What the Kanban Zone Zapier integration actually does

It links your Kanban Zone boards to the other tools your team uses, through a Zap: an automation on Zapier that waits for one event, then runs one or more steps every time it happens. Kanban Zone can start a Zap when a card is created or moved, and a Zap can create a card or read a board's statistics.

Three results people build with it. A handoff card: when a card is moved on the product board, Create Card opens a matching card on the QA board, so nobody copies titles by hand. An intake feed: Card Created pushes every new request to the chat channel or spreadsheet where the team already looks. A board snapshot: Board Statistics pulls the card numbers of one board into a later step, so a status update carries real figures instead of guesses.

Now the limits. The menu is short: four operations in all. Zapier cannot edit, archive or delete a card, cannot comment, and has no trigger for a card that is updated without moving. If your process depends on those, Zapier alone will not cover it (the Zapier troubleshooting page helps when a Zap misbehaves, not when an operation is missing).

The trigger never costs a task, and neither does Zapier listening for new cards. Each action that succeeds counts once, so a Zap with three actions uses three times as much as a one-action Zap. An action that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but only two steps per Zap: one trigger, one action. Add a filter, a Board Statistics search or a second action and the Zap becomes multi-step, which needs a paid plan. The polling grid below does not touch Kanban Zone: both triggers are instant.

    Open the Apps page

    In your Zapier account, go to Apps and click + Add connection. You need a Kanban Zone account first, with access to the boards you plan to automate in your Zaps.

    Type Kanban Zone in the search box of the dialog, select it, then click Add connection. A new browser tab then opens on the Kanban Zone side, ready for you.

When to use it

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap and skips the steps that relied on it. Switch it on and the Zap carries on with empty values.
  2. Create X if it doesn't exist yet?
    This box turns a search into find-or-create. Kanban Zone offers no find-or-create variant, so you will not see it on Board Statistics.
  3. If multiple search results are found?
    Three choices when several items match: keep the first one (the default), stop the Zap, or pass all of them on at once.
When it breaks

When a Kanban Zone Zap breaks

Zapier links no help article to Kanban Zone and no app-specific rate limit is documented. What breaks comes from Zapier's own rules.

Four cases come back most often with a card-based tool. None of them shows up as an error message: the Zap simply does more, or less, than you expected.

  • Old cards are ignored

    A Zap only reacts to cards created or moved after you publish it. Your existing backlog is never replayed, so moving it is a separate job.
  • The board that feeds itself

    Card Created on board A plus Create Card on board A means each new card creates another one. The loop burns through your task count fast.
  • Bulk imports get held back

    Importing or migrating many cards at once can produce a huge batch, and Zapier's flood protection may hold it instead of running every card.
  • An empty search stops the Zap

    If Board Statistics returns nothing and the default setting is kept, the Zap stops there and every step after it is skipped.

01Is the Kanban Zone Zapier integration free?
Yes, as long as you stay with two steps. Kanban Zone is not reserved for paid plans, so a Zap made of one trigger and one action runs on the free plan, which includes 100 tasks a month and unlimited Zaps. The moment you add a filter, the Board Statistics search or a second action, the Zap becomes multi-step and Zapier asks for a paid plan. For a single handoff between two boards, free is enough.
02How many tasks does a Kanban Zone Zap use?
One per action that succeeds, and nothing else. The trigger is free, whether it is Card Created or Card Moved, and Zapier waiting for new cards costs nothing either. A Zap that creates one card per moved card therefore uses one task per move. A Zap with three actions uses three. A failed action is not counted, which is useful to know when you debug a Zap that keeps stopping halfway through.
03Does Kanban Zone trigger Zaps in real time?
Yes. Both Kanban Zone triggers are instant: the app tells Zapier as soon as a card is created or moved, so the Zap starts straight away, whatever plan you are on. The interval grid, 15 minutes on Free and shorter on paid plans, only applies to polling triggers, and Kanban Zone has none. In the editor you can spot an instant trigger by the lightning bolt shown on the Zap.
04What does it take to connect Kanban Zone to Zapier?
A Kanban Zone account and access to the boards you want to automate. In Zapier, open Apps, click + Add connection, search for Kanban Zone, then sign in and grant access in the tab that opens. Both the Create Card action and the Board Statistics search ask you to pick a board from your organization, so the connected account must be able to see that board, or it will not appear in the list.
05Why does a Kanban Zone Zap keep creating cards?
Because the Zap is writing where its own trigger watches. If Card Created watches a board and Create Card adds a card to that same board, each new card starts the Zap again, which creates another card, and so on. The loop eats through your monthly tasks quickly. Point Create Card at a different board, or add a filter that stops cards the Zap itself made, which turns it into a multi-step Zap.
06What if the Kanban Zone operation you need does not exist?
Then Zapier cannot do it for this app today. The integration offers two triggers, one action and one search, with no way to update, archive, delete or comment on a card. A different platform may expose other operations, so it is worth comparing the Make integration for the same app. If none of them covers the gap, the job stays manual or needs a custom connection to Kanban Zone built outside these catalogs.
