What the Biyo POS Zapier integration actually does

Biyo POS is a point-of-sale system: sales, stock and customer records live in it. Plugging it into Zapier means that when something new appears in Biyo POS (a store, a product, an order), an automation picks it up, and that you can create or look up Biyo POS records from other steps without typing them in by hand.

Three results come up again and again. A store that is ready to sell: New Store starts the automation and Create Terminal adds the till that goes with it. A catalog that stays in step: New Category or New Product passes your menu or range on, and Create Product or Create Category writes into Biyo POS when the source of truth sits elsewhere. Figures you do not have to export: Find Sales Summary, Find Taxes Summary and Find Shifts Summary pull a summary for a start and end date so a later step can file it.

Now the part the app page does not spell out. Every one of the 12 triggers is checked on a timer: none of them is pushed by Biyo POS the moment it happens. The 10 actions only create things. There is no update and no delete in the list, so changing a price or archiving a product stays a job you do inside Biyo POS. And there is no trigger for a closed shift: shifts and sales only come out through searches, which means another trigger has to start the Zap first.

Each action that goes through counts as one task, and one that fails is not counted. A Zap with three actions uses three times what a one-action Zap uses. The free plan gives 100 tasks a month and unlimited Zaps, but it only builds two-step Zaps: one trigger, one action. Add a filter, a search or a second action and it becomes a multi-step Zap, which needs a paid plan. A few apps and actions take more than one task.

Connect your Biyo POS account

  1. 01

    Open the Apps page

    In your Zapier account, go to Apps and click + Add connection. You need a Biyo POS account, plus access to any store or record you do not own and still want the Zap to touch.

    Pick Biyo POS

    Type the app name in the search box of the dialog, select Biyo POS, then click Add connection. A tab opens on the Biyo POS side so you can sign in with the account the Zap will act for.

    Grant access

    Sign in to Biyo POS in that tab and allow Zapier to reach the account. The connection is then saved once and reused by every Biyo POS step you add later, in any Zap.

First Zap

Your first Zap: equip every new store with a till and a printer

    Build the trigger

    In Build, choose Biyo POS as the app and New Store as the event that starts everything, then select the Biyo POS connection you added earlier.

    Click Test. Zapier brings back the three most recent stores of the connected account, so pick a real one to map from in the next steps.

    Add Create Terminal

    Add Biyo POS again with Create Terminal. Give it a Name, then map the Store field to the store the trigger just found. Both fields are required.

A search step looks up something that already exists in Biyo POS and passes it on. In the editor, searches sit at the bottom of the Action event list, under SEARCH. Ten of them also come as a "Find or Create" line: that is the same search with the create box ticked, not an extra operation. Whether a search wants the exact value or something close is decided by Biyo POS. Three settings decide what happens when the result is not a clean single match.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and skips the steps that relied on it. Switched on, the Zap carries on with an empty result.
  2. Create X if it doesn't exist yet?
    Ticking it turns the search into a find-or-create: the setting above disappears and Zapier asks for the fields needed to create the missing record.
  3. If multiple search results are found?
    Three ways out: keep the first match (the default), stop the Zap, or hand every match on at once.
When it breaks

When a Biyo POS Zap breaks

Zapier attaches no help article to Biyo POS and lists no limit of its own for it. What breaks here comes from how Zapier works in general.

Four cases cover most surprises on this app. If something still looks wrong, the Zapier troubleshooting page walks through the checks one by one.

  • The Zap ignores existing records

    A Zap only reacts to what happens after it is switched on. Stores, products or customers already in Biyo POS are never picked up; moving that backlog is a separate job.
  • A trigger and action on the same object loop

    New Product with Create Product, or New Terminal with Create Terminal: the Zap writes where its own trigger watches, sets itself off again and eats tasks fast.
  • A bulk import stalls

    Loading a whole catalog at once makes the trigger return a huge batch, and Zapier's flood protection can hold it back before anything runs.
  • The same item does not run twice

    Zapier keeps track of what a polling trigger has already seen, so the same store, order or product never starts the Zap twice. If an item seems skipped, check whether it was already seen.

Biyo POS Zapier integration: frequent questions

01Is the Biyo POS Zapier integration free?
Yes, Biyo POS is not a premium app, so it works on the free Zapier plan. That plan gives 100 tasks a month and unlimited Zaps, checked every 15 minutes. The catch is size: a free Zap has exactly two steps, one trigger and one action. As soon as you add a filter, a search such as Find Sales Summary, or a second action like Create Printer, you are building a multi-step Zap and you need a paid plan. Most onboarding flows for a new store end up there.
02How many tasks does a Biyo POS Zap use?
One task per action that completes successfully. The trigger is free, and so is every check Zapier makes for new stores, orders or products. An action that fails is not counted. So a Zap that creates a terminal for each new store costs one task per store, and the same Zap that also creates a printer costs two. With the free allowance of 100 tasks a month, a busy New Order Zap is the one to watch, because every sale that reaches an action is billed.
03Does Biyo POS send events to Zapier instantly?
No. All 12 Biyo POS triggers are polling triggers: Zapier asks Biyo POS for new items on a timer and keeps only what it has not seen. On the free plan that check happens every 15 minutes, every 2 minutes on Professional, and every minute on Team and Enterprise. The type comes from the app's own API and cannot be switched in the editor. On paid plans you can also run a check by hand from the editor when you are testing.
04What does it take to connect Biyo POS to Zapier?
A Biyo POS account, plus access to any store or record you do not own and want the Zap to touch. In Zapier you open Apps, click + Add connection, search for Biyo POS, click Add connection, then sign in to Biyo POS in the tab that opens and allow access. The connection is saved once and reused by every Biyo POS step. Make sure the account already has a store and a category if you plan to use Create Terminal or Create Product.
05Why does Create Product or Create Customer fail?
Usually because a required field is empty. Create Product needs Categories, Create Terminal needs a Name and a Store, Create Category needs a name and a colour, and Create Customer needs First Name, Password, Email and Phone. A web form that never asks for a phone number will make Create Customer fail every time. The fix is to map every required field, or to put a search such as Find Category in front, with its create option, so the value exists before the action runs.
06What if the Biyo POS operation you need is not in Zapier?
Then the integration does not offer it today. The list holds 12 triggers, 10 actions that only create records, and 19 searches. There is no update or delete action, and no trigger on a closed shift or on a sale of a given item. Those jobs stay inside Biyo POS, or need another route such as a different automation platform. Before building around a gap, look at the Biyo POS page on Zapier again: it lists every operation the integration offers, so the answer is there in one click.
