What the incwo Zapier integration does for you
The incwo Zapier integration plugs incwo, a CRM and invoicing platform for small and mid-sized companies, into Zapier, the tool that links apps together. incwo reports four kinds of new records the moment they appear, and Zapier can create contacts, firms and tasks in return.
Three results people build with it. A follow-up that never gets forgotten: New Opportunity starts the Zap as soon as a deal is logged, and Create Task puts a task on a named user's list. A CRM fed from the outside: Create Contact and Create Firm turn sign-ups or orders coming from elsewhere into proper incwo records. And a check before writing: Find Contact and Find Firm look up what already exists, so the next steps can reuse it.
What Zapier does not do here: there is no action to update or delete a record, and no trigger on changes, only on new items. Nothing about invoices is exposed either, even though incwo handles them. If your process depends on editing an existing deal, Zapier will not do it with incwo today.

- An instant trigger is pushed by the app as soon as the event happens. A polling trigger is checked by Zapier on a timer.

- A step that lets the Zap go on only when what came in meets your condition, and stops it otherwise.
- Search step
- A step that looks up something that already exists in an app, so the steps after it can use what it found.
- Multi-step Zap

The trigger itself never costs a task. Each action that succeeds counts as one, and an action that fails is not billed. A Zap with three actions uses three times what a single-action Zap uses. The free plan gives 100 tasks a month and unlimited Zaps, but stops at two steps: one trigger, one action. Add a filter, a search such as Find Firm, or a second action, and the Zap becomes multi-step, which needs a paid plan. The grid below only applies to polling triggers.
Connect incwo to Zapier in 3 steps

Go to Apps
Open the Apps page of your Zapier account and click + Add connection. That connection is your incwo account linked once, then reused by every Zap that works with incwo.

Select incwo
Type incwo in the search box of the dialog, pick it, then click Add connection. You need an incwo account already, since Zapier does not open one for you.

Sign in and allow
Sign in to incwo in the tab that opens and grant Zapier access to the account. For records that belong to colleagues, the account also needs read or write access on them.
Your first incwo Zap: a task for every new deal

Build: pick the trigger
In the editor, under Build, choose incwo as the trigger app and New Opportunity as the event, then the incwo connection you made.

Test the trigger
Run the test. Zapier brings back the three most recent items of your account, so you map the next steps on a real opportunity rather than a blank.

Add Create Task
Click the plus icon, add incwo as the action app with Create Task. Pick the Assigned User and write a Task Title, mapping details from the opportunity.

Add the chat message
Add a second action in your team chat with a short note about the same deal. This second action makes the Zap multi-step, so it needs a paid plan.

Test, then Publish
Test each action once and check the task in incwo. Then click Publish. Opportunities created before that moment are never picked up.

The 2 incwo searches
2 search steps look for data that already exists in incwo, so a later step can use it.
A search step looks up something that already exists in incwo and hands it to the steps after it. In the editor, searches sit at the bottom of the Action event list, under SEARCH. Some action fields also offer + Add search step, which inserts one just before and wires its result in for you. Whether a search wants an exact value or something close is decided by incwo, not Zapier. Three settings decide what happens next.
Find Contact

Looks for a contact already in incwo and returns it, so later steps can reuse that person instead of creating a twin.
Find Firm

The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap there, and the steps that depended on it are skipped. Switch it on and the Zap carries on empty-handed.
- Create X if it doesn't exist yet?Ticking this box turns a search into a find-or-create step. incwo lists no find-or-create variant for either of its searches, so plan a separate create step.
- If multiple search results are found?Three ways out when several records match: keep the first one, which is the default, stop the Zap, or pass all of them on at once.
When an incwo Zap breaks
Zapier attaches no help article to incwo. What follows are the general limits every Zap runs into, applied to a CRM.
Few of them show up as a clear error. The Zap just misses records, or runs far more often than planned. When a run fails and the reason is not obvious, our Zapier troubleshooting page takes it from there.
Existing contacts are not replayed
A Zap only reacts to records created after it is switched on. Contacts and firms already in incwo never reach it; moving them is a separate job.New Task plus Create Task
