What the ClubPlanner Zapier integration actually does

It links ClubPlanner to the other apps you use, in one direction only: something happens elsewhere, and a prospect appears in ClubPlanner with a phone number, a source and a type. Nobody retypes a form at the front desk. That is the whole promise, and it is a narrow one.

Three outcomes cover most uses. First, website sign-ups that turn into active sales: a trial form feeds Add Prospect, the type stays on Prospect, and the lead is counted as an active sale your team chases. Second, front-desk and phone leads tagged as passive: pick Walk-in, Call-in or Mail-in and ClubPlanner logs the sale as passive, so the people who came on their own are not mixed with the active sales your team went after. Third, campaign tracking without spreadsheets: the Source field takes any label, such as "Summer campaign", so each lead keeps the name of the campaign that brought it in.

Now the limits, because they shape everything. ClubPlanner has no trigger on Zapier, so nothing that happens inside ClubPlanner can start a Zap. It has no search step either, so a Zap cannot check whether a person already exists before adding them. And the single action creates; it does not update or delete. If the plan relies on any of that, Zapier alone will not get you there.

The trigger in the other app never costs anything, however often Zapier checks it. Each successful Add Prospect counts once; a run that fails is not counted. ClubPlanner is not a premium app, so it works on the free plan, which gives 100 tasks a month and unlimited Zaps. The catch nobody mentions: free Zaps stop at two steps. Add a filter to skip some leads and you are on a paid plan. Same story for a second action, like a welcome email.

    Create a Zap and choose Typeform with the New Entry event. ClubPlanner cannot start a Zap, so the form takes the first card and does the waiting.

  • Old leads never arrive

    Leads collected before the Zap was published never reach ClubPlanner. The Zap begins with the next one; bringing over last month's entries is a separate project.
  • A bulk import gets held back

    When the starting app suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold the run back instead of creating hundreds of prospects at once.
  • The same lead is not sent twice

    On a polling trigger, Zapier remembers what it has already seen, so one form entry starts the Zap once.
  • Your prospect type is ignored

    A default prospect type set for the club in ClubPlanner wins over the one mapped in Zapier. If every lead shows the same type, that setting is the first place to look.

Yes, as long as the Zap stays at two steps. ClubPlanner is not a premium app, so it runs on the free plan, which includes 100 tasks a month and unlimited Zaps. The free plan only builds Zaps with one trigger and one action, nothing more. A trigger in your form tool followed by Add Prospect fits that exactly. The moment you add a filter to keep only some leads, or a second action to notify someone, the Zap becomes multi-step and requires a paid plan. No prices are given here because the plan grid changes too often.
02How many tasks does each ClubPlanner prospect use?
One task per prospect that is actually created. The trigger in the other app costs nothing, and neither do the checks Zapier runs to look for new data, however frequent they are. Only a completed action is billed. If Add Prospect does not go through, that run is not counted against the plan. In a Zap with several actions, each successful action counts separately, so a Zap that adds a prospect and then sends an email uses two tasks per lead. On the free plan, 100 tasks means 100 prospects a month.
03Does it work in real time?
It depends entirely on the app that starts the Zap, because ClubPlanner has no trigger of its own. If that app offers an instant trigger, it tells Zapier the moment a lead comes in, and the prospect follows straight away whatever your plan. If it uses a polling trigger, Zapier checks it on a timer: every 15 minutes on Free, every 2 minutes on Professional, every minute on Team and Enterprise. 04What do you need to connect a ClubPlanner account?
An existing ClubPlanner account, plus write access to the club if you are not its owner. The connection itself takes a few clicks: open the Apps page in Zapier, click + Add connection, search for ClubPlanner, confirm, then sign in and grant access in the tab that opens. Before mapping anything, check whether the club has a default prospect type set in ClubPlanner, because that setting overrides the type chosen in the Zap. Also make sure the starting app really collects a phone number, since Phone is a required field.
05Why do all prospects end up with the same type?
Most likely because the club has a default prospect type configured in ClubPlanner. When it does, that setting takes precedence and the Type of prospect chosen in Zapier is ignored. Without a default, the type you choose decides how the sale is recorded: Prospect, the default value, counts as an active sale, while Walk-in, Call-in and Mail-in are registered as passive sales. So if reports mix up active and passive leads, compare the club setting with the value mapped in Add Prospect before changing anything else.
06What if the ClubPlanner operation you want is missing?
Then Zapier cannot do it for this app today. The integration offers exactly one operation, Add Prospect, with no trigger and no search step. That rules out reacting to events inside ClubPlanner, looking up an existing member before adding them, or editing a record.
