What the Alvanda Zapier integration actually does

The Alvanda Zapier integration links your Alvanda workspace to Zapier, the tool that runs automations between apps. Alvanda reports what moves inside your operations (tasks, components, initiatives, people), and Zapier reacts by creating tasks or components for you, with no copy and paste.

Three results come up again and again. First, a follow-up task that writes itself: when Task Completed picks up a closed task, Create Task opens the next step of the procedure. Second, a component set up as soon as a strategic initiative lands: New Strategic Initiative Created starts the Zap, Create Component builds the matching piece. Third, a traceable onboarding: New User Registered or User Assigned to Position starts the Zap, and Create and Complete Task records the step as already done, so the history shows it.

What Zapier does not do here matters just as much. Every action creates something: nothing edits an existing task, changes a status or deletes a component. There is no search step either, so a Zap cannot look up a task that already exists before acting. And every trigger works on a timer, so nothing fires the very second it happens in Alvanda.

The trigger never costs a task, however often Zapier checks for new comments or tasks. Each action that succeeds counts once: a Zap that creates a component and then a task uses two tasks per run. An action that fails is not counted. The real limit on the free plan is size: one trigger and one action, nothing more. Add a second action or a filter and the Zap becomes multi-step, which needs a paid plan.

    Open the Apps page

    In your Zapier account, go to Apps and click + Add connection. A connection is your Alvanda account linked once, then reused by every step that talks to Alvanda.

    Type Alvanda in the search box of the dialog, select it, then click Add connection. You need an existing, working Alvanda account before going further.

Your first Zap: close a task, open the next one

    Add Alvanda again with Create Task. Fill Task Name, Company, Procedure and Assignee; you can reuse values from the tested task where they fit.

    Add a third step, Create Component, with its Company. This makes the Zap multi-step: on the free plan, keep only the first action.

    Test and publish

When it breaks

When an Alvanda Zap breaks

Zapier attaches no help article to Alvanda and lists no limit of its own for it. What breaks is what breaks on any Zap, with a twist: Alvanda's actions create things its triggers are watching.

Four cases are worth knowing before you publish. Each one has a simple way out. For the rest, the Zapier troubleshooting page is the place to go.

  • The Zap loops on itself

    New Task followed by Create Task, or New Component Created followed by Create Component: the Zap creates what it watches and restarts. Pair different objects instead.
  • Old tasks never show up

    A Zap only reacts to what happens after it is published. Tasks, comments and users that already existed are not picked up; moving that backlog is a separate job.
  • A bulk import gets held back

    When a trigger suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold the run back rather than fire on everything.
  • The same item never fires twice

    Zapier remembers what it has already seen on a polling trigger. An item that started the Zap once will not start it again later on.

01Is the Alvanda Zapier integration free?
Yes, it runs on the free Zapier plan, because Alvanda is not a premium app. The free plan gives you 100 tasks a month and as many Zaps as you like. The catch is size: each Zap stays at one trigger and one action. As soon as you want a second action, say creating a task and then a component, or a filter that keeps only some events, the Zap becomes multi-step and you need a paid plan.
02How many tasks does an Alvanda Zap use?
One per action that succeeds, and nothing for the trigger. Zapier can check Alvanda for new tasks or comments as often as your plan allows without spending anything. A Zap that only creates a task uses one task per run. A Zap that creates a component and then a task uses two. If an action does not go through, that attempt is not counted against your plan, so a failed run costs you nothing beyond the time to fix it.
03Does Alvanda trigger Zaps in real time?
No. All twelve Alvanda triggers are polling triggers: Zapier asks Alvanda for new items on a timer. On the free plan the check runs every 15 minutes, on Professional every 2 minutes, on Team and Enterprise every minute. On paid plans you can also run a check by hand from the editor. None of the Alvanda triggers is instant, so there is no way to get an event the second it happens.
04What does it take to connect Alvanda to Zapier?
An Alvanda account, plus access to whatever the Zap will touch. You add the connection from the Apps page of Zapier, search for Alvanda, sign in in the new tab and grant access. If the Zap creates tasks in a company or a procedure you do not own, your account needs read or write access there. Without it, the required fields of Create Task cannot be filled. Nothing else is needed on the Zapier side.
05Why does an Alvanda Zap keep running on its own?
Because it probably creates what it watches. A Zap that starts on New Task and then runs Create Task makes a new task, which the next check sees as new, which starts the Zap again. The same happens with New Component Created and Create Component. Each round uses a task, so the monthly count disappears fast. Use a trigger on one kind of object and an action on another. Testing before publishing helps you spot it early.
06What if the Alvanda operation you need is missing?
Then Zapier cannot do it for Alvanda today. The integration has 12 triggers and 3 actions, all three of them creations. There is no action that updates or deletes a task, and no search step to find an existing one.
