Overview

What the AdvisorEngine CRM Zapier integration actually does

It links AdvisorEngine CRM, a CRM built for financial advisors, to the rest of your tools through Zapier. You build a Zap (an automation with one starting event and one or more steps after it), and every time a household, prospect or opportunity appears in the CRM, the Zap does the follow-up work for you. It also works the other way: other tools can create and update records in the CRM.

Three outcomes cover most of what advisory teams ask for. An opening opportunity for every new household: Household Created starts the Zap and Create Opportunity logs the first conversation to have, with an owner and an office already assigned, so a new relationship never sits without a next step.

Contact details that stay current: when a client changes address or phone in another system, Find Client fetches the client's ID and Update Client Contact Details writes the change. An operations assistant stops retyping the same details twice. Pipeline moves that reach the rest of the office: Opportunity Status Updated fires when a deal changes stage, which is the moment a paraplanner or the compliance desk usually wants to hear about it.

Now the limits. There is no instant trigger here: all four are checked on a timer. There is no trigger for an updated household or an updated client, only for creations and for opportunity status changes. And there is no delete action at all: a Zap can create, update and look up, never remove. If you are weighing other platforms for the same CRM, the Make vs Zapier comparison is a good next read.

Vocabulary

Zapier vocabulary, in plain words

Eight words come back on every line of this page. Here they are once, so the rest reads easily.

Zap
The automation you build on Zapier: one starting event, then one or more steps that run each time that event happens.
Trigger
The event in AdvisorEngine CRM that starts the Zap, such as a new prospect. Once the Zap is on, Zapier waits for it.
Action
What the Zap does after it starts: the step that creates or updates a household, prospect or opportunity for you.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked on a timer for new items. An instant one is pushed by the app the moment it happens. Every trigger here is polled.
Filter
A step that lets the Zap continue only when what arrived meets a condition you set, and stops it otherwise.
Search step
A step that looks up a record that already exists, like a client, so the next steps can use what it found.
Connection
Your AdvisorEngine CRM account linked to Zapier once, then reused by every step that touches the CRM.
Cost

What it really costs to run

AdvisorEngine CRM is not a premium app, so it works on the free plan. Your bill is counted in tasks, not in checks.

  • Premium appNo, available on the free plan
  • Free plan100 tasks a month, two-step Zaps only
  • BilledEach successful action
  • Not billedTriggers, polling checks, failed actions

The trigger never costs a task, however often Zapier polls the CRM. Each action that succeeds counts once, and a failed action is not billed. The free plan gives 100 tasks a month but only two-step Zaps: one trigger, one action. Add a filter, a search or a second action and the Zap becomes multi-step, which needs a paid plan. On this CRM that happens fast, because several actions need an ID only a search can supply.

Connect

Connect AdvisorEngine CRM to Zapier in three steps

  1. 01

    Open your connections

In Zapier, go to the Apps page of your account and click + Add connection. You need an existing AdvisorEngine CRM account; Zapier does not create one for you.

  2. 02

Pick the CRM and sign in

Type AdvisorEngine CRM in the search box of the dialog, select it, then click Add connection. A new tab opens where you sign in to the CRM with the account the Zaps should act as.

  3. 03

    Grant access

Approve the access Zapier asks for. If the Zap will touch households or opportunities owned by colleagues, the account you signed in with needs read or write rights on them, or the steps will fail.

First Zap

Your first Zap: turn a new prospect into a household with an opportunity

GoalWhen a prospect is created, create a household for them, then open a first opportunity on that household.

  1. 01

Create the Zap and pick the trigger

Start a new Zap, choose AdvisorEngine CRM as the app and Prospect Created as the event, then select the connection you made earlier.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent prospects from your account, so pick a real one to map the next steps against.

  3. 03

    Create the household

Add Create Household. Map the first and last name from the prospect, set a Source Name, and map a stable External Id so a retry never doubles the family.

  4. 04

    Open the opportunity

Add Create Opportunity. Map the Household Id from the previous step, then fill the description, Owner, Office, Identified By, Date Identified and Status.

  5. 05

    Test, then publish

Test each step and read what came back. When it looks right, click Publish. Two actions after the trigger make this a multi-step Zap, so it needs a paid plan.

Triggers

AdvisorEngine CRM triggers on Zapier

4 events start a Zap when something happens in AdvisorEngine CRM. Zapier checks for them at the interval your plan allows.

1

Household Created

Polling trigger

In Zapier“Triggers when a new household is created.”

Starts your Zap each time someone adds a household to AdvisorEngine CRM. The household is the container for a family's clients, so this is the earliest point at which a new relationship exists in the CRM and other tools can hear about it.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
you want every new household to get an opening opportunity, a welcome sequence in your email tool, or a row in the onboarding tracker your office keeps.
Watch out
only households created after the Zap is published count, so the ones already in the CRM will never start it.
2

Opportunity Created

Polling trigger

In Zapier“Triggers when a new opportunity is created.”

Fires on each new opportunity, whoever logged it: an advisor after a review meeting, the marketing team after a campaign, or another Zap. It is the cleanest signal that a piece of potential business has just been put on record.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a practice manager wants a message in the team chat whenever the pipeline grows, so nobody learns about a new rollover discussion by chance.
Watch out
if another of your Zaps runs Create Opportunity, its output will start this trigger too, so check you are not chaining the two into a loop.
3

Opportunity Status Updated

Polling trigger

In Zapier“Triggers when an existing opportunity's status is updated.”

Watches existing opportunities and starts the Zap when one changes status, for example from Open to Won. Unlike the creation triggers, it reacts to movement in the pipeline rather than to new records, which makes it the one to build stage-based follow-ups on.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
when a deal is marked Won, you want the paraplanner told and the account-opening paperwork started, without anyone forwarding an email.
Watch out
it fires on any status change, so add a filter if only one stage matters (which makes the Zap multi-step).
4

Prospect Created

Polling trigger

In Zapier“Triggers when a new prospect is created.”

Kicks off a Zap when a new prospect lands in AdvisorEngine CRM, before that person is a client or part of a household. Prospects usually come from referrals, seminars or web forms, and this trigger lets the rest of your stack react to them.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a seminar sign-up has been keyed into the CRM and you want it added to your nurture list and assigned a follow-up call in your calendar tool.
Watch out
with a free-plan delay, a prospect can wait a while before your follow-up tool hears about them.
Actions

AdvisorEngine CRM actions on Zapier

AdvisorEngine CRM gives you 6 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Household

Action

In Zapier“Creates a new household.”

Adds a new household to the CRM with a first and last name, plus an optional extra email. It also asks for a Source Name, the system sending the data, and an External Id from that system.

When to use it
a custodian or onboarding tool confirms a new account and the family should appear in the CRM straight away.
Watch out
the External Id is what prevents duplicates, so map a stable ID, never a name or a date.
2

Create Opportunity

Action

In Zapier“Creates a new opportunity linked to a specified household.”

Logs a new opportunity against a household. This is the heaviest form of the integration: Household Id, Source Name, External Id, a one-sentence description, an Owner, an Office, who identified it, the date identified and a Status are all required.

When to use it
a referral form names an existing household and you want the lead tracked in the pipeline, not lost in an inbox.
Watch out
without the Household Id the step fails, so place Find Household before it.
3

Create Prospect

Action

In Zapier“Creates a new prospect.”

Puts a person into the CRM as a prospect, from a first name, a last name, a Source Name and an External Id. No household is needed, which makes it the lightest create action of the six.

When to use it
a webinar registration or a contact form should reach the advisor's prospect list without anyone typing it in.
Watch out
reuse the same Source Name across Zaps so the origin of each prospect stays readable.
4

Update Client Contact Details

Action

In Zapier“Keep your client records synchronized. Use this action to update the primary address, phone number, email, and contact metadata for an individual client.”

Rewrites the primary address, phone number, email and contact metadata of one individual client. It needs both the Household ID and the Client ID of the person.

When to use it
a client updates their details in a client portal or a signed form, and the CRM record should follow without a manual edit.
Watch out
if no earlier step carries the Client ID, add Find Client before this one and map its result.
5

Update Household Contact Information

Action

In Zapier“Keep your household contact information synchronized. Use this action to update the primary email, phone number, and address.”

Changes the household-level primary email, phone number and address, rather than one person's details. Only the Household ID is required.

When to use it
a family moves and the change of address arrives through your document or e-signature tool, so the shared mailing address in the CRM should change once.
Watch out
this does not touch individual client records; use the client action for those.
6

Update Opportunity

Action

In Zapier“Updates an existing opportunity for a household. Only provided fields will be updated.”

Edits an existing opportunity, and only the fields you fill in are changed; the rest stays as it was. It requires the Household Id and the Opportunity Id.

When to use it
a proposal is signed in another tool and the matching opportunity should move to Won without the advisor opening the CRM.
Watch out
leave fields empty on purpose when you do not want to overwrite them.
Searches

AdvisorEngine CRM searches on Zapier

4 search steps look for data that already exists in AdvisorEngine CRM, so a later step can use it.

Searches sit at the bottom of the action-event list, under the SEARCH heading. They matter a lot here, because several actions need an ID that only a search can supply. Each one comes with three settings for when the result is not a single clean match.

1

Find Client

Search

In Zapier“Searches for existing clients and returns their details if found.”

Looks up an existing client and hands their details to the next steps. Its main job on this app is to supply the Client ID that Update Client Contact Details insists on.

When to use it
an address change arrives from a portal that knows the person but not their CRM ID.
2

Find Household

SearchFind or create

In Zapier“Finds a household”

Finds a household already in the CRM, so you can get its ID for the opportunity and household actions. The editor also lists Find or Create Household: that is this same search with the creation box ticked, not a separate operation.

When to use it
a referral should open an opportunity on the right family, creating the household only if it is new.
3

Find Opportunity

Search

In Zapier“Searches for existing opportunities and returns their details if found.”

Pulls up the opportunities already logged, so a later step knows which one to change. A Sort By Recency option, when switched on, puts the most recent ones first, which helps when a household has several open at once.

When to use it
you need the Opportunity Id before running Update Opportunity from an e-signature event.
Watch out
pair it with the multiple-results setting so the right opportunity gets updated.
4

Find Prospect

SearchFind or create

In Zapier“Searches a prospect”

Checks whether a prospect is already in the CRM. Find or Create Prospect, which you will also see in the list, is this search with the creation box ticked: it adds the prospect only when none is found.

When to use it
the same person signs up for two events and you want one prospect record, not two.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap and the steps that depend on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
Ticking this turns the search into a find-or-create. The setting above disappears and the step asks for the fields needed to create the missing record.
  3. If multiple search results are found?
Three ways out: keep the first match (the default), stop the Zap, or pass all the matches on at once.
When it breaks

When the AdvisorEngine CRM Zap breaks

Zapier lists no help article and no rate limit specific to AdvisorEngine CRM. What breaks is the general behaviour of Zaps, and four cases account for most surprises.

Read these before publishing a Zap that writes into the CRM. If one of them has already bitten you, the Zapier troubleshooting guide is the place to start.

  • Old records are never picked up

A Zap reacts only to what happens after it is switched on. Households and prospects already in the CRM will not start it; moving that backlog is a separate job.
  • A Zap that triggers itself

A Zap on Opportunity Created that also runs Create Opportunity sets itself off again and again, and burns through your task count fast.
  • Bulk imports get held back

After a bulk import or a migration, a trigger can suddenly return a huge batch. Zapier's flood protection may hold it back instead of running everything.
  • Duplicates are filtered, not doubled

On a polling trigger Zapier remembers which items it has already seen, so the same household or prospect does not start the Zap twice.

FAQ

AdvisorEngine CRM Zapier integration: common questions

01Is the AdvisorEngine CRM Zapier integration free?
Yes, AdvisorEngine CRM is not a premium app, so you can use it on the free plan. That plan gives you 100 tasks a month and checks polling triggers every 15 minutes. The catch is the size of the Zap: the free plan only builds two-step Zaps, one trigger and one action. Many useful setups on this CRM need a search to fetch an ID first, such as Find Client before Update Client Contact Details, and that third step makes the Zap multi-step, which needs a paid plan.
02How many tasks does an AdvisorEngine CRM Zap use?
One task per action that completes successfully, and nothing for the trigger. Zapier checking the CRM for new prospects costs nothing, however often it looks. So a Zap that turns each new prospect into a household uses one task per prospect. If that Zap also creates an opportunity, it uses two per prospect, since every successful action counts on its own. An action that fails is not billed. Keep that in mind when sizing a plan for a busy seminar season.
03Does AdvisorEngine CRM trigger Zaps in real time?
No, none of the four triggers is instant. Household Created, Opportunity Created, Opportunity Status Updated and Prospect Created are all polling triggers: Zapier asks the CRM for new items at a fixed interval. That interval is 15 minutes on the free plan, 2 minutes on Professional and 1 minute on Team and Enterprise. On paid plans you can also run a check by hand from the editor. The type comes from the app itself and cannot be switched from Zapier.
04What does it take to connect AdvisorEngine CRM to Zapier?
An AdvisorEngine CRM account you can sign in with, plus read or write rights on any household or opportunity you do not own and want the Zap to touch. The connection itself happens from the Apps page in Zapier with + Add connection: you search for the CRM, sign in in the tab that opens and grant access. Once connected, the same account is reused by every step that works with the CRM, so pick the login whose permissions match what your Zaps will do.
05Why does Create Opportunity fail when Create Household works?
Because Create Opportunity needs much more than a name. It requires a Household Id, a Source Name, an External Id, a description, an Owner, an Office, who identified the opportunity, the date it was identified and a Status. Create Household only asks for a Source Name, an External Id and a first and last name. The usual gap is the Household Id: add Find Household before the action, or Find or Create Household if the family might be new, and map its result.
06What if the AdvisorEngine CRM operation you need is not on Zapier?
Then the integration simply does not offer it, and no setting will add it. The current list has no delete action, no trigger for an updated household or client, and no instant trigger. A workaround sometimes exists with what is there: Opportunity Status Updated plus a filter covers a lot of stage-based needs. If the gap is real, it is worth asking the CRM vendor or checking whether another automation platform reaches the operation you are missing.
07Zapier, Make or n8n for AdvisorEngine CRM?
It depends on the criteria that matter to your practice, not on a ranking. Zapier has a ready-made AdvisorEngine CRM app with 14 visible operations and a free plan that runs two-step Zaps. On Zapier the bill is counted in successful actions, never in triggers or checks, and every filter or search pushes you to a paid plan. Before choosing, list how many steps each automation really needs, who on the team will maintain them, and whether the operations you rely on exist on the other platform for this CRM.
