Overview

What the bluebarry Zapier integration does

bluebarry gives an online store a product advisor: a short series of questions that ends on personalized recommendations. Connected to Zapier, it does two jobs. It reports what visitors do inside the advisor, and it lets your automations manage the product list the advisor recommends from.

Three results you can build. A live view of the advisor: Question Answered and Result Viewed both start a Zap the moment they happen, so you know a visitor reached the end of the quiz without opening a dashboard. A product list that keeps up: Create Product adds a new item with its name and URL, and Update Product edits one you already have. Clean-up and checks: Delete Product removes an item the advisor should stop suggesting, and Get Product by Id pulls a product into the Zap so the next steps can use it.

What Zapier does not do here: there is no search step, so a Zap cannot find a product by its name or URL. Every action except Create Product needs the product ID up front. There is also no trigger for a new or changed product, so changes to your list do not start Zaps. If you compare tools, the bluebarry Make integration page is the obvious neighbor, and Make vs Zapier helps frame the choice.

Vocabulary

The Zapier words on this page

Seven terms carry the rest of the page. Here they are once, in everyday words.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. With the Zap on, Zapier waits for it, here a quiz answer or a result page.
Action
What the Zap does once started: the step that writes, sends or changes something for you, such as a product.
Task
The unit Zapier bills: one action completed successfully. Your plan is measured in tasks per month.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is sent by the app itself as soon as the event happens.
Filter
A step that lets the Zap go on only when what came in meets your condition, and stops it there otherwise.
Connection
Your bluebarry account linked to Zapier once, then reused by every bluebarry step in all your Zaps.
Cost

What a bluebarry Zap costs

bluebarry is not a premium app: it runs on the free Zapier plan. You pay for actions, never for the triggers.

  • Free plan100 tasks per month
  • Zaps on freeUnlimited, two steps each
  • Premium appNo
  • Trigger speedInstant on every plan

Neither trigger costs a task, even on a busy day in the advisor. Each product created, updated, read or deleted successfully counts as one task; an action that fails is not counted. The free plan gives 100 tasks a month and two-step Zaps: one trigger, one action. A filter or a second action turns the Zap into a multi-step Zap, and that needs a paid plan. Because both triggers are instant, the polling grid below never slows them down.

Connect

Connect bluebarry to Zapier

  1. 01

    Open Apps

Go to Apps in your Zapier account and click + Add connection. You need a bluebarry account, plus access to any advisor or product list you do not own that the Zap should touch.

  2. 02

    Choose bluebarry

Type bluebarry in the dialog's search, pick it and click Add connection. Sign in to bluebarry in the tab that opens, with the account that runs the store's advisor.

  3. 03

    Grant access

Let Zapier use the account. That connection is then reused by both triggers and all four actions, in every Zap you build, so it is a one-time step per account.

First Zap

Your first bluebarry Zap: log what the advisor serves

GoalEach time a visitor views a result page, read the recommended product in bluebarry and log its current name and URL in a spreadsheet.

  1. 01

    Build: set the trigger

Create a Zap, choose bluebarry, then Result Viewed. The trigger asks for a Name, which is required, so give it one you will recognize later.

  2. 02

    Test and read the result

Run the test and read what came back before going further. You will map the next steps on a real result view rather than on empty fields.

  3. 03

    Add Get Product by Id

Choose Get Product by Id and map the product ID from the result view, if the trigger test shows one. A typed, fixed ID would read the same product on every view.

  4. 04

    Add the spreadsheet row

Add a second action in your spreadsheet tool and map the name and URL that Get Product by Id returned: one row per result viewed. Two actions make the Zap multi-step, so a paid plan.

  5. 05

    Test, then Publish

Test both actions, check the row that came back, then click Publish. Result pages viewed before this moment are not picked up.

Triggers

The 2 bluebarry triggers

2 events start a Zap when something happens in bluebarry, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Question Answered

Instant trigger

In Zapier“Triggers when a question is answered.”

Starts the Zap each time a visitor answers a question in your product advisor. You see the quiz being used step by step, not only when someone reaches the end.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a sporting goods store testing a new advisor wants to know whether visitors answer the first questions at all, before tuning the recommendations.
Watch out
it asks for a required Name at setup, and every answer starts a run, so a filter keeps the Zap to the ones you care about.
2

Result Viewed

Instant trigger

In Zapier“Triggers when a result page is viewed.”

Fires when a visitor reaches and views a result page, the moment the advisor shows its recommendations. It is the end of the journey inside bluebarry.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a skincare shop that wants to count completed advisor sessions, or react once a visitor has actually seen the recommended products.
Watch out
the Name field is required here too. One visitor can view several result pages, and each view is its own run of the Zap.
Actions

The 4 bluebarry actions

bluebarry gives you 4 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Product

Action

In Zapier“Create a product”

Adds a new product to the list your advisor recommends from, with the name and the page it should send visitors to.

When to use it
a new item goes live on your store and should become available to the advisor without someone retyping it.
Watch out
Name and Product URL are both required. If the URL is empty, the action fails.
2

Delete Product

Action

In Zapier“Delete a product”

Removes a product from bluebarry so the advisor stops putting it in front of visitors.

When to use it
an item is discontinued and recommending it would send shoppers to a dead end.
Watch out
the Id field is required. Test it on a throwaway product first, because a wrong ID removes the wrong item.
3

Get Product by Id

Action

In Zapier“Get Product by Id”

Reads one product from bluebarry and makes its details available to the next steps of the Zap. Nothing is changed.

When to use it
a later step needs the current product sheet, for a check or a report, at the moment something happens in the advisor.
Watch out
it is billed as a task when it succeeds, like any action, even though it only reads.
4

Update Product

Action

In Zapier“Update a product”

Edits a product that already exists in bluebarry, so the advisor keeps recommending the right version of it.

When to use it
a product page moved or a name changed, and the advisor should reflect that before visitors click through.
Watch out
the Product ID is required, and with no search step you must know it or carry it from an earlier step.
When it breaks

When a bluebarry Zap breaks

Zapier ties no help article to bluebarry, so the risks below are the ones every Zap shares. Here is where they land with this app.

Most problems come from IDs and from expecting the Zap to know the past. A Zap reacts only to what happens after it is published. For the rest, the Zapier troubleshooting page is the next place to look.

  • Earlier quiz sessions are not replayed

A Zap only reacts to what happens after it is switched on. Answers and result views from before you published are not picked up.
  • A sudden batch can be held back

If a trigger suddenly returns a huge batch, after a bulk import or a migration for instance, Zapier's flood protection can hold it back rather than run everything.
  • Wrong product ID, wrong product

Three actions work only from an ID, and there is no search to check it. A stale ID makes the action fail, or on Delete Product, hit another item.
  • Every answer is a run

Question Answered starts the Zap on each answer. Without a filter, a quiz with several questions multiplies the actions, and the tasks, per visitor.

FAQ

bluebarry Zapier integration: questions people ask

01Is the bluebarry Zapier integration free?
Yes. bluebarry is not a premium app, so it works on the free Zapier plan. You get 100 tasks a month and unlimited Zaps, but each one is limited to two steps: one trigger and one action. Result Viewed followed by a single action fits that. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. Prices are not given here because the grids change too often to stay accurate.
02How many tasks does a bluebarry Zap use?
One per action that completes successfully. Creating, updating, reading or deleting a product each counts as one task when it works, and a failed action is not counted. The triggers cost nothing, however many visitors answer questions. The catch is volume: Question Answered fires on every answer, so a Zap with one action after it can use several tasks per visitor. A filter that lets through only the answers you need keeps that under control.
03Does bluebarry trigger in real time on Zapier?
Yes, both triggers are instant. Question Answered and Result Viewed are sent by bluebarry to Zapier the moment they happen, so the Zap starts right away whatever your plan. The polling grid, every 15 minutes on Free down to every minute on Team and Enterprise, does not apply to them. In the editor, a Zap built on an instant trigger shows a lightning bolt. The type is set by the app and cannot be changed.
04What does connecting bluebarry to Zapier take?
A bluebarry account, plus access to any advisor or product list owned by someone else that your Zap needs. You add the connection once from the Apps page of Zapier with + Add connection, sign in to bluebarry and grant access. Before building, gather the product IDs you plan to use, since three of the four actions require one and Create Product requires a name and a product URL. Gathering them first saves a failed test.
05How do you find a bluebarry product without its ID?
Through Zapier, you cannot. The integration has no search step, so there is no way to look a product up by its name or URL from the editor. Update Product, Get Product by Id and Delete Product all require the ID. In practice, the ID either comes from you, typed into the field, or from an earlier step of the same Zap that carries it. Create Product is the only action that works without one.
06What if the bluebarry operation you need is not on Zapier?
Then the Zap cannot do it with bluebarry today. The visible operations are two triggers about visitor activity and four actions on products, nothing on the questions or the advisor settings themselves. The usual way around it is to keep bluebarry as the trigger and let another app handle the rest. It is also worth checking whether other automation tools cover the missing piece before you commit. On the product side, remember that three of the four actions expect an ID from you or from an earlier step.
07Zapier, Make or n8n for bluebarry?
Choose on criteria, not on a ranking. Coverage: on Zapier, bluebarry exposes two instant triggers and four product actions; compare that with what the other tools offer for the same app. Cost: Zapier bills every successful action, and Question Answered fires often, so estimate tasks per visitor first. Team: the tool your people already use is the one that will be maintained. Weigh those for your own store. Then decide.
