Overview

What the MyCarTracks Zapier integration actually does

MyCarTracks records vehicle trips through a smartphone and keeps them as tracks, alongside the users and vehicles of your account. The Zapier integration watches those three lists and starts an automation when something new appears. Two searches can then fetch track details. Nothing is written back into MyCarTracks: the integration only reads.

Three typical results, each tied to a real operation:

A trip log outside the app. Tracks picks up each new trip, and a spreadsheet step turns it into a row you can sort, total and share. A fleet register that keeps itself current. Vehicles List notices each vehicle added to the account, so the list kept in another tool does not drift. A full trip record. After a new track, Find One Track With Data fetches its details and can include the track points in KML, CSV or GPX, ready for a step that stores or sends them.

What Zapier does not do for this app: there is no action, so a Zap cannot create a trip, add a vehicle, invite a driver or change anything inside MyCarTracks. The two searches only read as well: they fetch trips, they never edit one. Everything that happens after a trigger is written in the other apps of the Zap.

Vocabulary

Zapier vocabulary in one minute

Eight words you will meet in the editor. Each is explained once here, then used as is.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event that starts the Zap. Once the Zap is on, Zapier waits for it, for example a new track in MyCarTracks.
Action
What the Zap does after it starts: the step that writes, sends or moves something in another app for you.
Task
The unit Zapier bills: one action your Zap completes successfully. The allowance on your plan is a count of those.
Polling vs instant
A polling trigger is checked on a timer. An instant one is reported by the app the moment it happens. All three here are polling.
Filter
A step that lets the Zap carry on only when what arrived meets the condition you set, and stops it otherwise.
Search step
A step that looks up something that already exists in an app, so the steps after it can use what it found.
Multi-step Zap
Any Zap beyond one trigger and one action. A search, a filter or a second action makes it one, and it needs a paid plan.
Cost

What a MyCarTracks Zap really costs

Watching for new tracks, users and vehicles is free. You pay, in tasks, for what the Zap does next.

  • Triggers and their checks0 tasks
  • Each action that succeeds1 task
  • Free plan100 tasks a month, two-step Zaps
  • A search in the ZapMulti-step, paid plan

Triggers never use a task, and neither do Zapier's checks for new items, however often they run. Each action that succeeds counts as one task; a failed one is not counted. MyCarTracks is not a premium app, so a trigger plus one action runs on the free plan: 100 tasks a month, unlimited Zaps, two steps each. Add one of the two searches, a filter or a second action, and it becomes a multi-step Zap that needs a paid plan. All three triggers are polling, so the grid below sets how often Zapier looks for new items.

Connect

Connect MyCarTracks to Zapier in three steps

  1. 01

    Open the Apps page

Go to the Apps page of your Zapier account and click + Add connection. You need an account on MyCarTracks, plus read or write access on anything you do not own yourself and want the Zap to touch.

  2. 02

    Pick MyCarTracks

In the dialog, type the app's name, select MyCarTracks in the results, then click Add connection. A new browser tab then opens so you can reach your account.

  3. 03

    Sign in and grant access

Sign in to MyCarTracks in that tab and grant Zapier access to the account. The connection is saved, and every trigger and search of this app can reuse it.

First Zap

Your first Zap: log each finished trip with its details

GoalEvery completed MyCarTracks trip is fetched in full and added as a new row in your spreadsheet.

  1. 01

    Create the Zap

Start a new Zap. Pick MyCarTracks as the app that starts it, Tracks as the event, then choose your MyCarTracks connection from the list.

  2. 02

    Keep finished trips only

In the trigger settings, set Track complete so only completed tracks come through. Tracks still being recorded are then left out, which is what you want in a trip log.

  3. 03

    Test the trigger

Run the test. Zapier brings back the three most recent items of the connected account, so the next steps are mapped on a real trip.

  4. 04

    Add the search

Add Find One Track With Data and place the track's ID from the trigger in Track ID. This search makes the Zap multi-step, so it needs a paid plan.

  5. 05

    Add the spreadsheet row

Add your spreadsheet as the action and place what the search returned into the columns. Check at the test which values actually come through before you rely on them.

  6. 06

    Test and publish

Test each step once and read what came back, then click Publish. Zapier then checks for new tracks at the interval of your plan.

Triggers

MyCarTracks triggers

3 events start a Zap when something happens in MyCarTracks. Zapier checks for them at the interval your plan allows.

1

Tracks

Polling trigger

In Zapier“Triggers when a new track is available.”

Starts your Zap when a new trip recorded by MyCarTracks becomes available, so that journey can be logged, totalled or forwarded elsewhere.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
when each trip should leave a trace in another tool, such as a shared sheet.
Watch out
with Track complete set, trips still being recorded are not returned; check at the test which setting matches what you expect.
2

Users List

Polling trigger

In Zapier“Triggers when a new user/driver is created. Contains the list of users that are connected to you, either a driver or any of user you created.”

Fires when a new user or driver is created in your account, covering both the drivers connected to you and the users you set up yourself.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
when a new driver should be announced to the team or added to a list kept in another app.
Watch out
it reacts to new users only; people already in the account before publishing are not sent through.
3

Vehicles List

Polling trigger

In Zapier“Triggers when a new vehicle is created. Contains a list of all vehicles. The response includes also vehicles that are not included in your paid plan. Use parameter 'paid' to filter paid or not-paid vehicles.”

Goes off when a vehicle is added to MyCarTracks, so the fleet list you keep elsewhere grows at the same pace as the account.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
when another tool, a register or a sheet, must list every vehicle you track.
Watch out
the vehicle list also includes vehicles outside your paid MyCarTracks plan, and the required Only included in paid plan setting decides which side you get.
Searches

MyCarTracks searches

2 search steps look for data that already exists in MyCarTracks, so a later step can use it.

A search does not start a Zap: it sits after the trigger and fetches something that already exists in MyCarTracks. In the editor, searches appear at the bottom of the action-event list, under SEARCH. One search in a Zap is enough to make it multi-step, so it needs a paid plan.

1

Find One Track With Data

Search

In Zapier“Returns track details identified by an ID, optionally including track points in the requested format (KML, CSV, GPX).”

Fetches the details of one trip from its ID, and can add the recorded track points in KML, CSV or GPX for the steps that follow.

When to use it
right after the Tracks trigger, when the trip itself must be stored or sent on in full.
Watch out
Track ID is required and comes from the Tracks trigger, so this search needs that trigger before it.
2

Find Tracks

Search

In Zapier“Finds Tracks by the filter”

Looks for trips that match the filter you set in the step, and hands what it found to the next steps of the Zap.

When to use it
when the Zap starts from another event and must pull related trips from MyCarTracks.
Watch out
several trips can match; the multiple-results setting above decides whether you keep one or all of them.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there and the steps that depend on it are skipped. Switched on, the Zap carries on without a result.
  2. Create X if it doesn't exist yet?
Ticking this box turns a search into a find-or-create. MyCarTracks offers no find-or-create variant, since the app has no action to create a track.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a MyCarTracks Zap breaks

Zapier attaches no help article to this app. The cases below come from the app's own settings and from the general limits that apply to any Zap.

Six situations to keep in mind once the Zap is live. For the general method, see our Zapier troubleshooting guide.

  • Trips in progress are missing

With Track complete set, the Tracks trigger leaves out trips still being recorded. A journey shows up only once it is finished.
  • Vehicles you did not expect

Vehicles List also covers vehicles outside your paid MyCarTracks plan. The required Only included in paid plan setting decides which ones the Zap sees.
  • A track search with nothing to look for

Find One Track With Data needs a Track ID from the Tracks trigger. Without it in the field, the search has no trip to fetch.
  • Old trips are not replayed

The Zap only reacts to tracks, users and vehicles created after it is switched on. Moving the earlier history is a separate job.
  • The same item, once

Zapier keeps track of what it has already seen on a polling trigger, so the same track or vehicle does not start the Zap twice.
  • A sudden batch is held back

If a trigger suddenly returns a huge batch, after a bulk import or a migration for instance, Zapier's flood protection can hold those runs back.

FAQ

MyCarTracks Zapier integration: frequent questions

01Is the MyCarTracks Zapier integration free?
Partly. MyCarTracks is not a premium app, so a Zap made of one MyCarTracks trigger and one action runs on Zapier's free plan, which gives 100 tasks a month and unlimited Zaps of two steps each. The two searches are a different story: adding Find One Track With Data or Find Tracks to a Zap makes it multi-step, and that needs a paid plan. So logging each new trip to a sheet is free, while fetching its full details first is not.
02How many tasks does a MyCarTracks Zap use?
The triggers use none. Neither the new track, user or vehicle nor Zapier's regular checks cost a task. What counts is each action that succeeds afterwards, one task each: a trip written to a spreadsheet is one task, the same trip also sent by email is two. An action that fails is not counted. A few apps take more than one task per action, so check the counter after the first real trips go through.
03Do MyCarTracks triggers work in real time?
No. Tracks, Users List and Vehicles List are all polling triggers: Zapier asks MyCarTracks for new items at a fixed interval and keeps only what it has not seen. The interval depends on your plan: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. On paid plans you can change how often it checks and run a check by hand from the editor. A finished trip can therefore wait up to one interval before the Zap starts.
04What does connecting MyCarTracks to Zapier require?
An account on MyCarTracks, plus read or write access on anything you do not own yourself and want the Zap to touch. Then it takes three moves: open the Apps page of your Zapier account and add a connection, pick MyCarTracks in the dialog, sign in in the tab that opens and grant Zapier access. The connection is saved once and every trigger and search of the app reuses it. Find One Track With Data then takes its Track ID from the Tracks trigger.
05Why doesn't a trip in progress start the Zap?
Because of the Track complete setting on the Tracks trigger. When it is set, only completed tracks are returned, and trips still being recorded are left out until they end. For a trip log, that keeps half-recorded journeys out of your rows. If you expected to see a trip and it is missing, check whether it has finished recording, then run the trigger test again to see what comes back.
06What if the MyCarTracks operation you need is not available?
Then Zapier cannot do it with this app today. MyCarTracks offers three triggers and two searches but no action, so a Zap can notice new trips, users and vehicles and fetch track details, but cannot create or change anything inside MyCarTracks. The app page on Zapier shows the current list of operations, so check it there. Whatever has to happen after a new trip is built with the other apps of the Zap.
07Zapier, Make or n8n for MyCarTracks?
Pick on criteria, not on a ranking. First, coverage: Zapier offers three polling triggers and two searches for MyCarTracks; Make has its own MyCarTracks integration, and for n8n you need to check its catalog. Second, the shape of the flow: a trip log with full track data needs a search, which takes Zapier past its free plan. Third, how fresh the data must be, since polling waits for the interval of your plan. Last, who will maintain it.
