Overview

What the Fathom Zapier integration actually does

Linking Fathom to Zapier means what Fathom captures in a meeting leaves Fathom on its own and lands in the tools your team already opens every day. Zapier is the tool that chains apps together. Fathom records and summarises your calls; Zapier carries the result to the next app.

Three results come up most. A CRM that fills itself after each call: New AI Summary sends the recap to the deal or contact, so nobody retypes notes. Follow-ups that cannot slip: New Action Item turns each to-do spotted in the meeting into a task in the project tool your team already uses. An archive you control: New Transcript and New Download Video push the full text and the video file to your own storage.

Now what Zapier does not do with Fathom. The app has no action and no search: a Zap can listen to Fathom, but it cannot write anything into it, start a recording or look up an old meeting. Every Zap here starts in Fathom and ends somewhere else. And nothing recorded before the Zap is switched on will be sent.

The good news is on cost: Fathom is not a premium app, and a trigger plus one action fits the free plan. If you are comparing platforms, the Fathom Make integration covers the same app on Make.

Vocabulary

Zapier vocabulary in one minute

Seven words come back on every Zapier page. Here they are in plain English, once.

Zap
The automation you build: one event that starts it, then one or more steps that run each time that event happens.
Trigger
The event in an app that starts the Zap. With Fathom, something new coming out of a recorded meeting.
Action
What the Zap does once it has started: the step that writes, sends or moves something on your behalf.
Task
The unit Zapier bills. One task is one action that completes successfully; your plan's allowance counts those.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant one is pushed by the app the moment the event happens.
Filter
A step that lets the Zap go on only when what arrived meets your condition, and stops it quietly otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes one, and it needs a paid plan.
Cost

What a Fathom Zap really costs

Fathom is not a premium app, so it works from the free plan.

  • Premium appNo, available on the free plan
  • Free plan100 tasks a month, two-step Zaps
  • BilledThe action after the trigger, if it works
  • Not billedThe Fathom trigger, failed actions

The six triggers never cost a task. Only the action that follows does: one task each time it succeeds, and nothing when it fails. On the free plan you get 100 tasks a month and two-step Zaps, which is exactly one Fathom trigger and one action. Add a filter (to keep only some meetings) or a second action and the Zap becomes multi-step, which needs a paid plan. The polling grid below does not apply here: all six Fathom triggers are instant.

Connect

Connect Fathom to Zapier in three steps

  1. 01

    Open your connections

In Zapier, go to the Apps page of your account and click + Add connection. A connection is your Fathom account linked once, then reused by every Zap that listens to it.

  2. 02

    Pick Fathom

Type Fathom in the dialog's search box, select it from the list, then click Add connection. A new tab opens on the Fathom side so you can sign in to your account.

  3. 03

    Sign in and allow access

Log in to Fathom with the account that records the meetings and grant Zapier access. Use the account whose calls you want to send; a colleague's meetings need their own access.

First Zap

Your first Zap: action items become tasks

GoalEach action item Fathom spots in a meeting becomes a task in the project tool the team follows.

  1. 01

    Create the Zap

In Zapier, start a new Zap and pick Fathom with New Action Item as the event that starts it. Choose the Fathom connection you made earlier.

  2. 02

    Test on a real meeting

Test the trigger. Zapier brings back the three most recent items of the connected account, so you map fields on a real action item rather than an empty sample.

  3. 03

    Add the task step

Add an action, choose your task tool and its create-task event. Map the action item that Fathom sent into the task, using what the test brought back.

  4. 04

    Test the action

Run the task step once and open the task it created. Check where it landed and what it says before going any further with the Zap.

  5. 05

    Publish

Click Publish to switch the Zap on. With two steps only, this Zap runs on the free plan and uses one task per action item.

Triggers

Fathom triggers in Zapier

6 events start a Zap when something happens in Fathom, and 6 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Action Item

Instant trigger

In Zapier“Triggers when there's a new action item from a meeting.”

Fires for each to-do that Fathom pulls out of a meeting, the "someone will send the proposal by Friday" kind. Each one arrives on its own, so one meeting can start the Zap several times.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
an account manager wants every promise made on a client call to show up as a task in the team's board.
Watch out
a meeting with many to-dos runs the Zap once per item, and each run of the action costs one task.
2

New AI Summary

Instant trigger

In Zapier“Triggers when there's a new AI summary from a meeting.”

Hands over the recap Fathom writes after a meeting, ready to drop into a CRM note, an email or a shared doc. It suits any next step that needs the gist of a call rather than every word.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a sales team logs each discovery call summary on the matching deal so the next rep is up to speed.
Watch out
it carries the summary, not the full text; for every word, New Transcript is the trigger to use.
3

New Download Video

Instant trigger

In Zapier“Triggers when a meeting recording is available for download.”

Signals that the video of a recorded meeting can now be downloaded, which is the moment to copy the file somewhere else. Use it rather than New Recording when the next step needs the file itself.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a training team keeps a copy of every onboarding session in a shared Dropbox folder.
Watch out
video files are heavy, so check that the storage app at the next step accepts them.
4

New Highlight

Instant trigger

In Zapier“Triggers when there's a new highlight from a meeting.”

Sends each new highlight Fathom has from a meeting, such as a customer quote, an objection or a feature request worth keeping. Only the highlighted moments travel, not the whole call.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a product manager collects every highlighted customer quote in a Slack channel read by the whole team.
Watch out
nothing arrives if nobody highlights anything, so agree on the habit first.
5

New Recording

Instant trigger

In Zapier“Triggers when there's a new meeting recording.”

Goes off when Fathom has a new meeting recording, the plain signal that a call has been captured. It suits Zaps that only need to know a meeting took place, such as a log or a notification.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a consulting firm adds a row to its client activity sheet for every recorded call.
Watch out
to copy the video file, New Download Video is the better trigger.
6

New Transcript

Instant trigger

In Zapier“Triggers when there's a new transcript from a meeting.”

Delivers the written transcript of a meeting, word for word, once Fathom has it. That full text is what you want when the summary is not enough: legal review, quality checks, or an AI step that reads the whole call.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a research team saves every user interview transcript as a page in Notion.
Watch out
a long call gives a long text; check the field limits of the app that receives it.
When it breaks

When a Fathom Zap breaks

Zapier attaches one help article to Fathom, a getting-started guide, and documents no Fathom-specific limit.

So what breaks is what breaks on any Zap. Four cases explain most surprises, and none of them is a Fathom bug. If one of them hits you, the Zapier troubleshooting guide walks through the general fix.

  • Past meetings are not sent

A Zap only reacts to what happens after it is published. Calls Fathom recorded before stay in Fathom; moving that history is a separate job.
  • The Zap that feeds itself

If a Zap writes into the very place its own trigger watches, it sets itself off again and again and burns through the task count fast.
  • A big batch gets held back

If a trigger suddenly sends a huge batch, Zapier's flood protection can hold it back. Keep an eye on it after a bulk change in your account.
  • Getting started, the official way

Zapier publishes a getting-started guide for Fathom. Read it when a Zap stays silent after its first meeting, before rebuilding anything.

FAQ

Fathom Zapier integration: frequent questions

01Is the Fathom Zapier integration free?
Yes. Fathom is not a premium app, so it works from the Zapier free plan. That plan gives 100 tasks a month and builds two-step Zaps: one trigger and one action. A Fathom trigger followed by one action, such as a CRM note or a task, fits exactly. The free plan stops there: add a filter or a second action and the Zap becomes multi-step, which needs a paid plan.
02How many tasks does a Fathom Zap use?
The Fathom trigger never costs a task. Only the action after it does, once per successful run. An action item Zap uses one task per action item, so a meeting with five to-dos costs five tasks if the action succeeds each time. The same logic applies to highlights: each one starts its own run. A failed action is not billed. Pick the trigger with the task count in mind, since the number of runs depends on what Fathom sends, not on the number of meetings.
03Does Fathom work in real time with Zapier?
Yes. All six Fathom triggers are instant: Fathom tells Zapier as soon as the summary, the transcript, the recording or any other item is ready, and the Zap starts at once. The plan's polling interval, 15 minutes on Free, does not apply to them, which matters most on the free plan. The editor shows a lightning bolt on these Zaps, so you can check it at a glance. The speed is the same on every plan, from Free to Enterprise.
04What does it take to connect Fathom to Zapier?
A Fathom account and a Zapier account. From the Apps page in Zapier, click + Add connection, search for Fathom, sign in on the Fathom side and grant access. The connection is saved once and every Fathom Zap reuses it. Connect the account that records the meetings you want to send. For a colleague's calls, they need to connect their own account, or share access to what you want the Zap to read.
05Which Fathom trigger should a Zap start from?
It depends on what the next app needs. New AI Summary for a short recap in a CRM or an email, one run per meeting. New Action Item for tasks, one run per to-do. New Highlight for marked moments only. New Transcript for the full text. New Recording to know a call happened, and New Download Video to copy the file. Each one is instant, so the choice is about content and task count.
06What if the Fathom operation you need does not exist in Zapier?
Zapier offers 6 triggers for Fathom and no action or search. So no Zap can write into Fathom, start a recording or find an older meeting. If the need is to send meeting content out, one of the six triggers almost always covers it. If the need is to act inside Fathom, check whether Make or n8n offer it, each with its own list of Fathom operations to compare against the need. A trigger plus a good next step covers most needs.
07Zapier, Make or n8n for Fathom?
Compare on criteria, not on a ranking. Zapier runs a Fathom Zap on the free plan as long as it stays at two steps, and all six triggers are instant, but Fathom has no action or search there. Check what Make and n8n expose for Fathom before choosing. Then look at your monthly meeting volume, how many tools each meeting feeds, and who will maintain the automation over time. The right answer varies from one team to the next.
