Overview

What the Manatal Zapier integration does for your hiring

It links Manatal, your recruitment software, to the other tools your hiring team touches every day. Candidates, jobs and pipeline moves can travel in and out of Manatal without anyone retyping them. Each link is a Zap: one starting event, then one or more steps that run every time that event happens.

Applicants that arrive complete. A careers form in another tool can feed Create a Candidate, then Create Candidate Resume attaches the file from its link. The recruiter opens a full profile, not a name.

Hiring managers who hear about the pipeline. New Match and Move Match are instant, on every plan. Point them at your chat tool and the person waiting on a role learns that a candidate was matched or moved without asking for an update.

Job boards and sheets that follow your openings. Updated Job Status reports every status change, so a tracking sheet or a planning tool always shows which roles are open.

Now the limits. Almost every action needs an ID: Candidate ID, Job ID, Match ID. The searches exist to fetch them, but each search added to a Zap makes it multi-step and paid. There is no delete action at all. Files are attached from a link, never uploaded from your computer. And nothing that happened before the Zap was switched on is picked up.

Eight words come back on every section of this page. Here they are in plain English.

Zap
The automation you build on Zapier: one starting event, then one or more steps that run every time it happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event.

A Zap that creates a candidate and then attaches the resume costs two tasks per applicant. Retrieve Candidate Matches List is listed as an action, so it is billed like one when it succeeds, even though it only reads. A failed action is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, each limited to two steps. The interval grid below concerns polling triggers only; all seven Manatal triggers are instant and ignore it.

    Open the Apps page

    In Zapier, go to Apps and click + Add connection. A connection is your Manatal account linked to Zapier once, then reused by every step that reads or writes your recruiting data.

    Pick Manatal

    Type Manatal in the dialog, select it, then click Add connection. A new tab opens on the Manatal sign-in page, where the rest of the connection happens.

  3. 03

    Sign in and grant access

    Log in to Manatal and allow Zapier to use the account. You need read or write access on anything you do not own yourself and want the Zap to touch. An account on Manatal comes first.

First Zap

Your first Zap: tell the hiring manager when a match moves

    Build the Zap

    Create a Zap, pick Manatal as the app and Move Match as the event, then choose your connection., the account the Zap will listen to.

  2. 02

    Test the trigger

    Run the test. Zapier brings back the three most recent moves of your account, so you see what a move actually carries before you map anything.

  3. 03

    Add the filter

    Click the plus icon, pick Filter, then set the field, the rule and the value that mark the moves you care about. A text rule only works on text. The filter makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Add the message

    Add your chat tool as the action and map the match fields into the message, using only what the test returned. Name the candidate and the role, nothing more.

  5. 05

    Test, then publish

    Test each step and read the message in your chat. When it looks right, click Publish. Since the trigger is instant, every matching move goes through right away.

38 search steps look for data that already exists in Manatal, so a later step can use it.

A search step looks something up in Manatal and hands what it found to the steps after it. In the editor, searches sit at the bottom of the action list, under SEARCH. In this app, most of them exist to fetch the IDs that the actions require. Three settings decide what happens when the result is not clean.

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and skips the steps that relied on it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into a find-or-create. The Manatal listing read for this page shows no find-or-create variant, so treat these searches as lookups only and check the editor if in doubt.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When the Zap breaks

Zapier ties no help article to Manatal, so the cases below are the limits every Zap shares, applied to this app.

  • Existing candidates never come through

    A Zap only reacts to what happens after you switch it on. Candidates, jobs and matches already in Manatal are not picked up; moving them is a separate job.
  • A Zap that keeps restarting

    A Zap that writes into the place its own trigger watches can set itself off again and again. Each loop eats tasks, so check where every action writes before you publish.
  • A bulk import is held back

    When a trigger suddenly returns a huge batch, after an import or a migration into Manatal, Zapier's flood protection can hold those items back instead of running them all.
  • A missing ID stops the step

    Most actions require a Candidate, Job, Match or Organization ID. If no earlier step carries it, the required field has nothing to fill it; add the matching search in front.

Manatal Zapier integration: questions

01Is the Manatal Zapier integration free?
Yes, it works on the free plan: Zapier does not reserve Manatal for paid plans. The free plan gives you 100 tasks a month and unlimited Zaps, each limited to two steps, one trigger and one action. A Zap that adds a note to every new match fits. A Zap that looks up the job with Get Job before messaging the hiring manager does not, because the search is a third step and the Zap then needs a paid plan.
02How many tasks does a Manatal Zap use?
One task per action that succeeds, nothing for the trigger. A Zap that creates a candidate from a form costs one task per applicant; attach the resume in the same Zap and it costs two. Retrieve Candidate Matches List is filed as an action, so it is billed like one even though it only reads. Since Zapier never checks on a timer here, the trigger side costs nothing either. A failed action is not counted against your allowance.
03Does Manatal trigger Zaps in real time?
Yes. All seven triggers are instant: Manatal tells Zapier when a candidate, a contact, a match or a job status changes, and the Zap starts right away on any plan, free included. The interval grid of Zapier plans, every 15 minutes on Free down to 1 on Team and Enterprise, only applies to polling triggers, and Manatal has none. That makes it a good fit for alerts to hiring managers.
04What does it take to connect Manatal to Zapier?
A Manatal account, plus read or write access to anything you do not own yourself and want the Zap to touch. You add the connection from the Apps page of Zapier with + Add connection, pick Manatal, sign in in the new tab and grant access. Before creating jobs or contacts, check that the organizations they belong to already exist in that account, since both actions require an Organization. The connection is then reused by every Manatal Zap you build.
05Why won't Manatal take a resume or attachment file?
Because every attachment action reads the file from a link: the File or File URL field expects a URL leading to the file, not an upload. If your form tool stores files privately, Manatal may not be able to read them. For resumes, the format must be pdf, doc, docx or rtf. Run the test with a real file and open the candidate in Manatal to confirm it arrived. A link that needs a login may not be readable, so test with a public one first.
06What if the operation you need is not listed?
Start with the Manatal page on Zapier, which shows the current list of operations. Today it has 33 actions and 38 searches, but no delete action and no generic action for building your own call. Many needs are met by chaining a search with an update: Search Jobs to find the Job ID, then Update Job, for example. If the gap is a deletion or a setting that no action exposes, that part stays in Manatal itself. Each search added this way makes the Zap multi-step, so plan for a paid plan.
