Overview

What the agentOS Zapier integration actually does

agentOS is a CRM for property agencies, built around an open API. The Zapier integration plugs that CRM into the rest of your tools without code: it notices when a person, an appointment or a marketing property appears in agentOS, and it can create people and appointments there for you.

A follow-up appointment that books itself. A landlord gets added as a new person, and New Person hands the record to Create a New Appointment, so the valuation visit lands in the diary before anyone forgets it.

Contacts that arrive from outside. A lead captured in another tool becomes a record through Create a New Person, filed under the right person type instead of sitting in an inbox.

A listing that leaves the CRM on its own. New Marketing Property exists so a freshly marketed property carries enough detail to be posted to social media by the next step of the Zap.

What it does not do: there is no search step, so a Zap cannot look up an existing person or appointment first, and nothing here updates or deletes a record. All three triggers are polling ones, so nothing fires the instant it happens. If that rules Zapier out, the n8n vs Zapier comparison lays out the trade-offs, and the Zapier review covers the tool as a whole.

Vocabulary

Zapier vocabulary in one minute

Seven words come back on every line of this page. Here they are, in plain English.

Zap
The automation you build: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in agentOS that starts the Zap, like a new appointment. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once started: the step that writes something for you, such as a new person in agentOS.
Task
The unit Zapier bills. One action that completes successfully counts as one task on your plan.
Polling vs instant
A polling trigger is checked on a timer for new items. An instant one is pushed by the app. Every agentOS trigger polls.
Filter
A step that lets the Zap continue only when what arrived meets your condition, and stops it otherwise.
Connection
Your agentOS account linked to Zapier once, then reused by every step of every Zap that touches agentOS.
Cost

What it really costs

agentOS is not a premium app, so it works on the free plan. The bill is counted in tasks, and only actions count.

  • Free plan100 tasks a month, two-step Zaps
  • Premium appNo, available from the free plan
  • Trigger checksFree, never billed

The trigger never costs a task, and neither does Zapier checking agentOS for new items, however often it looks. Each action that succeeds is one task; one that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but only two steps per Zap: one trigger, one action. Add a filter or a second action and the Zap needs a paid plan.

Polling is the other line to watch: the free plan checks agentOS every 15 minutes, paid plans check far more often.

Connect

Connect agentOS to Zapier in three steps

  1. 01

    Open your connections

In your Zapier account, go to the Apps page and click + Add connection. You need an existing agentOS account first. The connection is made once here, then every Zap that uses agentOS reuses it.

  2. 02

    Find agentOS

Type agentOS in the dialog that opens, pick it from the list of results, then click Add connection. Right after, a new browser tab opens on the agentOS side.

  3. 03

    Sign in and grant access

Log in to agentOS in that tab and let Zapier access the account. Any record you do not own yourself needs read or write access on your side, or the Zap will not see it.

First Zap

Your first agentOS Zap: a first appointment for every new contact

GoalWhen a new person of the type you watch is added in agentOS, create a first appointment for them in the agentOS diary.

  1. 01

    Create the Zap

Click to build a new Zap, then pick agentOS as the app that starts it and New Person as the event. Choose your agentOS connection.

  2. 02

    Set the trigger

Pick the person type to watch, then test. Zapier brings back the three most recent people of that type, so you map fields on a real record.

  3. 03

    Add the action

Add agentOS again with Create a New Appointment. Map the person's name into the subject and fill the dates, frequency and repeat interval. Two steps, so the free plan is enough.

  4. 04

    Test and publish

Run each step once and read what came back, then click Publish. From then on, the Zap only reacts to people added after that moment.

Triggers

agentOS triggers

3 events start a Zap when something happens in agentOS. Zapier checks for them at the interval your plan allows.

1

New Marketing Property

Polling trigger

In Zapier“Triggers when a new marketing property is created in agentOS to provide enough information to post the marketed listing to social media.”

Starts the Zap when Zapier finds, on its next check, a property newly put into marketing in agentOS. It is meant to carry enough about the listing for the next step to publish it on social media.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a lettings team wants each newly marketed flat announced on its social channels without anyone retyping the details.
Watch out
you have to pick an Advertisement Type when you set it up, and only properties of that type will start the Zap, so a second type means a second Zap.
2

New Appointment

Polling trigger

In Zapier“Triggers when a new appointment is created in agentOS.”

Picks up every appointment created in agentOS, whoever booked it, and passes it to the steps that follow. Unlike the other two, it does not narrow the watch to one type, so every booking counts.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a branch manager wants each new viewing copied to a shared calendar or a team chat once Zapier picks it up.
Watch out
on the free plan a viewing booked now may only reach the next step after the next check, so it is not for last-minute alerts.
3

New Person

Polling trigger

In Zapier“Triggers when a new person of specified type is created in agentOS.”

Fires when a new person of the type you chose appears in agentOS: only the person types your account already defines can be picked. Each new record travels on to the rest of the Zap.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
new applicants should land in a mailing tool the same day they are registered, without an export.
Watch out
the Person Type is required and the trigger only watches that one type, so watching two types means two Zaps.
Actions

agentOS actions

agentOS gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create a New Appointment

Action

In Zapier“Creates a new appointment in agentOS.”

Puts an appointment straight into the agentOS diary, with its subject, description, start and end.

When to use it
a booking made in a scheduling tool should show up in the CRM so the negotiator sees it alongside the client file.
Watch out
the repeat frequency and repeat interval are required even for a one-off meeting, so decide what a single appointment looks like before mapping.
2

Create a New Person

Action

In Zapier“Creates a new person record on agentOS”

Adds a contact record to agentOS from data that arrived in an earlier step, filed under the person type you pick.

When to use it
a web enquiry form collects a buyer's name and email, and you want that buyer in the CRM without anyone copying it across.
Watch out
forename, surname, email and person type are all required, so a source that sometimes skips the email will make the action fail.
When it breaks

When the agentOS Zap breaks

Zapier attaches no help article to agentOS, so the traps below are the ones every Zap shares, read through this CRM.

Most failures here come from timing and from loops, not from the connection itself. When a run still goes wrong, the Zapier troubleshooting guide walks through the editor's run history.

  • Old records are ignored

A Zap only reacts to what happens after it is switched on. The people and appointments already in agentOS stay where they are; moving them is a separate job.
  • A Zap that feeds itself

New Appointment feeding Create a New Appointment writes where the trigger looks. Each new appointment starts the Zap again and burns tasks fast.
  • Bulk imports get held back

After a big import of contacts into agentOS, the trigger suddenly returns a huge batch, and Zapier's flood protection can hold it back.
  • No duplicates on a re-check

Zapier remembers what it has already seen on a polling trigger, so the same person or property does not start the Zap twice.

FAQ

agentOS and Zapier: frequent questions

01Is the agentOS Zapier integration free?
Yes, agentOS is not a premium app, so it runs on the free Zapier plan. That plan gives 100 tasks a month and as many Zaps as you like, with one limit people miss: each Zap has two steps only, one trigger and one action. A Zap that adds a filter or a second action becomes a multi-step Zap and needs a paid plan. No price is quoted here because the plan grids change too often; check them on Zapier before you commit.
02How many tasks does an agentOS Zap use?
One task per action that succeeds, and nothing else. The trigger is free, and so is every check Zapier makes on agentOS to look for new records, however frequent. An action that fails is not counted. So a Zap that turns each new appointment into one record costs one task per appointment, while a Zap with three actions costs three per run. Plan your volume from the number of records you expect, not from the number of checks.
03Does agentOS trigger Zaps in real time?
No. All three agentOS triggers are polling triggers: Zapier asks agentOS for new items at a fixed interval and keeps only what it has not seen before. That interval is 15 minutes on the free plan, 2 on Professional, and 1 on Team and Enterprise. The type comes from the app's own API, so it cannot be switched to instant from the editor. On paid plans you can also run a check by hand.
04What does it take to connect agentOS to Zapier?
An agentOS account and a Zapier account, nothing more. From the Apps page in Zapier, click + Add connection, search for agentOS, sign in to the CRM in the tab that opens and grant access. The connection is saved once and reused by every Zap. If the Zap has to read or write records you do not own, your agentOS account needs read or write access on them, or they stay invisible to Zapier.
05Why does Create a New Appointment ask for a repeat interval?
Because agentOS marks the repeat frequency and the repeat interval as required fields, alongside the subject, description, start and end. Zapier will not run the action until each one has a value, even for a single meeting. Before you map anything, decide which value means a one-off appointment in your agentOS setup, then type it as a fixed value in the action so every run sends the same answer. That keeps the diary clean.
06What if the agentOS operation you want is missing?
Then Zapier cannot do it with this app today. The integration lists 3 triggers and 2 actions: it can watch people, appointments and marketing properties, and create people and appointments. There is no search, and no step to update or delete a record. Anything beyond that falls outside this integration, so the honest answer is a different tool or custom work on agentOS's open API. Check the app page now and then.
07Zapier, Make or n8n for agentOS?
It depends on what matters most to you. Zapier is the quickest to start with, since agentOS already has a ready-made integration that runs on the free plan, but its triggers are polling only. Make and n8n tend to suit people who want more control over each step or who are comfortable calling an API directly. Weigh speed of setup, price per run and how much you want to build yourself, rather than picking a winner.
