Overview

What the DocsAutomator Zapier integration actually does

It lets another app hand its data to DocsAutomator, which fills one of your Google Docs templates and produces the document. Zapier is the go-between. You pick the app that starts things, you pick DocsAutomator and its single action, Create Document, and you map the fields once.

Three typical outcomes, all built on that one action. A contract ready for signature the moment an intake form is sent, because the answers land straight in the template. A quote generated when a deal moves in your CRM, with the client name and amounts already in place. A certificate or onboarding pack produced when a row is added to a spreadsheet, one per person, without anyone opening a template by hand.

Now the limits that shape every setup. DocsAutomator offers no trigger on Zapier, so nothing that happens inside DocsAutomator can start a Zap. It offers no search step either: a Zap cannot look up an existing document there. And the action works through an automation you set up in DocsAutomator first; Zapier only picks it from a list (more on that in the connection tip).

If you're weighing other tools, the same app has a DocsAutomator Make integration page, and the Make vs Zapier comparison lays out the criteria side by side.

Vocabulary

Zapier vocabulary in one minute

Seven words you'll meet in the editor. Each one is used on this page exactly as defined here.

Zap
The automation you build: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. For DocsAutomator it always comes from another app, since it has none of its own.
Action
What the Zap does once it has started, the step that writes, sends or creates something. Here, Create Document.
Task
What Zapier counts on your bill. Every Create Document that goes through is one, and your plan allows a set number a month.
Polling vs instant
A polling trigger is checked on a timer set by your plan. An instant trigger is pushed by the app the moment the event happens.
Filter
A step that lets the Zap go on only when the incoming data meets your condition, and stops it quietly otherwise.
Connection
Your DocsAutomator account linked to Zapier once, then reused by every Zap step that calls DocsAutomator.
Cost

What a DocsAutomator Zap really costs

DocsAutomator isn't a premium app, so it works on the free plan. The bill depends on tasks, and only one step here can consume them.

  • Premium appNo, available from the free plan
  • Free plan100 tasks a month, two-step Zaps only
  • Billed stepCreate Document, one task per success
  • FilterMakes the Zap multi-step (paid plan)

The trigger from the other app never costs a task, however often Zapier checks it. Each Create Document that succeeds counts as one task; a run that fails isn't counted. The free plan gives 100 tasks a month and unlimited Zaps, but only two steps per Zap: one trigger, one action. Add a filter and the Zap becomes multi-step, which needs a paid plan. How fast the Zap reacts depends on the trigger app: if it polls, the interval below applies.

Connect

Connect your DocsAutomator account in three steps

  1. 01

    Open your connections

In your Zapier account, go to the Apps page and click + Add connection. You need an existing DocsAutomator account, plus access to any template you don't own but want the Zap to use.

  2. 02

    Find DocsAutomator

Type DocsAutomator in the search box of the dialog, select it, then click Add connection. The sign-in then happens in the tab that opens, so keep an eye on your browser.

  3. 03

    Sign in and allow access

Log in to DocsAutomator in that tab and grant Zapier access to the account. The connection now appears in your list, ready to be picked in any Zap step.

First Zap

Your first Zap: a contract drafted from every qualified Jotform submission

GoalA consulting firm wants a contract draft in DocsAutomator each time a prospect fills its intake form and picks the full engagement.

  1. 01

    Pick the starting app

Create a Zap and choose Jotform with New Submission as the trigger. Connect the account and select the intake form the prospects fill in.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent submissions, so you map fields on a real one and spot the answer that tells you the engagement type.

  3. 03

    Add the filter

From the plus icon, add Filter. Pick the engagement answer, a text rule, and the value to compare with. Only matching submissions go further (paid plan needed).

  4. 04

    Add Create Document

Choose DocsAutomator and Create Document, select your automation, then map the form answers into the extra fields DocsAutomator asks for at the next step.

  5. 05

    Test, then publish

Run the action once and read what came back before going further. If the draft looks right, click Publish to switch the Zap on.

Actions

The DocsAutomator action on Zapier

DocsAutomator gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Document

Action

In Zapier“Create a document from a template.”

Fills a Google Docs template through one of your DocsAutomator automations and produces the finished document, using the values the earlier steps carried.

When to use it
any time a form, a CRM change or a new spreadsheet row should end in a contract, a quote or a certificate.
Watch out
you choose the automation first, and the fields you then have to map depend on its data source, so they only appear at the next step.
When it breaks

When a DocsAutomator Zap breaks

Zapier ties no help article to DocsAutomator, so the failures to plan for are the general ones.

Most surprises come from the trigger app, not from DocsAutomator. Four cases are worth knowing before you publish. For a deeper diagnosis, the Zapier troubleshooting guide goes further.

  • No documents for past records

A Zap only reacts to what happens after it is switched on. Older form answers or rows never get a document; moving that backlog is a separate job.
  • A bulk import gets held back

If the trigger app suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can stop those items from running all at once.
  • The same record won't run twice

On a polling trigger, Zapier remembers what it has already seen. The same item never starts the Zap a second time.
  • The filter blocks the free plan

A filter turns the Zap into a multi-step Zap. On the free plan, only a trigger plus Create Document can be published.

FAQ

DocsAutomator Zapier integration: frequent questions

01Is the DocsAutomator Zapier integration free?
Yes, on Zapier's side. DocsAutomator is not a premium app, so it works from the free plan. That plan gives 100 tasks a month and unlimited Zaps, but each Zap is limited to two steps: one trigger from another app and the Create Document action. As soon as you want a filter or a second action, you need a paid plan. Zapier publishes no fixed price on this page, and plans change often, so check the current grid before committing. What DocsAutomator itself charges is not covered here.
02How many tasks does a DocsAutomator Zap use?
One task per document created successfully. The trigger in the other app never costs anything, and Zapier's checks for new data are free too, however often they run. If Create Document fails, the run isn't counted against your plan. In a Zap with several actions, each action that succeeds counts on its own, so a Zap that creates a document and then sends an email through another app would use two tasks per run. With 100 tasks a month on the free plan, that means up to 100 documents.
03Does DocsAutomator create documents in real time?
It depends on the app that starts the Zap, since DocsAutomator has no trigger of its own. If that app offers an instant trigger, it tells Zapier the moment the event happens and the document follows straight away, whatever your plan. If it uses a polling trigger, Zapier checks on a timer: every 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. A Zap built on an instant trigger shows a lightning bolt in the editor, which is the quickest way to tell.
04What does it take to connect DocsAutomator to Zapier?
A DocsAutomator account, plus read or write access to any template you don't own but want the Zap to use. The connection itself takes three moves: open the Apps page in Zapier, add a connection and pick DocsAutomator, then sign in and grant access in the tab that opens. Before building the Zap, create at least one automation in DocsAutomator. The Create Document action asks you to pick one, and that list only shows what already exists in your account.
05Why are the document fields missing when setting up Create Document?
Because they appear in two stages. The first field, Automation, is the only mandatory one at the start: you pick which DocsAutomator automation to run. Only then does Zapier ask for the additional information, and what it asks depends on the data source of that automation. So if the screen looks almost empty, select the automation first and continue. If the Automation list itself is empty, the account you connected has no automation yet, or the wrong account is connected.
06What if the DocsAutomator operation you need isn't on Zapier?
Then the Zapier integration can't do it as is. Zapier lists a single visible operation for DocsAutomator, Create Document. There is no trigger, so no Zap can start when something happens in DocsAutomator, and there is no search, so a Zap can't look up an existing document there. If your process depends on one of those, the realistic options are to restructure it so DocsAutomator stays the last step, or to look at another automation tool and check its own DocsAutomator page against your need.
07Zapier, Make or n8n for DocsAutomator?
Judge them on criteria, not on reputation. On Zapier, DocsAutomator offers one action, no trigger and no search, and it is not premium, so a two-step Zap runs on the free plan. Check which apps start your process and whether they have instant triggers, whether you need a filter, which makes the Zap paid, and how many documents a month you expect against your task count. Then compare the same points on the other tool's DocsAutomator page before choosing.
