What the LegalSite Zapier integration does for you
It lets your other tools keep LegalSite current. LegalSite handles the legal and privacy side of your website, and it tracks data subjects, the people whose personal data you hold. With Zapier, a new contact elsewhere can land in that list, and a deletion request can be filed there, without anyone retyping an email address.
Three outcomes people build. A register that follows your forms: each time someone fills in a form on your site, Add or Update a Data Subject writes that person into LegalSite, or updates them if they are already there. A CRM kept in step: the same action runs on new contacts from your CRM, so the people you market to are the people LegalSite knows about. An erasure request on the spot: when someone asks to be forgotten through a channel you already watch, Remove Data Subject opens the erasure request inside LegalSite straight away.
What Zapier does not do here: LegalSite has no trigger and no search. It cannot start a Zap, so nothing that happens inside LegalSite reaches your other tools, and a Zap cannot check whether a person is already registered before acting. - The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger event happens.
- Trigger
- The event that starts a Zap. LegalSite has none, so the trigger always comes from another app, such as a form or a CRM.
- Action
- The step that does the work once the Zap has started. Here it writes a data subject into LegalSite or files an erasure request.
- Task
- What Zapier bills: one action completed successfully. The number shown on your plan counts those and nothing else.
- Polling or instant
- Polling means Zapier checks an app on a timer; instant means the app calls Zapier itself. It depends on the app that starts the Zap.
- Filter
- A step that lets the Zap go on only when what arrived meets a condition you set, and quietly stops it otherwise.
- Connection
- Your LegalSite account linked to Zapier once, then reused by every LegalSite step in every Zap you build.
- Multi-step Zap
- Anything beyond one trigger and one action. A second action or a filter turns a Zap into one, and that needs a paid plan.

The trigger from your other app costs no task. Each LegalSite action that succeeds counts once; one that fails is not counted. The free plan gives you 100 tasks a month and Zaps of two steps, which is exactly a trigger plus one LegalSite action. LegalSite is not a premium app, so it works there. Connect your LegalSite account in three steps

Open Apps and add a connection
In your Zapier account, go to the Apps page and click + Add connection. A dialog opens with a search box: type LegalSite and pick it from the list that appears.

Sign in to LegalSite
Click Add connection. A new tab opens on LegalSite. Sign in with the account that manages the website whose data subjects the Zap will write to, so new people land in the right register.

Grant Zapier access
Approve the access Zapier asks for. The connection then appears under Apps, and every LegalSite step reuses it. Anything you do not own yourself needs read or write access on your account.
Your first Zap: every form contact in LegalSite
GoalWhen someone submits a form on your site, record them as a data subject in LegalSite, but only when the submission passes a filter you define.

Pick the trigger
Start a new Zap and choose your form tool as the app that starts it, with the new-submission event. LegalSite cannot start a Zap, so this step always comes from elsewhere.

Test it on a real entry
Run the trigger test and pick a recent submission. Check that it carries an email address, since the LegalSite step will refuse to work without one.

Add the filter
Click the plus icon, add Filter and fill its three boxes: the field to look at, the rule, the value to compare. Use a text rule on text and a number rule on numbers.

Add the LegalSite action
Pick LegalSite and Add or Update a Data Subject, then map the email from the form into the Email field. Test the step once and read what came back.

Publish
Click Publish to switch it on. With the filter this is a multi-step Zap and needs a paid plan; drop the filter to stay on the free plan.
