What the Day AI Zapier integration actually does
Connecting Day AI to Zapier lets any other app feed your CRM without copy and paste. Zapier offers a single step for it, Upsert Record: it creates a person or an organization in Day AI, or updates the one that already carries the same email or domain. You describe the record in plain text, and Day AI's AI sorts it into fields.
Three results come out of that one action. First, a fresh person record each time a prospect fills in a form, keyed on the email they typed. Second, an organization record when a sales rep adds a company to a spreadsheet, keyed on its domain. Third, an enriched record: the same email or domain arrives again with new notes, and Upsert Record updates the existing entry instead of making a twin.
That third case is the real draw. The field called All Information takes free text, so you can pour in a form answer, a call summary or a few lines from a sheet without mapping each column by hand.
Now the honest part. Zapier cannot read anything out of Day AI. There is no trigger, so a new contact in Day AI never starts a Zap. There is no search step either, so you cannot look a record up and reuse it further down. Nothing deletes, moves or shares a record. The app is also flagged beta by Zapier, which means its listing can still change.

Zapier words in one minute
Seven terms come back on this page. Here is each one in plain words.
- Zap
- The automation you set up on Zapier: one starting event in some app, then one or more steps that follow each time. Here, the last step lands in Day AI.
- Trigger
- The event in an app that starts the Zap. Day AI has none, so the trigger always comes from another tool.
- Action
- What the Zap does once started: the step that writes or sends something for you. Here, Upsert Record is the only one.
- Task
- What Zapier counts on your plan: one action that goes through. For this app, that means one Upsert Record that actually wrote a person or an organization.
- Polling vs instant
- A polling trigger is checked on a timer by Zapier. An instant one is reported by the app the moment the event happens.
- Filter
- A step placed before Day AI that only lets a record through when the incoming data matches a condition you choose, such as a form answer.
- Connection
- Your Day AI account linked to Zapier once, then reused by every step that writes into Day AI.
What a Day AI Zap costs you
Day AI is not a premium app, so it works on the free plan. The bill comes from tasks, not from the app.
- Premium appNo, free plan works
- Free plan100 tasks a month, two steps per Zap
- Cost per record1 task per successful Upsert Record
- StatusBeta on Zapier
The trigger never costs a task, and neither does Zapier checking for new data. Each Upsert Record that goes through counts as one task, whether it created or updated. A failed one counts for nothing. The free plan gives 100 tasks a month and checks polling triggers every 15 minutes, but it stops at two steps. Add a filter and the Zap becomes a multi-step Zap (anything beyond one trigger and one action), which needs a paid plan.
Connect Day AI to Zapier in three steps
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. A dialog opens with a search box. You need a Day AI account already, plus write access to the records you want the Zap to touch.
- 02
Pick Day AI
Type Day AI in the dialog, select it, then click Add connection. Zapier hands you over to Day AI so you can sign in with the account that should receive the records.
- 03
Grant access
Accept the access request. The connection now shows up in your Apps list, and every Day AI step you add later reuses it without asking you to log in again.
Your first Zap: form answers into Day AI
GoalA B2B training company sends qualified Typeform leads to Day AI as people.
- 01
Start with the form
Create a Zap and pick Typeform with New Entry as the trigger. Connect the account and choose the form your visitors fill in.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent entries, so you can map fields from a real answer instead of guessing.
- 03
Add a filter
Click the plus icon, choose Filter, then pick the answer you spotted in the test, a text rule and the value to keep. Only matching leads go on.
- 04
Set Upsert Record
Add Day AI with Upsert Record. Set Record Type to Person, map the email into Unique Identifier, and drop the other answers into All Information.
- 05
Test, then publish
Test the action and open Day AI to check the person appeared. Then click Publish. The filter makes this a paid-plan Zap; drop it to stay on free.
The Day AI action on Zapier
Day AI gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Upsert Record
ActionIn Zapier“Creates or updates a Person or Organization in Day.ai CRM using AI-driven processing.”
Creates a person or an organization in Day AI, or updates it when the same email or domain is already there. You pick the record type, give the identifier, and write everything else as plain text.
When a Day AI Zap breaks
Zapier attaches no help article to Day AI, and no limit specific to the app is documented.
What goes wrong comes from Zapier's general rules and from the trigger app you pick. Four cases cover most of it.
Old contacts stay behind
A Zap only reacts to what happens after you publish it. Leads collected before that day never reach Day AI; moving them is a separate import job.No email, no record
Unique Identifier is required. When the source step carries no email or domain, Upsert Record cannot run, and that failed attempt costs no task.A bulk import gets held back
If the trigger app suddenly returns a huge batch, after a migration for example, Zapier's flood protection can stop the Zap from firing on all of it.Duplicates are filtered upstream
On a polling trigger, Zapier remembers what it has already seen, so the same form entry does not push the same person into Day AI twice.
