What the Leadferno Zapier integration does for your inbox
The integration plugs your Leadferno messaging inbox into the other apps you use, with no code. Leadferno warns Zapier when a contact, a lead, a message or a tag shows up. In the other direction, Zapier can create or update a contact, send a message, or look a contact up by cellphone or email.
A record of every web lead. New Leadform Lead or New Lead starts the Zap, and a row lands in your spreadsheet with what Leadferno received. Nobody retypes a lead again, and the sheet stays complete even on busy days.
A first message that goes out on its own. Pair New Contact with Send Message and each new contact gets the same opening text from your inbox, sent by the Zap instead of a teammate watching the screen.
Contacts that stay in step with your other tools. When another app learns something about a person, Find Contact locates them in Leadferno and Update Contact writes the change.
What Zapier does not do here: the editor offers no action to delete a contact, and none to change a lead status. Those stay manual inside Leadferno, and so does anything the six triggers do not see. - Zap
- The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier waits for that event and nothing else.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something for you in an app.
- Task
- The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself the moment the event happens.
- Filter
- A step that lets the Zap carry on only when what arrived meets the condition you set, and stops it otherwise.
- Search step
- A step that looks up something already stored in an app, so the steps after it can use what it found.

Each action that succeeds counts as one task, so a Zap with three actions uses three times more than a Zap with one. An action that fails is not counted. The free plan stops at two steps, one trigger and one action: add a filter, a search such as Find Contact or a second action, and the Zap becomes multi-step and needs a paid plan. The interval grid below only concerns polling triggers, and all six Leadferno triggers are instant.
Connect Leadferno to Zapier in three steps

Open your apps
In your Zapier account, go to the Apps page and click + Add connection. A dialog opens with a search box. You need a Leadferno account first, plus access to anything you do not own and want the Zap to touch.

Pick Leadferno
Type Leadferno in the dialog, select it, then click Add connection. A new browser tab opens on the Leadferno side, which is where the sign-in happens, not inside Zapier.

Sign in and allow access
Log in to Leadferno in that tab and grant Zapier access to the account. The connection then shows up in your apps list, and every Zap you build later can reuse it without signing in again.
Your first Leadferno Zap, step by step

Create the Zap
Start a new Zap and choose Leadferno as the app that starts it. Pick New Tag as the event, then select the connection you added earlier.

Test the trigger
Run the test: Zapier brings back the three most recent tagged leads from your account. Pick a real one, because every later step is mapped on what it holds.

Add the filter
Click the plus icon and add Filter. In Configure & test, fill the three boxes: the field to look at, the rule, and the value to compare with. Use a text rule on text, or the filter never passes.

Add the action
Add Leadferno again, choose Send Message, and map the contact and the message text from the steps above. Then test this step once and read what came back.

Publish
Click Publish to switch the Zap on. Note that the filter makes it a three-step Zap, so it needs a paid plan. Drop the filter and it fits on the free plan.
Leadferno triggers on Zapier
6 events start a Zap when something happens in Leadferno, and 6 of them are instant: the app calls Zapier straight away, whatever your plan.
New Contact

Starts the Zap each time a contact is added to Leadferno, whoever added it. It is the widest of the six: it does not care whether the person came in as a lead or was typed in by hand.
New Message

Fires on each message in an open conversation, in both directions: what the customer writes and what your team sends back. On an active inbox, expect it to run far more often than the others.
New Leadform Lead

Reacts only to leads that come in through a Leadferno leadform, not to every lead. Use it when the form is the channel you want to follow apart from the rest.
New Lead

Any lead created in Leadferno starts this one, whatever brought it in. Where New Leadform Lead only sees the form, this one sees every new lead, so it is the safer pick when you are not sure where leads come from.
New Tag

When someone adds a tag to a lead, this trigger hands Zapier the lead and the tag. Tags are how your team sorts leads by hand, so this is the trigger that turns a click in the inbox into a follow-up elsewhere.
Updated Lead Status

Watches a lead's status and starts the Zap when it moves to the one you named. It is the trigger that follows a lead through your pipeline, step by step, rather than at creation.

Create Contact

Changes a contact that already exists in Leadferno instead of creating a new one. It usually follows Find Contact, which supplies the contact to change.
The Leadferno search, and what happens when it finds nothing
1 search step looks for data that already exists in Leadferno, so a later step can use it.
A search step does not change anything in Leadferno: it reads. In the editor, searches sit at the bottom of the Action event list, under SEARCH. Some action fields also offer + Add search step, which inserts the search right before and wires its result in. Three settings decide what happens next.
Find Contact
SearchFind or createIn Zapier“Find a contact by cellphone or email address. Warning: This is an inclusive search - if both values are provided and only one matches, we will return the contact. This could mean your follow on actions send messages etc to a contact with a different email or phone number than what was provided in the search query. Looks a contact up by cellphone or email and hands it to the next steps. The search is inclusive: give both values and a match on only one still returns that contact.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nobody stops the Zap there and skips the steps that relied on it. Switched on, the Zap carries on empty-handed.
- Create X if it doesn't exist yet?Ticking it turns the search into a find-or-create: the setting above disappears and the step asks for what it needs to create the missing contact.
- If multiple search results are found?Three ways out when several contacts match: keep the first one, which is the default, stop the Zap, or pass all of them on at once.
When a Leadferno Zap breaks
Zapier attaches no help article to Leadferno, and no rate limit for it is documented. What breaks is the same as everywhere on Zapier, plus one trap that comes from the search itself.
None of these show as an error in Leadferno. You see them in the Zap history, or in a task count that climbs faster than your leads. When the cause is not obvious, our Zapier troubleshooting page is the next stop.
No catch-up on old leads
