What the BulkPublish Zapier integration actually does

BulkPublish is a social media tool that publishes, schedules and manages posts across 11 platforms through one API. The Zapier integration lets another app hand it work: when something happens elsewhere, a Zap (one automation on Zapier, built from a starting event and the steps that follow) writes the post in BulkPublish for you.

Three results come back again and again. First, a post that writes itself: your blog, shop or newsletter tool fires, and Create Post drops a draft or a scheduled post on the channels you named. Second, a review loop your team can run from other tools, with Approve Post and Reject Post moving posts that wait for sign-off. Third, numbers you can ship somewhere else: Get Post Metrics and Get Analytics Summary fetch engagement and status figures so a later step can store or share them.

Now the limits. BulkPublish has no trigger on Zapier, so nothing inside BulkPublish (a post going live, a post failing) can start a Zap. Every Zap starts in another app. Upload Media also stops at 100MB per file inside Zapier; bigger videos go through the BulkPublish dashboard or its SDK.

The trigger never costs a task, and checking for new data costs nothing however often it happens. Each action that succeeds counts once; one that fails is not billed. A Zap with three actions eats three times what a one-action Zap does. The catch: the free plan only builds two-step Zaps. A second action, a filter or a search turns it into a multi-step Zap, which needs a paid plan. A Zap that creates one post per run stays at one task per run.

    In your Zapier account, go to Apps and click + Add connection. A connection is your BulkPublish account linked once, then reused by every step that touches BulkPublish.

    Build: pick the trigger

    Create a Zap and choose your blog tool and its new-article event as the trigger. BulkPublish cannot start a Zap, so the starting point always comes from somewhere else.

    Add the filter

    From the plus icon, add Filter: the article title as the field, the text rule that checks it contains something, and [Social] as the value. A text rule only works on text, so pick the right type or the filter never passes.

    Add Create Post

    Pick BulkPublish, then Create Post. Map the article title and link into Content, and paste your Channel IDs. A List Channels search gives you those IDs if you do not have them.

    Test each step

    Run each step once and read what came back. Testing the trigger pulls the three most recent articles, so you map fields on a real one rather than on guesses.

Approve Post

Action

In Zapier“Approves a post that is pending team approval. It publishes at its scheduled time, or immediately if that time passed less than 15 minutes ago. If the scheduled time passed more than 15 minutes ago, "If Late" decides: publish it now, or approve it but return it to Status "draft" (Approval Status "approved", scheduled time unchanged) so the author is notified to choose a new time. Left empty, the post's own Publish When Approved setting decides (publish if on, otherwise return to draft).”

Signs off a post that waits for team approval. It goes out at its scheduled time, or at once if that time passed less than 15 minutes ago; later than that, the If Late setting decides.

When to use it
your client approves the copy in a form and BulkPublish should follow.
Watch out
a post that changed or no longer waits returns a 409.

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap and skips the steps that relied on it. Switch it on to let the Zap go on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into a find-or-create. No BulkPublish search offers it, so you will not see it on this app.
  3. If multiple search results are found?
    Three exits when several items match: keep the first, which is the default, stop the Zap, or pass all of them on together.
When it breaks

When a BulkPublish Zap breaks

Zapier links no help article to BulkPublish. What breaks comes from how every Zap works.

  • Old items never show up

    A Zap reacts only to what happens after you switch it on. Articles published last month will not turn into posts; moving that backlog is a separate job.
  • The Zap feeds itself

    If the trigger watches the very place your Zap writes to, every run starts a new one. The loop keeps going and burns through your task count fast.
  • A big import gets held back

    When the trigger app suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold the run back.
  • The same item never runs twice

    On a polling trigger, Zapier remembers what it has already seen, so an article that was already processed will not create a second post.

01Is the BulkPublish Zapier integration free?
Yes, on the Zapier side. BulkPublish is not a premium app, so it works on the free plan. That plan gives you 100 tasks a month and unlimited Zaps, but each Zap is limited to one trigger and one action. A filter, a search or a second action makes it a multi-step Zap, which needs a paid plan. To try it, a two-step Zap with Create Post is enough. Any trigger app works, as long as it fits your plan.
02How many tasks does a BulkPublish Zap use?
One task for each action that completes successfully. The trigger costs nothing, and checking for new data costs nothing either. A Zap that creates one post per run uses one task per run. Add an approval step and it uses two. An action that fails is not billed. A few apps and a few actions take more than one task when they complete, so keep an eye on the task history after the first runs.
03Does BulkPublish work in real time with Zapier?
It depends on the app that starts the Zap, because BulkPublish has no trigger of its own. If that app reports its events instantly, the Zap runs as soon as they happen, whatever your plan. If Zapier has to poll it, the wait follows your plan: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. Once started, the BulkPublish action runs straight after. A Zap built on an instant trigger shows a lightning bolt in the editor.
04What does it take to connect BulkPublish to Zapier?
A BulkPublish account and a Zapier account. Open the Apps page, click + Add connection, search BulkPublish, click Add connection, sign in and grant access. You also need access to anything you do not own yourself and want the Zap to touch. For Approve Post and Reject Post, the role behind the connection must hold the post:approve permission, which means owner, admin or approver. Without that permission, those two steps refuse to run.
05Why does Retry Post return an error on some posts?
Because the post has no failed platform, only unconfirmed ones. An unconfirmed platform means the publish request may have reached it while the answer got lost, so the post could already be live. Retry Post then returns a 400 unless you enable Republish Unconfirmed Platforms. Turn that on only after checking the social account, since it can publish the same post twice. Its 400 error says UNCONFIRMED_REQUIRES_REPUBLISH, which points straight at this case.
06What if the BulkPublish operation you want is missing?
Then the Zapier integration cannot do it today, and there is no hidden menu to find. The 17 actions and 9 searches listed here are everything BulkPublish exposes on Zapier. One known case stays out of reach: files over 100MB, which go through the BulkPublish dashboard or its SDK. A search can still fetch the IDs that an action asks for, such as List Channels before Create Post.
