Overview

What the HubSpot Zapier integration actually does

Connecting HubSpot to Zapier lets an event in your CRM (a form filled in, a deal created, a contact property changed) start work in HubSpot or in another app, with nobody copying data by hand. Zapier is the go-between: it watches HubSpot, then writes, updates or looks things up for you.

Three results people build first. A lead that routes itself: New Form Submission fires, Create or Update Contact keeps the record clean, and Add Contact to Workflow hands the lead to your nurturing sequence. A pipeline that reports on itself: New Deal or Updated Deal Stage starts the Zap, and Create Engagement logs the note or task your sales team would otherwise forget. Support that stays in sync: New Ticket or New Ticket Property Change pushes the update to whatever tool your support people live in, and Update Ticket brings the answer back.

Now the limits. Seven triggers are instant, the other twenty poll on a timer, and on the free plan that timer is 15 minutes. Add Contact to List and Remove Contact From List only touch static lists, because HubSpot does not let anyone add to a dynamic list by hand. Several operations depend on your HubSpot subscription, not on Zapier: New Contact in List, Add Contact to List and Remove Contact From List need Marketing Hub Starter or above, and Create Enterprise Event needs Marketing Hub Enterprise. And nothing from before the Zap was switched on gets picked up.

Eight words you will meet in the editor. Each one is explained once, here, and used as is afterwards.

Zap
The automation you build on Zapier. One trigger, then one or more actions that run each time that trigger happens.

Task

Polling vs instant
A polling trigger is checked on a timer. An instant trigger is reported by HubSpot itself the moment the event happens.
Filter
A step that lets the Zap carry on only when the incoming record meets a condition you set, and stops it otherwise.
Search step
A step that looks up a record already sitting in HubSpot, so later steps can reuse its ID or properties.
Connection
Your HubSpot account linked to Zapier once, then reused by every step of every Zap that touches HubSpot.

HubSpot is not a premium app, so it works on the free plan. The bill comes from actions, never from the trigger.

Watching HubSpot costs nothing, however often Zapier checks. Each action that succeeds counts as one task, so a Zap with three actions uses three times what a one-action Zap uses. An action that fails is not counted. The catch on the free plan is size: one trigger, one action. Add a filter, a search or a second action and the Zap becomes multi-step, which needs a paid plan, whatever the app you connect.

Connect your HubSpot account

    Open your apps

    In Zapier, go to the Apps page of your account and click + Add connection. You need a HubSpot account, plus access to any records you do not own yourself but want the Zap to touch.

    Pick HubSpot

    Type HubSpot in the search box of the dialog that opens, select it in the results, then click Add connection. A new browser tab opens on the HubSpot sign-in page.

    Sign in and allow access

    Log in to HubSpot in that tab and grant Zapier access to the account. The connection now shows up in your list, and every HubSpot step you build will offer it.

First Zap

Your first HubSpot Zap, step by step

    Create the Zap

    Start a new Zap and pick HubSpot as the app that starts it. Choose New Form Submission as the event, then select the HubSpot connection you added earlier.

  2. 02

    Choose the form

    The Form field is required: pick the exact form to watch. Since this trigger is instant, the editor shows a lightning bolt and the Zap fires the second someone submits.

  3. 03

    Test the trigger

    Run the test. Zapier pulls the three most recent submissions of that form, so you map the next steps on a real one rather than on placeholder values.

  4. 04

    Add the filter

    Click the plus icon, add a Filter, set the field, the rule and the value. Pick a text rule for text answers. This filter makes the Zap multi-step, so it needs a paid plan.

  5. 05

    Add Create Deal

    Add HubSpot again, choose Create Deal, and map the form answers into the deal properties you care about. Test the step and check the deal it created in HubSpot.

  6. 06

    Publish

    Click Publish to switch the Zap on. Only submissions made after this moment will count: earlier ones stay where they are.

The three settings every search exposes

  1. Successful if no search results are found?
    Left as is, a search that finds nothing stops the Zap and skips the steps that need its result. Switch it on and the Zap goes on empty-handed.
  2. Create X if it doesn't exist yet?
    Ticking it turns the search into a find-or-create: the setting above disappears and the step asks for the fields to create the missing record.
  3. If multiple search results are found?
    Three choices when several records match: keep the first one (the default), stop the Zap, or pass all of them on.
When it breaks

When a HubSpot Zap breaks

Most failures fall into a few patterns. Zapier keeps a help article for each of the first five cases below; the last one comes from its general rules.

The usual suspects are HubSpot's own speed limits, IDs that are not IDs, searches that come back empty and test data that never shows. Add the general rules: a Zap ignores everything that happened before it was switched on, and a Zap writing where it listens can loop. Our Zapier troubleshooting page goes deeper.

  • You have reached your secondly limit

    HubSpot's error when the per-second limit on its side is reached. Zapier's help centre has an article named after this exact message.
  • You have reached your ten_secondly_rolling limit

    HubSpot's error for a limit measured over a rolling ten-second window. Zapier's help centre gives it a separate article.
  • Object not found. objectId are usually numeric

    HubSpot does not recognise the ID it received; as the message says, its IDs are usually numeric. Map the ID coming out of a trigger or a search.
  • Nothing could be found for the search

    A search came back empty and the Zap stopped. Check the value you search on, or let the search succeed with no result.
  • Zap cannot find test records

    The trigger test brings back the three most recent items of the account; when it finds none, Zapier's help article on this message is the place to start.
  • No catch-up and no loops

    Records from before you published are never picked up. And a Zap that updates what its own trigger watches fires itself again.

HubSpot Zapier integration: frequent questions

01Is the HubSpot Zapier integration free?
Yes, on the free plan, with limits. HubSpot is not a premium app, so it works on Zapier's free plan, which gives 100 tasks a month and unlimited Zaps. The catch is size: each Zap can only have two steps, one trigger and one action. A filter, a search or a second action turns it into a multi-step Zap, and that requires a paid plan. HubSpot's side matters too: some list operations need Marketing Hub Starter, and Create Enterprise Event needs Marketing Hub Enterprise.
02How many Zapier tasks does a HubSpot Zap use?
One task per action that succeeds, and nothing for the trigger. Zapier never bills the checks it makes on HubSpot, however often they run. A Zap with a trigger and one action costs one task per run. Add two more actions and each run costs three. Failed actions are not counted. One HubSpot detail helps: on Add Contact to List, the halt option stops the step without using a task when the contact is already a member.
03Is HubSpot on Zapier real time?
Partly. Seven of the 27 triggers are instant: Deal Property Change, New Form Submission, New Contact in List, New Custom Object, New Deal, New Contact Property Change and New Custom Object Property Change. HubSpot tells Zapier the moment those events happen, whatever your plan. The other twenty triggers poll, which means Zapier checks on a timer: every 15 minutes on the free plan, every 2 minutes on Professional, every minute on Team and Enterprise. The editor marks instant ones with a lightning bolt.
04What does it take to connect HubSpot to Zapier?
A HubSpot account, and access to the records the Zap will touch. In Zapier, open the Apps page, click + Add connection, search for HubSpot and confirm with Add connection. A HubSpot tab opens, you sign in and grant Zapier access. The connection is then reused by every HubSpot step. Check your HubSpot subscription before building, because New Contact in List, Add Contact to List and Remove Contact From List need Marketing Hub Starter or above.
05Why does Zapier say object not found on HubSpot?
Because the step received something that is not a HubSpot ID. The Get actions expect HubSpot's internal ID, which is usually a number, not a name, an email or a domain. Zapier's help centre has an article for this exact error. The fix is to map the ID coming out of the trigger, or to add a search such as Find Contact or Find Company before the step, and map the ID it returns.
06What if the HubSpot action needed is not on Zapier?
Start with the generic operations. Create CRM Object, Update CRM Object, Get CRM Object, Delete CRM Object and Find CRM Object work on any record type, so they often cover what the dedicated actions miss. Past that, API Request (Beta) sends a raw request to HubSpot with your existing connection. It is meant for someone comfortable with HubSpot's technical side, and it can only reach HubSpot's own domains. Start with the generic ones before going there.
