Overview

What the Salesmate Zapier integration actually does

It lets Zapier watch your Salesmate account and act on it without you. Something happens in the CRM (a contact appears, a deal changes, a user gets switched off) and Zapier runs the steps you defined. Or the reverse: an event elsewhere ends up as a contact, a deal or an activity in Salesmate.

Three results come up again and again. First, records that create themselves: Create Contact, Create Deal and Create Company turn a form answer or a signup into a clean CRM entry, so nobody retypes it. Second, a trail of notes: Add Note pins context onto the right deal or contact the moment something happens. Third, reactions to change: Update Deal and Update Contact are instant triggers, which is how you keep another tool in step with the CRM.

Now the limits. None of the 16 actions deletes anything, so cleanup stays manual. Every update action asks for the ID of the record to change, which means a search step in front of it most of the time. And the note triggers, like the user triggers, work on a timer, while the contact, company, deal, activity and custom module triggers are instant.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier sits and waits for it to happen.

Task

Salesmate is not a premium app on Zapier, so it runs on the free plan. The bill is counted in tasks, not in triggers.

The trigger never costs a task, and neither does Zapier checking for new data. Each action that succeeds is one task; one that fails is not counted. The free plan gives 100 tasks a month but only two-step Zaps: one trigger, one action. Add a filter, a search or a second action and you have a multi-step Zap, which needs a paid plan. Since every Salesmate update action wants a record ID, that search usually pushes you onto one.

Connect

Connect Salesmate to Zapier in three steps

    Open your connections

    In Zapier, go to the Apps page of your account and click + Add connection. A connection is your Salesmate account linked once, then reused by every Zap that touches it.

  2. 02

    Pick Salesmate

    Type Salesmate in the search box of the dialog, select it, then click Add connection. You need an existing Salesmate account for this, plus access to any record you do not own and want the Zap to touch.

    Sign in and allow access

    A new tab opens on Salesmate. Sign in there and grant Zapier access to the account. Back in the editor, the connection shows up in the list and every Salesmate step can use it.

First Zap

Your first Zap: turn a qualified contact into a deal

GoalEach time a contact is created in Salesmate and meets your condition, open a deal for it.

  1. 01

    Create the Zap

    Click Create then Zap. In the trigger slot, pick Salesmate and the New Contact event, then choose your Salesmate connection.

  2. 02

    Test the trigger

    Run the test. Zapier pulls the three most recent contacts from your account, so you map the next steps on a real record rather than on a guess.

  3. 03

    Add the filter

    From the plus icon, add Filter. Pick a contact field, the rule and the value. Choose a text rule for text, a number rule for numbers, or it never passes.

  4. 04

    Add the action

    Add a step, choose Salesmate then Create Deal. Map the contact data from the trigger into the deal fields, and test the step to read what came back.

  5. 05

    Publish

    Click Publish. New Contact is instant, so the deal opens as soon as the contact is saved. The filter makes this a multi-step Zap, so it needs a paid plan.

Here, they matter more than usual: every update action needs an ID, and a search is how you get one. Whether a search wants an exact value or a close one is up to Salesmate.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and skips the steps that relied on it. Switch it on and the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    Tick it and the search becomes a find-or-create: it drops the setting above and asks for the fields needed to create the missing item.
  3. If multiple search results are found?
    Three exits when several items match: keep the first one, which is the default, stop the Zap, or pass all of them on at once.
When it breaks

When a Salesmate Zap breaks

Zapier links no help article to Salesmate, so the traps below are the general ones. They are the ones that bite a CRM first.

With ten instant triggers watching records that the actions can also write, loops are the first thing to check. If a Zap stops for no clear reason, the Zapier troubleshooting guide walks through the usual checks.

  • The past is not picked up

    A Zap only reacts to what happens after you publish it. The contacts and deals already in Salesmate stay where they are; moving them is a separate job.
  • The Zap that sets itself off

    Update Contact as trigger plus Update Contact as action on the same record: each run edits the contact, which fires the Zap again and burns tasks.
  • Bulk imports get held back

    A trigger that suddenly returns a huge batch, after a bulk import or a migration, can be held back by Zapier's flood protection.
  • No duplicates on polling

    On the note and user triggers, Zapier remembers what it has already seen, so the same item never starts the Zap twice, even across checks.

Salesmate Zapier integration: your questions

01Is the Salesmate Zapier integration free?
Yes, as long as your Zaps stay simple. Salesmate is not a premium app, so it works on the free plan. That plan gives you 100 tasks a month and Zaps of two steps only, one trigger and one action. Add a filter, a search or a second action and you need a paid plan. Since every Salesmate update action asks for a record ID, which usually comes from a search step, many useful Salesmate Zaps end up on a paid plan.
02How many tasks does a Salesmate Zap use?
One per successful action, and nothing for the trigger. Zapier never bills the check for new data, however often it runs. A Zap that creates a contact and then adds a note uses two tasks each time it runs. An action that fails is not counted, and a Zap with three actions eats three times what a one-action Zap does. Watch the update triggers: without a filter, every update they report runs the actions, and each successful one is a task.
03Is it real time?
Ten of the 17 triggers are, and they ignore your plan. New Contact, New Company, New Deal, New Activity, New Custom Module Record and the five update triggers are instant: Salesmate tells Zapier the moment something happens. The four note triggers and the two user triggers are polling: Zapier checks every 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. A Zap built on an instant trigger shows a lightning bolt in the editor.
04What does it take to connect a Salesmate account to Zapier?
A Salesmate account, plus access to any record you do not own and want the Zap to touch. In Zapier you open the Apps page, click + Add connection, search for Salesmate, then click Add connection and sign in to Salesmate in the tab that opens. Once you grant Zapier access, the connection is stored and every Salesmate step in every Zap can reuse it without asking again. The first time you test a trigger, Zapier brings back the three most recent items of that account, a quick way to check you linked the right one.
05Why does a Salesmate update action ask for an ID?
Because Salesmate needs to know exactly which record to change. Update Contact, Update Company, Update Deal and Update Activity each require the record ID, and the custom module and note updates ask for more. When the trigger does not carry that ID, put a search step in front: Search Contact, Search Deal or Search Record returns it. That search makes the Zap multi-step, so plan for a paid plan. Test it on a real record before you publish.
06What if the Salesmate operation needed is not in the list?
Then Zapier cannot do it with Salesmate today, and no setting will add it. Delete is the clearest gap: none of the 16 actions removes a record. The usual workarounds are to update a field instead, so a filter can ignore the record later, or to see whether another tool offers the missing step. 07Zapier, Make or n8n for Salesmate?
It depends on your criteria, not on a ranking. On Zapier, Salesmate runs on the free plan as long as one trigger and one action are enough. Make and n8n each have their own page for Salesmate with their own operation list, so check whether the step you want exists there. Compare the operations you need first, then the cost of the steps around them, since searches and filters weigh on the bill.
