What the AidaForm Zapier integration is for

It sends what happens on your AidaForm forms to the rest of your tools, without code. AidaForm is the starting point only: Zapier listens for a new response, a new payment or a new uploaded file on a form you choose, then hands the details to another app that does something with them.

Three results come up often. A lead in the CRM: New Response pushes each submitted form into your sales tool or a spreadsheet, so nobody retypes anything. A sale on record: New Payment reacts when AidaForm gets a payment notice on a form, which can feed your bookkeeping sheet or a thank-you email. A file in the right folder: New File fires for every file someone uploads through a form, ready to be stored in cloud storage.

What Zapier does not do here matters as much. There is no action on AidaForm: a Zap cannot create a form, edit a response or write anything back into AidaForm. There is no search step either. Responses that arrived before you switched the Zap on are not picked up. And every trigger watches one form at a time, so three forms means three Zaps or a rethink.

The AidaForm trigger itself never costs a task. What counts is each successful action in the other app: one response sent to one spreadsheet is one task, and a failed action is not counted. The free plan gives 100 tasks a month and unlimited Zaps, capped at two steps: one trigger and one action. Add a filter (say, keep only paid orders) or a second action, and the Zap needs a paid plan. Since every trigger here is instant, the interval grid below does not slow you down.

    Go to the Apps page

    In Zapier, open Apps and click + Add connection. A connection is your AidaForm account linked once, then reused by every Zap that starts from AidaForm.

    Search for AidaForm in the dialog, select it and click Add connection. A new tab opens on the AidaForm side, where you sign in before coming back to Zapier.

    From your Zapier dashboard, create a Zap. Pick AidaForm as the app that starts it and New Response as the event that sets it off.

    Select the form to watch in the Form field. Only one form per trigger, so name the Zap after it so you can find it again later.

    Run the test. Zapier brings back the three most recent responses of the form, so map from a real one. Submit a test answer first if the form is new.

When it breaks

When an AidaForm Zap breaks

Zapier links no help article to AidaForm and documents no limit specific to it. What goes wrong comes from how Zapier itself behaves.

Four cases come back most. Check the Zap history after the first submissions, and if a problem sticks, the Zapier troubleshooting page goes further.

  • Older responses never arrive

    Switching the Zap on does not reach back: submissions the form collected before that moment stay in AidaForm, and moving them over is a separate job.
  • The wrong form is watched

    Each trigger is tied to the form chosen in the Form field. A duplicated or replaced form keeps collecting answers that the Zap never sees.
  • A sudden flood gets held back

    If a form suddenly receives a huge batch at once, after an import or a campaign spike, Zapier's flood protection can pause the trigger instead of running it.
  • Tasks vanish on upload forms

    New File runs once per uploaded file, so a form with several attachments multiplies the actions downstream and drains the monthly task count quickly.

01Is the AidaForm Zapier integration free?
Yes. AidaForm is not a premium app, so its triggers work on the free plan. That plan includes 100 tasks a month and unlimited Zaps, each limited to two steps: one trigger and one action. A Zap that adds a filter or a second action becomes a multi-step Zap and needs a paid plan. A simple flow, such as one response sent to one spreadsheet, fits the free plan as long as monthly volume stays under that ceiling.
02How many tasks does an AidaForm Zap use?
The AidaForm trigger costs nothing. Only the actions in other apps are counted, one task each time an action completes successfully. A response copied into one spreadsheet uses one task; the same response also sent by email uses two. An action that fails is not counted. With New File, remember that each uploaded file starts its own run, so a submission with three attachments can use three tasks in a one-action Zap.
03Do AidaForm triggers work in real time?
Yes. All three AidaForm triggers are instant: AidaForm tells Zapier as soon as a response, a payment or a file arrives, and the Zap starts right away. The polling interval of your plan, 15 minutes on the free one, does not apply to them. That makes AidaForm one of the apps where the free plan feels as fast as a paid one. 04What does it take to connect AidaForm to Zapier?
An AidaForm account and a Zapier account. Open the Apps page in Zapier, click + Add connection, search for AidaForm, then sign in to AidaForm in the tab that opens and grant access. If the Zap must watch a form you did not create, the account you connect also needs access to it. The connection is made once and every AidaForm trigger reuses it afterwards, whatever the form. Nothing else is needed on the Zapier side.
05Can a single Zap watch several AidaForm forms?
No. Each AidaForm trigger requires one form, chosen in its Form field from the connected account. To cover three forms, build three Zaps, each pointing to its own form. Name each Zap after its form so that the list stays readable. When a form is duplicated or rebuilt, update the Zap too, because it keeps watching the old one and new answers quietly stop flowing through. A quick look at the Zap history after any form change avoids that silent gap.
06What if the AidaForm action needed does not exist?
On Zapier, AidaForm offers no action at all, only triggers. Anything that would write into AidaForm, such as creating a form or editing a response, cannot be automated from here. The workaround is to keep AidaForm as the starting point and let the other apps of the Zap do the work. For a write-back need, it is worth checking what the AidaForm integration exposes on other automation platforms. Keep in mind that the answer can differ from one platform to the next.
07Zapier, Make or n8n for AidaForm?
There is no single winner; it comes down to what the form needs to do.
