What the Leadgogo Zapier integration actually does

Leadgogo is a lead tracking CRM that gathers conversations from several channels in one place. Zapier connects it to the rest of your tools without code: when something happens in Leadgogo, Zapier runs the steps you chose, and it can also write back into Leadgogo when something happens elsewhere.

Three results come up again and again. First, a lead that never waits: Created Contact fires the second a contact lands in Leadgogo, and Create Task puts a follow-up on the list of the user you pick. Second, a reply sent from outside the inbox: Find Contact locates the person, Find Communication Message Options for Contact tells you which channels reach them, and Send Message to Contact sends the text over SMS, WhatsApp, Facebook Messenger or Instagram. Third, a CRM that stays current: Create or Update Contact matches an existing record by email or phone instead of piling up duplicates.

The good news for small budgets: all eight triggers are instant. Leadgogo calls Zapier itself, so the free plan's waiting time between checks never applies here.

What Zapier does not do with Leadgogo: there is no delete action, so nothing you remove in Leadgogo can be automated away, and a new Zap never picks up the contacts or tasks that existed before you switched it on. The trigger never costs a task, and neither does Zapier listening for new events. Each action that succeeds counts as one task, so a Zap with three actions uses three times what a one-action Zap uses. An action that fails is not counted. The catch on the free plan: a Zap stops at two steps, one trigger and one action. Add a filter, a search such as Find Contact, or a second action, and it becomes a multi-step Zap that needs a paid plan. The interval grid below only matters for polling triggers, and Leadgogo has none.

Connect Leadgogo to Zapier in three steps

    Open your Apps page

    In your Zapier account, go to Apps and click + Add connection. A connection is your Leadgogo account linked to Zapier once, then reused by every Zap that touches Leadgogo.

Finds Leadgogo users by keywords, ID or active status, which is how a Zap gets the user ID that assignment fields expect.

When to use it
to assign a new task to a user known only by name in the source app.
Watch out
Company is required here too, and the Is Active field keeps former users out of the results.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap and the dependent steps are skipped. Switched on, the Zap carries on without a result.
  2. Create X if it doesn't exist yet?
    Ticking it turns the search into a find-or-create that asks for creation fields. Leadgogo offers no such variant, so you will not see it here.
  3. If multiple search results are found?
    Keep the first match, which is the default, stop the Zap, or pass all the matches on together.
When it breaks

When a Leadgogo Zap breaks

Zapier attaches no help article to Leadgogo and documents no app-specific rate limit. The failures you will meet are the general ones, and they hit a CRM hard.

Three situations account for most surprises. Each one is avoidable once you know it is there, and the Zapier troubleshooting guide goes further when a Zap stops for another reason.

  • Old records are never picked up

    A Zap reacts only to what happens after you publish it. Contacts, tasks and appointments already in Leadgogo stay where they are; moving that backlog is a separate job.
  • A Zap that feeds its own trigger

    Updated Contact plus Update Contact on the same records, or Created Task plus Create Task, fire each other again and again and drain your task count quickly.
  • Bulk imports get held back

    After a large import into Leadgogo, a trigger can suddenly report a huge batch. Zapier's flood protection may then hold those runs back instead of firing them all.

Yes, it runs on the free Zapier plan because Leadgogo is not a premium app. The free plan gives 100 tasks a month and unlimited Zaps, but each Zap is limited to two steps: one trigger and one action. As soon as you add a filter, a search such as Find Contact, or a second action, the Zap becomes multi-step and needs a paid plan. Zapier also flags Leadgogo as a beta app, so the list of operations may still change over time.
02How many tasks does a Leadgogo Zap use?
One task per action that succeeds, and nothing for the trigger. A Zap that creates a task for each new contact uses one task per contact; hang a second action on the same trigger and the count doubles. Failed actions are not counted. On busy inbox triggers such as New Communication Interaction Received, this adds up quickly, and the free plan's 100 tasks a month can go fast. Estimate the number of messages before you build.
03Do Leadgogo triggers work in real time?
Yes. All eight Leadgogo triggers are instant: Leadgogo tells Zapier the moment the event happens, and the Zap starts right away whatever your plan. The polling interval grid, where the free plan checks only every 15 minutes, does not apply to any of them. In the editor, a Zap built on an instant trigger shows a lightning bolt. This is a real advantage for small teams who want fast follow-up without paying for a faster plan.
04What does it take to connect Leadgogo to Zapier?
A Leadgogo account you can sign in to, plus read or write access to any record you do not own and want the Zap to touch. The connection starts from the Apps page of Zapier with + Add connection, then you sign in to Leadgogo in a new tab and allow access. Every trigger asks for at least one company to watch, so the account must see the companies you plan to automate.
05Why can't a Zap send a message to a Leadgogo contact?
Usually because a required value is missing. Send Message to Contact needs a Contact ID, a channel, a From Address, a recipient ID and the message text. The cleanest setup places Find Contact first, then Find Communication Message Options for Contact, which returns the reachable channels and the From Address to use. Those two searches make the Zap multi-step, so this pattern needs a paid plan. Without them, the action has no channel to send through and stops.
06What if the Leadgogo operation you want is missing?
Check the search list first, since many gaps close with a search followed by an update, such as Find Contact then Update Contact. If the operation truly does not exist, such as deleting a contact, the integration cannot do it today and no setting will unlock it. Zapier may still add operations because the app is in beta. Until then, that work is done by hand in Leadgogo. Checking the operation list again from time to time is worth it.
07Zapier, Make or n8n for Leadgogo?
It depends on your criteria rather than on a single winner. Zapier offers a ready-made Leadgogo connector with 22 visible operations and instant triggers. For Make or n8n, first check whether a native Leadgogo connector exists. Then weigh your budget, your volume, who maintains the automation and how complex the logic is. A flow that only copies contacts across is a different test from one with branches and loops, and those criteria decide more than the tool name.
