What the Magnet Zapier integration is for

It connects Magnet, a learning platform, to the other apps you run, through Zaps: automations built on Zapier that start on one event and then carry out one or more steps. Magnet can start a Zap when a course is finished or a user registers, and it can receive new users, groups, institutions and subscriptions.

Three concrete results come out of it. A completion record outside Magnet: Course Completed passes each finished course to a spreadsheet, a CRM or a certificate tool. Accounts opened from elsewhere: Create or Update User enrolls someone from a form or a sale, then Create Subscription gives that new user access, using the User ID the first action returns. A structure that builds itself: Create Group and Create Institution set up the containers before anyone joins them.

The best news for a free plan: both triggers are instant. Magnet tells Zapier the moment the event happens, so the plan's checking interval never slows them down.

A course completed or a user registered costs nothing on its own. Each action that goes through counts one task, in Magnet or in the other app; a failed one counts nothing. The free plan gives 100 tasks a month and two-step Zaps, so chaining Create or Update User and Create Subscription needs a paid plan.     Open the Apps page of your Zapier account and click + Add connection. You need a Magnet account, plus access to any institution or group you do not own and want the Zap to touch.

    Run the test. Zapier brings back the three most recent completions from your Magnet account, so you can map fields on a real one rather than on a blank sample.

    Add the spreadsheet step

    Add an action in your spreadsheet app that adds a row. Map the learner and course details from Magnet into the columns you want to keep.

When a Magnet Zap breaks

Zapier ties no help article to Magnet, so the weak points are Zapier's general limits.

  • Past completions never arrive

    A Zap only reacts to what happens after it is switched on. Courses finished or users registered before that stay in Magnet; moving them is a separate job.
  • A loop back into Magnet

    A Zap that writes where its own trigger watches restarts itself again and again. Keep a Zap that starts on a Magnet event from writing users back into Magnet.
  • A bulk enrollment held back

    When a trigger suddenly sends a huge batch, after a bulk import or a migration, Zapier's flood protection can hold those items back instead of running them all.
  • Duplicate users from typos

    Create or Update User matches on email. Two spellings of one address give two users in Magnet, and each run costs a task.

Magnet Zapier integration: frequently asked questions

01Is the Magnet Zapier integration free?
Yes, for two-step Zaps. Magnet is not a premium app, so the free plan covers it, with 100 tasks a month and Zaps made of one trigger and one action. Course Completed sending a row to a spreadsheet fits that limit. As soon as you add a second action, a filter or a search, the Zap becomes multi-step and needs a paid plan, which is the case when Create or Update User is followed by Create Subscription.
02How many tasks does a Magnet Zap use?
One task per action that succeeds, nothing for the trigger. A course completed or a new registration costs nothing by itself, and an action that fails is not counted. So a Zap that creates a user and then a subscription spends two tasks each time it runs, because every successful action counts on its own. If the same Zap also writes to a spreadsheet, that is three tasks per learner. Count your actions before you scale a flow to a large cohort.
03Is the Magnet Zapier integration real time?
Yes, for both triggers. Course Completed and New User Registered are instant: Magnet tells Zapier as soon as the event happens, and the Zap starts right away whatever your plan. The polling intervals of the plans, 15 minutes on Free down to 1 on Team and Enterprise, do not apply to them. In the editor, a Zap built on an instant trigger shows a lightning bolt, which is a quick way to confirm it.
04What does it take to connect Magnet to Zapier?
A Magnet account you can sign in to, plus access to the institutions and groups you want the Zap to touch. In Zapier, open the Apps page, click + Add connection, pick Magnet and click Add connection, then sign in to Magnet in the new tab and grant access. Creating a group also requires that the connected account is Teacher Admin of the institution, so connect with the right account from the start.
05Where does Create Subscription get its User ID?
From the Create or Update User step placed just before it. The User ID is the only required field of Create Subscription, and Zapier says it is available as an output of that step. Build the Zap with Create or Update User first, test it, then map its User ID into Create Subscription. That makes a multi-step Zap, so it needs a paid plan, and each run costs two tasks when both actions succeed.
06What if the Magnet operation the job requires is missing?
Then Zapier cannot do it with Magnet as things stand. The integration covers two triggers, Course Completed and New User Registered, and four actions that create groups, institutions, subscriptions and users. There is no search, so a Zap cannot find an existing user or course, and nothing deletes or archives. If the missing piece is central to the job, check whether another automation platform exposes it for Magnet before building around the gap.

Choose by criteria. Speed: both Magnet triggers on Zapier are instant, so timing is not a reason to leave. Coverage: Zapier offers no search and no delete on Magnet, so if the job needs one, look at what the other platforms expose.
