polling, so the plan interval sets the wait. Finally, how each tool counts usage; Zapier only bills completed actions.
