Overview

What the Levvy Zapier integration actually does

Levvy is an operating system for financial services firms: the place where the team's work is planned and tracked. Its Zapier integration only writes into it. An email in Gmail or Microsoft Outlook, or an event in Google Calendar, starts the Zap, and Levvy receives a task or a meeting built from it.

Three results worth building first. Emails that become work items: label an email in Gmail and Create Ad Hoc Task opens a task in Levvy, with the subject as its name and the body as its notes. The same from Outlook: an email filed in a given Microsoft Outlook folder becomes a task the same way, with its received date as the start date. Meetings mirrored from the calendar: Create/Update One Time Meeting copies each Google Calendar event into Levvy, with its time, creator and guests, and updates it when the event changes.

What Zapier does not do here matters as much. Levvy has no trigger, so nothing that happens in Levvy can start a Zap: a finished task or a new meeting stays inside. There is no search step either. And Create Ad Hoc Task sets the budgeted hours and the days to complete to 1 by default; any other value is edited in Levvy afterwards.

Only an action that succeeds is billed: each task or meeting written into Levvy is one Zapier task, and an action that fails is not counted. In a Zap with several actions, every success counts on its own, so three actions use three times what one does. The free plan stops at two steps, one trigger and one action, which is exactly an email followed by Create Ad Hoc Task. A filter or a second action makes the Zap multi-step, which needs a paid plan. If the trigger app polls, its interval follows the grid below.

Connect Levvy to Zapier in three steps

    Open the Apps page

    In your Zapier account, go to Apps and click + Add connection. In the dialog that opens, type Levvy in the search box and pick it from the results list.

    Sign in to Levvy

    Click Add connection. A tab opens on Levvy: sign in with the account the Zap should create tasks and meetings in. You need a Levvy account before you start.

    Grant access

    Allow Zapier to access the account. The connection is saved once, then every Levvy step of every Zap reuses it. Anything you do not own yourself needs write rights on your side first.

First Zap

Your first Zap: turn a labeled Gmail email into a Levvy task

    Create the Zap

    Start a new Zap, pick Gmail as the app that starts the Zap and New Labeled Email as the event. Choose the label that should turn an email into work.

    Test the trigger

    Run the test. Zapier brings back recent emails with that label, so you map the fields from a real email rather than guessing.

    Add Create Ad Hoc Task

    Pick Levvy, then Create Ad Hoc Task. Map Subject into Ad Hoc Task Name, Date into Start Date and Body Html into Notes, then choose the Assignee.

    Leave the defaults or not

    Budgeted Hours and Days to complete are both required and set to 1. Keep them, and adjust the real values in Levvy once the task exists.

    Add a chat message on a paid plan

    A third step makes the Zap multi-step. Send the assignee a message in your team chat with the task name, so nobody has to check Levvy.

    Test and publish

When it breaks

When a Levvy Zap breaks

Zapier links no help article to Levvy and lists no app-specific limit. What trips people up are Zapier's general rules, applied to Gmail, Outlook or Google Calendar.

Three of them hit this integration directly. When a Zap misbehaves, check these before blaming the connection, and keep the Zapier troubleshooting page at hand.

  • Old emails and events stay out

    A Zap reacts only to what happens after you publish it. Emails already labeled and meetings already planned never reach Levvy; moving them is a separate job.
  • A bulk change gets held back

    When the trigger app suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold it instead of creating every task.
  • The same email counts once

    On a polling trigger, Zapier remembers what it has already seen, so the same email does not start the Zap twice and Levvy does not get a duplicate task.

Levvy Zapier integration: questions people ask

01Is the Levvy Zapier integration free?
Yes. Levvy is not a premium app, so it runs on the free Zapier plan, which gives you 100 tasks per month and unlimited Zaps. The limit is size: a free Zap has two steps, one trigger and one action. A labeled Gmail email followed by Create Ad Hoc Task fits exactly. Add a chat message to warn the assignee, or a filter, and the Zap becomes multi-step and needs a paid plan instead.
02How many tasks does a Levvy Zap use?
One Zapier task per action that succeeds, and nothing for the trigger. A Zap that turns each labeled email into a Levvy task uses one Zapier task per email. If Create Ad Hoc Task fails, no task is counted. Add a chat message after it and each email costs two. Keep the two meanings apart: a Zapier task is a billing unit, a Levvy task is a work item, and one does not use up the other.
03Does Levvy work in real time with Zapier?
Levvy has no trigger, so its own speed is never the question: the Zap starts in Gmail, Microsoft Outlook or Google Calendar. If that trigger is instant, the task reaches Levvy straight away. If it polls, Zapier checks it every 15 minutes on the free plan, every 2 minutes on Professional and every minute on Team and Enterprise. Look at the trigger you picked to know which case you are in.
04What does it take to connect a Levvy account?
A Levvy account, plus write rights on anything you do not own and want the Zap to touch. In Zapier, open Apps, click + Add connection, search for Levvy, click Add connection again and sign in to Levvy in the tab that opens. Then grant Zapier access. The connection is stored once and every Levvy step reuses it. You will also need a connection to Gmail, Outlook or Google Calendar for the trigger.
05Why does every Levvy task show 1 hour and 1 day?
Because those are the defaults of Create Ad Hoc Task. Budgeted Hours is set to 1 hour and Days to complete is set to 1, and both fields are required, so the task always gets a value. The integration expects you to edit the budgeted hours, the days to complete or the due date in Levvy once the task exists. If every email asks for a different workload, plan that review step in Levvy rather than in the Zap.
06What if the Levvy operation you need is not in Zapier?
Then the visible list is the limit: Create Ad Hoc Task and Create/Update One Time Meeting, with no trigger and no search. Anything else is not offered in the Zapier editor for Levvy. The usual way around it is to keep Levvy as the place where emails and meetings land, and handle the rest in another app Zapier supports. Otherwise, check the list of operations of another automation platform first.
07Zapier, Make or n8n for Levvy?
It depends on the criterion, not on a winner. With Zapier, Levvy works on the free plan and its field hints are written for Gmail, Microsoft Outlook and Google Calendar triggers, which makes mapping easy. But free Zaps stop at two steps.
