Octonius Zapier integrationAutomate Octonius with Zapier.
The Octonius Zapier integration links your work management space to the rest of your tools. It counts 1 trigger, 1 action and 0 searches: react the moment a task is created and assigned, or open a task from another app. Small catalog, clear jobs.

What the Octonius Zapier integration is for
Octonius is a platform for managing work: tasks, owners, progress. Zapier, a service that connects apps without code, lets it talk to the other tools your team uses. Tasks can leave Octonius to notify someone, or arrive in Octonius from wherever the request was born.
Three results come up most. A heads-up in the team chat: New Task fires when a task is created and assigned, and the next step posts it in the channel where people actually look all day. A task opened from a form: a client request lands in your form tool, and Create Task turns it into an Octonius task with a title, so nothing gets copied by hand. A shared log: every new task becomes a row in a spreadsheet the manager can scan at a glance.
What Zapier does not do here matters just as much. There is no trigger for a task that changes status, gets completed or is reassigned: only creation is covered. There is one action, and it creates; nothing updates, closes or deletes a task. And with no search, a Zap cannot look up an existing Octonius task to work on it.
Not sure Zapier is the right tool for this? The comparison n8n vs Zapier lays out the criteria, and the Zapier training covers the editor from scratch.
Zapier words you will meet on this page
Seven terms, one line each, in everyday language.
- Zap
- The automation you build: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event that starts the Zap. For Octonius, that event is a task being created and assigned.
- Action
- What the Zap does once started: posting a message, adding a row, or creating a task in Octonius.
- Task (Zapier)
- The unit Zapier bills: one action completed successfully. Not to be confused with a task in Octonius.
- Instant trigger
- A trigger the app reports itself, the moment the event happens. New Task works this way, so nothing waits.
- Filter
- A step that lets the Zap go on only when what arrived meets your condition, and stops it otherwise.
- Connection
- Your Octonius account linked to Zapier once, then reused by every step that touches Octonius.
What an Octonius Zap costs you
Octonius is not a premium app: it runs on the free plan. The word to watch is task, in the Zapier sense.
- Premium appNo, works on the free plan
- Free plan100 tasks a month, two-step Zaps
- New Task triggerInstant, no waiting on any plan
- What countsEach successful action
The New Task trigger never costs anything. Each action that succeeds, such as a Slack message or a task created with Create Task, counts as one Zapier task; a failed one does not count. A Zap that posts a message and also logs a row uses two per run. The free plan gives 100 tasks a month and only two-step Zaps, so a filter or a second action means a paid plan. Since New Task is instant, the polling grid below does not slow it down, even on Free.
Connect Octonius to Zapier
- 01
Start from the Apps page
In Zapier, open Apps and click + Add connection. In the small dialog that appears on screen, search for Octonius by name and select it from the list of results.
- 02
Log in to Octonius
Click Add connection. A new tab opens: sign in to Octonius with the account whose tasks you want the Zap to see, or that may create tasks where you need them.
- 03
Allow access
Grant Zapier access to the account. The connection is saved on your Apps page, and every Octonius step in every Zap can pick it without asking you to sign in again.
Build your first Octonius Zap
GoalPost each new urgent Octonius task in the team chat.
- 01
Pick the trigger
Create a Zap, choose Octonius as the starting app and New Task as the event, then select the Octonius connection you saved earlier.
- 02
Test it on a real task
Run the test. Zapier brings back the three most recent tasks from the account, so you build the rest of the Zap on actual data.
- 03
Add a filter
Add a Filter step: field Title, a text rule, value urgent. Only matching tasks go further. A filter makes the Zap multi-step, so this needs a paid plan.
- 04
Add the message
Add the chat app as the action and map the task title into the message. Test this step once and read what came back before moving on.
- 05
Publish
Click Publish. The Zap is now on: each urgent task created and assigned from that moment shows up in the channel straight away.
The Octonius trigger
1 event starts a Zap when something happens in Octonius, and one of them is instant: the app calls Zapier straight away, whatever your plan.
New Task
Instant triggerIn Zapier“Triggers when a new Task created and assigned.”
Starts your Zap as soon as someone creates a task in Octonius and assigns it. The task details become available to every step after it, so you can forward them, log them or route them somewhere else.
The Octonius action
Octonius gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create Task
ActionIn Zapier“Create a task to octonius”
Opens a new task in Octonius from data that arrives in another app, so the request lands where the team tracks work.
When an Octonius Zap breaks
Zapier links no help article to Octonius, and no app-specific limit is documented. The usual failures come from how Zaps work.
Four situations explain most surprises. For a step-by-step method, see Zapier troubleshooting.
Older tasks never arrive
A Zap only reacts to what happens after you switch it on. Tasks that already existed are not picked up; moving them is a separate job.A task creates a task
A Zap that runs New Task and then Create Task in the same workspace can set itself off again and again, and burns through your task count fast.A bulk import gets held
If a migration suddenly creates a huge batch of tasks, Zapier's flood protection can hold the run back instead of firing the Zap for each one.The title is missing
Create Task refuses to run without a Title. If the source field is sometimes empty, the step errors on exactly those runs and the task is never created.
