Overview

What the Agiliron Zapier integration actually does

Zapier links Agiliron, the commerce platform that runs orders, stock and customers in one place, to other apps without code. When something happens in Agiliron, such as a new sales order, Zapier can act elsewhere. When something happens elsewhere, Zapier can write into Agiliron. All of it on the free plan, since Agiliron is not a premium app.

Three results teams get from it. A shipping desk that never misses an order: Add Sales Order hands each new order to a Zap, which posts it to the warehouse channel. A wholesale buyer who claims every credit: Add Purchase Return opens a task with Create / Update Task, so goods sent back to a vendor get followed up. A website that feeds the CRM: a form submission becomes a Lead through Create / Update Lead, with Last Name and Company filled.

Every one of the 33 triggers is instant: Agiliron calls Zapier itself, so even the free plan reacts without waiting for a check. That is rare, and it means a free account gets the same speed as a paid one.

What Zapier does not do here. Tickets only have a deletion trigger: no new-ticket event and no ticket action. Account, Sales Order and Sales Return lookups are actions, not searches, so they cost a task when they work. No search can create the missing item for you. Line items only have a trigger on quotes.

Before choosing a platform, the Make vs Zapier comparison lays out the trade-offs, and the Zapier training helps if your team will build many Zaps.

Vocabulary

Zapier words in one minute

Six terms are enough to read the rest of this page.

Zap
An automation built on Zapier: one trigger, then one or more actions that run each time that trigger happens.
Trigger
The event that starts the Zap, such as a new Sales Order in Agiliron. Once the Zap is on, Zapier waits for it.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you in an app.
Task
The unit Zapier bills. One task equals one action completed successfully; your plan counts those.
Instant vs polling trigger
An instant trigger is reported by the app the moment it happens. A polling one is checked by Zapier on a timer. All Agiliron triggers are instant.
Filter
A step that lets the Zap continue only when what arrived meets your condition, and stops it otherwise.
Search step
A step that looks up a record that already exists, so later steps can reuse what it found.
Cost

What it costs in tasks

The trigger never costs anything. Only an action that succeeds is counted.

  • Free plan100 tasks a month
  • Steps on the free plan2 (one trigger, one action)
  • Premium appNo, works on the free plan

A Zap with three actions uses three tasks per run, and a failed action is not billed. A few apps and actions take more than one task when they complete. The free plan gives 100 tasks a month, unlimited Zaps, but only two steps per Zap: one trigger, one action. Adding a filter or a search makes it a multi-step Zap, which needs a paid plan. The polling interval below does not matter here, since every Agiliron trigger is instant.

Connect

Connect your Agiliron account

  1. 01

    Open your connections

In Zapier, go to Apps, then click + Add connection. A connection is your Agiliron account linked once, then reused by every step that touches Agiliron.

  2. 02

    Pick Agiliron

Type Agiliron in the search box of the dialog, select it in the results, then click Add connection. A new browser tab opens on the Agiliron side to handle the sign-in.

  3. 03

    Sign in and allow access

Log in to Agiliron in that tab and grant Zapier access. You need an Agiliron account, plus read or write rights on any record you do not own and want the Zap to touch.

First Zap

Your first Zap: a follow-up task for big orders

GoalEvery new sales order that matches your condition opens a task for the account manager in Agiliron.

  1. 01

    Create the Zap

Click Create, then Zaps. Pick Agiliron as the app that starts it and Add Sales Order as the event, then choose your Agiliron connection.

  2. 02

    Test the trigger

Zapier brings back the three most recent sales orders of your account. Pick one: you will map its data in the next steps.

  3. 03

    Add the filter

Click the plus icon, choose Filter, then set the field, the rule and the value. Remember that a number rule only works on numbers. This step makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Add the task

Add Agiliron again with Create / Update Task. Fill Subject, Start Date and Start Time, which are required, using data from the order.

  5. 05

    Test and publish

Run each step once, read what came back, then click Publish. From now on, each matching order opens a task right away, with no polling delay.

Triggers

Agiliron triggers: 33, all instant

33 events start a Zap when something happens in Agiliron, and 33 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Delete Account

Instant trigger

In Zapier“Triggers when a Account is deleted”

Fires when someone removes an Account record from Agiliron, and passes that deletion to your Zap so another tool can follow suit instead of keeping a customer that no longer exists.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your accounting sheet or mailing tool still lists customers that were cleaned out of Agiliron weeks ago.
Watch out
the record is already gone when the Zap runs, so a later step that tries to look it up in Agiliron will come back empty.
2

Delete Contact

Instant trigger

In Zapier“Triggers when a Contact is deleted”

Starts a Zap the moment a Contact is wiped from Agiliron. Use it to pull the same person out of a newsletter list or a shared address book so nobody keeps writing to a contact your team chose to drop.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a buyer leaves a client company and the rep removes them in Agiliron first.
Watch out
a contact deleted by mistake still sets off the Zap; nothing undoes what the following actions did.
3

Delete Event

Instant trigger

In Zapier“Triggers when a Event is deleted”

Catches every Event erased in Agiliron, such as a cancelled meeting or demo slot, and lets a Zap clear the matching entry elsewhere, for example in a team calendar or a planning board.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
meetings are booked in Agiliron but your field team actually reads another calendar.
Watch out
to test it, an Event needs to have been deleted recently on the connected account, otherwise the test has nothing to show.
4

Delete Lead

Instant trigger

In Zapier“Triggers when a Lead is deleted”

Reacts when a Lead disappears from Agiliron. Typical result: the prospect also leaves your ad audience or your cold outreach tool, so a disqualified name stops receiving messages.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
sales cleans up junk leads in Agiliron and marketing keeps its own list outside it.
Watch out
a lead converted into another record may be removed too; check what your team does before wiring a deletion elsewhere.
5

Delete Potential

Instant trigger

In Zapier“Triggers when a Potential is deleted”

Wakes the Zap whenever a Potential record is deleted in Agiliron. Handy for keeping a forecast spreadsheet or a pipeline report honest when a deal is thrown out rather than closed.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
the sales manager tracks the pipeline in a sheet fed from Agiliron.
Watch out
a deletion is not the same as a lost deal; if your team marks deals as lost instead, this trigger will stay silent.
6

Delete Product

Instant trigger

In Zapier“Triggers when a Product is deleted”

Sends your Zap word that a Product was removed from the Agiliron catalog. The usual follow-up is hiding or archiving the same item in a storefront, a price list or a product feed.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
Agiliron is the master catalog and other sales channels copy it.
Watch out
removing the product elsewhere too is final; a filter on what arrived keeps test items from taking real listings down, on a paid plan.
7

Delete Purchase Order

Instant trigger

In Zapier“Triggers when a Purchase Order is deleted”

Lets a Zap know that a Purchase Order was cancelled out of Agiliron by deletion. Buyers use it to warn the receiving team or strike the line from a supplier follow-up sheet.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
the warehouse prepares incoming deliveries from a list kept outside Agiliron.
Watch out
a Purchase Order edited rather than deleted goes to Update Purchase Order, not here.
8

Delete Purchase Return

Instant trigger

In Zapier“Triggers when a Purchase Return is deleted”

Picks up the deletion of a Purchase Return, the goods you were sending back to a vendor. A Zap can then close the matching follow-up task or tell accounting that no credit is expected.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
returns to vendors are tracked by someone who never opens Agiliron.
Watch out
nothing tells the Zap why the return was deleted, so keep the follow-up neutral.
9

Delete Quote

Instant trigger

In Zapier“Triggers when a Quote is deleted”

Goes off when a Quote is erased in Agiliron. Good for withdrawing the follow-up you scheduled, so a salesperson does not chase a customer about an offer that no longer exists.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
quotes trigger reminders in another tool and dead ones keep coming back.
Watch out
line items of the quote do not get a deletion trigger of their own on this app.
10

Delete Sales Order

Instant trigger

In Zapier“Triggers when a Sales Order is deleted”

Signals that a Sales Order vanished from Agiliron. The Zap can warn shipping, flag the order in a fulfilment sheet or notify the account manager before anything leaves the shelf.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
orders are picked from a list outside Agiliron and a cancelled one must not ship.
Watch out
a returned order is a Sales Return, not a deletion; that case has its own triggers.
11

Delete Sales Return

Instant trigger

In Zapier“Triggers when a Sales Return is deleted”

Kicks in when a customer return record is removed in Agiliron. Use it to cancel the refund reminder or the restocking task created when that return was first logged.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
returns open tasks elsewhere and dropped returns leave orphans behind.
Watch out
if the return was created before the Zap was on, the task you want to cancel may never have existed.
12

Delete Task

Instant trigger

In Zapier“Triggers when a Task is deleted”

Notices any Task erased in Agiliron and hands the event to your Zap, so the copy in a to-do app or a team board disappears with it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your team mirrors Agiliron tasks into a tool it reads every morning.
Watch out
pair it with Create / Update Task in the other direction and you risk a Zap that keeps restarting itself.
13

Delete Ticket

Instant trigger

In Zapier“Triggers when a Ticket is deleted”

This is the only Ticket operation on the app: it reports that a support Ticket was removed from Agiliron. A Zap can then tidy a help desk log or a support dashboard.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
support tickets live in Agiliron and someone reports on them elsewhere.
Watch out
there is no trigger for a new Ticket and no Ticket action, so this event alone cannot keep two help desks in sync.
14

Delete Vendor

Instant trigger

In Zapier“Triggers when a Vendor is deleted”

Reports the removal of a Vendor record from Agiliron, so the supplier can also leave a purchasing directory, a payment list or a shared contact sheet.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
procurement keeps its supplier directory in a spreadsheet.
Watch out
open purchase orders with that vendor are not deleted by this event; check them by hand.
15

Add / Update Account

Instant trigger

In Zapier“Triggers when a new Account is Created or Updated”

Runs on two moments: an Account is created in Agiliron, or an existing one is edited. Your Zap gets the record each time and can copy it to billing, a mailing tool or a spreadsheet.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
customer records must stay identical in Agiliron and in your invoicing tool.
Watch out
every edit counts, so a busy account can start the Zap many times a day, and each successful action costs a task.
16

Add / Update Contact

Instant trigger

In Zapier“Triggers when a new Contact is Created or Updated”

Covers both a brand new Contact and changes to an existing one in Agiliron. The classic Zap adds or refreshes that person in an email platform.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your newsletter list should follow the contacts your sales team keeps up to date.
Watch out
a Zap that ends with Create / Update Contact on the same Agiliron account edits the record again and sets itself off once more.
17

Add / Update Event

Instant trigger

In Zapier“Triggers when a new Event is Created or Updated”

Watches Agiliron Events as they are booked or rescheduled, and sends each version to your Zap. A calendar on another app can then show the new time.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
meetings are planned in Agiliron but reminders go out from another tool.
Watch out
a rescheduled event arrives as a new run, so the other tool must update the entry rather than add a second one.
18

Add / Update Lead

Instant trigger

In Zapier“Triggers when a new Lead is Created or Updated”

Brings every Lead created or changed in Agiliron into a Zap. Marketing can push the prospect into a nurture sequence the minute sales logs it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
leads come from trade fairs and must be followed up while the conversation is fresh.
Watch out
an edit to an old lead fires too; a filter on what arrived can keep only the new ones, on a paid plan.
19

Add / Update Potential

Instant trigger

In Zapier“Triggers when a new Potential is Created or Updated”

Opens a Zap for each Potential added or modified in Agiliron, which is how a pipeline sheet or a deal channel in a chat app stays current without anyone copying numbers.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a manager wants to see every deal move without logging into Agiliron.
Watch out
small edits such as a typo fix also count as an update and start the Zap.
20

Add / Update Product

Instant trigger

In Zapier“Triggers when a new Product is Created or Updated”

Tracks the catalog: a Product created or edited in Agiliron starts the Zap, and the item can be published or refreshed in a storefront, a marketplace sheet or a price list.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
Agiliron holds the product data and other channels must copy it.
Watch out
a bulk catalog import fires for every product at once, which Zapier may hold back as a flood.
21

Add Purchase Order

Instant trigger

In Zapier“Triggers when a new Purchase Order is Created”

Fires only on creation: a new Purchase Order in Agiliron starts the Zap. Buyers use it to alert the warehouse or to log the order in a supplier tracking sheet.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
incoming stock must be announced to the team that receives it.
Watch out
later edits to that order go to Update Purchase Order, a separate trigger.
22

Add Purchase Return

Instant trigger

In Zapier“Triggers when a new Purchase Return is Created”

Each time someone records goods going back to a vendor in Agiliron, the Zap starts. A good result is a follow-up task for accounting to claim the credit.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
returns to suppliers are frequent and credits get forgotten.
Watch out
this trigger ignores edits; Update Purchase Return covers them.
23

Add Quote

Instant trigger

In Zapier“Triggers when a new Quote is Created”

Triggers on every new Quote saved in Agiliron. The Zap can log the offer in a pipeline sheet, ping the sales manager or schedule a reminder to chase the client.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
quotes need a reminder or they go cold.
Watch out
a revised quote does not come through here; Update Quote handles changes.
24

New Quote Line Items

Instant trigger

In Zapier“New Quote Line Items”

Instead of the whole quote, this trigger sends each line item added to a Quote. That level of detail suits a sheet that counts which products are being quoted most.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you analyze demand product by product rather than quote by quote.
Watch out
a quote with many lines starts the Zap once per line, and each action counts as a task.
25

Add Sales Order

Instant trigger

In Zapier“Triggers when a new Sales Order is Created”

Signals each Sales Order created in Agiliron. This is the trigger behind most order workflows: alert shipping, add a row to a fulfilment sheet or open a task for the account manager.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
orders arrive from several channels and one team must act on all of them.
Watch out
edits made after creation come through Update Sales Order instead.
26

Add Sales Return

Instant trigger

In Zapier“Triggers when a new Sales Return is Created”

Lights up when a customer return is logged in Agiliron, so quality, support or accounting hears about it without waiting for a weekly report.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
refunds or replacements must start as soon as the return is recorded.
Watch out
returns already logged before the Zap was published will not come through.
27

Add / Update Task

Instant trigger

In Zapier“Triggers when a new Task is Created or Updated”

Hands over each Task created or edited in Agiliron. A to-do app, a chat channel or a shared board can then show the same work items.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
reps work in Agiliron while managers follow tasks elsewhere.
Watch out
marking a task done is an edit, so it fires again; plan for it in the next step.
28

Add / Update Vendor

Instant trigger

In Zapier“Triggers when a new Vendor is Created or Updated”

Listens for Vendor records added or changed in Agiliron and sends them to your Zap, which can keep a supplier directory or a payment tool in step.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
accounting pays suppliers from a tool that must know every vendor.
Watch out
a vendor edited several times a day runs the Zap each time.
29

Update Purchase Order

Instant trigger

In Zapier“Triggers when a new Purchase Order is Updated”

Reacts to changes on an existing Purchase Order in Agiliron, such as a new quantity or a revised date, and lets the Zap pass the new version on.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
the receiving team must see the latest version of each incoming order.
Watch out
creation is not covered here, so pair it with Add Purchase Order if both matter.
30

Update Purchase Return

Instant trigger

In Zapier“Triggers when a new Purchase Return is Updated”

Follows each edit made to a Purchase Return after it was created, so whoever tracks vendor credits sees the return change as it happens.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a return is adjusted after the vendor inspects the goods.
Watch out
the first save of the return goes to Add Purchase Return, not to this trigger.
31

Update Quote

Instant trigger

In Zapier“Triggers when a new Quote is Updated”

Catches revisions to an existing Quote in Agiliron. Each new version can refresh a pipeline row or tell the manager that the offer moved.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
quotes are negotiated over several rounds.
Watch out
a quote edited many times starts the Zap many times; a filter can keep only the changes that matter, on a paid plan.
32

Update Sales Order

Instant trigger

In Zapier“Triggers when a Sales Order is Updated”

Passes along every change to a Sales Order that already exists in Agiliron, which keeps a fulfilment sheet or a customer notice in line with the real order.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
orders change after they are placed and shipping must follow.
Watch out
if your Zap writes back to that same order with Create / Update Sales Order, it fires itself again.
33

Update Sales Return

Instant trigger

In Zapier“Triggers when a new Sales Return is Updated”

Reports edits on a customer return already in Agiliron, for instance after the goods were checked, so support or accounting works from the current version.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
refund decisions depend on what the warehouse finds.
Watch out
new returns go through Add Sales Return; this one only sees changes.
Actions

Agiliron actions: create, update, delete, read

Agiliron gives you 33 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create / Update Account

Action

In Zapier“Create / Update a Account in Agiliron”

Writes an Account into Agiliron, either as a new record or as changes to an existing one, from data a previous step carried. Pair it with Get Account placed earlier in the Zap when you need to compare the customer company with what Agiliron already holds.

When to use it
a signup form or a billing tool should feed customer companies into Agiliron.
2

Create / Update Contact

Action

In Zapier“Create / Update a Contact in Agiliron”

Adds a person to Agiliron or refreshes an existing Contact. First Name, Last Name and Email are required. Since the same step also updates, a returning customer gets their details refreshed rather than a twin record.

When to use it
form submissions or webinar sign-ups must land in Agiliron as contacts.
Watch out
if the trigger app does not always send an email address, the action fails for those runs.
3

Create / Update Event

Action

In Zapier“Create / Update a Event in Agiliron”

Puts a meeting or call into Agiliron as an Event, or edits one already there, so the activity history stays complete. Run Get Event first when the booking tool reports a change, so the existing meeting is the one that moves on the calendar.

When to use it
bookings made in a scheduling tool must appear in Agiliron.
4

Create / Update Lead

Action

In Zapier“Create / Update a Lead in Agiliron”

Records a prospect as a Lead in Agiliron or updates it. Last Name and Company are required. Running Get Lead just before lets you spot a prospect already on file and refresh that record instead.

When to use it
ad forms and chat widgets produce prospects that sales handles in Agiliron.
Watch out
a lead form without a company field leaves this action with a gap to fill.
5

Create / Update Potential

Action

In Zapier“Create / Update a Potential in Agiliron”

Opens a Potential in Agiliron or changes an existing one, from whatever earlier step brought the deal in. The deal lands in the pipeline your sales manager reads, and the Add / Update Potential trigger can then pass it on to a forecast sheet.

When to use it
a qualified lead should become a deal record without retyping.
6

Create / Update Product

Action

In Zapier“Create / Update a Product in Agiliron”

Pushes a catalog item into Agiliron as a new Product or as an edit to an existing one. Agiliron stays the master catalog, so every channel that copies it picks up the new item through the Add / Update Product trigger.

When to use it
a supplier feed or a sheet is where new items are first prepared.
7

Create / Update Purchase Order

Action

In Zapier“Create / Update a Purchase Order in Agiliron”

Drafts a Purchase Order in Agiliron, or edits one, from data that comes from elsewhere. This step writes the order header only; the products go in afterwards with Create / Update Purchase Order Line Items.

When to use it
reorders start in a stock sheet and must end up as orders in Agiliron.
8

Create / Update Purchase Order Line Items

Action

In Zapier“Create Purchase Order Line Item in Agiliron backoffice using API 40”

Adds lines to a Purchase Order in Agiliron, one product line per run of this step. Use Get Purchase Order upstream to find which order the line belongs to.

When to use it
an order header exists and its items come from another source.
Watch out
each line written counts as a task, so a long order costs more.
9

Create / Update Purchase Return

Action

In Zapier“Create / Update a Purchase Return in Agiliron”

Logs goods going back to a vendor as a Purchase Return in Agiliron, or updates one. Like a purchase order, the return starts as a header; its products follow with Create / Update Purchase Return Line Items.

When to use it
quality checks happen in another tool and rejects must reach Agiliron.
10

Create / Update Purchase Return Line Items

Action

In Zapier“Create Purchase Return Line Item in Agiliron backoffice using API 40”

Fills a Purchase Return with its product lines, one per run. Get Purchase Return, placed just before, points this step at the right return so each rejected item lands where accounting expects it.

When to use it
the return header is created first and the items arrive later.
11

Create / Update Quote

Action

In Zapier“Create / Update a Quote in Agiliron”

Builds a Quote in Agiliron, or revises an existing one, from a request captured somewhere else. Once the header exists, Create / Update Quote Line Item fills it with products, and the Add Quote trigger can alert the sales manager.

When to use it
quote requests arrive through a website form.
12

Create / Update Quote Line Item

Action

In Zapier“Create new Quote Line Item in Agiliron backoffice using API 40”

Adds a single product line to a Quote in Agiliron, which is how a quote gets its content after the header exists. Each line written here also shows up on the New Quote Line Items trigger, handy for counting which products get quoted.

When to use it
a configurator or a sheet lists the items the client asked for.
13

Create / Update Sales Order

Action

In Zapier“Create / Update a Sales Order in Agiliron”

Turns an order from another channel into a Sales Order in Agiliron, or edits an existing one. The order arrives without products; Create / Update Sales Order Line Item adds them, then the Add Sales Order trigger can warn shipping.

When to use it
a marketplace or a webshop takes orders that Agiliron must manage.
14

Create / Update Sales Order Line Item

Action

In Zapier“Create new Sales Order Line Item in Agiliron backoffice using API 40”

Writes one item line into a Sales Order already in Agiliron. Get Account or Get Sales Order upstream gives it the order to attach the line to.

When to use it
orders arrive with several products and each must become a line.
Watch out
a ten-line order means ten runs of this step and ten tasks.
15

Create / Update Sales Return

Action

In Zapier“Create / Update a Sales Return in Agiliron”

Records a customer return in Agiliron as a Sales Return, or updates one already there. Support and accounting can then follow it through Add Sales Return, while the returned products go in with Create / Update Sales Return Line Items.

When to use it
a returns portal collects requests that Agiliron must track.
16

Create / Update Sales Return Line Items

Action

In Zapier“Create Sales Return Line Item in Agiliron backoffice using API 40”

Attaches the returned products to a Sales Return, one line per run. Get Sales Return earlier in the Zap tells it which return to fill, so restocking sees every item the customer sent back.

When to use it
returns list several items and each one matters for restocking.
17

Create / Update Task

Action

In Zapier“Create / Update a Task in Agiliron”

Assigns work inside Agiliron by creating or editing a Task. Subject, Start Date and Start Time are required. The rep then finds the follow-up in Agiliron instead of in a chat message that gets buried.

When to use it
an event elsewhere means someone in sales must act.
Watch out
the trigger app has to supply a date and a time, or the Zap must set them.
18

Create / Update Vendor

Action

In Zapier“Create / Update a Vendor in Agiliron”

Adds a supplier to Agiliron as a Vendor or refreshes its record. With the vendor on file, purchase orders written by the Zap can point at a supplier Agiliron knows, and Get Vendor can find it later.

When to use it
new suppliers are onboarded through a form or a sheet.
19

Delete Account

Action

In Zapier“Delete a Account in Agiliron”

Removes an Account from Agiliron when another tool says it should go. There is no search for accounts, so Get Account, an action, is what identifies the record to remove.

When to use it
a customer closes its account in your billing system.
Watch out
a deletion cannot be undone from the Zap; test on a dummy record.
20

Delete Contact

Action

In Zapier“Delete a Contact in Agiliron”

Erases a Contact in Agiliron on cue from another app. Get Contact placed before it finds the person by what the other app knows, so the right record goes.

When to use it
a person asks to be forgotten and the request is handled in one place.
21

Delete Event

Action

In Zapier“Delete a Event in Agiliron”

Clears an Event from Agiliron once it is cancelled elsewhere. Run Get Event first to locate the meeting, otherwise the step has no idea which slot to clear from the agenda.

When to use it
meetings are cancelled in a booking tool.
22

Delete Lead

Action

In Zapier“Delete a Lead in Agiliron”

Drops a Lead from Agiliron, for example after it is marked as spam in a form tool. Get Lead upstream locates the prospect, and the junk entry leaves the sales list before anyone calls it.

When to use it
junk submissions keep reaching the CRM.
23

Delete Potential

Action

In Zapier“Delete a Potential in Agiliron”

Takes a Potential out of Agiliron when another system rules the deal out. Get Potential, placed first, picks the deal; the pipeline then stops counting an opportunity nobody is working on.

When to use it
deals are qualified outside Agiliron and dead ones should not linger.
24

Delete Purchase Order

Action

In Zapier“Delete a Purchase Order in Agiliron”

Cancels a Purchase Order by deleting it in Agiliron. Get Purchase Order upstream finds the order, and the receiving team stops expecting a delivery that will never come.

When to use it
an order is called off in the supplier portal.
25

Delete Purchase Return

Action

In Zapier“Delete a Purchase Return in Agiliron”

Deletes a Purchase Return from Agiliron when the vendor refuses it or the return is dropped. Get Purchase Return locates the record first, so accounting stops waiting for a credit tied to a return that will not happen.

When to use it
return decisions are made outside Agiliron.
26

Delete Quote

Action

In Zapier“Delete a Quote in Agiliron”

Wipes a Quote from Agiliron on a signal from another tool. Get Quote finds the offer beforehand, and the Delete Quote trigger can then cancel any reminder still chasing the client.

When to use it
expired offers are flagged in a sheet.
27

Delete Sales Order

Action

In Zapier“Delete a Sales Order in Agiliron”

Removes a Sales Order from Agiliron when it is cancelled at the source channel. Get Sales Order, an action on this app, can identify the order first.

When to use it
the webshop cancels an order before it ships.
Watch out
a mistaken run removes a real order; a filter helps, on a paid plan.
28

Delete Sales Return

Action

In Zapier“Delete a Sales Return in Agiliron”

Deletes a Sales Return in Agiliron when the customer withdraws it. Get Sales Return comes first to name the return, and the refund team no longer sees a case the customer dropped.

When to use it
return requests are cancelled in a portal.
29

Delete Task

Action

In Zapier“Delete a Task in Agiliron”

Erases a Task in Agiliron once the matching item is cleared elsewhere. Get Task identifies it first; together they keep the rep's to-do list in Agiliron as short as the real one.

When to use it
tasks are mirrored in a to-do app and closed there.
30

Delete Vendor

Action

In Zapier“Delete a Vendor in Agiliron”

Removes a Vendor from Agiliron when the supplier is offboarded. Get Vendor locates the supplier first; purchase orders already raised with it are not removed by this step.

When to use it
procurement drops a supplier in its own tool.
31

Get Account

Action

In Zapier“Get a Account in Agiliron”

Fetches an Account from Agiliron. Note that Zapier files it as an action, not a search, so it sits among the actions and is billed like one.

When to use it
a later step needs account details the trigger did not carry.
Watch out
unlike a search step, it does not offer the three settings for missing or multiple results.
32

Get Sales Order

Action

In Zapier“Get a Sales Order in Agiliron”

Reads a Sales Order out of Agiliron so later steps can use it. Like Get Account, it is listed as an action. Its result can feed a customer notice or the order line of Create / Update Sales Order Line Item.

When to use it
a shipping update arrives and the order behind it is needed.
33

Get Sales Return

Action

In Zapier“Get a Sales Return in Agiliron”

Pulls a Sales Return from Agiliron for the following steps, again as an action rather than a search. A run that goes through counts as one task, since Zapier bills it as an action.

When to use it
a refund tool needs the return before it can act.
Searches

Agiliron searches

10 search steps look for data that already exists in Agiliron, so a later step can use it.

Searches sit at the bottom of the action list in the editor, under SEARCH. Each one looks up an existing record and passes it on. Agiliron offers no find-or-create variant.

1

Get Contact

Search

In Zapier“Get a Contact in Agiliron”

Looks up a Contact that already exists in Agiliron and passes it to the next steps. The match can then fill a Create / Update Task so the rep follows up with the right buyer.

When to use it
an order comes in and the buyer should be matched to a known person.
2

Get Event

Search

In Zapier“Get a Event in Agiliron”

Finds an Event in Agiliron so a later step can update or report on it. It is the step that keeps Create / Update Event and Delete Event aimed at the meeting that already exists.

When to use it
a booking tool changes a meeting that Agiliron already holds.
3

Get Lead

Search

In Zapier“Get a Lead in Agiliron”

Checks Agiliron for an existing Lead before anything else runs. If nothing matches, the default setting stops the Zap; switch it on to let Create / Update Lead write the newcomer.

When to use it
you want to avoid creating a second lead for the same prospect.
4

Get Potential

Search

In Zapier“Get a Potential in Agiliron”

Retrieves a Potential from Agiliron for the steps that follow. What it finds feeds Create / Update Potential, so the stage moves on the existing opportunity instead of a copy.

When to use it
a signed contract elsewhere should move the right deal.
5

Get Product

Search

In Zapier“Get a Product in Agiliron”

Searches the Agiliron catalog for a Product and hands it on. Order and quote line steps can then reference an item that really sits in the catalog rather than a typed name.

When to use it
a line item needs a product that must exist first.
6

Get Purchase Order

Search

In Zapier“Get a Purchase Order in Agiliron”

Locates a Purchase Order in Agiliron so the Zap can add lines or report on it. It is the natural partner of Create / Update Purchase Order Line Items and Delete Purchase Order.

When to use it
a delivery notice must be matched to its order.
7

Get Purchase Return

Search

In Zapier“Get a Purchase Return in Agiliron”

Finds a Purchase Return already logged in Agiliron. Its result tells Create / Update Purchase Return Line Items or Delete Purchase Return which return to work on, so the credit note matches the goods.

When to use it
a vendor credit arrives and the return behind it is needed.
8

Get Quote

Search

In Zapier“Get a Quote in Agiliron”

Fetches a Quote from Agiliron for the following steps. Feed the result to Create / Update Quote to revise it, or to Delete Quote when the client turns the offer down.

When to use it
a client accepts by email and the quote must be found.
9

Get Task

Search

In Zapier“Get a Task in Agiliron”

Looks for a Task in Agiliron so it can be updated rather than duplicated. Mapped into Create / Update Task, it marks the existing item done; without it, the Zap would only add another task.

When to use it
a to-do app closes an item and Agiliron should follow.
10

Get Vendor

Search

In Zapier“Get a Vendor in Agiliron”

Searches Agiliron for a Vendor before a purchase step uses it. When several vendors match, keeping the first is the default, so a precise name avoids paying the wrong supplier.

When to use it
supplier invoices must be tied to the right vendor.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap and the steps that depend on it are skipped. Switched on, the Zap continues empty-handed.
  2. Create X if it doesn't exist yet?
On apps that offer it, this box turns a search into find-or-create. None of the Agiliron searches has it.
  3. If multiple search results are found?
Three choices: keep the first match, which is the default, stop the Zap, or pass every match on at once.
When it breaks

When an Agiliron Zap breaks

Zapier attaches no help article to Agiliron, so these are the general limits that apply to it.

Four situations explain most surprises on this app.

  • Nothing from before the Zap

A Zap only reacts to what happens after you publish it. Orders, leads or returns that already existed are not picked up; moving them is a separate job.
  • The Zap that keeps restarting

Add / Update Contact plus Create / Update Contact on the same account is a loop: the action edits the record, which fires the trigger again and burns tasks.
  • Bulk imports held back

Importing a whole catalog or customer file can send a huge batch at once. Zapier may hold that flood back instead of running every item.
  • Deleted records that cannot be found

After a delete trigger, the record is gone from Agiliron. A Get search on it finds nothing and stops the Zap unless you allow empty results.

FAQ

Agiliron Zapier integration: questions

01Is the Agiliron Zapier integration free?
Yes, as long as one trigger and one action are enough. Agiliron is not a premium app, so it works on the free plan, which includes 100 tasks a month and unlimited Zaps. The catch is that the free plan only builds two-step Zaps. The moment you add a second action, a filter or a search, the Zap becomes multi-step and needs a paid plan. For a webshop owner who only wants each new sales order copied to a spreadsheet, the free plan is enough.
02How many tasks does an Agiliron Zap use?
One per successful action, per run. The trigger costs nothing, and checking for new data costs nothing either. A Zap that creates a task and then a contact uses two tasks every time it runs. A failed action is not billed. Watch the line-item operations: a quote with many lines can start the New Quote Line Items trigger once per line, so a distributor quoting large baskets can use far more tasks than the number of quotes suggests.
03Do Agiliron triggers work in real time?
Yes. All 33 Agiliron triggers are instant: the app tells Zapier the moment something happens, so the Zap starts right away whatever your plan. The polling interval of the plan, such as 15 minutes on Free, does not apply. In the editor, a Zap built on an instant trigger shows a lightning bolt. For a retailer whose returns must reach the refund team quickly, that means the free plan is just as fast as Enterprise.
04What does it take to connect Agiliron to Zapier?
An Agiliron account you can sign in to, plus read or write rights on any records you do not own and want the Zap to touch. In Zapier, go to Apps, click + Add connection, pick Agiliron, then sign in and grant access in the tab that opens. The connection is made once and reused by every step that uses Agiliron, so a sales assistant setting up several Zaps only does it the first time.
05Why does Create / Update Contact fail on some runs?
Because it requires First Name, Last Name and Email, and some runs arrive without one of them. A trade-fair badge scanner, for example, may capture a name but no email. When a required value is missing, the action does not go through, and it is not billed. Fix it by mapping a fallback value, or by adding a filter that lets only complete records through, which needs a paid plan.
06What if the Agiliron operation you need is missing?
Then the Zap cannot do it directly with this app. Common gaps here: there is no trigger for a new Ticket, no Ticket action, and no search that creates the record when nothing is found. A workaround is sometimes possible with what exists, for instance Get Account as an action to read a record before writing. If the gap blocks a key process, compare what other platforms offer for Agiliron before building around it.
07Zapier, Make or n8n for Agiliron?
It depends on your criteria, not on a ranking. On Zapier, Agiliron offers 76 operations, instant triggers and no premium fee, which suits a small team that wants something working on the free plan. On Make or n8n, check the same three things before deciding: compare how each one bills, which Agiliron operations it exposes, and who on your team will maintain the workflows. Whatever you pick, the free plan here lets you test before deciding.
