Overview

What the Emma Zapier integration actually does

The Emma Zapier integration links your Emma account to Zapier, so that something happening in your audience (a new member, a click, an unsubscribe, a finished mailing) starts an automation, and so that other tools can write members, groups, orders and events back into Emma. You set it up once; after that it runs on its own.

Three results people usually build first. A tidy audience: Member Added to Group or New Member Added starts the Zap, and Add Member to Group or Update Member files the person where they belong. A sales signal: Mailing Clicked tells you who reacted to a campaign while the interest is still warm. A purchase history inside Emma: Add Member Order and Create or Update Product keep the shop side of a contact next to their email history, and Create Event hands Emma a named moment it can use to start one of its own automated workflows.

Here is the good news first: 19 of the 20 triggers are instant, so the Zap starts the moment Emma reports the event, even on the free plan. The one exception is Specific Member Opened a Mailing, which Zapier checks on a timer.

What Zapier does not do for Emma. It does not design or send campaigns from scratch: the closest action, Forward Mailing, resends a mailing that already exists. It does not build Emma's automated workflows either; you configure those inside Emma, and Zapier only feeds them events. And it never goes back in time: members who joined before the Zap was published are not picked up.

Zap

The trigger never costs a task, and neither does Zapier checking for new data. Each action that succeeds is one task; an action that fails is not billed. A Zap with three actions uses three times what a one-action Zap uses. The free plan stops at two steps, one trigger and one action: add a filter, a search or a second action and the Zap becomes multi-step, which needs a paid plan. Of the 20 Emma triggers, only Specific Member Opened a Mailing depends on the interval grid below.

Connect your Emma account in three steps

    Open Apps and add a connection

    In your Zapier account, open the Apps page and click + Add connection. You need an Emma account first, plus access to any audience you do not own but want the Zap to touch.

    Find Emma and start the link

    Type Emma in the search box of the dialog, pick it, then click Add connection. A new tab opens on Emma's side so you can sign in with your usual login.

    Grant access

    Sign in to Emma in that tab and allow Zapier to reach the account. From then on, every Emma step in every Zap reuses this connection, so you only do this once per account.

    Run the test. Zapier brings back the three most recent items from your account, so you map the next steps on a real click rather than an empty sample.

    Add the filter

    From the plus icon, add Filter, then set the field, the rule and the value. Keep the rule type right: a text rule only works on text. This step makes the Zap multi-step, so a paid plan is required.

    Add Emma again, pick Add Member to Group, and map the Member ID from the trigger. Type the Group ID of your follow-up group in the second required field.

Finds a member from their email address and returns their details, including the Member ID most actions require. Find Member by Email or Create Member is the same search with creation switched on.

When to use it
place it before Add Member to Group when the source only knows an email.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there, and the steps depending on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    Ticking it turns the search into a find-or-create: the setting above disappears and Zapier asks for the fields needed to create the missing member.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one (the default), stop the Zap, or pass all of them on at once.
When it breaks

When an Emma Zap breaks

Zapier attaches no help article to Emma, so there is no app-specific limit to report. What breaks is the same as everywhere on Zapier, with very Emma-shaped examples.

Four cases come up again and again. Read them before you publish anything that writes back into Emma; you can dig further in our Zapier troubleshooting guide.

  • The past is not picked up

    A Zap only reacts to what happens after you switch it on. Members who joined Emma last month will never pass through New Member Added; moving them is a separate job.
  • A Zap that triggers itself

    Member Updated followed by Update Member on the same person, or Group Updated followed by Update Group: each write sets off the trigger again and burns tasks fast.
  • A bulk import gets held back

    Importing a big list into Emma can send a huge batch to New Member Added at once. Zapier's flood protection may hold that batch back instead of running it.
  • No double runs on polling

    On Specific Member Opened a Mailing, Zapier remembers what it has already seen, so the same open does not start the Zap twice.

Emma Zapier integration: your questions

01Is the Emma Zapier integration free?
Yes, you can use it on the free plan, because Emma is not a premium app on Zapier. The free plan gives you 100 tasks a month and unlimited Zaps, but only two-step Zaps: one trigger and one action. As soon as you add a filter, a search such as Get Member by Email, or a second action, the Zap becomes multi-step and needs a paid plan. For a simple flow like New Member Added followed by Add Member to Group, the free plan is enough.
02How many tasks does an Emma Zap use?
One task per action that succeeds, and nothing for the trigger. If Mailing Clicked starts a Zap that runs Add Member to Group, each click costs one task. A Zap with three actions costs three tasks per run. An action that fails is not billed, and Zapier checking for new data never costs anything. On busy triggers such as Mailing Opened, the count climbs quickly on a large audience, so pick the event that really matters to you.
03Does Emma work in real time with Zapier?
Almost always. Nineteen of the twenty Emma triggers are instant: Emma notifies Zapier as soon as the event happens, and the Zap starts right away whatever your plan. The only exception is Specific Member Opened a Mailing, which Zapier checks on a timer: every 15 minutes on the free plan, every 2 minutes on Professional, every minute on Team and Enterprise. On the paid plans that interval can be changed, and a check can also be run by hand from the editor. A Zap built on an instant trigger shows a lightning bolt in the editor.
04What does it take to connect Emma to Zapier?
An Emma account, plus access to any audience you do not own but want your Zaps to touch. In Zapier, open the Apps page, click + Add connection, search for Emma, then click Add connection, sign in on the tab that opens and grant access. The connection is then reused by every Emma step. Plan also for IDs: most Emma actions expect a Member ID or a Group ID rather than an email or a name.
05Why does an Emma event not start the automated workflow?
Usually because the email address is not in your Emma audience yet. The Create Event action sends Emma a named event with the data you choose, but Emma's automated workflows only run for addresses that already exist in the audience. Create the member first, with Create Member or the find-or-create version of Get Member by Email, then send the event. The workflow itself is configured inside Emma, not in Zapier.
06What if the Emma operation you need is not listed?
Then the integration simply does not offer it, and the editor will not show it either. The 46 visible operations cover members, groups, fields, segments, orders, products and mailing results, but not composing a new campaign: Forward Mailing only resends an existing one. Two routes remain: build the step inside Emma itself, for example as an automated workflow fed by Create Event, or check whether another automation platform covers the gap for this app.
