FastField Mobile Forms Zapier integrationAutomate FastField Mobile Forms with Zapier.
The FastField Mobile Forms Zapier integration gives you 1 trigger, 3 actions and 0 searches. A form sent from a phone can start a Zap the moment it lands, and a Zap can push a form to your field users or swap the lists their forms pick from.

Your field forms stop at the phone. They don't have to.
Hooking FastField Mobile Forms up to Zapier means a form completed on a tablet in a warehouse or on a site visit can kick off work in other tools, with nobody copying answers by hand. It also works the other way: other apps can hand FastField a form to send out, or a fresh list for your dropdowns.
Three results people usually build first. A submission log: each completed form, caught by New Form Submission, becomes a row or a message in the tool your office already reads. A pushed job: a deal won or a ticket opened elsewhere ends with Create Form Dispatch, so the right inspector finds the form waiting in the FastField app, some fields already filled. A list that stays current: a CSV or Excel file dropped somewhere feeds Update Global List or Update Lookup List, and the choices your users tap stop going stale.
Now the honest part. Zapier offers no search for this app, so a Zap cannot look up an existing submission, a dispatch or a list. The two list actions replace a list; they don't add one line to it. And there is a single trigger: nothing fires when a dispatch is opened or a list changes.
If you are weighing tools, the same app has a FastField Mobile Forms Make integration page, and the Make vs Zapier comparison sets the two side by side.
Zapier words, explained once
Seven terms come back on this page. Here is what each one means in plain English.
- Zap
- What you assemble in Zapier: one trigger, for instance a submitted FastField form, then one or more actions that run on each occurrence.
- Trigger
- The event that starts the Zap. Here, a form submitted to FastField. Once the Zap is on, Zapier waits for it.
- Action
- The step that does the work once the Zap is running: writing a row, sending a message, or pushing a form to a FastField user.
- Task
- What Zapier counts and bills: one action finished without error. A plan allowance is a monthly number of these.
- Polling vs instant
- A polling trigger is checked on a timer. An instant one is reported by the app itself the second the event happens.
- Filter
- A checkpoint step: the Zap goes on only if the submitted answers match the rule you set, otherwise it halts there.
- Connection
- The link between Zapier and your FastField login, set up a single time and offered again in every FastField step.
What a FastField Zap really costs
FastField is not a premium app, so it runs on the free plan. The bill is counted in tasks, and the trigger is free.
- TriggerFree, never billed
- Each successful action1 task
- Free plan100 tasks a month, two-step Zaps
- Premium appNo
A submission arriving costs nothing. Each action that goes through counts one task, and a failed one counts zero. The free plan gives 100 tasks a month and unlimited Zaps, but only two-step Zaps: one trigger, one action. Add a filter or a second action and you have a multi-step Zap, which needs a paid plan. The interval grid below concerns polling triggers; New Form Submission is instant, so it ignores it.
Connect your FastField account
- 01
Open your connections
In Zapier, go to the Apps page of your account and click + Add connection. You need a FastField account, plus access to any forms or lists you don't own but want the Zap to touch.
- 02
Pick FastField Mobile Forms
Type the app name in the dialog, select FastField Mobile Forms, then confirm with Add connection. A new tab then opens on the FastField side for the sign-in.
- 03
Sign in and grant access
Log in with your FastField credentials and allow Zapier to use the account. The connection then shows up in every Zap step that uses FastField, so you only do this once.
Your first Zap: alert the team on failed inspections
GoalA safety inspection marked as failed in FastField posts a message in the right Slack channel.
- 01
Start with the trigger
Create a Zap, choose FastField Mobile Forms and the event New Form Submission, then pick your inspection form in the Form field.
- 02
Test with a real submission
Run the test. Zapier pulls the three most recent submissions of that form, so pick one and look at how the pass or fail answer comes back.
- 03
Add the filter
From the plus icon, add Filter. Point it at the answer you spotted in the test, choose a text rule, and type the value that means a failed check.
- 04
Send the alert
Add Slack with Send Channel Message, choose the channel, and map the site, inspector and notes from the submission into the message.
- 05
Test, then publish
Test the Slack step once and read the message it produced. Then click Publish. Remember: with a filter, this is a multi-step Zap on a paid plan.
The FastField trigger
1 event starts a Zap when something happens in FastField Mobile Forms, and one of them is instant: the app calls Zapier straight away, whatever your plan.
New Form Submission
Instant triggerIn Zapier“Triggers when a new Form is submitted to FastField.”
Every time someone in the field completes and submits the form you chose, this hands the answers to your Zap, ready to be mapped into the next step. It is the only door from FastField into Zapier, so every outbound flow starts here.
What a Zap can do in FastField
FastField Mobile Forms gives you 3 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create Form Dispatch
ActionIn Zapier“Sends a Form to one or more users, with the option of pre-populating Form Fields. The Form appears in the users inbox in the FastField Mobile App.”
Sends a chosen form to one or several FastField users, and can prefill some of its fields. The form lands in their inbox inside the mobile app.
Update Global List
ActionIn Zapier“Replaces an existing FastField Global List with a Global List in a xlsx or csv file.”
Takes a CSV or Excel file and overwrites a Global List you already have in FastField with its contents.
Update Lookup List
ActionIn Zapier“Replaces an existing FastField Lookup List with a Lookup List in a xlsx or csv file.”
Swaps the content of an existing Lookup List for what a .csv or .xlsx file holds, picked by its List Name.
When a FastField Zap breaks
Zapier links no help article to this app, so the traps below are the general ones, read through FastField.
Most surprises come from what a Zap does not do, rather than from errors. If something looks off, the Zapier troubleshooting page is the place to start.
Last month's reports are not replayed
Switching the Zap on starts the clock: forms submitted before that moment never reach it. Bringing older reports across is a job of its own.A list wiped by a short file
Update Global List and Update Lookup List replace the whole list. A file exported with a filter on will shrink the list to that subset.A sudden pile of submissions
A large batch of submissions landing at once, after a bulk import for example, can trip Zapier’s flood protection, which then holds that batch back.Chained Zaps feeding each other
A Zap that writes into the place its own trigger watches sets itself off again and burns tasks. Keep each Zap's output away from another Zap's input.
