What the LeadStation Zapier integration is good for

LeadStation is a CRM built around customers and sales opportunities. Connected to Zapier, it can start an automation when a customer is created or an opportunity is opened, won or lost, and it can receive customers and opportunities from your other apps without anyone retyping them.

Three outcomes worth building. A record of every deal you win: Opportunity Sold pushes each sale into a sheet the rest of the company reads, the moment it closes. A review list of lost deals: Opportunity Lost collects every lost opportunity in one place, so nobody has to dig through the CRM to find out what slipped away. Customers arriving from elsewhere: another app feeds Save Customer, which either creates the person or company or updates the one LeadStation already knows.

Now the limits. There is no delete action and no way to move an opportunity between stages from a Zap: the two actions create opportunities and save customers, nothing else. The single search reads customers without changing them. Several steps also ask for fields with Portuguese labels, such as Tipo de cliente and Funil, which surprises people who expect English. And a Zap never catches up on what happened before you switched it on.

The trigger never costs a task, and Zapier waiting for LeadStation to call costs nothing either. Every action that succeeds counts as one task; one that fails is not counted.     Open Apps

    In your Zapier account, go to Apps and click + Add connection. A connection is your LeadStation account linked once, then reused by every Zap that works with LeadStation.

    Type LeadStation in the search box of the dialog, select it, then click Add connection. A new browser tab opens on the LeadStation side to finish the link.

    Create a Zap, choose LeadStation and the Opportunity Lost event, select your connection, then pick the funnel to watch in Funil, which is required.

    Run the test. Zapier brings back the three most recent items from your account, so you map fields on a real deal rather than a blank template.

    Add the filter

    Click the plus icon, add Filter, and fill the three boxes: the field, the rule, the value. Use a text rule for text and a number rule for numbers, or nothing passes.

A search step reads a customer already in LeadStation and hands it to the steps after it. In the editor, it sits at the bottom of the Action event list, under SEARCH. LeadStation offers no find-or-create variant of it.

When to use it

The three settings every search exposes

  1. Successful if no search results are found?
    On its default, a search that finds nothing stops the Zap there and the steps that relied on it are skipped. Switch it on and the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into a find-or-create. Search Customer does not offer it; Save Customer is the step that creates a missing customer.
  3. If multiple search results are found?
    Three ways out when several customers match: keep the first one, which is the default, stop the Zap, or pass all of them on at once.
When it breaks

When a LeadStation Zap breaks

Zapier links no help article to LeadStation, so the cases below are the general ones any Zap can hit. With required funnels and customer types everywhere, they show up early.

  • Past deals never come through

    A Zap reacts only to what happens after you switch it on. Customers and opportunities from before stay where they are; moving them is a separate job.
  • The Zap that feeds itself

    A Zap that writes into the very place its trigger watches sets itself off again and again, and burns through your task count fast.
  • A bulk import held back

    When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold it back.
  • The wrong funnel

    Opportunity triggers watch one funnel each. A deal created, won or lost in another funnel simply never reaches the Zap, without any error.

01Is the LeadStation Zapier integration free?
Yes. LeadStation is not a premium app, so it runs on Zapier's free plan, which includes 100 tasks a month and unlimited Zaps. What people miss is the two-step limit: on the free plan a Zap holds one trigger and one action, nothing more. Opportunity Sold followed by a spreadsheet row fits. Add a filter, the Search Customer step or a second action and the Zap turns multi-step, which needs a paid plan. Prices are not given here because they change too often.
02How many tasks does a LeadStation Zap use?
One task for each action that succeeds, none for the trigger. A Zap that writes every lost opportunity into a sheet costs one task per lost deal. If it also saves the customer somewhere else, it costs two. Failed actions are not counted, and Zapier waiting for LeadStation to report an event costs nothing at all. A few apps and a few actions do take more than one task when they complete, so check the receiving side too.
03Is LeadStation real time on Zapier?
Yes, for all four triggers. LeadStation tells Zapier the moment a customer is created or an opportunity is opened, won or lost, and the Zap starts at once. The polling interval grid of the plans does not apply here, so the free plan reacts as quickly as Enterprise. That behaviour is set on LeadStation's side and cannot be switched in the editor, where these Zaps show a lightning bolt. A sale closed in LeadStation is therefore in your sheet by the time anyone thinks to check.
04What does it take to connect LeadStation to Zapier?
Your own LeadStation account, plus access to any customers or opportunities owned by others that the Zap should touch. In Zapier, open Apps, click + Add connection, search for LeadStation and confirm with Add connection, then sign in to LeadStation in the new tab and grant access. Before building, create the funnels and customer types your Zaps will need, since several steps require them and cannot be set without them, whatever plan you are on.
05Why are some LeadStation fields in Portuguese?
Because that is how LeadStation labels them in Zapier, and the editor shows those labels as they are. The ones you meet most are Tipo de cliente, the customer type, Funil, the funnel, and Atualizar cliente, the setting on Save Customer that decides whether a matching customer gets updated or simply returned. All three are required where they appear, so it pays to know what each one means before you start mapping fields.
06What if the LeadStation action you need does not exist?
Then the integration does not cover it as it stands. Zapier offers two LeadStation actions, Create Opportunity and Save Customer, plus one search that only reads. There is no delete action and no step to move an opportunity to another stage. A filter or a search can shape what reaches those two actions, but it cannot add a third. For anything beyond the list, the request has to go to LeadStation or the job has to run another way.
07Zapier, Make or n8n for LeadStation?
It depends on your criteria rather than any ranking. Zapier is quick to learn, and the instant triggers mean even the free plan reacts straight away, as long as each Zap stays at two steps. Once you add filters, searches and several actions, the paid plan and the task count become the main cost. Make and n8n handle billing and multi-step logic differently, so weigh them on your volume, the steps you need and who maintains the workflows.
