Overview

What the Lead Recorder Zapier integration gives you

Lead Recorder tells you where your website leads come from: a small piece of tracking code on your site ties every form sent and every call back to the marketing that produced it. Its Zapier integration works in one direction only. When a new lead is captured on your site, Zapier picks it up and hands it to the next app in your Zap.

Everything goes through New Lead, and three outcomes come up again and again. A lead captured on your site lands in the tool your team already works in, without anyone exporting it. A lead triggers a follow-up in another app, since the Zap can do whatever that app's action offers. And with a filter added on a paid plan, only the leads that meet your condition move on.

Now the limits. Zapier offers no Lead Recorder action, so nothing can be written back: no lead created, updated or tagged from another tool. There is no search, so a Zap cannot look up a past lead. And the trigger works by polling, which means Zapier checks for new leads on a timer rather than hearing about them the instant they arrive. On the free plan that is every 15 minutes.

The app is also marked as beta on Zapier, so expect it to evolve. If you are still choosing an automation tool, the Make vs Zapier and n8n vs Zapier comparisons are worth a read before you settle.

Vocabulary

Zapier terms in plain English

Seven words cover everything on this page.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Here, a new lead captured on your site by Lead Recorder.
Action
What the Zap does once it starts: the step that writes, sends or moves something, in another app in this case.
Task
The unit Zapier bills: one action completed successfully. Your plan's monthly allowance is counted in tasks.
Polling trigger
A trigger Zapier checks on a timer, asking the app for new items and keeping only the ones it has not seen yet.
Instant trigger
A trigger the app reports itself the moment the event happens. Lead Recorder's trigger is not one of these.
Filter
A step that lets the Zap go on only when the incoming data meets your condition, and stops it otherwise.
Cost

What a Lead Recorder Zap costs

Lead Recorder is not a premium app, so the free plan covers it.

  • Premium appNo, free plan works
  • Free plan100 tasks a month, two-step Zaps
  • New Lead triggerPolling, costs no task
  • BilledEach successful action after it

The New Lead trigger never costs a task, however often Zapier checks your site for new leads. What you pay for is the action that follows in the other app: each one that succeeds counts as one task, and a failed one is not counted. The free plan gives 100 tasks a month, unlimited Zaps and two steps per Zap, which is enough for New Lead plus one action. A filter or a second action makes it a multi-step Zap, and that needs a paid plan.

Connect

Connect Lead Recorder to Zapier

  1. 01

    Open the Apps page

In your Zapier account, go to the Apps page and click + Add connection. You need a Lead Recorder account already set up, with access to the site whose leads you want.

  2. 02

    Select Lead Recorder

Search for Lead Recorder in the dialog, pick it from the results and click Add connection. Zapier then opens a separate tab where you sign in on the Lead Recorder side.

  3. 03

    Sign in and grant access

Log in to Lead Recorder in that tab and allow Zapier to reach your account. The connection is saved once, and every Zap that starts from New Lead reuses it from a list.

First Zap

Your first Lead Recorder Zap

GoalSend every new lead captured on your site to another tool, automatically.

  1. 01

    Start from Lead Recorder

Create a Zap, choose Lead Recorder as the app and New Lead as the event. Then select your Lead Recorder connection so the Zap knows which account to check.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent leads from the account, so you can map the next step on a real lead rather than on empty placeholders.

  3. 03

    Add the action

Add an action step in the app where leads should land, then map the details coming from New Lead into its fields. Pick only what the next tool actually needs.

  4. 04

    Test the action

Test that step and open the other app to check the result. Fixing a field now costs nothing; fixing it later means cleaning up every lead it touched.

  5. 05

    Publish

Click Publish to switch the Zap on. From then on Zapier checks for new leads at your plan's interval, and each one runs through the Zap once.

Triggers

The Lead Recorder trigger

1 event starts a Zap when something happens in Lead Recorder. Zapier checks for them at the interval your plan allows.

1

New Lead

Polling trigger

In Zapier“Triggers when a new lead is captured on your site.”

Starts your Zap whenever Lead Recorder captures a new lead on your site. Each lead runs through the Zap once, and Zapier remembers the ones it has already handled.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
when every lead your site produces should appear in another tool without someone copying it across by hand.
Watch out
a lead captured just after a check waits for the next one, so on the free plan expect up to a 15-minute gap.
When it breaks

When a Lead Recorder Zap breaks

Zapier links no help article to Lead Recorder, so the cases below are the general ones, applied to a polling trigger like New Lead.

Problems usually look like missing leads or leads that arrive later than expected. Each card below names the cause. For reading a failed run in detail, see our Zapier troubleshooting guide.

  • Older leads never come through

A Zap reacts only to what happens after you switch it on. Leads recorded before that stay in Lead Recorder; moving them is a separate job.
  • Leads arrive in waves

New Lead is a polling trigger. Zapier checks on a timer, every 15 minutes on Free, so leads captured between two checks travel together.
  • A sudden spike gets held

If a check suddenly returns a huge batch, after a bulk import or a migration for instance, Zapier's flood protection can hold it back.
  • No duplicates, by design

Zapier keeps track of the leads it has already seen on this trigger, so the same lead does not start the Zap twice, even across many checks.

FAQ

Lead Recorder Zapier integration: frequent questions

01Is the Lead Recorder Zapier integration free?
Yes. Lead Recorder is not a premium app, so the New Lead trigger works on Zapier's free plan. That plan includes 100 tasks a month and unlimited Zaps, each built from two steps: one trigger and one action. A Zap that sends each new lead to one other tool fits that exactly. You only need a paid plan once you add a filter, a second action or a search, because any of those turns it into a multi-step Zap.
02How many tasks does a Lead Recorder Zap use?
One task per successful action after the trigger. New Lead itself costs nothing, no matter how often Zapier checks your site for new leads. So a Zap that passes each lead to one other tool uses one task per lead, and an action that fails is not counted. On the free plan, that leaves room for 100 leads a month across your Zaps. Add a second action and each lead then costs two tasks.
03Does Lead Recorder send leads to Zapier in real time?
No. New Lead is a polling trigger: Zapier checks Lead Recorder on a timer instead of being told the moment a lead arrives. The interval depends on your plan, every 15 minutes on Free, every 2 minutes on Professional and every minute on Team and Enterprise. On paid plans you can also run a check by hand from the editor. If speed matters a lot, factor that delay into how you follow up.
04What do you need to connect Lead Recorder to Zapier?
A Lead Recorder account, with access to the site whose leads you want to pass on. In Zapier, open the Apps page, click + Add connection, search for Lead Recorder, then sign in on the tab that opens and grant access. The connection is stored once, and every Zap you build afterwards with New Lead picks it from the list. No field has to be filled on the trigger itself, so setup is quick.
05Why don't past leads show up in the Zap?
Because a Zap only reacts to leads captured after it is published. Everything Lead Recorder recorded before that moment stays where it is, and Zapier does not go back to collect it. When you test the trigger, Zapier does show the three most recent leads, but only to help you map fields. If you need the history in your other tool, treat that as a separate job from the Zap itself.
06What if the Lead Recorder operation you need isn't on Zapier?
Then the integration cannot do it today. Zapier offers a single Lead Recorder operation, the New Lead trigger. There is no action, so a Zap cannot create, update or tag anything inside Lead Recorder, and there is no search to look up a past lead. Anything beyond reading new leads has to happen inside Lead Recorder itself. The app is flagged as beta on Zapier, so its list of operations may change over time.
07Zapier, Make or n8n for Lead Recorder?
Compare by criteria rather than looking for a single winner. Coverage first: on Zapier, Lead Recorder exposes one polling trigger, so check what each tool offers for it before deciding. Speed second: on Zapier the free plan checks every 15 minutes, and paid plans go down to one minute. Shape third: one trigger plus one action stays free. Last, think about who on your team will maintain the automation over time.
