Overview

What the Live Data Technologies Zapier integration does

The Live Data Technologies Zapier integration links your Live Data account, a service that watches the open web and flags when your B2B contacts move to a new job, to Zapier, a tool that makes apps work together without code. Zapier can react to those job changes and to new ledgers, and it can add contacts to a ledger for you.

A log of who moved where. Contact Job Change Detected starts the Zap when someone in your ledger takes a new job, and the move lands as a row in your spreadsheet. No more emailing someone at a company they left.

An alert for whoever owns the relationship. The same trigger can feed your email tool, so the person in charge of that contact hears about the move and can reach out.

Contacts tracked from the moment you meet them. A new contact in your CRM starts a Zap, and Create a Contact adds that person to a Live Data ledger, so their job changes get watched from then on, with nobody retyping anything.

What Zapier won't do here. There's no search, so a Zap can't check whether a contact is already in a ledger before adding it. Nothing removes a contact from a ledger or edits one either. And both triggers work by polling, so nothing reaches Zapier instantly. To compare tools, see n8n vs Zapier or Make vs Zapier.

Vocabulary

Zapier vocabulary in one minute

Eight words from the editor, in plain English. The rest of the page uses them without a reminder.

Zap
Your automation on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. Live Data offers two: a job change in a ledger, and a new ledger.
Action
What the Zap does after it starts: the step that writes, sends or creates something for you, like a contact in a ledger.
Task
The unit Zapier bills. One task is one action your Zap completes successfully; your plan counts those and nothing else.
Polling vs instant
Polling: Zapier checks the app on a timer and keeps only what's new. Instant: the app tells Zapier itself. Both Live Data triggers poll.
Filter
A step that lets the Zap go on only when the incoming data meets the condition you set, and stops it there otherwise.
Connection
Your Live Data account linked to Zapier once, then reused by every Live Data step of every Zap.
Multi-step Zap
Anything beyond one trigger and one action. A filter or a second action turns a Zap into one, and it then needs a paid plan.
Cost

What it really costs

Zapier bills tasks. With Live Data, the triggers are free and only completed actions count.

  • Premium appNo, it works on the free plan
  • Free plan100 tasks a month, unlimited Zaps
  • Steps per Zap on Free2: one trigger, one action
  • Cost of a trigger0 tasks

Contact Job Change Detected and Get All Ledgers never cost a task, however often Zapier checks. Each action that succeeds, Create a Contact or a step in another app, counts as one task; one that fails isn't counted. The free plan gives you 100 tasks a month, unlimited Zaps, and two steps per Zap: one trigger, one action. Add a filter or a second action and you need a paid plan. Both Live Data triggers work by polling, so the grid below sets how often Zapier looks, plan by plan.

Connect

Connect Live Data Technologies to Zapier in 3 steps

  1. 01

    Open the Apps page

In Zapier, go to Apps and click + Add connection. You need a Live Data account already, plus access to any ledger you don't own but want the Zap to read or fill.

  2. 02

    Pick Live Data Technologies

Search Live Data Technologies by name in the dialog, select it, then click Add connection. A new tab opens on the Live Data side to finish linking the two.

  3. 03

    Sign in and grant access

Sign in to Live Data in that tab and grant Zapier access to your account. The connection then appears on the Apps page, and every Live Data step you build reuses it.

First Zap

Your first Zap: an email when a key contact changes jobs

GoalWhen Live Data spots a job change in your ledger, email the person who owns the relationship, but only for contacts that pass your filter.

  1. 01

Create the Zap and set the trigger

Start a new Zap, choose Live Data Technologies as the app that starts it and Contact Job Change Detected as the event. Pick your connection, then fill in the Ledger ID.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent job changes in that ledger, so you map the next steps on a real move instead of a blank record.

  3. 03

    Add the filter

Click the plus icon, add Filter and fill its three boxes: the field to look at, the rule, the value to compare with. This makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Add the email

Add your email tool as the action and write the message with the details of the job change. Keep the contact's name in the subject so the alert is easy to spot.

  5. 05

    Test, then publish

Test the action and check that the email arrived. If it reads right, click Publish to switch the Zap on for every job change that follows.

Triggers

The Live Data Technologies triggers

2 events start a Zap when something happens in Live Data Technologies. Zapier checks for them at the interval your plan allows.

1

Contact Job Change Detected

Polling trigger

In Zapier“Triggers when Live Data detects a contact has a new job.”

When Live Data notices that a contact in one of your ledgers has a new job, this trigger starts the Zap and passes the details of the move along.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
you want your CRM, your inbox or your team to learn about a job change without anyone checking Live Data by hand.
Watch out
Ledger ID is required, so one Zap watches one ledger; several ledgers mean several Zaps.
2

Get All Ledgers

Polling trigger

In Zapier“Triggers when a new ledger is detected in the org.”

Get All Ledgers starts a Zap whenever a new ledger shows up in your Live Data organisation, and hands over that ledger's details, ID included.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
someone on your side creates ledgers, and the rest of the team should hear about each new one, or log it somewhere.
Watch out
it reacts to new ledgers only, not to contacts added inside a ledger that already exists.
Actions

The Live Data Technologies action

Live Data Technologies gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create a Contact

Action

In Zapier“Creates a new contact to track on your ledger”

Create a Contact adds a person to one of your Live Data ledgers, so their job changes get tracked from then on.

When to use it
a contact created in your CRM or listed in a spreadsheet should start being watched without anyone retyping it.
Watch out
three fields are required, Ledger ID, Contact Name and Company Name. Map all three, or the action won't run.
When it breaks

When it breaks

Zapier attaches no help article to Live Data Technologies, so the failures you might meet are Zapier's general ones.

Four cases come up with this pair. None is specific to Live Data, and each one can cost you an alert or a pile of tasks. If one of them blocks you, our Zapier troubleshooting page is the next stop.

  • Earlier job changes never arrive

A Zap only reacts to what happens after you switch it on. Job changes spotted before stay in Live Data; moving that history elsewhere is a separate job.
  • A loop drains your tasks

A Zap that writes into the very place its own trigger watches sets itself off again and again. Keep Create a Contact away from whatever starts that same Zap.
  • A bulk import gets held back

When a trigger suddenly returns a huge batch, after you load a large list of contacts for instance, Zapier's flood protection can hold those items back.
  • One change, one run

On a polling trigger, Zapier keeps track of what it has already seen, so the same job change never starts the Zap twice, even if it still shows on later checks.

FAQ

Live Data Technologies and Zapier: common questions

01Is the Live Data Technologies Zapier integration free?
Yes. Live Data Technologies is not a premium app, so it works on Zapier's free plan. That plan gives you 100 tasks a month and unlimited Zaps, each limited to two steps: one trigger and one action. A job change logged in your spreadsheet fits. Add a filter, as in the email alert above, or a second action, and the Zap becomes multi-step, which needs a paid plan. There are no prices on this page on purpose: Zapier changes its grids too often.
02How many tasks does a Live Data Zap use?
One per action that succeeds. Both triggers are free, and so is every check Zapier runs on Live Data. In the email alert, each job change that passes the filter costs one task, and one stopped by the filter costs nothing. A Zap that adds CRM contacts to a ledger with Create a Contact costs one task per contact added. A failed action isn't counted. Check your count after publishing, since a few apps and actions take more than one task.
03Is Live Data on Zapier real time?
No. Both Live Data triggers work by polling: Zapier goes and looks at regular intervals, and how often depends on your plan. That's every 15 minutes on Free, every 2 minutes on Professional, every minute on Team and Enterprise. On paid plans you can change that interval and run a check by hand from the editor. A job change can therefore wait until the next check before your Zap reacts to it.
04What does it take to connect Live Data to Zapier?
A Live Data account and a Zapier account, plus access to any ledger you don't own but want the Zap to read or fill. From the Apps page in Zapier, add a connection, pick Live Data Technologies, sign in in the tab that opens and grant Zapier access. You do it once, and every Live Data step reuses that connection. Have the ID of your ledger ready, since both the job change trigger and the action ask for it.
05Why do the trigger and the action ask for a Ledger ID?
Because Ledger ID is a required field on Contact Job Change Detected and on Create a Contact: Live Data works ledger by ledger. On the trigger, it decides which ledger the Zap watches, so one Zap covers one ledger. On the action, it decides where the new contact goes, alongside the two other required fields, Contact Name and Company Name. If you create ledgers often, Get All Ledgers can start a Zap each time a new one appears, ID included.
06What if the Live Data operation you need isn't there?
Then Zapier can't do it with Live Data today. The integration offers Contact Job Change Detected, Get All Ledgers and Create a Contact, and nothing else: no search to check whether a contact is already tracked, no step to remove or edit one. Note the exact operation you're missing, check whether another automation tool covers it, and test it on a throwaway ledger first. If nothing does, that part stays manual for now.
07Zapier, Make or n8n for Live Data Technologies?
Choose on criteria, not on a ranking. Operations first: on Zapier you get two polling triggers and one action, so check whether the other tools offer what you're missing. Timing next: on Zapier, how often job changes are picked up depends on your plan. Billing last: Zapier counts each successful action as a task, while the triggers cost nothing. Weigh those three points against the way you follow your own contacts.
