What the Quo Zapier integration does for your phone line
Quo, formerly OpenPhone, is a business phone system: shared numbers, calls and texts for a team, with AI help on top. The Zapier integration listens to what happens on those numbers and acts on it: a call ends, a text arrives, a summary is ready, and the Zap texts back, updates a contact or pulls the details of the call.
Three outcomes cover most setups. No call left without a follow-up. Outgoing Call Completed or Incoming Call Completed starts the Zap, and Send a Message texts the person from your Quo number. A contact list that stays clean. Create or Update Contact adds a new caller or updates the one you already have, so nobody types names twice. Call content you can reuse. Call Summary Completed and Call Transcript Completed fire once the AI work is done, and searches such as Get a Summary for a Call fetch the text for the next step.
The best news for a free plan: 7 of the 8 triggers are instant, so the plan interval does not slow them down. The exception is List Phone Numbers, which Zapier checks on a timer. What Zapier does not do: it cannot place a call, and with 2 actions only, writing to Quo stops at texts and contacts. Summaries and transcripts also depend on your Quo plan, not on Zapier.

- The unit Zapier bills: one action that completes successfully. Your plan sets how many you get each month.
- Instant trigger
- A trigger the app reports itself: Quo calls Zapier the moment the event happens, so nothing waits for a check.
- Polling trigger
- A trigger Zapier checks on a timer, keeping only what it has not seen. One Quo trigger works this way.
- Filter
- A step that lets the Zap go on only when what arrived meets your condition, and stops it otherwise.
- Search step
- A step that looks up something that already exists in Quo, such as a call or a message, for the steps after it.

Each action that succeeds counts as one task, and the trigger never does. A failed action is not billed. Quo is not a premium app, so the free plan accepts it: 100 tasks a month and two-step Zaps, enough for a call trigger plus a text. A filter, a second action or any of the 8 searches makes the Zap multi-step, so it needs a paid plan. On the bright side, the instant triggers fire straight away whatever your plan.
Connect Quo to Zapier in three steps

Open the Apps page
In your Zapier account, go to Apps, click + Add connection, then search for Quo in the dialog that opens and select it from the list of results shown.

Sign in to Quo
Click Add connection. Quo opens in a new tab: sign in with the account that has access to the workspace numbers your Zaps will listen to or text from.

Grant access
Accept the access request. The connection then shows on the Apps page and every Quo step reuses it, with the numbers that account can see in your workspace.
Your first Zap: text a prospect after every sales call
GoalWhen a rep finishes an outgoing call from the sales line, Quo texts the person a short follow-up from the same number.

Set the trigger
In the editor, pick Quo and
Outgoing Call Completed. In Select Phone Numbers, tick the sales line so other numbers stay out. - 02
Test it
Run the test. Zapier brings back the three most recent calls of the connected account, so you map from a real call rather than a guess.

Add a filter if needed
If the number serves several teams, add a Filter step to keep only the calls you want. It makes the Zap multi-step, so it needs a paid plan.

Pick
Send a Message. Choose the sales line in From, map the other party into To, then write the text. Keep it within Quo's Messaging Policy. - 05
Test, then publish
Test on your own phone first and read the text the way the prospect would see it, then click Publish to switch the Zap on.

8 events start a Zap when something happens in Quo, and 7 of them are instant: the app calls Zapier straight away, whatever your plan.
Call Recording Completed
Instant triggerIn Zapier“Triggers when a call recording has finished.”
Starts your Zap once a call recording is finished and available. You choose which workspace numbers to listen to, and only calls to or from those numbers count.
Call Summary Completed
Instant triggerIn Zapier“Triggers when a call summary is completed.”
Fires when Quo has finished writing the summary of a call, so the Zap starts with the short version of the conversation in hand.
Call Transcript Completed
Instant triggerIn Zapier“Triggers when a call transcript is completed.”
Goes off when the full transcript of a call is ready, on the numbers you select. Where the summary gives the gist, this one carries the whole conversation in text.
Incoming Call Completed
Instant triggerIn Zapier“Triggers when an incoming call is completed. If the call is not picked up by you, the answeredAt field will be null. If the user leaves a voicemail, you will get the recording and a transcription on the same object.”
Reacts when an incoming call to one of your selected numbers ends, answered or not. When nobody picked up, the answer time comes back empty; when the caller left a voicemail, its recording and transcription travel with the call.
List Phone Numbers
Polling triggerIn Zapier“Retrieve the list of phone numbers and users associated with your Quo workspace.”
Brings back the phone numbers of your Quo workspace and the users tied to them. It is the one trigger here that is not instant, and the odd one out of the list.
Outgoing Message Delivered
Instant triggerIn Zapier“Triggers when an outbound message was delivered to the recipients.”
Triggers when a text sent from one of your chosen numbers has been delivered to its recipients. It confirms delivery, not just sending.
Incoming Message Received
Instant triggerIn Zapier“Triggers when you receive a message.”
Fires each time one of your selected numbers receives a text, which makes it the base for auto-replies and routing.
Outgoing Call Completed
Instant triggerIn Zapier“Triggers when an outgoing call has ended.”
Picks up the end of every call placed from the numbers you tick, whoever made it. Only outgoing calls from those numbers start the Zap.

Quo gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Create or Update Contact

Adds a contact to Quo, or updates the one that already exists, in a single step. No need to check first whether the person is there.
Send a Message

Sends a text from one of your Quo numbers to the number you set. From, To and the message itself are required, and an option moves the conversation to done once sent.
The 8 Quo searches
8 search steps look for data that already exists in Quo, so a later step can use it.
A search step looks up something that already exists in Quo and hands it to the next steps. In the editor, the Quo searches sit at the bottom of the action list, under SEARCH. Quo has no find-or-create variant.
Get Recordings for a Call
SearchIn Zapier“Retrieve a list of recordings associated with a specific call. The results are sorted chronologically, with the oldest recording segment appearing first in the list.”
Fetches the recordings attached to one call, given its Call Id, oldest segment first.
Get a Summary for a Call
SearchIn Zapier“Retrieve an AI-generated summary of a specific call identified by its unique call ID. Call summaries are only available on Quo Business plan or higher.”
Pulls the AI-written summary of a specific call, found by its Call Id.
Get a Transcription for a Call
SearchIn Zapier“Retrieve a detailed transcript of a specific call identified by its unique call ID. Call transcripts are only available on Quo Business plan and higher.”
Returns the detailed transcript of one call, identified by its Call Id, so a later step can store or share the full text.
Get a Message by ID
SearchIn Zapier“Get a message by its unique identifier.”
Retrieves one text message from its unique identifier, when an earlier step gave you the ID but not the content.
List Calls
SearchIn Zapier“Fetch a paginated list of calls associated with a specific Quo number and another number.”
Lists the calls between one of your Quo numbers and another number, page by page, up to the Max Results you set (between 1 and 100).
List Conversations
SearchIn Zapier“Fetch a paginated list of conversations of Quo conversations. Can be filtered by user and/or phone numbers. Defaults to all conversations in the Quo organization. Results are returned in descending order based on the most recent conversation.”
Lists the conversations of your Quo organization, newest first, optionally narrowed by user or phone number. Left unfiltered, it covers all of them.
List Messages
SearchIn Zapier“Retrieve a chronological list of messages exchanged between your Quo number and specified participants, with support for filtering and pagination.”
Gives the chronological list of texts between one of your Quo numbers and the participants you name, with a Max Results cap between 1 and 100.
List Phone Numbers
SearchIn Zapier“Retrieve the list of phone numbers and users associated with your Quo workspace.”
As a search step, returns the numbers of your workspace and their users at the moment the Zap runs, rather than on a timer like the trigger of the same name.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap there. Switched on, the Zap carries on empty-handed.
- Create X if it doesn't exist yet?On apps that offer it, this turns a search into a find-or-create. None of the Quo searches has this option.
- If multiple search results are found?Three ways out: keep the first match, the default, stop the Zap, or pass all the matches on at once.

A number not selected in the trigger
Most triggers only listen to the numbers ticked in Select Phone Numbers. A new line added to the workspace is ignored until you add it to the Zap.No summary or transcript on your plan
