Agencyjoy is a sales CRM built for agencies: leads, clients, activities and the pipeline that links them. Zapier is the layer that watches it and acts for you. A new lead, a stage change or an edited client record becomes the starting point of an automation, and Zapier then creates, updates or converts records in Agencyjoy on its own.

Three outcomes cover what agencies usually build here.

A pipeline that cleans up after itself. When a deal reaches your closing stage, Lead Stage Is Changed fires and Convert Lead to Client turns the lead into a client record. Nobody has to remember the conversion at the end of a long day.

A calendar that fills from the CRM. New Lead Is Added pairs with Add a New Activity (Task, Call, Meeting), so every fresh lead arrives with a first call or follow-up task already on the Agencyjoy calendar.

Add a second action, a filter or a search step and it becomes a multi-step Zap, which needs a paid plan. When to use it

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and the dependent steps are skipped. Switched on, the run continues empty-handed.
  2. Create X if it doesn't exist yet?
    Ticking it turns the search into a find-or-create: the setting above disappears and Zapier asks for the fields needed to create the missing record.
  3. If multiple search results are found?
    Three choices when several records match: keep the first one (the default), stop the Zap, or pass all of them on to the next step.

    A Zap reacts only to what happens after you publish it. Leads and clients that already existed are not picked up; moving that backlog is a separate job.
  • The update loop

    Client Is Updated feeding Update Client on the same record edits it again, which can fire the trigger again. The Zap loops and burns through your tasks fast.
  • A bulk import held back

    Importing hundreds of leads at once can trigger a huge batch. Zapier's flood protection may hold those runs back instead of processing them all.
  • Meetings at the wrong hour

    Agencyjoy reads activity start and end times in GMT. A local time typed as is shifts the meeting by your offset from GMT.

Yes, as long as each Zap stays at two steps. Agencyjoy is not a premium app, so the free plan accepts it with 100 tasks a month and unlimited Zaps. The catch is the step count: one trigger and one action. Converting a lead and then booking a meeting is two actions, so that Zap needs a paid plan. Adding a filter or a search step has the same effect, because both turn the Zap into a multi-step Zap.
02How many tasks does an Agencyjoy Zap use?
One task per action that succeeds, per run. The trigger itself never costs anything, and neither does Zapier checking for new data. Because the activity times are read in GMT. The start and end fields of Add a New Activity (Task, Call, Meeting) expect GMT, even when you type a relative time such as tomorrow morning. If your team works in another time zone, convert the time before mapping it, or the meeting shifts by your offset. Test the action once and check the calendar entry in Agencyjoy before you publish. Once the first run looks right, every later run follows the same mapping.
