Overview

What the LumApps Zapier integration actually does

The integration links your LumApps intranet to Zapier, so that something happening on the intranet sets off a step in another app, or the other way round, without anyone copying text by hand. It can spot new content, new community posts and new notifications, post in a community, notify people, and find a community by its title.

Three results you can build with it. First, new intranet content echoed in the right community: New Published Content starts the Zap, Find a Community picks the community by title, and Create Community Post shares the news there. Second, an archive of community discussions: New Community Post sends each post to your spreadsheet tool, one row per post. Third, alerts pushed to the people concerned: when something happens in another app, Create Notification notifies chosen users inside LumApps, provided the connected account is an admin.

What Zapier does not do for LumApps: it cannot edit or delete content, posts or notifications, and it does not publish intranet content itself, only community posts. All three triggers work by polling, so nothing arrives the instant it happens; the cost section explains the interval.

Only a successful action is billed: each Create Community Post or Create Notification that goes through is one task, and one that fails costs nothing. The free plan stops at two steps, one trigger and one action. Add Find a Community, a filter or a second action, and the Zap becomes multi-step, which needs a paid plan.     In Zapier, go to the Apps page of your account and click + Add connection. A connection is your LumApps account linked once, then reused by every step that needs it.

Sends a LumApps notification to the users you specify, so an alert lands in the intranet rather than in yet another inbox. This action is available with an admin account only.

When to use it
when a precise group of people must be told about something that happened in another tool.
Watch out
with a non-admin connection, this step cannot run.

Find a Community

Search

Looks up a LumApps community by its title and passes it to the next step, so a post lands in the right place without you picking the community by hand each time.

When to use it
just before Create Community Post, when the community name comes from an earlier step.
Watch out
whether the title must match exactly or roughly is decided by LumApps, so test with the exact title first.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and the dependent steps are skipped. Switched on, the Zap goes on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into a find-or-create. Find a Community offers no such variant on Zapier, so a missing community is never created.
  3. If multiple search results are found?
    Three ways out when several communities match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a LumApps Zap breaks

Six cases are worth knowing before you publish, because none of them shows while you build. When one of them hits, the Zapier troubleshooting page is the place to start.

  • Notifications refused

    Create Notification needs an admin account. Connect LumApps with a regular user and this step cannot run, so every Zap that relies on it stops at that point.
  • The community is not found

    If Find a Community finds nothing and the setting is left on its default, the Zap stops there and the post that depended on it is skipped.
  • The Zap that feeds itself

    Starting on New Community Post and answering with Create Community Post in the same community writes where the trigger listens, and the Zap sets itself off again and again.
  • Old content is never picked up

    A Zap only reacts to what happens after you switch it on. Content and posts that already existed stay out, and moving that backlog is a separate job.
  • A sudden flood of items

    When a trigger suddenly returns a huge batch, after a bulk import for example, Zapier's flood protection can hold those items back instead of running them all.
  • Duplicates are filtered out

    Zapier keeps track of what it has already seen on a polling trigger, so the same post, notification or content never starts the Zap twice.

LumApps and Zapier: frequent questions

01Is the LumApps Zapier integration free?
Yes, on the Zapier side. LumApps is not a premium app, so you can use it on the free plan, which gives you 100 tasks per month and as many Zaps as you like. Each Zap is limited to two steps there, one trigger and one action. Adding Find a Community, a filter or a second action makes it a multi-step Zap, and that needs a paid plan. Your LumApps licence is a separate question this page does not cover.
02How many tasks does a LumApps Zap use?
One task per action that succeeds, and nothing for the trigger or for the checks Zapier runs on LumApps. A Zap that posts in a community for each new piece of content costs one task per post. If it also sends a notification, it costs two per piece. A Create Notification that fails because the account is not an admin is not counted. On the free plan, the 100 monthly tasks are shared between all your Zaps.
03Does LumApps send data to Zapier in real time?
No. All three LumApps triggers are polling triggers: Zapier checks LumApps at a fixed interval set by your plan, every 15 minutes on Free, every 2 minutes on Professional and every minute on Team and Enterprise. The type is decided by the app and cannot be changed from the editor. On paid plans you can change how often the check runs, and also run one by hand from the editor.
04What does it take to connect LumApps to Zapier?
A LumApps account and a Zapier account. You add the connection from the Apps page with + Add connection, sign in to LumApps in the tab that opens and grant Zapier access. If the Zap has to post in communities or touch content you do not own, your account also needs access to them. And if you plan to use Create Notification, connect with an admin account, because that action is reserved to admins.
05Why does Create Notification fail in a LumApps Zap?
Most likely because the connected account is not an admin. Create Notification is available with an admin account only, and Zapier documents no other restriction on this action. Check which LumApps account the step uses; if it is a regular user, add a connection with an admin account and select it on that step. A failed notification is not billed as a task, but nobody gets notified either, so test the step before you publish.
06What if the LumApps operation you need is not in Zapier?
Then Zapier cannot do it for this app. LumApps offers three triggers, two actions, Create Community Post and Create Notification, and a single search, Find a Community. Editing or deleting content, publishing intranet pages or managing users are not available. Check whether another tool already holds the data you are after, or ask an automation specialist whether a different platform reaches that part of LumApps before you build around the gap.
07Zapier, Make or n8n for LumApps?
It depends on your criteria rather than on a winner. Zapier makes sense if the six operations listed here cover your need and you are fine with polling triggers checked at your plan's interval. If your Zaps will use the search or several actions, compare how each platform bills those multi-step runs against your volume. In every case, check that the platform you pick actually exposes the LumApps operations you need, including admin notifications.
