What the MangoApps Zapier integration does for your intranet
It connects MangoApps, your company intranet and collaboration space, to the tools your people use outside of it. Posts, events and tasks can flow in and out without anyone copying them by hand. Each link is a Zap: one starting event, then one or more steps that run every time it happens.
Announcements that reach people where they already are. New Post can forward each new post to a chat channel, so the team that never opens the intranet still sees what was published.
Tasks that start life in another tool. A request collected in a form becomes a MangoApps task through Create Task, with Find Team in front to pick the right team by name.
Calendars that agree with each other. Create Event copies a meeting from your calendar into a team or the whole company, and New Event handles the other direction.
What Zapier does not do here: all three triggers are polling ones, so nothing reaches Zapier the instant it happens in MangoApps. There is no update or delete action, only creation, for all three objects. Nothing published before the Zap was switched on is picked up. And the listing Zapier shows for MangoApps has no find-or-create variant, so plan on its searches only finding.

- Zap
- The automation you build on Zapier: one starting event, then one or more steps that run every time it happens.

- Any Zap beyond one trigger and one action. A filter, a search or a second action makes one, and it needs a paid plan.

A Zap that turns each post into a task costs one task per post. Put Find Team in front of Create Task and the Zap becomes multi-step, which the free plan does not allow. An action that fails is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, each limited to two steps. All three MangoApps triggers are polling ones, so the interval grid below applies to every one of them. Plan the chain before you build it.
Connect your MangoApps account

Open the Apps page
In Zapier, go to Apps and click + Add connection. A connection is your MangoApps account linked to Zapier once, then reused by every step that touches your intranet.

Pick MangoApps
Type MangoApps in the dialog, select it, then click Add connection. A new tab opens on the MangoApps sign-in page, where the rest happens. Check the name before confirming.

Sign in and grant access
Log in to MangoApps and allow Zapier to use the account. You need read or write access to anything you do not own yourself and want the Zap to touch. An account on MangoApps comes first.
Your first Zap: pending tasks in your team chat

Build the Zap
Create a Zap, pick MangoApps as the app and New Pending Task as the event, then choose your connection to the intranet account.

Test the trigger
Run the test. Zapier brings back the three most recent pending tasks of your account, so you can see which tasks this trigger actually covers before going further.

Add the filter
Click the plus icon, pick Filter, then set the field, the rule and the value that mark the tasks you care about. A text rule only works on a text field. The filter makes the Zap multi-step and paid.

Add the message
Add your chat tool as the action and map the task fields into the message, using only what the test brought back. Keep it to what someone needs to act.

Test, then publish
Test each step and read the message in your chat. When it looks right, click Publish. Zapier then checks for new pending tasks at your plan's interval.
The 3 MangoApps triggers
3 events start a Zap when something happens in MangoApps. Zapier checks for them at the interval your plan allows.
New Event

Starts a Zap whenever someone creates an event in MangoApps. It lets the intranet calendar feed other places, so a company meeting or a team session also shows up where people actually plan their week.
New Post

Runs every time a post is added. It is the simplest way to push intranet news out to people who rarely open the intranet itself, or to keep a record of what was published.
New Pending Task

Picks up tasks that are still waiting to be done. Instead of a list someone checks by hand, the open work becomes a feed that reminders and reports can use.

Create Event

The 3 MangoApps searches
3 search steps look for data that already exists in MangoApps, so a later step can use it.
A search step looks something up in MangoApps and hands what it found to the steps after it. On Zapier, searches sit at the bottom of the action list, under SEARCH. Three settings decide what happens when the result is not clean.
Find Milestone

Looks up an existing milestone by its name, inside a team you specify. The result can then feed a later step.
Find Team

Finds an existing team from its name, so a later step can write into the right one without a fixed choice.
Find User

Matches an email address to an existing MangoApps user, the only required field. Useful whenever a step needs a person and you only have an email.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap there and skips the steps that relied on it. Switched on, the Zap carries on empty-handed.
- Create X if it doesn't exist yet?This box turns a search into a find-or-create. The MangoApps listing read for this page shows no find-or-create variant, so treat these three searches as lookups only and check the editor if in doubt.
- If multiple search results are found?Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When the Zap breaks
Zapier ties no help article to MangoApps, so the cases below are the limits every Zap shares.

Old posts never come through
