What the Billit Zapier integration actually does
It lets Zapier write into your Billit account. When something happens in another app, a signed quote, a paid order, a new client, Zapier creates or updates the matching customer, product or invoice in Billit, so nobody types the same details twice. You set it up once.
The first thing to know: Billit has no trigger in Zapier. A Zap never starts from Billit, only from another tool that feeds it. Nothing on the Billit side, a paid invoice or a new customer, can set off an automation elsewhere.
Keep that in mind when you plan. Within that frame, three outcomes come up. An invoice drafted from an order: Find Product fetches the product ID and Quick Invoice builds the invoice from the client's VAT number and that ID. A clean contact base: Create Customer and Create Supplier add the people you bill and the people who bill you, straight from your CRM or your onboarding form. A catalog that stays current: Create Product adds a new item and Update Product rewrites its price or stock when your shop changes it.

A Zap where a form response creates one Billit invoice costs one task per invoice. Put Find Product in front of Quick Invoice and you have two steps after the trigger: each one that succeeds is counted, and the search makes it a multi-step Zap that needs a paid plan, since the free plan stops at one trigger and one action. A failed action is not counted. Billit is not a premium app. It works on the free plan as long as the Zap stays at two steps.
Connect Billit to Zapier in three steps

Open the Apps page
In your Zapier account, go to Apps and click + Add connection. A connection is your Billit account linked to Zapier once, then reused by every Billit step in every Zap.

Pick Billit and start the link
Type Billit in the dialog, select it, then click Add connection. You need a Billit account of your own, plus access to any company data you do not own but want the Zap to write into.

Sign in and grant access
Sign in to Billit in the tab that opens and allow Zapier to use the account. Every Billit action and search you add afterwards reuses this one connection.
Your first Billit Zap: a quick invoice for each new order

Build: choose the trigger
Start a new Zap and pick your shop or order tool as the trigger app, with its new-order event. Billit has no trigger, so the Zap always opens on another app.

Test the trigger
Run the test. Zapier brings back the three most recent orders of the connected account, so you map fields from a real order rather than a blank one.

Add Find Product
Add Billit with Find Product and pass the product name from the order. It hands the product ID to the next step. This search makes the Zap multi-step, so it needs a paid plan.

Add Quick Invoice
Add Billit again with Quick Invoice. Map the client's VAT number, the product ID found above, the quantity, the invoice date and the type (Invoice or Offer).

Test, then Publish
Test each step and open Billit to check the invoice. Then click Publish to switch the Zap on. Orders placed before that moment are not invoiced.

Rewrites an existing product: price with and without VAT, purchase price, stock, group and more. Almost every field is required, so it replaces the whole record rather than one value.
Billit searches in Zapier
2 search steps look for data that already exists in Billit, so a later step can use it.
Billit searches sit at the bottom of the Action event list, under SEARCH. They fetch a customer or a product that already exists, so a later step can use its ID. Some action fields also offer + Add search step, which inserts a search just before and wires the result in. Three settings decide what happens when there is not exactly one match.
Find Customer

Returns the details of a client already in Billit, so the invoice step that follows points at the right person instead of creating a twin.
Find Product

Looks up a product by its name and hands back its information, including the ID that Quick Invoice and Update Product need. The editor also lists Find or Create Product: that is this same search with the create box ticked, not a separate operation.
The three settings every search exposes
- Successful if no search results are found?Left at its default, a search that finds nothing stops the Zap and skips the steps that depend on it. Switch it on and the Zap carries on empty-handed.
- Create X if it doesn't exist yet?Ticking this box turns the search into a find-or-create: the setting above disappears and Zapier asks for the fields needed to create the missing item.
- If multiple search results are found?Three ways out when several items match: keep the first one, which is the default, stop the Zap, or pass all of them on at once.
When a Billit Zap breaks
Zapier attaches no Billit-specific help article and no documented rate limit to this app. What goes wrong comes from how Zaps work in general, and from Billit's long list of required fields.
