What the Klenty Zapier integration actually does for an outbound team
Klenty runs your outbound emails and follow-ups. Zapier is the bridge between Klenty and the rest of your tools. Linked together, an event in Klenty (a reply, a bounce, a click) can update another app, and an event elsewhere can add a prospect to Klenty or start, pause or stop their cadence. No copy-paste between tabs.
Three results show up again and again on sales teams. First, a clean list: On Bounce paired with Change Status to Do Not Contact keeps dead addresses out of every future sequence. Second, a warm-lead alert: On Reply or Cadence First Reply can post a message to the channel your reps actually watch, so nobody waits for the next inbox sweep. Third, a full pipeline: a new demo request in your form tool can go through Add Prospect and then Start Cadence, so the lead gets its first touch without a rep lifting a finger.
Now the limits. Zapier offers no search step for Klenty: you cannot ask Zapier to look up a prospect or list your cadences mid-Zap. Every action works from an email address you already hold. There is no action to send a one-off email, no action to delete a prospect, and nothing to create a cadence; cadences are built inside Klenty. If your plan depends on any of that, it has to happen in Klenty itself.
If you weigh other tools, the same app has a Klenty Make integration page, and our n8n vs Zapier comparison sets the two side by side by criterion.
Zapier words you'll meet on this page
Seven terms cover everything below. Read them once and the rest of the page reads fast.
- Zap
- An automation you set up on Zapier: one starting event, then one or more steps that run each time that event happens.
- Trigger
- The event in an app that kicks off the Zap. Once the Zap is switched on, Zapier sits and waits for it to happen.
- Action
- The work the Zap does after it starts: the step that creates, updates or stops something in an app on your behalf.
- Task
- What Zapier bills you for. One task equals one action that finished without error. Your plan counts those.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger is pushed by the app the moment the event happens.
- Filter
- A step that lets the Zap carry on only when the incoming data meets your condition, and stops it quietly otherwise.
- Connection
- Your Klenty account, linked to Zapier one time and then reused by every Zap step that talks to Klenty.
What Klenty on Zapier will cost you in tasks
Short version: Klenty is not a premium app, so it works on the free plan, and its triggers never cost you anything.
- Premium appNo, available on the free plan
- Free plan100 tasks a month, two-step Zaps only
- Trigger cost0 tasks
- Klenty triggers9 instant, 0 polling
Zapier only charges when an action completes. The trigger is free, and so is all the waiting and checking. An action that fails is not counted. A Zap with three actions uses three tasks per run, so watch the bounce Zaps on large lists. The free plan gives you 100 tasks a month and unlimited Zaps, but only two-step Zaps: one trigger, one action. Add a filter or a second action and you have a multi-step Zap, which needs a paid plan. The interval grid below covers polling triggers only; every Klenty trigger is instant, so it fires straight away on any plan.
Link your Klenty account to Zapier in three steps
- 01
Open your connections
Log in to Zapier and go to the Apps page of your account. Click + Add connection. A dialog opens with a search box: type Klenty and pick it from the list.
- 02
Sign in to Klenty
Click Add connection. A new tab opens on the Klenty side. Sign in with the account whose prospects and cadences the Zap should touch. You need your own Klenty account for this, plus access to anything owned by a teammate.
- 03
Grant access and reuse it
Allow Zapier to access the account. The tab closes and Klenty now shows up in your connections. Every Zap you build later picks this same connection, so you only do this once per Klenty account.
Your first Zap: put link-clickers into a follow-up cadence
GoalWhen a prospect clicks the pricing link in one of your emails, start a dedicated follow-up cadence for them.
- 01
Create the Zap and pick the trigger
Create a new Zap. As the app that starts it, choose Klenty, then the event On Click. Select the Klenty connection you set up earlier.
- 02
Test with a real click
Run the trigger test. Zapier brings back the three most recent items from your account, so pick a real click and use it to map the fields that follow.
- 03
Add the filter
Add a Filter step from the plus icon. Pick the link field, a text rule, and the pricing URL. Clicks on any other link stop here and cost nothing.
- 04
Stop, then start
Add Stop Cadence with the prospect email from the trigger, then Start Cadence with the same email and the name of your follow-up cadence.
- 05
Test each step and publish
Test each action and read what Klenty sends back. When both look right, publish the Zap. This one has a filter and two actions, so it needs a paid plan.
Klenty triggers on Zapier
9 events start a Zap when something happens in Klenty, and 9 of them are instant: the app calls Zapier straight away, whatever your plan.
Cadence First Reply
Instant triggerIn Zapier“Triggers when a cadence receives it's first reply from any prospect.”
Fires the first time anyone answers a given cadence. Later replies on that same cadence don't set it off again, which makes it a clean signal that a sequence has started to land.
On Cadence Completed
Instant triggerIn Zapier“Triggers when a cadence is completed with no replies received.”
Starts your Zap when a prospect runs through every step of a cadence and never answers. It is the silent end of a sequence, and a good moment to decide what happens next.
On Click
Instant triggerIn Zapier“Triggers when a link is clicked when an email is sent via klenty.”
Runs when a prospect clicks a link inside an email that Klenty sent. Of all the engagement signals, a click shows the most intent, since someone took an action rather than just glancing.
On Reply
Instant triggerIn Zapier“Triggers when a prospect replies to a cadence.”
Kicks in each time a prospect answers one of your cadences. This is the trigger most outbound teams build first, because a reply is the moment a rep needs to step in.
On Send Prospect
Instant triggerIn Zapier“Triggers when you send a Prospect from Klenty to Webhook.”
Triggers when someone on your team pushes a prospect from Klenty out to a webhook by hand. Unlike the others, it reacts to a deliberate choice rather than to prospect behavior.
On Start Cadence
Instant triggerIn Zapier“Triggers when a cadence is started in Klenty.”
Goes off whenever a cadence begins in Klenty for a prospect. It tells the rest of your tools that outreach on that person is now live.
On Bounce
Instant triggerIn Zapier“Triggers when a mail bounces.”
Reacts to an email from Klenty that could not be delivered. A bounce usually means an address is wrong or gone, and every extra send to it hurts your sender reputation.
On Open
Instant triggerIn Zapier“Triggers when a mail is opened by the prospect.”
Fires when a prospect opens an email sent through Klenty. It is the loudest signal of the set, and the least reliable alone, since an open is not yet a decision.
On Unsubscribe
Instant triggerIn Zapier“Triggers when a prospect unsubscribes.”
Starts when a prospect opts out of your Klenty emails. Consent is the one thing you can't afford to have out of sync across tools.
Klenty actions on Zapier

When your Klenty Zaps break
Zapier links no help article to Klenty, so the known failure points are the general ones. They hit outreach Zaps harder than most.
Most problems come from volume or from two Zaps talking to each other. Here are the cases to check first.
No catch-up on past events
A Zap only reacts to what happens after you switch it on. Replies and bounces from last month stay where they are; moving that backlog is a separate job.The Zap that restarts itself
A Zap that writes where its own trigger listens fires again and again. On Start Cadence feeding Start Cadence is the classic case, and it drains tasks fast.A bulk import floods the trigger
A big list upload can bounce or open in one wave. Zapier's flood protection may hold back a sudden batch that size, so the Zap seems to stall.A cadence name that doesn't match
Start Cadence needs a cadence that exists in Klenty. A renamed or deleted cadence leaves the action with nothing to start, and the run fails.
