What the Jotform Zapier integration actually does

It links your Jotform account to Zapier so a form response, or a signed document, can start a chain of steps in other tools without anyone copying data by hand. In the other direction, a Zap can hand a form to someone, prefill it, or create a submission on a form you choose.

Three results people usually build. A routed follow-up: a response arrives through New Submission, and Assign Prefilled Form sends the next form to a colleague with the answers already filled in. A signature hand-off: New Signed Document picks up a signed file so the next step can store it or tell the team. A record copied in: Create Submission writes data coming from another app into one of your forms, so Jotform stays the single place where answers live.

What Zapier does not do here matters just as much. There is no search for Jotform, so a Zap cannot look up an older response and reuse it. Nothing that was submitted before the Zap went live is picked up. And editing or deleting a form is not on the list at all: the four actions only assign forms or add submissions, plus a raw request for advanced users.

Jotform is not reserved to paid plans: it works on the free one. The trigger costs nothing, and checking for new data costs nothing either.

Every action that succeeds is one task, and each action in a Zap counts on its own, so a three-action Zap uses three times more than a one-action Zap. A failed action is not billed. A few apps and actions take more than one task, so watch the count during your first runs. The free plan stops at two steps: one trigger, one action. Add a filter or a second action and the Zap becomes multi-step, which means a paid plan.

Connect Jotform to Zapier in three steps

    Open the Apps page

    In your Zapier account, go to Apps and click + Add connection. A dialog opens with a search box: type Jotform and pick it from the list of apps that comes up.

    Click Add connection. A new tab opens on Jotform: log in with the account that owns the forms, or one that has access to the forms you did not create yourself.

When to use it
a manager approves a request, and only the decision fields are left to fill.
Watch out
map only the fields you trust; a wrong prefilled value is easy to miss when someone is in a hurry.

Writes a fresh entry into the form you pick, as if someone had filled it in, using values coming from earlier steps.

When to use it
keeping every request in Jotform, even the ones that arrive by email or from a CRM.
Watch out
if that same form is watched by New Submission in another Zap, the two will feed each other.

  • Values missing or wrong

    Zapier's help center has a whole article titled Jotform values are missing or incorrect. Start there when a mapped answer arrives empty or garbled.
  • Old responses never arrive

    A Zap only reacts to what happens after you publish it. Responses submitted before that stay in Jotform; moving them is a separate job.
  • A loop that burns tasks

    Create Submission on the very form that New Submission watches restarts the Zap again and again, and each round costs a task.
  • A bulk import held back

    If a trigger suddenly returns a large batch, for example after an import, Zapier's flood protection can hold the Zap back.

Jotform Zapier integration: frequent questions

01Is the Jotform Zapier integration free?
Yes, Jotform works on the free Zapier plan, because Zapier does not reserve it to paid plans. The free plan gives you 100 tasks a month and Zaps of two steps, one trigger and one action. As soon as you add a filter or a second action, the Zap becomes multi-step and needs a paid plan. Jotform's own plan limits are a separate matter and are not covered by this page.
02How many tasks does a Jotform Zap use?
One task per action that succeeds, and nothing for the trigger. If a response starts a Zap with two actions, that response costs two tasks. Zapier does not charge for looking for new responses, however often it checks, and an action that fails is not billed. So the number to estimate is simple: monthly responses times the number of actions in the Zap. A form with a filter that stops half of the responses only bills the half that went through.
03Does Jotform trigger Zapier in real time?
New Submission does: Jotform tells Zapier the moment a form is sent, so the Zap starts straight away, even on the free plan. New Signed Document works differently. Zapier checks for new signed documents on a timer, and how often depends on the plan: every 15 minutes on the free one, every 2 minutes on Professional, every minute on Team and Enterprise. A Zap built on an instant trigger shows a lightning bolt in the editor, which is the quickest way to check.
04What does it take to connect Jotform to Zapier?
A Jotform account, plus access to every form you want the Zap to read or write. You add it from the Apps page in Zapier, sign in to Jotform in the tab that opens, and allow access. If you plan to use forms created by a colleague, make sure the account you connect has access to them, because the Zap can only reach what that account can. The connection is made once and then reused by every Zap that touches Jotform.
05Why do some Jotform answers arrive empty in Zapier?
Zapier has a dedicated help article for exactly this, titled Jotform values are missing or incorrect, which is the first place to look. Before that, test the trigger again: Zapier pulls the three most recent responses of the form, and mapping on a response that left a question blank gives you nothing to map for that field. Send a complete test response first, then test the trigger again and redo the mapping.
06What if the Jotform action for your case is missing?
The four listed actions only assign forms, add a submission or send a raw request. For anything else, API Request (Beta) can call Jotform directly with your connection, but only on domains tied to the app, and it suits someone used to reading API documentation. Before going that way, check whether a mix of the existing pieces does the job: Create Submission can bring outside data into a form, and New Submission can then pass it on. The other route is to check whether another automation tool offers that operation for Jotform.
