What the Flixcheck Zapier integration is good for

Flixcheck replaces paper forms with digital checks your customers fill in and sign. Linking it to Zapier means each step of a check (created, delivered, opened, fully finished) can start work in your other tools, and those tools can send a new check without anyone opening Flixcheck.

Three results to aim for. A chained process: when a check built from a given template is completely finished, Create Check sends the next one from another template, so an onboarding never stalls between two forms. Answers routed to the right place: the searches pull a single answer out of a finished check, such as a signature, a yes or no reply or a free-text field, and hand it to the steps that follow. Live delivery tracking: Check Delivered and Check Opened tell your team where each request stands.

The good news first: every Flixcheck trigger is instant. Flixcheck calls Zapier as soon as the event happens, so the plan interval never applies. Now the limits. There is one action only, Create Check: Zapier cannot update, resend or delete a check. Seven of the eight searches keep German names in the editor, and they read a check that an earlier step brought into the Zap.

The trigger never costs a task, and an instant trigger does not even need Zapier to go and check. Each action that succeeds counts once; in a Zap with three actions, each is counted separately. A failed action is not counted. The free plan stops at two steps, one trigger and one action. Since most Flixcheck Zaps worth building use a search, plan for a paid plan: a search or a filter makes the Zap multi-step.

    Open the Apps page

    In Zapier, go to Apps and click + Add connection. You need a Flixcheck account, plus access to any template or check you do not own and want the Zap to use.

    Pick Flixcheck

    Search Flixcheck in the dialog, select it and click Add connection. A new browser tab opens on the Flixcheck side, where you identify yourself before anything is shared.

    Sign in and allow access

    Log in to Flixcheck in that tab and grant Zapier access to the account. The connection is stored once, then reused by every Flixcheck step in every Zap you build.

First Zap

Your first Zap: send the second form only when consent is given

GoalWhen an onboarding check is fully finished, read its confirmation element and, only if it is confirmed, send the follow-up check built from another template.

    Build: choose the trigger

    Create a Zap, pick Flixcheck and Check Completely Finished - Select From Templates, then your connection and the onboarding Template to watch. Watch that one only, never the follow-up.

  2. 02

    Test the trigger

    Run the test. Zapier fetches the three most recent finished checks of that template, so you can map the next steps on a real customer's answers.

  3. 03

    Find the confirmation

    Add Confirmation Element Finden. In Elemente, map the value named Elemente als Text zur direkten Weiterverabeitung from the trigger. Left on default, the Zap stops when nothing is found.

  4. 04

    Let only a yes through

    Finding the box is not the same as a ticked box. Add a Filter: pick what the search brought back about the confirmation, then the rule and the value that mean yes. Search plus filter: a paid plan.

  5. 05

    Send the follow-up check

    Add Create Check with a follow-up Template that differs from the watched one: with the same template, every finished follow-up would start the Zap again. Add a Salutation, a Shipping method and the customer details.

  6. 06

    Test, then Publish

    Test each step and confirm in Flixcheck that the follow-up check exists. Click Publish to switch the Zap on. Checks finished earlier are not picked up.

it covers all your checks, so a Zap meant for one process will also react to every other one.

Template is mandatory, and a check sent without a template will never reach this Zap.

Confirms that a check successfully reached the customer. Useful proof that a request was actually received, not just sent.

How it fires

When to use it

Watch out
delivered does not mean read; for that, build on Check Opened.

Tells you the customer opened the check. It is the signal that the ball is in their court and a reminder call may help.

an open is not an answer; nothing in the check is filled in at this point.

When to use it
a new booking in your reservation tool sends the customer the matching pre-arrival form.
Watch out
Template, Salutation and Shipping method are mandatory, so a missing salutation in the source data stops the step.

Flixcheck searches

8 search steps look for data that already exists in Flixcheck, so a later step can use it.

A search step looks something up before the next step uses it. Here, seven searches read one element inside a check and one finds a template. They sit at the bottom of the Action event list under SEARCH, and some fields offer a + Add search step button. Three settings decide what happens when the lookup misses. Flixcheck has no find-or-create version.

Search Template

Finds one of your Flixcheck templates by name, so Create Check can use it without a fixed choice.

When to use it
pick the template whose name matches a product sold in your shop.
Watch out
Name is required; if two templates share a name, the multiple-results setting decides.

The three settings every search exposes

  1. Successful if no search results are found?
    On default, a search that finds nothing stops the Zap and skips the steps that needed it. Switched on, the Zap goes on without the value.
  2. Create X if it doesn't exist yet?
    The box that turns a search into find-or-create. No Flixcheck search offers it, so you will not see it here.
  3. If multiple search results are found?
    Keep the first match (the default), stop the Zap, or pass all matches on to the next steps together.
When it breaks

When a Flixcheck Zap breaks

Zapier lists no help article and no app-specific limit for Flixcheck, so these are the general traps as they show up with this app.

  • Checks finished last week never arrive

    A Zap reacts only to events after you publish it. Checks completed before that are not picked up, and moving the backlog is a separate job.
  • Check Created plus Create Check loops

    A Zap that creates a check while Check Created watches the same account restarts itself on its own output, again and again, burning tasks fast.
  • A mass send overwhelms the Zap

    Creating a large batch of checks at once floods the trigger. Zapier's flood protection can then hold the batch back.
  • The element search finds nothing

    The Elemente field was mapped with the wrong value. Use Elemente als Text zur direkten Weiterverabeitung from the trigger, then test again.

01Is the Flixcheck Zapier integration free?
On the Zapier side, yes. Flixcheck is not a premium app, so it runs on the free plan with 100 tasks a month and unlimited Zaps. The catch is the shape of the Zap: the free plan allows two steps, one trigger and one action. Any Zap that reads an answer with one of the eight searches, or adds a filter, becomes a multi-step Zap and needs a paid plan. Your Flixcheck subscription is a separate matter.
02How many tasks does a Flixcheck Zap use?
One per action that succeeds. Triggers are free, and since all Flixcheck triggers are instant there is no checking going on in the background at all. A Zap that sends a follow-up check after a finished one uses one task per finished check. A failed action is not counted. Watch the loop case: Check Created and Create Check in the same Zap restart each other and can drain the monthly allowance very quickly.
03Does Flixcheck work in real time with Zapier?
Yes, for every trigger. Check Completely Finished, its template version, Check Created, Check Delivered and Check Opened are all instant: Flixcheck tells Zapier the moment the event happens, whatever your plan, free included. The polling interval of 15 minutes on Free, 2 on Professional and 1 on Team and Enterprise does not apply to them. In the editor, these Zaps carry the lightning bolt that marks instant triggers. On a free plan, that is a real advantage.
04What does it take to connect Flixcheck to Zapier?
A Flixcheck account and a Zapier account. From the Apps page, add a connection, choose Flixcheck, sign in in the tab that opens and grant access. Before building anything, prepare at least one template in Flixcheck with the same login: Create Check cannot run without a Template, a Salutation and a Shipping method. The connection is saved once and reused by all your Flixcheck steps. Check that the template is visible to that login before you start.
05Why do the Flixcheck searches have German names?
Because that is how Flixcheck labels them in Zapier: Ja / Nein Element Finden, Textanfrage Element Finden and the others keep their German titles in the editor. Finden means find. All seven element searches need the Elemente field, and the editor's hint asks for the trigger value called Elemente als Text zur direkten Weiterverabeitung. Map that one and the searches work; map anything else and they come back empty. Search Template is the only one in English.
06What if the Flixcheck operation you need is missing?
Then the editor will not offer it, and no setting brings it back. The visible menu has five triggers, a single action, Create Check, and eight searches; there is no action to update, resend or delete a check. The usual way around is to rebuild the step with what exists, for example sending a fresh check instead of editing one. If a key process depends on the missing step, compare what other platforms expose before building.
07Zapier, Make or n8n for Flixcheck?
Pick by criteria, not by brand. On Zapier, Flixcheck works on the free plan, its five triggers are instant and each successful action costs one task, but the menu stops at one action, Create Check, plus eight searches.
